3. Cleaning

5 Venue Security

1. Installation of Booth Structures
▶ Construction of Space-Only Stand Booth is only possible through official contractors designated by COEX . Additionally, all exhibition materials and booth structures must comply with the fire regulations, building safety standards, and COEX exhibition regulations
2. Booth Structure Height Limitation
▶ The height limitation varies based on the booth location, set at 4m, 4.5m, or 5m.
▶ Please refer to the floor plan to confirm the maximum height based on the booth location
3. Closed-Type Booth Construction Not Allowed
▶ Space-only stand with 6 booths or more cannot be constructed in a closed-type configuration where more than 2/3 of the horizontal wall (B) is obstructed. It is recommended to construct at least 1/3 of the wall (device) in an open configuration, promoting a safe and open flow to encourage the i nflux of visitors.

▶ If it is absolutely necessary to construct a closed -type configuration for the horizontal wall (B), the wall height (H) should be lowered to no more than half of the maximum permissible height for booth structures.

Q. I need an electricity. What is kw?
▶ Applied KW of electricity refers to the 'consumption' (at the moment of operation) of the machine operation, not the total. Please apply after adding up the power of the equipment you will be using.
Q. How much kw of electricity should I apply for?
▶ First, you need to make a plan on how you will operate the booth for 4 days. Please check the type and quantity of the electronic device to be used first and inquire about the required power consumption from the manufacturer/rental company of the device. Additionally, please consult with your booth contractor.
Q. What is the difference between single-phase and three-phase?
▶ The electricity used in general homes is single-phase (220V), and in factories, industrial sites, or places that require a lot of power, three-phase electricity is used. When using machines/electronic products, single -phase electricity is usually used unless there is a special me ntion of three-phase electricity. Please check with the manufacturer/rental company of the machine.
Q. From when will the electricity be supplied?
▶ It is estimated that electricity will be supplied after 5pm on the second day of booth setup. Due to safety issues, electricity cannot be supplied even if one exhibitor does not complete the installation. Therefore, exhibitors with space-only booths are requested to cooperate with the booth builder to make sure all the electricity installation is done in time.
Q. Is there any electricity provided as complimentary for the Space-Only/Shell Stand booth?
▶ Exhibitors with space-only booths are required to apply for electricity separately. Shell stand exhibitors are provided with 1kW of basic electricity per booth.
Q. How can I apply for the wireless internet?
▶ The internet service we provide upon application is a LAN cable. Wi-Fi routers/hubs are not available. If you need wireless Internet service, please apply directly through an external company (SK Broadband +82 26000-1588)
Q. Is it impossible to use the water supply and drainage in Coffee Alley?
▶ Water supply & drainage and compressed air installation is not possible in the Hall E (Coffee Alley) due to the structural limitations of the space Please use water container/bottle for water usage.
Q. Is the installation of the water supply and drainage at the lobby booth impossible? (L100, L300, E000)
▶ Water supply & drainage and compressed air installation is not possible in the Lobby area due to the structural limitations of the space. Please use water container/bottle for water usage.
Q. When is the due date of the additional utilities application?
▶ The general application period for additional facilities is by September 30th. Only exhibitors that submit the application form and settle the payment for applied additional utilities will be accepted. It is expected that high amount of electricity and water supply will be requested . As available facilities in the exhibition hall are limited, applications will be filled on a first-come, first-served basis Please make sure you submit the application with necessary amount of utilities within the deadline.
Q. Is it possible to apply for the additional utilities after the deadline?
▶ Applications might be accepted with additional cost(*1.5) during the special application period. The special application period will be temporarily open on-site from November 4th~5th. Please visit the organizer ’ s office to check availability and submit the application. Payment will be available by credit card. 1. Venue Guide
Venue Overview
Location: Coex Exhibition Center, 513, Yeongdong-daero, Gangnam-gu, Seoul 06164, Republic of Korea
• Floor Proof Load: 1.5 Ton/sqm
• Cargo Entrance: 6M × 5M(Height). Cargo vehicles over 2.5 tons are prohibited from entering
• Booth Height Limit: 4m ~ 5m (Depending on each exhibitor’s location. Marked on the floor plan)
• Electric supply at the exhibition hall is more than single phase of 220V, so the exhibitor must independently prepare an AVR or a transformer when 110V is needed.
• Place to be Installed
- Shell Stand: Main electric line, lighting, switch and electric socket will be installed inside the booth.
- Space-only: Main electric line will be installed for exhibitors and the internal wiring shall be installed by the exhibitor. During the booth construction period, all electric facilities will be installed by COEX approved service provider Exhibitors must apply for the amount of required electricity to the organizer during the utilities application period.
• Especially, safety device must be installed when displaying a sensitive apparatus.
• Over-connecting a MULTI-PLUG on to the electric socket may cause fire. Any sort of electric work must be conduct by official appointed service company of COEX.
• Electric supply will be shut down 30 minutes after the show closes every day. Exhibitor s who need 24-hour electricity, are required to apply for necessary electricity to the organizer.
• We suggest exhibitors to apply for appropriate amount of electricity for lighting and power. When it is apparent that the electricity registered by an exhibitor seems to fall short (during the set-up and show period), the referred exhibitor must apply for additional electricity due to safety reasons. This is to prevent any possible danger or accidents, and cost will be charged in case of causing fire or any damage on other exhibitors due to overloaded power
4. Telephone Installation
◼ A telephone with an individual direct number will be provided to exhibitors that register for telephones.

