The News & Events Committee has been hard at work this year. We have been analyzing feedback from our GNAA members and discussing possible changes to our monthly publication. After much consideration, we are excited to share our vision for 2020 with you.

Walk a Mile in My Shoes
Team Building Strategy for Leasing & Maintenance We have all heard the quote, “Before you judge a person, walk a mile in their shoes.” This saying acts as a reminder to practice empathy. But what is at the core of empathy, and why is it so crucial to the workplace? Empathy is “the ability to understand and share the feelings of another.” Research has shown over and over again that empathy is a critical element for team members to tap into in order to exhibit emotional intelligence, design thinking, high performance, effective teamwork, healthy relationships, and clear communication. It should come as no surprise that empathy is the cornerstone of a team’s effectiveness in keeping stakeholders confident, employees engaged, and customers loyal. For those of us who work onsite, the most common challenges we face as a team are the misunderstandings or judgments that can occur between leasing and maintenance. The solution I have found to this frustration is a proper Cross-Training event, whereby a member of maintenance can be in a leasing role for a day, and vice versa. I think one of the multifamily companies that executes this best is Matrix Residential. Every March they invite their team members across the country to participate in #MarchAMatrixMile and ask apartment communities to share on social media photos of their
team members switching places for the day. It’s quite inspirational to see all their fun photos! It is important to note, however, that if cross-training is not performed properly, the results can be disastrous. The best explanation on how to do Cross-Training has been written by Paul Rhodes, National Maintenance and Safety Instructor for the National Apartment Education Institute. Below is an excerpt from an article that he wrote on the subject and how to properly execute it: In this discussion we are going to refer to the “Host” as the staff member who works in that department and the “Team Member” as the one who is crossing responsibilities. Before we discuss the structure, let’s look at what crosstraining is and what it is not:
Cross-Training IS:
• An opportunity for the host to allow the team member to “walk a mile in someone else’s shoes,” and not an opportunity for the host to stomp the team member’s toes until the shoes fit. • An opening for the host to show how a typical process is being accomplished, not the time to show the most ridiculous example of a rare and unpleasant task that happens occasionally. continued on p. 10

