Executive Updates

As the snow starts to fall outside my window here in Queenstown, I’m quickly reminded that we are only two months away from the start our ‘Iris Awards’ print judging and ‘Infocus’ Conference in Rotorua. How did this all come around so quickly? I ask myself in disbelief. It feels like it was within a blink of an eye, but at the same time I know it is the result of many months of work both by the Honours committee and the Board to make these things ‘just happen’. Already the Board are working a year ahead so that the 2015 event is in place and secure even before this years has happened. As a Board we have to be proactive as opposed to reactive in order to ensure that the future of the institute is in line and on time. On another note, it always comes as a surprise and disappointment to me to see members resigning as the call for subs goes out and we are told that we don’t offer enough to justify their membership. As a result, I’m caused to reflect on why I have continued renewing my own membership over the past thirty years, and why I will continue to do so long into the future. For me the answer is simple: I love the family of photography and everything it offers. It has given me many of my best friends, it has introduced me to my heroes and allowed me to learn from them. It has taught me to be humble and proud at the same time. It has taught me to learn from my mistakes and to share that knowledge with my peers. It has taught me that to be actively involved means I get back even more from being a member. Simply paying your subs and calling yourself a member just doesn’t cut it. You need to be actively engaged in order to gain the most out of it. It comes back to that old saying ‘The more you give, the more you receive’. Sadly, in the time between my writing this report and it going to print, we have had news of the passing of John Rykenburg (1928 – 2014) and Rodney Ellmore (1940 – 2014). These two men were both highly valued and long-time members of the NZIPP. Their active involvement in different capacities, over many years, provides a timely reminder of what being a member of the NZIPP is all about. Unfortunately, given the timing of this sad news, we will include their obituaries in the next ProReport. Sincerely,

Commercial Directors Report

My apologies for my absence in ProReport for the last two issues, I have been busy in and on my business and there always seems to be other board work to do. Enough of the excuses. I had a call from Craig Robertson, past-president of the institute. Craig is concerned that with significant increases in Wedding and Portrait members that there’s a perception NZIPP is becoming less relevant to commercial photographers, as there are less and less commercial photographers to share ideas/concerns with at meetings. I think this is fair comment, so I have been asking myself the questions, “what can we do? what would they like? and how do I find out?” I guess my take on this in the past has been that the majority of our commercial membership shoot a mix of commercial, retail (Wedding and Portrait) and that the NZIPP is a good fit (as opposed to the AIPA who are hard out commercial) I do not have the stats to determine if these (resigning) commercial photographers are leaving the NZIPP and joining the AIPA, and if they are of mixed genre or purely commercial. One of the institute’s strengths is support amongst peers and most of us embrace that well, and this I believe gives us an edge as an organization. The adage “ask not what we can do for you but what you can do for us” can be modified to “ask not what we can do for you but what we can do for each other” This is a great “adage” for the NZIPP. Pretty well without exception those that resign do so without first voicing their concerns or reasons, and presumably feel not enough is being provided for them. OK let’s turn it around, why do any of us bother to run a (volunteer) organisation such as ours? The answer to those that contribute is very simple “To Champion, embrace and communicate excellence and professionalism in photography”, (where have you seen that before) or put simply we want to see our industry survive and for those in it to be the best they can, but that’s not achievable unless there is unified spirit of support, one would hope that members pay their annual sub with this in mind rather than wanting the financial outlay to be matched entirely by benefits. Getting back to the question of why are we losing commercial photographers, Craig suggested that we have a meeting to discuss this at conference in Rotorua, a great idea and I will keep you posted on that. Talking of the conference nominations are open for Board positions, if you are interested get in there and get yourself nominated, the correct forms are on our website.