5. Internet (LAN) Installation
◼ T1-level Internet cable is provided upon application.
◼ Independent IP will be provided for each port (fixed) (connection address is attached on the cable)
◼ Since wireless router will be limited, please prepare PC with LAN card installed

6. Drainage and Compressed Air
■ All installation work for water supply and drainage within the exhibition hall must be carried out by official service providers registered with COEX.
(Including initial water supply line installation, connection work for external facilities in the 2nd phase / external facility contractors can provide supervision)
■ The organizers and participating companies are responsible for compensating for any damages caused by water leaks resulting from negligence in operating equipment within the booth or from external company equipment installation, in terms of both civil and criminal liability.
A. Cutting Off Water Supply and Compressed Air
Water supply and compressed air will be provided 30 minutes before the opening of the exhibition and will be cut off 30 minutes after closing
Exhibitors using ice makers must take note, and please make sure to shut off the water valve upon departure.
B. Thorough Leakage Management for Water Supply
Water leakage within the exhibition hall can lead to electrical accidents and flooding accidents.
■ The exhibition hall floor is not waterproofed. Please pay careful attention to leakage management.
■ Install waterproof sheets on water supply lines.
■ In case of a leak, promptly shut off the valve, take necessary actions, and contact the o rganizer.
■ The water supply is turned off by closing the valve. Please be sure to shut off the water valve at the end of the exhibition time. Additionally, please be cautious to prevent leaks in the connected parts of the valve.
■ The drainage line remains open until the end, making it prone to leaks. Please be cautious.
C. Prohibition of T-connections in Drainage Lines
■ Drainage pipes of all equipment for drainage installations must be directly connected to the corresponding equipment in a 1:1 ratio, and connecting T-joints in the middle of drainage lines is strictly prohibited.
D. Installation of Additional Protective Devices
■ If there is a risk of damage to machinery during operation due to singularities, pressure reduction, or pressure loss, protective devices must be installed at the expense of the participating company.
E. Caution During Dismantling
■ Pouring waste liquid into the trench and drainage pipes on the exhibition hall floor is prohibited. The COEX exhibition hall floor and the inside of the trench are not waterproofed, so special attention is needed to avoid pouring water inside. Backflow could cause leakage incidents.
■ After the exhibition period ends, self-dismantling work such as cutting water supply and drainage pipes is prohibited. Water supply and drainage dismantling work must be carried out by COEX service providers. The exhibitors are solely responsible for any damages caused by participating or external companies' dismantling work.
F. Lobby Booths and E Hall Precautions
■ Exhibitors in the lobby area and Hall E cannot install water supply and drainage systems due to the nature of the COEX exhibition hall.
7. Dismantling
◼ Please check for any remaining exhibits left behind in the drawer/shelves before your service company takes away any rented furniture. Cafe Show Seoul organizer will not be responsible for any damage or loss.
8. Precautions
◼ Displays and exhibit items must be produced before bringing them into the venue. Only assembling work the structure/product will be available
◼ Usage of electrically driven tool, such as compressor, welding machine, chain saw, and electric grinder is prohibited inside the exhibition hall. Painting is only allowed for repairing during the finishing stage (Fire Fight Safety and Management Regulation). Usage of adhesives, such as industrial glue, latex is restricted while attaching the carpet on the floor, so exhibitors are suggested to use line-tapes that do not leave any traces on the floor.
◼ When the floor or the wall of exhibition hall is damaged due to nailing or gluing conduct by exhibitor, the exhibitor should pay for its repairment
Electric facilities are installed under the trench cover of the floor, so please make sure to not pour any liquid or beverage on the floor. Mopping the floor with water is also prohibited.9. Cleaning

