It is hard to believe we are already in a new year. I feel like I just joined the Board of Directors yesterday, when in fact it has been nearly a decade. Becoming active in the Greater Nashville Apartment Association has been one of the most rewarding parts of my career. The camaraderie, talent, and passion for our industry are evident within this great organization. We are fortunate to be a part of the premiere Apartment Association in the Southeast. I might be a little biased, but I am confident that if you speak with people who are members of other associations, they will tell you we are the best of the best!

Want to Close More Sales? Follow Up! By Dwayne Rawls, Wheeler, Inc.
Want to close more sales this year? Work to improve your follow-up process. Experience is the best teacher. Use your experience to identify what works for you as you turn leads into customers. The sales process includes generating leads, qualifying leads, making a presentation, following up and closing the sale. Let’s drill down into the process and look at follow-up. Twenty-seven years of experience in direct sales to multifamily communities has taught me the value of follow-up in the sales process. Successful follow-up requires a plan.
Elements of a Follow-up Plan Who? The decision-maker
What? As you follow up, ask if they have made a decision. Gather more information about their procedures to purchase products/services. Also, be prepared to offer something new. Update the quote if it has expired. Offer to write a scope of work to help them compare “apples to apples” for the final bid. Ask if their owner or up-line needs more information on the product or service. When? Build in your first structured follow-up at the initial presentation by asking the customer when you can follow up. Schedule a follow-up to maintain contact with

the customer through the buying process. Be careful not to “bother” your customer with frivolous follow-up. Have a purpose for every contact. Where? Ask your customers how they wish to be contacted. E-mail or phone calls, texts or snail-mail even! Adapt yourself to their preferred method of communication. Why? To stay involved with the customer through the buying process. Be there to answer questions, provide information, overcome objections, and close the sale. How? Develop and implement your follow-up plan. Be persistent. Call back. Text. E-mail. Snail mail. Network at trade events. Keep following up! Using your experience to identify things that make you more effective and more efficient is a great place to start. Analyze your successful follow-ups that led to a closed sale. What did you do correctly? Look for small details that worked. Small changes added together can have a great impact. Repeat those behaviors until they become part of your normal process (a habit). You will close more sales this year by improving your professional habits. Want to close more sales? Follow up!

King’s Daughter is a non-profit that provides care and educational programs for children from financially challenged families. Navigating Mental Illness in the Multifamily Industry By Jennifer McCoy, Esq. According to the National Alliance on Mental Illness (NAMI), approximately 43.8 million Americans suffer from some type of mental illness. With that in mind, we can safely say the likelihood of landlords coming faceto-face with a mentally ill individual in search of housing is relatively high. How do you, the landlord, handle such individuals when they come through the door? Following are a few simple guidelines designed to help navigate these types of situations, if and when they arise.
The Screening Process
Keep this in mind when screening potential new residents: “All men are created equal” in the eyes of the law. This means that individuals cannot be precluded from the screening process based solely on their mental condition. Doing so can be construed as discrimination and can lead to legal issues, since these individuals are protected under the Fair Housing Act. Likewise, if at any time prior to or during the screening process you become aware of a person’s mental illness, you must refrain from asking questions pertaining to his or her condition, as this too can be misinterpreted as discrimination. To avoid issues, limit the conversation to lease term compliance and any specific accommodations they may have. This will severely stunt your chances of stepping into lawsuit territory.
The Mentally Ill Resident
Once your new resident has moved in, it is imperative to remember that they are just like any other resident

and should be treated as such. All tenants, including individuals suffering from a mental illness, need to adhere to the terms of their lease. In other words, regardless of mental state, if a resident violates the lease (i.e. nonpayment of rent, property damage, unauthorized occupants, etc.), they should be subjected to the same consequences, up to and including eviction. Conversely, a resident suffering from a mental illness cannot be accused of a lease violation simply because of their disability, unless it directly threatens the health, safety, or property of other residents or staff. Attempting to evict someone because of a disability is a violation of the Fair Housing Act and could be grounds for litigation.
Reasonable Accommodations
Reasonable accommodations can be requested by any resident living at your property, regardless of mental history, as long as they do not impose any undue hardships to the property or the landlord. Be aware, if asked for an accommodation based on a disability, you have the right to request any necessary documentation that proves relevance between the disability and the requested accommodation (this is not a violation of the Fair Housing Act). For example, if your property does not allow pets and a request has been submitted to allow a service animal, it is within your right as a landlord to verify the link between the individual’s disability and the need for such an animal to be allowed on your property.
Fostering Relationships
The most important step you can take as a landlord dealing with a mentally ill resident is to foster a friendly relationship based on honesty and open communication. Calling or visiting regularly, keeping up-to-date emergency contacts and medical providers, and just being present, can go a long way in building trust and reducing potential problems or dangers you could face when dealing with a mentally disabled individual. If all else fails and you are still in doubt…contact your attorney!