Starting in January, News & Events will be going to a twelve-month digital and six-month print cycle. This means that every month we will feature a News & Events publication on our new and improved website, GNAA.org, and every other month we will also produce a printed magazine. The odd months of the year (the first month – January, the third month – March, etc.) the magazine will only be available online, through the website. To improve the online experience, we will include actual pages that contain click and read feature articles. The flipbook will also include additional content, such as live links to related articles and news. Finally, we will have a more robust online archive of past issues. The even months of the year will include a digital version plus bigger and better printed issues. For example, in 2019 our average printed issue was 24 pages, but in 2020 we will begin planning for 36-page issues. This means more content that is relevant to you, our GNAA members! We are also lining up some exciting new writers, new informational departments, and will bring back a few great ideas from years past with an updated look. This new print schedule will allow our publication to continue to highlight and showcase GNAA’s major events, like the Education Conference, Maintenance Mania, Trade Show, and Gala. To ensure access to the latest News & Events and to receive notifications when posted, please register on the GNAA site. You can choose to register with your work or personal email address. If you are currently receiving e-blasts from us, you are already registered and do not need to do anything else. Thank you all for the feedback you provided in 2019. GNAA Education Scholarships As our members work to complete 2020 budgets, we thought it would be good to review a GNAA program that has can lead to potential savings in the education portion of your yearly spend. Learn more about the GNAA Education Scholarship program right here! Every year GNAA holds a silent auction at the golf scramble. The proceeds from the auction help fund the Education Committee’s Scholarship Program. That is why we put so much into our golf event – it helps offset the costs of sending one of our members to a credential class that they otherwise may not have been able to attend. It helps a member take their career to the next level and that is very important to our association. It’s the Law
Is the Resident’s Accommodation Paperwork Reliable? On September 23, 2019, the Tennessee Human Rights Commission published its FY 2018-2019 annual report. It was no surprise that disability discrimination claims dominated the number of fair housing complaints. Landlords get accused of failing to accommodate a resident’s disability more than any other complaint. Why? Maybe because landlords struggle with deciding if the paperwork presented by the resident is reliable. Landlords are entitled to reliable documentation stating that a resident is disabled and needs a specific accommodation because of a disability unless a resident’s disability and need are obvious. However, neither the Tennessee Human Rights Commission nor the U.S. Department of Housing and Urban Development have given landlords a roadmap on making a determination on what documentation is considered reliable. The result is that landlords are often confused as to whether documentation presented by the resident is reliable. For example, is a therapist’s letter which was purchased online reliable documentation? How do you know the letter was purchased online? Letters purchased online are usually longer than letters from a personal healthcare professional. They use legal language such as: Section 504 of the Rehabilitation Act; the Americans with Disabilities Act; and the Fair Housing Act, as Amended. They often expire in one year. Landlords may search the internet for the contact information of the person writing the letter. That person may be associated with a website such as certapet.com.
When in doubt about the legitimacy or source of the letter, a landlord may authenticate the letter. Call the person writing the letter and ask: “Did you write this letter?” “Did this letter come from your office?” Be careful. Never ask for additional information on the disability. Landlords are not entitled to a diagnosis or the severity of a disability. In making a decision whether documentation is reliable, landlords may consider: • The nature of the relationship between the individual resident and the medical provider; • The type of interaction the individual resident had with their medical provider; and • The number of interactions the individual resident had with the medical provider. When analyzing a letter that looks suspicious, don’t be afraid to ask the resident, “Did you purchase this letter online?” If so, go online and look at the website. Does it advertise that the process takes only a few steps or a few minutes? Does it state that you will talk to a therapist or just answer questions? Be sure you engage in an interactive process. If you consider the letter or documentation to be unreliable, talk to the resident. Allow them additional time to provide a letter from a reliable source. Make decisions on a case-bycase basis. Do not deny the accommodation unless you find out the documentation was fraudulent. Even then, speak to your attorney before making a decision. Denying an accommodation may result in a fair housing complaint or lawsuit. Either way, it can be expensive.

What is a GNAA Diamond Award? As we gear up for the 2019 Greater Nashville Apartment Association Awards Gala, it’s a good time to review some of the awards we distribute on this fun-filled night. Nashville’s tremendous growth has brought an influx of new people to our community, and our industry, so let’s share with them the honor of receiving a Diamond Award.

Every year the GNAA Awards Committee reaches out to the membership for nominations for the Diamond Awards. Diamond Awards recognize the efforts of our members, and the unique contributions they make to the multifamily housing industry in Nashville. It recognizes their contributions through their professional work and volunteerism to the Greater Nashville Apartment Association.
Below are the categories in which GNAA members can be nominated for a Diamond Award: • Multifamily Executive of the Year (This is awarded to an individual on the Management side who is employed at Regional level or above.) • Management Professional of the Year • Management Company of the Year • Assistant Manager of the Year • Leasing Professional of the Year • Supplier Professional of the Year • Maintenance Professional of the Year • Service Technician of the Year
Nominations are accepted any time up until the middle of July. The award is based on member activity from July 1 of the previous year until June 30 of the present year. For example, nominees for awards at this year’s Gala are being judged for activity from July 1, 2018, to June 30, 2019. Nominations were due by July 19, 2019, to allow time for recognition at the Diamond Awards luncheon and to give the nominees time to fill out the information packet for judging consideration.
The Diamond Awards also recognize the volunteer efforts of our members with special awards to each of the GNAA member categories. These awards are given to GNAA members who are active with our Community Service Committee, community service events, and other special events. • Management Volunteer of the Year • Supplier Volunteer of the Year • Maintenance Volunteer of the Year