■ During the preparation and dismantling period, exhibitors must clean up construction material storage bins and exhibit boxes in the hallways of the exhibition hall, and trash generated through the work of each designated construction company must be collected directly. If direct collection is difficult, the waste must be disposed of after discussing with the organizer after paying for the waste disposal fee.

1. Definitions
Exhibitor Regulations
Exhibitor Regulations
■ Exhibitor refers to companies, associations, and organizations that have submitted participation applications and contracts along with the payment of a deposit for participation in this exhibition. Exhibition refers to the '23nd Seoul Cafe Show (Cafe Show 2024)'. Organizer refers to 'Exporum' and 'Reed Exhibitions Korea'. Host refers to 'Exporum' and 'Monthly Coffee'.
2. Allocation of Exhibition Space
■ The organizer assigns the location of each company within the exhibition venue based on the order of participation applications, order of deposit payments, previous participation history, exhibition scale, and other reasonable criteria.
3. Contract, Application, and Participation Fee Payment Procedure
■ Participation applications and contracts must be submitted to the organizer. 50% of the participation fee must be paid within a week of submitting the participation application and contract as a deposit. The remaining 50% must be paid by July 31, 2024. The 'Participation Application and Contract' takes effect upon receipt, and the provisions of Article 9 apply in case of participation cancellation.
4. Installation and Dismantling
■ Installation and dismantling must be completed within the period specified by the organizer. Exhibitors are responsible for compensating the organizer for any losses or damages to the exhibition venue due to delays.
5. Insurance, Security, and Safety
■ Exhibitors can opt for insurance coverage for all exhibits and materials during the exhibition period as well as installation and dismantling periods. The organizer operates security at the exhibition venue to protect the authority of exhibitors and attendees. However, exhibitors are responsible for any theft, damage, loss, etc. of their items.
6. Restrictions on Exhibits
■ Exhibitors must display the exhibits they have specified, and the organizer may restrict items based on the nature of the exhibition and their placement.
7. Prohibition of On-site Sales
■ The purpose of participating in the exhibition is to showcase relevant materials and services to visitors. Exhibitors are not allowed to engage in sales activities on-site. However, sales and sampling activities in designated special corners within the exhibition venue designated by the organizer are an exception. Taxes and all related matters arising from this are the responsibility of the exhibitor.
8. Termination of Participation Application
■ If the organizer refuses to allow the use of all or part of the applied exhibition booth or if the participation fee is not paid within the deadline, the organizer may unilaterally terminate the participation application, and in this case, the paid participation fee will not be refunded
9 Penalties for Participation Cancellation and Scale Reduction
■ If an exhibitor cancels participation or reduces the scale after submitting the participation application, the exhibitor must inform the organizer in writing of the cancellation reasons. The following penalty fees must be paid to the organizer within 15 days after participation cancellation or scale reduction. However, the penalty fees are deducted from the already paid par ticipation fee, and if there is a shortfall, additional payment will be required; if there is a surplus, it will be refunded.
Application ~ December 31, 2023: Cancellation or scale reduction penalty fee of 20% of the total participation fee or reduced amount must be paid to the organizer.
January 1, 2024 ~ March 31, 2023: Cancellation or scale reduction penalty fee of 50% of the total participation fee or reduced amount must be paid to the organizer.
April 1, 2024 ~ July 31, 2023: Cancellation or scale reduction penalty fee of 80% of the total participation fee or reduced amount must be paid to the organizer.
August 1, 2024 onwards: Cancellation or scale reduction penalty fee of 100% of the total participation fee or reduced amount must be paid to the organizer.
10. Supplementary Regulations
■ The organizer may establish supplementary regulations not explicitly stated in the participation regulations if necessary, and exhibitors must adhere to them. Exhibitors must comply with COEX regulations.
11. Dispute Resolution
■ Any disputes between the organizer and exhibitors arising from these participation regulations shall be resolved through arbitration by the Korean Commercial Arbitration Board.