Be in the know on how Directory goes! By GNAA Directory Committee
If you are looking to join a committee that shows how producing a major publication for GNAA works, then the Directory Committee is for you! This group packs a lot of work into the first couple of months of the year and then gets to see the fruits of their labor benefit the entire membership – all year long. The GNAA Membership Directory is what most members refer to as the “GNAA bible.” Available in print and digital versions, this publication lists every GNAA member. Members can also place additional advertisements showcasing their services. The Directory includes a handy Buyer’s Guide at the back of the book that makes it easy for our members to find suppliers to help when a situation arises on-site. The Directory Committee meets for the first three or four months of each year and is focused on the production of the final Directory. Early discussions focus on the process of collecting information from every GNAA member and what the booklet will look like. Ideas for the cover are discussed and decided upon. Any material changes in content are also discussed. Once the GNAA staff starts collecting data from members and sales for ad space are moving along, the committee becomes active in assisting with

proofreading and, if needed, selling ad space to members to help the publication meet the budget. After several rounds of revisions to ensure the information is correct, the Directory Committee schedules one last “proofing party” to finalize the publication for print. At this event, the group shares sections of the book for review and provides final approval. There may even be some pizza involved at this point. Three months of work are complete and the committee then sends the final book to production early in the second quarter! It takes a couple of weeks for the printing and binding process to be finished. Usually, by May 1st the books have been mailed, one to each GNAA member. If a member needs more than one directory, extras are available for the low price of $25 each. As you can see, a lot of effort is packed into a short amount of the year for this committee, but I think we can all agree that the impact this group has on all GNAA members is priceless! Winter Safety By Malcolm Eller, CAM® Community Manager, The Retreat at Arden Village It’s that time of year again when Old Man Winter starts to rear his head, bringing in snow and freezing conditions. I myself love winter; it can be so much fun. Do you want to build a snowman? I mean, who doesn’t want to build a snowman, am I right? And most of us love winter activities like sledding, snowball fights, ice skating, skiing, sitting by the fireplace or whatever may be your favorite activity. But as always, with winter there are the hazards that come along with it. So be prepared before Old Man Winter arrives at your community. Here are a few helpful hints to keep in mind when preparing for the winter months.
• Make sure all sprinkler and riser rooms are properly heated. • Have all outdoor facilities winterized (fountains, faucets, etc.). • Have a car charger on hand or a portable power bank for charging cell phones. • Have a fire watch detail planned out and ready to implement.
• Have a water cut-off map ready and available.
Always take into consideration the conditions of the roads and plan to give yourself enough time to get where you are going. During snow and freezing conditions, it is more important to get there safely than to rush and have an accident.
• Prepare an emergency contact list for the office to include all vendors that could be needed if the need does arise (wet vacs, plumbers, etc.).
Make sure you are dressed for the conditions: Have the proper shoes (water resistant if possible), jackets, gloves, and headgear to keep you warm and safe.
Plan Ahead
• Have enough ice melt on hand – it can be very hard to come by once the storms have hit.
• Double-check all vacant units to make sure the temperature is set at 68 degrees and all cabinet doors are open. • Have freeze warning signs placed throughout the community.
Try to remove snow as quickly as possible from all common areas, entrances, stairs, parking areas, etc. Once it is packed down from traffic and freezes, it is a much bigger hazard, not to mention much harder to remove.
• Have someone prepared to stay on-site overnight, if needed.
Try to always make sure to have caution signs/cones where hazards are that you can’t immediately remove.
• Have food and bottled water on hand for any staff that will be staying overnight. • Have a copy of the rent roll and key inventory list in case of a power outage. • Try to have blankets and flashlights in the office with extra batteries available. News & Events
These are just a few things to keep in mind this winter season to keep everyone as safe as possible. Now get out there and enjoy that cup of hot cocoa (extra marshmallows, please), but be prepared so your community can SKATE through this winter with ease.
