Important Tax Information The IRS requires that Moeller High School inform contributors & benefactors as to the deductibility of payments & donations made by patrons for fundraising. The following are guidelines to assist you in your tax preparation.
1. Dinner Tickets – Each dinner ticket is tax-deductible to the extent it exceeds the fair market value of the meal, which is $85. 2. Raffle Tickets – No deductibility. 3. Gifts purchased at the auction are deductible for amounts paid in excess of the fair market value of each gift. 4. Cash Contributions – All cash contributions are tax-deductible to the fullest extent of the law. 5. Gift Contributions – Contributions of gifts are tax-deductible to the fullest extent of the law. For non-cash property donations, it is advised that you consult your tax professional since the IRS has specific requirements for filing, which may apply to you (e.g. an official appraisal may be warranted if the value of an item exceeds $5,000). 6. The paid auction invoice should serve as your official receipt of items purchased at the auction. 7. The value set forth for each item is a “good faith estimate,” set by the donor, as required by the IRS. You may deduct only what is paid in excess of each gift’s fair market value. LOYAL….our volunteers are loyal. From parties, to package meetings, to emails and texts well into the night, it’s very obvious they care about our school. That’s what makes them tick and that’s what makes them continue to serve our school and the Main Event like they do. GENEROUS…it is the virtue of giving good things to others and the generosity of their time that definitely does not go un-noticed. HANDS-ON…Main Event volunteers are hands-on. From wrapping cookies, to stuffing envelopes - our volunteers all know how to roll up their sleeves and just get the job done! COMMITTED…to our PWAP host families and teams! Thank you for stepping up and carrying on the tradition of our gift gathering parties. When we socialize and encourage fellowship, it strengthens Moeller’s community! VIBRANT…everyone knows when they come in our office there is energy and enthusiasm. The air is always filled with laughter, jokes, and plenty of camaraderie. Live and Silent Auction Rules Silent Auction Rules: 1. You will be notified via cellphone when the Silent Auction opens. Closing will be announced and winning bidders will be notified via the handheld bidding system. The Live Auction continues until all items have been auctioned. 2. All items in the silent auction have an item number affixed or nearby. Enter the item number into the bidding system to bid on the item. 3. Each incremental bid amount is displayed on the bidding system and constitutes a valid bid. 4. Each new bid must be entered into the bidding system or a Max Bid may be set to allow the system to bid on your behalf. 5. Only an authorized person may nullify a bid. In the event of a dispute, the auction official shall act as the final authority and determine the winning bidder. Their decision shall be final. Live Auction Rules: The highest bidder will be acknowledged by the auctioneer. If the auctioneer determines that an opening bid or any subsequent bid is not commensurate with the value of the item offered, he may reject the same and withdraw the item from sale. If, having acknowledged an opening bid he decides that an advance thereafter is not a sufficient amount, he may reject the advance. The auctioneer retains the right to announce conditions of sale at any time. In the event of any dispute, the auctioneer will have sole and final discretion in this manner. General Auction Rules (applies to Live and Silent): 1. Use only the bid number assigned to you for bidding. 2. Full payment by the successful bidder must be made at the end of the auction when a buyer may pay at one time for all items purchased. Payment may be made with cash, check (payable to: Moeller High School), or credit card. 3. Winners must pay for item prior to claim. All auction items must be removed from the premises on the auction evening unless special arrangements are made before leaving for pick-up of large items. Registering for Express Pay alleviates time at check-out. 4. All sales are final and no exchanges or refunds will be honored unless specifically indicated. 5. Dates and times are to be arranged at the mutual convenience of the donor and the buyer and must be used within ONE YEAR from the auction date unless otherwise specified or as agreed by donor. To avoid disappointment please make all vacation reservations well in advance. Sales and entertainment taxes, security, and cleaning deposits, when required by the donor, must be paid directly to the donor and are not included in your bid. 6. Purchasers are asked to respect times stipulated by donors and not request changes. Please contact donors within 30 days of the auction to arrange the date. By his or her purchase, the buyer waives any claims for liability against either Moeller High School or the donor of the property or services, and neither Moeller High School nor the donor is responsible for any personal injuries or damages to property that may result from the utilization of property or services sold. 49
Check In & Check Out Procedures For your convenience we offer TWO ways to process your winning purchases for the evening.: EXPRESS PAY...Quickest Way to Check Out! Tired of waiting in line to check out and pick up your auction items? Now you can beat the line and go straight to item check-out with Express Pay.
Register for EXPRESS PAY when you arrive at the Check-In table by presenting your credit card for swiping and authorization. Your credit card information will be captured and winnings will be processed after we confirm all your auction item purchases. With EXPRESS PAY, your account will be marked “Express Checkout” and at the end of the evening you can by-pass the cashier check-out and simply retrieve your auction items. All final invoices will be emailed to you once we confirm all purchases NO auction item charges will be made to your credit card if you do EXPRESS PAY checkout unless you are the winning bidder. PAYING WITH CASH OR CHECK If you prefer, you may process your auction winnings and purchases with cash or check after the auctions are closed. Simply stop at one of our two check out tables and one of the cashiers will be happy to accept your cash or check and process your purchases for you. Once confirmed, you may retrieve your item (s) from the item pick-up area.