Booth Installation and Operation
1. Permitted Space
■ All exhibits shall be displayed within the registered space pre -applied by the exhibitor and shall not block the entrance or the exit. Any sort of structural matter using the aisle is not permitted. All exhibits and installation equipment must be non-flammable.
2. Outward Appearance
■ Exhibits seen from the aisle or neighboring booth shall be neatly displayed by the exhibitor. Decorations, lightings and acoustics shall not influence the neighboring exhibitors.
3. Booth Design Appearance
■ All space-only exhibitors must submit the overall booth design & structuring plan to the organizer within the deadline for Hall Manager ’s confirmation.
4. Booth Structure
■ Height of the booth is varied by its location. The booth structure/ displayed exhibits shall not disrupt the emergency exit, aisles or the visitors’ path.
5. Display of Exhibits
■ All exhibits shall be placed and displayed 30cm inside the booth. If not, the organizer will ask the exhibitor to shift the exhibits. This is to encourage fairness and equality for all exhibitors of Cafe Show
Noise Limitation
■ The use of audio equipment for promotional purposes by participating companies within the Seoul Cafe Show venue must consider the impact on other participating companies and attendees. Speakers must be installed according to the following guidelines:
① The maximum noise level within a booth must not exceed 80 decibels (dB). Noise levels are measured at a distance of 3 meters from the front of the speaker, and the appropriate noise standard can be adjusted based on the opinions of the office and nearby participating companies.
② When aligning speakers with the booth line, the direction of the speaker must be directed inward.
③ Speakers installed at a height of more than 3 meters from the booth floor must be aligned with the booth's center or just below it.
④ When installing a video equipment, a certain distance must be maintained from the aisle to ensure it does not obstruct the passage of attendees.
■ If the organizer does not follow the organizer's instructions as described above and causes disruption to other participating companies and visitors, the organizer may strongly request the suspension of the use of audio/visual equipment The exhibitor may be subject to compulsory execution and sanctions by the office and no compensation can be claimed against the organizer for any damages.
■ If an exhibitor fails to follow the organizer's guidelines as mentioned above and causes inconvenience to other participating companies or attendees, the organizer may strongly request the exhibitor to cease using the audio/visual equipment. Exhibitors cannot claim compensation from the organizer for damages resulting from the office's enforcement and sanctions.
■ Exhibitors must deploy separate staff to ensure order and safety for attendees and should pay special attention to prevent harm to other booths. Events must strictly take place within exhibitor booths only; events in shared areas such as pathways are strictly limited.
■ Exhibitors must submit a formal application for events and receive approval from the office. If any audio or visual equipment beyond the category specified in the submitted application is brought in during the preparation or exhibition period, even if controlled, exhibitors cannot raise objections (Promotion 4Submission of Booth Event Application).
■ These regulations are designed to maintain order within the exhibition venue and create a serious atmosphere for meaningful consultations, ultimately benefiting all exhibitors. These regulations are applied from the submission of the event application until the completion of the event. The types and contents of event programs for each exhibitor are allowed within the boundaries that do not undermine social norms and values
7. Safety
■ Safety actions shall be taken for mechanics/equipment that moves, vibrates or contains dangerous substance, before being exhibited. Management responsibility relies on the exhibitor.
■ Usage of flash lights and rotating lights are banned within the exhibition hall. Spotlights from the booth should not disrupt other exhibitors
9. Aisle Management
■ All exhibitors have a responsibilities to keep their adjacent aisles clean. All exhibits must be placed within the allocated space and must not be placed on the aisles.
10. Booth Construction and Design Changes
■ Exhibitors must receive an approval from the organizer in order to change the structure of the booth inside the exhibitor hall.
11. Exhibition Hall Management
■ Nailing on the wall or the floor inside the exhibition hall is prohibited. Adhesive such as painting, or glue is also not allowed to be used on the stalls and the floor of the exhibition hall. If this regulation is violated, the exhibitor must compensate COEX for the damage caused.
12. Exhibits Management
■ All exhibitors are fully responsible for any sort of theft, damage of their own exhibits, including their exhibiting stand, and cannot claim for compensation to the organizer.
13. Storage of Dangerous Articles
■ Exhibitors must pre-report their own dangerous articles to the organizer and receive an approval for its use during the exhibition period. After the carry-in of dangerous articles to the exhibition hall, exhibitors must seek for safety procedures to prevent possible accidents during the show.
14. Sublease
■ Exhibitors are not permitted to sublease their stand to another company without a written signature by the organizer, apart from their mother company, interrelated enterprises or sister company. Exhibitors’ intentional sublease of stand to another company will cause the organizer to restrict their show participation.
15. Cleaning
■ Cafe Show Seoul will put massive effort to keep the exhibition hall clean. During the show period, the organizer will take care of public area such as the aisles and public trash bins. However, any sort of trash occurring from booth installation during the preparation period shall be cleaned by the exhibitor.
16. Wiring
■ Any kinds of wiring are bound to fire fight safety and management regulation. This regulation applies to booth & equipment installation.
17. Emergency
■ In case of any theft, accident, or an abnormal event please report to the organizer immediately.
Other Regulations
1. Disturbance
■ Exhibitors shall not take part in any activities that create any sort of disturbance within the exhibition hall, as well as to other exhibitors.
2. Promotion
■ All demonstrated items and promotion activities shall only take place within the allocated area. Exhibitors are responsible for settling down any disturbance caused by demonstration or other promotion activities. Without a written approval from the organizer, exhibitors shall not conduct any promotion outside the allocated area, such as introducing exhibition/exhibit items or other marketing/ activities.
3. Promotion Gift
■ Exhibitors are only able to distribute samples or souvenirs within the allocated area. However, sales promotion gift distribution outside the allocated area is only available for exhibitors that have attained exclusive rights from the organizer (through sponsorship programs).
4. Employment
■ Exhibitors are not permitted to display any materials such as items, signboards, catalogues that are solely for the purpose of hiring new employees.
5. Special Showcase/Events
■ Exhibitors are prohibited to host an individual event/exhibition/program without the approval from the organizer.
6. Exhibition Schedule
■ Show time, installation/dismantling period will be regulated by the organizer. Exhibitors are able to dismantle or carry-out their exhibits after the closing of the exhibition.
7. Failure to Perform Complete Occupation
■ Although unable to use the whole area, exhibitors must fully pay for their registered area. Stands that have not been installed within the assigned preparation time will be owned by the organizer and used for other purposes. Also, exhibitors that have not reported for its cancellation of participation will lose its privilege and cannot have their participation fee reimbursed.