Executive Updates

Being able to present a great consultation with prospective wedding clients will win you more clients and establish a winning relationship with them right from the outset. What a wonderful opportunity at your fingertips, an hour or so with a captive audience to talk about their needs and what you can offer them to fulfil these. Aim to grow the prospects vision of what their photography could be and educate them on the value you as a professional photographer bring. Ignite their senses - let them touch your products, make them a great coffee, wow them with beautiful photography and create a mood with music. Make them feel special. Listen at least as much as you talk, however you still need to drive the consultation and keep it flowing. Be careful about the jargon you may be using (by that I mean the common place photography terms – depth of field, exposure, resolution, prime lenses), never assume everyone is technically savvy, and if they don’t know they may feel confused and not want to ask. Essentially most of the jargon are relating to features, and you just want to sell them on the benefits – that’s what they going to be interested in. Creating trust is paramount, trust is an emotional response that people will establish depending on your body language, eye contact your wording and many other subtleties. It’s so important to be open and honest and try to ensure you have an answer for everything – if it’s early days for your business spend some time trying to think of every question you might get asked and come up with your answer for it so you don’t get caught out. Your samples should honestly depict what you will provide for the couple on their wedding day. Albums that are examples of past client complete weddings are far more fitting than “best of” albums or just showing award prints alone. Down the track when if they become your clients if you have represented your work honestly from the outset, you’ll have happy clients and then the referrals will come flooding in. Then on the flipside of that should you have represented yourself with work that is not typical of your shooting and production style then your success is likely to be short lived. During an initial consult you have your first opportunity to sow the seed that they will probably want to spend more money over and above their core package. Without planting the idea of additional purchasing early on barriers are harder to break down. Careful use of positive terminology makes a big difference, for example “an opportunity to upgrade” is preferable to “you can buy more”. You don’t want to cap your earning potential with the clients, never assume what they will spend. Over the years sometimes it’s been those we’ve least expected with the highest of spends, we’ve seen clients start with a starting tier package and finish spending 4-5 times that figure. Create products they can’t live without, and make sure you tell them about everything you offer – don’t presume they know everything you offer if you haven’t told them – and ideally shown them. Professionalism should always take precedence, and because wedding photography is so personal a little extra friendliness goes a long way to clicking with your prospects and have them secure their booking with you.

Honours Council Report

The countdown is now certainly on for this years annual Epson / Iris Professional Photography Awards. Hopefully entries are now firmly on people’s radar, though it’s not too late if your radar has been on the blink!! This is a celebration of all NZ photography, and not just a NZIPP member event. If you know anyone who is a professional photographer, please encourage their participation. Every year the NZIPP Honours Council try very hard to deliver the best possible award platform. This year is no different, and as always, we have tweaked our processes. Despite how many times we may try and tell people, there will always be some folk who we just can’t seem to reach, and they miss out on crucial information. On behalf of Honours can I please stress that all entrants need to refer to the 2014 Call for Entry document as the definitive guide for a full outline of the entry process, rules and entry criteria. We have made changes for 2014, with the key points summarised on Page Two of the 2014 Call for Entry document. Read it here: http://goo.gl/C75zn8 Crucially this year, our minimum print size has changed, and is now:

26 cm This is the minimum size of the visible print as viewed by the judges effectively the matt window. (There is an exception noted for Polaroid prints). Please note, if your print is to include a border, then your matt window needs to be bigger again, with the visible print no less than 26cm. To allow for matting, you will need a few extra mm’s when anchoring your print, so effectively you will need to print on paper stock no smaller than ~27cm. To be safe, you are best to print on an 8x12” sheet (or A4 if ink jet based media). 8x10” paper is likely to be problematic! I know some people may be resistant to this change. Like most things there always are pro’s and cons. Please be assured that Honours has not made this change lightly. We have had record entries every year for the last three years, subsequently our judging timetable is bursting. We have restrictions on the affordability of hotel hire, and need to balance this with the commitment of so many volunteers. So Honours and the NZIPP Board we have to work smarter. A longer Awards period, or more judging rooms just isn’t an option for us. A key way of getting through the volume of entries without compromising judging quality, is to overcome the necessity for judges to leave their seats for every print. It may only be 30 seconds per print that judges are up & walking, but over three days that adds up hugely. Note, judges can still get up and view prints - we haven’t taken that right away, just the expectation that has crept in that they need to for every print.

