10 Things I Learned About Leadership from My Mentor For almost 13 years I was fortunate enough to work for someone who has been more to me than just a boss, but a mentor as well. Sadly, we don’t work together anymore, but as I have reflected on our time together, I’ve thought about all the amazing lessons I learned from her both personally and professionally. I thought I would share with you some of my favorites: 1. Always be inquisitive and never take anything on face value. Sometimes people will take your questions as cynicism – but it couldn’t be farther from the truth. Asking questions and digging deeper into issues empowers you with knowledge so you will have a valid opinion and make an informed decision. 2. Never manage your budget expenditures based on how it will affect your personal bonus potential. As a manager you should always think of yourself as an extension of the owner you represent. Therefore, the owner’s interest should always be paramount to your personal interests. Before you make any decisions, ask yourself, “What would I do if I owned this property and this was my investment?” As long as you have done everything in your power to maximize income and keep your operating expenses to a minimum, you will know you have done your job – even if you haven’t reached your personal financial or performance goals. 3. Get all sides of the story before you take action. Anytime an employee comes to you with a problem they are having with someone else, it can be easy to rush to
judgment and react to the situation immediately. However, it is imperative to always keep an open mind and take the time to personally talk to each person involved. Once you have a clear understanding of what occurred, you will be able to react accordingly and develop the appropriate strategy to resolve the issue. 4. Give your employees room to fail and don’t punish them when they do. Being a good manager is somewhere in between controlling what people do and showing constraint – a difficult thing to balance at times. When you see an employee doing something incorrectly, the most natural reaction is to intervene and fix it. But first, stop and ask yourself, “If I intervene, will it hurt or benefit them?” Sometimes by allowing your employee to fall on their face, it enables them to learn something they would have not discovered otherwise. Of course, you will also need to assess the risk and consequences of failure. So if they are about to violate a Fair Housing law for example, by all means intervene! 5. It’s lonely at the top. One of the hardest things about being a manager is the boundaries you have to set with your employees. Although it is easier to treat your employees like friends, doing so can put yourself in a bad situation. Blurring the line between friend and boss will make it a challenge to be objective in giving performance reviews and making tough decisions about their employment. You need to find the right balance of being friendly and likable while earning your team’s respect. The best way to go about this is to take a step back from your personal wants and needs and look at what’s best for your company and your team. Because at the end of the day, your team doesn’t need a friend – they need a leader. 6. Successful property managers fully understand their financials as well as how their actions can positively or negatively impact the bottom line. A crucial aspect of a property manager’s job is to interpret and utilize financial

These reports serve as a reminder of how simple everyday decisions, from the hiring and firing of employees to buying appliance parts, can impact your NOI. Even understanding how your response time in making decisions can be the difference between making money and losing money. For example, a property manager who waits too long to increase market rents during a busy leasing season has missed an opportunity for large revenue growth. 7. The “Snow Globe Effect.” As a leader, it is important to understand that you create an emotional climate within your team by the way you present yourself in your attitudes and behaviors. Even though at times you might be mad, scared or agitated, you should never convey this to your team or express it in your body language. For example, if there is a new company policy you disagree with and are upset about it, you must force yourself to stay calm with a positive outlook and not let anyone on your team know something is wrong. Otherwise you may unknowingly create a sense of anxiety or panic, which will in turn affect your team’s job performance. The best analogy is to imagine yourself as a snow globe. If you are shaken up, everyone will see how crazy you are with the snow and glitter moving in every direction. But if you choose to cover yourself up with a towel, no one will see anything but the towel. The craziness of the snow and glitter in your world will remain hidden, helping to maintain a sense of business as usual with your employees. 8. Get out from behind your desk. It is so easy to get overwhelmed with emails, paperwork and other daily responsibilities that getting out of the office and walking the property becomes a low priority. However, it is important to either give yourself reminders or schedule certain times to do property inspections on a regular basis. These walks are essential because it helps to have another set of eyes looking at your property, as details can and will be missed by others. It also allows you to keep your staff accountable as they may not be working up to their full potential or training. 9. Surround yourself with good people. To be successful you need to recognize that by having good people on your team will only magnify your abilities. It is also important that you realize your own limitations and know that you can’t do everything by yourself because you don’t have all the answers or the expertise. That is why you should hire people who have knowledge or talent in areas you don’t

fully understand or need help with. It is also crucial to learn from the pros by observing them and seeking them out as mentors. If your focus is always on being the best, then you will have the best team and offer the best services to your residents, ultimately making your property a success. 10. Dress for the position you want, not the one you have. You have an image, whether you design it consciously or not. When you think about how you present yourself, do you think it is a true reflection of you at your best? Consider someone in your life who is successful. When you think about their appearance, they probably look like a successful person because they are polished, well-dressed and exude confidence. By making the effort to dress for success, it will allow you to convey a positive and compelling message to others that you are to be taken seriously. It may also help you to gain a competitive advantage by setting you up to get a raise or a promotion within your company.