Exhibitors may delegate international customs clearance, transportation, and handling to the designated COEX cooperating companies for transportation and customs clearance services.
1. Customs Clearance Methods for Exhibits
A. Temporary Admission for Exhibition (Bonded Customs)
1) This method involves exhibiting without formal import customs clearance. After the exhibition ends, the exhibits can be re-exported overseas or, if there is a demand, import through formal customs clearance procedures after being stored in a bonded warehouse is possible
2) During the exhibition period, the Seoul Cafe Show office will handle the establishment of the bonded area for exhibitors with bonded exhibits. These exhibitors must submit detailed information about the bonded exhibits to the office within the specified deadline.
B. Duty-Free Clearance: The exhibits to be displayed at the exhibition must be consumable items with a unit price per item of less than US $5 and the total price and quantity must be within a range acceptable to customs authorities.
C. Re-Export Clearance: This method involves importing with the intention of re -exporting within a specified period, requiring the establishment of a certain amount of collateral.
1) Features (Collateral is required):
- Used when not in a bonded area (e.g., hotels, general events)
- When a demonstration or buyer's requirement is necessary in the domestic market for a certain period after the exhibition ends
- Customs inspection is carried out by the relevant customs office and does not involve customs duties
2) Types of Collateral:
- Cash Collateral: Set based on the amount of customs duty
- Bank Payment Guarantee: Bank guarantees payment
- Tax Bond Insurance: Issued as a tax bond insurance certificate
- However, the promise to re-export within a specified period must be honored, and violation will result in fines.
D ATA Carnet: An internationally recognized customs document
- Used when not in a bonded area
- When separate setting is required by the importer's subsidiary before the exhibition
- The period is based on the expiration date indicated on the ATA Carnet.