Seating judges closer to bigger prints will hopefully avoid late sessions such as that experienced last year (in the wedding category especially). We trust entrants understand the change, and see the benefits this will bring. Matt board size, while not as crucial, has also been adapted to now measure 40x50cm. This is a full conversion to metric, and despite only a slight change to measurements, does provide a crucial level of efficiency in the cutting of master matt sheets. This may have some cost benefit to you when purchasing, as you can now get 4 full award sized boards from one master sheet. One of the biggest mistakes people can make, is to assume the ‘same old’, and just do what they have always done in previous years. It is virtually guaranteed this has the potential for grief. Honours want to be as proactive as we can in preventing issues before they arrive.

NZIPP News WWII War Veterans Project Update What a fantastic job participating members and their assistants have done, and are still doing, on this project. I have only seen a small slice of the results and they are outstanding. You will all be aware of the monumental effort that Anthony McKee has put into making this project a reality and we owe him a huge vote of thanks. Anthony has finished his part in the project and the next phase of project coordination has fallen into my lap. So where are we at? There is still a bit of a mop up going on by various members, but it’s time to start reeling in all those beautiful portraits you have sitting on your hard drives. Our goal is to present the collection to the NZRSA at our awards dinner in August. However, before then we will be presenting every veteran with a presentation print (with a big thanks to our sponsors, Queensberry for the printing, and Seldex for the presentation folders). The presentation print will be accompanied with a personalised letter from NZIPP and on behalf of the photographer wishing them well and advising them of how they can order further copies, should they wish to. As you can imagine this is going to take a fair amount of coordination. We have a plan in place to achieve our goals but need your help in getting there. The following are the 2014 deadlines we must meet to achieve these goals: •

Thursday 3rd July - last day for photographing WWII veterans

Friday 11th July - last day for uploading digital files to your drop box.

Wednesday 23rd July - NZIPP workgroup to coordinate the mail out of presentation prints to all the regional RSA’s

Monday 4th August - presentation of all portraits to the NZRSA, at our awards dinner.

Participating members will have received an email detailing how to submit their files. If you did not receive this information please email web@nzipp. org.nz and we will send it out to you. Auckland/Northland Region Over the last few months we have been looking at ways of strengthening the Auckland region both in terms of meeting attendance and participation, as well as looking at increasing membership across the region. As a region we now have a few new initiatives in place, for example pre meeting dinner and drinks, a small door charge and additional meetings and events over and above our regular monthly meetings. With the extra revenue that this will generate we will be able to look outside our region to bring in guest speakers as well as having presenters from other industries. Not only will this strengthen the Auckland region, it also brings us in line with what other regions are doing. So here are some of the things we have coming up: June - Iris Awards exhibition (Vero Centre, Shortland St Auckland City) June 3 – Festival Tuesday Auckland Festival of Photography walk June 11 – Iris Awards mock judging night July 2 – Chris McLennan + Meet the Neighbours

Waikato/BOP Region Waikato BOP regional meeting was held in Rotorua this month. Our meeting was a kick start for Iris Awards (which is creeping up pretty quick!). It was our pleasure to host Sean Dick from Auckland’s “Evoke studio”. Sean covered everything you need to know about the print process. •

Thanks Sean for your time & expertise, ……… let the Games Begin! We are still making progress with the Anzac / RSA project, with many members visiting rest homes, RSA’s or private homes. We have planned an open day for the 7th June at Bob Tulloch’s Studio – Mt Maunganui & may also set up again in Tauranga RSA. The Touring Exhibition was received well at Tauranga Airport, it will be back down in the BOP at Rotorua Airport for the Build up to Iris / Infocus. Our next meeting will be back in Tauranga – June 10th PechaKucha time again! This is a great way to introduce our members to each other & get over some of those public speaking fears. “Pechakucha” 20 x 20 (20 slides up for 20 seconds each) Which equals a presentation of just over 6 minutes per person. PechaKucha Nights are informal and fun gatherings where creative people get together and share their ideas, works, thoughts and images. PechaKucha presentations are the ones that uncover the unexpected. They tell great stories about a project or a trip. Some are incredibly personal, some are incredibly funny, but all are very different.