Email Security Tips Every Professional Should Know by Jo Pulcini, Data One International
An employee’s email is front door to a company’s entire infrastructure. Every year there are over a million sophisticated attempts to penetrate commercial servers and interests. Your work email is a much larger target than your personal one. Why? Because the chance for commercial exploitation is much higher with a company than that of an individual. Here are five tips for how you can protect your company and yourself from these persistent intrusions.
1. Password Diversity
We hear it all the time, “remember to change your passwords frequently.” However, it is just as important to have a separate password for your personal accounts. If your personal account gets hacked, then the hackers have a vested interest to learn more about you and they will try your personal password on your work password and vice versa. In real world terms, you wouldn’t want your house key to be the same as car keys, would you? A password manager such as Last Pass or Dashlane can be a great help. Password managers are something every organization should consider as they are extremely cost effective. In the absence of those programs, try rotating through passwords in your head based on familiarity of the contents. For example, rotating through the names of the actors of your favorite TV show for the “word” portion of your passwords.
2. Separate Accounts
Something we see a lot in the multifamily industry is shared inboxes tied to an individual property. The professional consensus is that shared inboxes are powerful tools, but every management level employee should also have an individual account as well. Also, every company needs to

have strict guidelines for offboarding an employee on the day they leave the organization and an audit trail process in case something goes awry.
3. Spearphishing
This is the term for when you get those weird emails that encourage you to click on them to investigate. While declining over the last few years, there are still a million spearphishing campaigns every year. Common tricks you will see are the following: a. An email with the reply “re” already in the title b. An email from UPS, Fedex or USPS referring to a package c. An invoice you don’t recognize with an attachment Remember to ignore these and never click on an unfamiliar link or attachment.
4. Social Engineering
These are scary. You will get an email, often looking like it’s from your own inbox, that is trying to get you to send money to a certain link. Often these emails will accuse you of vague illicit activities and try to convince you that they have incriminating evidence. Key phrases to look out for are the following: a. “I have full access to all your accounts.” b. “I see what you have been doing on the camera.” c. “I will email your entire history to all your contacts if you don’t send money…” The best thing to do with these is to report them to your IT manager and simply ignore them. Remember, we are all more boring than we like to admit. These emails are almost always a bluff.

One of the biggest security threats is the exchange of passwords or login information to other programs via email. Email accounts are a pain if they get intruded on, but if the credentials for your property management system have been exchanged via email, then the situation just escalated significantly. This is sort of like cleaning up a gasoline spill while smoking a cigarette. What’s the best way to give credentials to someone who is not in the same office? Give that person a call. Have them type it directly into the system they are trying to get in. Also, those professional password management programs mentioned earlier also have a secure method of sharing credentials between users built into them as well. At the end of the day, the best defense against email hackers is the collaborative responsibility of managers and IT professionals to educate and enforce best practices. Studies show that even the occasional “security tips” message from the IT department can drastically reduce the risk of employees falling risk to a data breach.

2019 Trade Show The 2019 GNAA Trade Show – “WHERE THE MAGIC HAPPENS” – is right around the corner! Mark your calendars for August 15 and plan on spending an evening networking and building relationships with suppliers, learning about new products and having an opportunity to catch up with old friends. This year’s exciting Trade Show will be at The Gaylord Opryland Events Center (same location as last year). Doors will open at 5:00 p.m. Plan ahead. If there are specific suppliers you want to visit, make a list and try to visit with them first. This is an opportunity to visit with and meet suppliers you have not had a chance to meet before. Don’t feel bad if you don’t get to meet with everyone. The suppliers are participating in the show to generate new business. It’s OK to pass by a booth that is not beneficial to you and your community. Make sure your badge is in plain sight while browsing the trade show booths, and bring plenty of business cards. (Children are not permitted to attend the show.) Suppliers, this is your opportunity to meet with past, current and new clients. Where else will you get to be under one roof with this many customers? Market your company’s products and services before the show so attendees can see the value in visiting your exhibit. You have a booth, you have a space, but you are the one who will make it come alive. Don’t just stand in your booth like a statue. Smile and grab people as they walk by. Bring them into your space. Get them interested in your product. Ask questions and stand out above the crowd. Keep in mind that people are visiting as many booths as time allows, not just yours. What you say to people needs to have a purpose. Be excited, and remember, they may have just left your competitor’s booth. Develop an opening question that makes you stand out, and be sure to have your booth manned at all times. Your work is not done when the show is over. Now you get a chance to follow up. All those business cards in that fish bowl are hot leads. Don’t let the excitement of the trade show go cold. Follow-up is so important.