a. Payment of port charges for arriving cargo
b. Bonded transportation (and storage if necessary) from the port/airport to the exhibition hall
c. Unloading and warehousing at the booth
d. Unpacking and storage of empty boxes

3. Security Responsibility
COEX provides 24-hour security, but each participating company's representative is responsible for damage or loss of exhibits during the exhibition period. In particular, when moving in or out of exhibits, they are required to check the quantity and condition of the exhibits, handover, and customs inspection. You must join.
4. Insurance
All participating companies must insure all exhibits against any accidents from the time of departure until they are reshipped to the final destination after the exhibition ends
5. Cargo return classification and disposition application
In order to ensure quick and accurate return work, each exhibitor must fill out the cargo return classification and disposition application (DISPOSAL INSTRUCTION FORM) distributed by the designated transportation customs clearance company and submit it to each person in charge.
Seoul Cafe Show Office expresses its gratitude to participating companies by offering 4 daily parking tickets per company. In advance, the parking registration URL will be sent via text message, so we kindly request that the respective personnel from interested companies apply within the designated period.

During the period of transporting (exhibiting) exhibits and conducting installation/removal work, we provide free parking service for work-related cargo vehicles to alleviate parking inconvenience for participating companies and construction firms.
■ Applicable Period: Preparation and removal period: November 4th (Mon) ~ 5th (Tue) / November 9th (Sat)
■ Applicable Quantity: No limit on the number of applicable cargo vehicles
■ Valid Time: Valid for 3 hours after entering the parking lot

※ Passenger cars cannot enter the exhibition hall and cannot be registered as work-use cargo vehicles. Allowing passenger cars to enter the exhibition hall would result in overcrowding and difficulty in accessing the hall. To ensure the convenience of all participants, we restrict entry to the cargo vehicles listed above.