Regional Updates Canterbury/Westland Region In the project handbook for the RSA Veterans Portrait Project I recall reading to get the subject of your portrait to look knowingly into the camera. I have normally been able to catch a few images like that, but the majority of the time my subjects have been smiling, laughing, and sometimes been acting just down right cheeky! (I photographed another group of veterans in Christchurch yesterday at the Papanui RSA. It was down the road from my 74 year old Grandmothers house, so I had her meet me there to watch me take some photos and then have lunch. Have you ever seen 90+ year olds flirt with a 74 year old?!? It’s very weird! Anyway ...) These veterans that we are capturing at the moment are a humble lot. Most of the phone calls or emails that I receive about the project are from people requesting that a member of their family be photographed. It’s not very often I hear directly from a veteran. The majority of the veterans that I have photographed for the project have been photographed in their own homes or the home of a fellow veteran. All of them have been very trusting and have welcomed me into their homes without question. Some have been extremely accommodating, feeding me tea and chocolate biscuits too! While capturing their Veteran Portrait, I have taken the opportunity to photograph any veterans with their partners or any other family members as well, if they are about. For the huge sacrifice that these men and women made in order for us to enjoy the freedoms that we do today, taking part in this project and giving something back is the least that I can do. I have found this project to be really enjoyable. It has also forced a bit of perspective on me. ANZAC day has always meant a lot to me, however it will now always mean a lot more. I have learnt so much from these veterans. Listening to their stories of the war has helped me to understand a lot, including my grandfather who I never had the chance to meet. I listened to them tell me stories about the war, about returning home, but by far most of the stories have been of life since then. Tales of more public service outside of the armed services, raising a family, getting back into work after returning from the war, remembrance tree planting ceremonies, school committees, community fundraising, attending years of dawn services, having grandchildren, retiring, learning how to use a computer, growing an amazing vegetable garden, and in general absolutely living each day to its fullest and relishing everything that they fought for. By photographing these veterans we are showing them that we know how important they are and that we don’t ever want to forget them. Meanwhile in Christchurch on the 17th of May, Richard Linton opened his studio for veterans to drop in and get their portrait taken. The team managed to power through 72 veterans in three hours, which is saying something considering that the average age on the day was 96 years old!

Many thanks to Richard Linton for the use of his studio, Janine Ross-Johnston and Paul Willyams for stepping up and helping out, Kate Christie for some awesome organising, Maria Buhrkuhl who was chief crowd controller and Heather Richardson who was in charge of sweet talking and cheek kissing which got the veterans eyes sparkling. A big thank you needs to go out to all of the Christchurch members who have taken part in capturing these portraits. With such a huge geographic area to cover there has been a fair bit of tiki-touring around the countryside going on. With emails and phones calls still trickling in I am sure that there are still a few kilometres to cover yet. Keep up the good work people! May’s Canterbury Westland meeting was a priceless meeting for anyone who wants to call themselves a professional photographer. We were very lucky to have with us guest speaker Belinda Canton to discuss and demystify the scary world of, (cue Jaws theme music) ACCOUNTING! Belinda is an accountant at Moore Stephens Markhams who are the NZIPP national accountants. Belinda discussed with us what makes us professionals, the skills and standards that that implies we have. What is expected of you by your accountant and what you should expect from your own. The harsh realities that come with running a business and the importance of using an accountant and utilising their skills. This meeting was again well attended, including quite a few students from both the Christchurch and the Aoraki polytechnic. Next months meeting is our regional print judging event in perpetration for the Iris awards. This year is moving very fast, so hold on everyone and enjoy the ride.

