They receive complimentary NAVC Conference registration and proceedings, and we cover their travel expenses including six nights’ hotel accommodations and six days’ per diem funds. These are just a few of the mind-stretching topics on tap Tuesday, when NAVC debuts its IGNITE! program, a daylong series of TED-like talks* interspersed with hands-on learning in breakout sessions. All list renters are responsible for reviewing and adhering to the NAVC attendee list rental policies and procedures. These policies and procedures can be changed at any time without notice. NAVC shall not be responsible for any expenses incurred by a prospective list renter if its rental request is denied. NAVC YEAR-ROUND PARTNERSHIP LEVELS & RULES POINTS SYSTEM NAVC Partner Points System We’re very excited to officially announce that the NAVC Conference will be moving to an “All Under One Roof” atmosphere effective February 2017 (February 4-8, Exhibits: 5-8)! Our new venue will be the Orange County Convention Center in Orlando, Florida. This move will offer an all-in-one campus setting providing more room, more flexibility and more exciting opportunities to connect and learn in one space. Your input helped us make this decision and we know it will be a seamless transition for our industry partners as well as our conference attendees. With that in mind, we’re launching a new NAVC Partner Points System to objectively prioritize exhibit and event space. Points will be based on exhibit and sponsorship history. Companies that are part of a merger or acquisition can use the exhibit history from either company, whichever is more favorable, but not the combined history of both companies.

The NAVC Partnership Levels are based on year-round sponsorship spends (direct and indirect) related to all NAVC programs including:

• Conference • Institute • Expeditions • VetFolio • Webinars • Publications Direct sponsorships are funds provided by Industry Partners as direct support for specific events or services for attendees. Indirect sponsorships are additional funds for events or services at NAVC programs in which an attendee benefits (eg catering, attendee bags). Advertising and exhibit booth spend are not considered sponsorship items. Industry Partners may also become a partnership level sponsor by providing the corresponding minimum sponsorship amount to reach a desired partnership level or to reach a higher partnership level. IMPORTANT DEADLINES AND POLICIES Reservations: Once your block has been approved, you will receive an email confirmation with booking instructions on how to make reservations and assign names. Deadline to Assign Rooms: Your block must be finalized with individual guest names and details by October 2nd. Effective October 3rd, any rooms that you do not assign will be released. Name changes and/or date modifications will be accepted based on availability through Conference Direct until December 14th. Effective December 15th, you may make changes directly with the hotels based on their availability. CANCELLATIONS (Deadline October 2nd): The last day to cancel rooms without penalty is October 2nd. Effective October 3rd until November 14th, a $30 per room processing fee will apply for each canceled reservation. Effective November 15th the following attrition policy applies. ATTRITION (Applies November 15th): The number of rooms remaining in your requested room block as of November 15, 2014, will be considered your Final Room Block. You agree that for every reserved room in your Final Room Block that is not picked up, your company will pay to NAVC as attrition an amount equal to the total number of rooms within the final room block not picked up, on a night by night basis, multiplied by the applicable per night room rate plus applicable taxes. Final charges will be determined post conference by NAVC and billed accordingly. This amount will be due within 30 days of billing. Deposits: A credit card deposit equal to one night’s room and tax per room is required to make reservations within your room block. This card will not be charged immediately, however, it may be charged one night’s room and tax for EACH reservation as early as December 14th, 2014. We expect Industry Partners to treat each other as collegial professionals with a healthy dose of respect and honesty. We hold ourselves to the same standards and commit to always doing what’s right, taking the high road and focusing on what is best for our mutual customers: Veterinarians, Technicians and Practice Managers. If a situation does arise that conflicts with our Code of Conduct, we ask that a NAVC Staff Member be contacted immediately. The situation will be handled discretely without disrupting the event experience for our attendees. Consequences of not adhering to the Code of Conduct include forfeiting the first right of refusal for the event in question and a deduction of NAVC Partner Points.