Otago/Southland Region Those in Otago Southland who attended the Southland Catlins trip away are still buzzing after having a very inspiring, positive trip. Thanks to Rochelle Dillon for putting it all together, and all those who gave their time and shared their expertise. Rochelle gave this report of the trip: “The Southern Sub Branch overnighter to the River Ridge Retreat in the Catlins was a great success. We had 12 photographers attend and from the moment we arrived the place was alive with discussions of all things photography. We talked about pricing and products before heading off to the beach to photograph a bride and groom. It was freezing but our models were amazing. As the sun was setting we packed up and headed to another spot where the focus was on off camera lighting. After dinner we had a play with some fireworks and sparklers before more wine and chatter into the early hours. The openness and sharing from all those who came was amazing. I think we all left refreshed after a long summer of hard work and this is definitely something we will look to do again.” Some pics attached from Rochelle Dillon, Jackie Gay and Rachael Kelly and Shelley Povey. Our May meeting was a small gathering held in Queenstown and was an image critique night, where members shared images and lots of laughs. Mike Langford gave a report on the good media coverage that the Veterans Portrait Project received and once again gave thanks to all those who have been involved. Members are continuing to volunteer and we are working on a plan to complete the portraits, including sending out another press release to let Veterans and their families know the end date of the project, so that if they are not active members of an RSA they may still hear about it and make contact. Jackie Gay had some colourful stories from her Anzac day Portrait shoot as well as sharing a problem with Veterans who wore glasses. Coming up in June We are holding our AGM on the 3rd in Queenstown, where we are looking for nominations to fill a number of rolls in the region. The AGM will be followed by much anticipated guest speaker Tony Stewart www.photoshots. co.nz giving his presentation “Copyright and Those Funny Forms - I’m More Than Just A Bit Confused!” Where: The Front Room, Fluid Design. 10 Memorial Street Queenstown. Industry News Loyalty Schemes - Unitended GST Consequences Over the past few years there has been a rapid increase in voucher/gift card schemes based on “reward points” or similar. Unfortunately all too often such schemes are not properly thought through prior to their implementation. The GST rules regarding vouchers are not perfect – in fact the term voucher is not even defined. This leads to questions as to whether discount coupons or even “loyalty points” are within the scope of the voucher rules in place. With such uncertainty regarding these rules coupled with little to no case law in New Zealand it is best advised to proceed with caution when considering implementing such a scheme. At the heart of the problem is the fact that vouchers usually involve two supplies; one on issue and another on redemption. The existing rules are designed to eliminate one of these two supplies. This also means that if you don’t fit into the existing rules there is plenty of room for double taxation to occur. Let’s look at a simple example – a business gives away a “voucher” which entitles the bearer to a discount off the price of goods. Because it was issued for “no consideration” the current rules do not apply. So the question arises – does the retailer have to account for GST on the “net of discount” cash received after the voucher is redeemed or is the voucher itself non-monetary consideration meaning that GST must be accounted for on the full “prediscount” price of the goods purchased? This is the type of scenario where an unintended adverse GST outcome could arise. Loyalty schemes are generally the accumulation of “points” where once a stipulated number have accrued the customer becomes entitled to goods or services of a defined value. At the time the points are redeemed, the question arises whether those points are deemed “consideration” for the goods and services purchased. If this is the case, there will be a GST liability but no cash received to fund the liability. The Inland Revenue has taken a view that “loyalty points” in certain cases can be “vouchers” under the voucher rules. There are a number of issues to consider when looking at implementing any form of loyalty scheme – the message to remember is to think carefully before adopting any such scheme to ensure that the GST impacts are properly considered when assessing the cost of such a scheme to the business.
