JUNE 2010 FLSA: NON-EXEMPT CONFIDENTIAL: NON-UNION HUMAN RESOURCES ASSISTANT DEFINITION Under direct supervision, provides a wide variety of routine to moderately difficult clerical and technical personnel work in support of the Human Resources Department. This classification is responsible for the maintenance of confidential records, files and correspondence; preparation of personnel and recruitment related documents; processing documents for new hires; assisting with the employee benefit program; word processing, data entry and organization, telephone reception, processing of invoices, records management, report preparation, and filing; provides information and assistance to the general public; and performs related work as required. SUPERVISION RECEIVED AND EXERCISED Receives general supervision from assigned supervisory and managerial staff. Exercises no supervision of staff. CLASS CHARACTERISTICS Incumbents are capable of performing the full range of clerical and office support duties, including document preparation, records management, researching, compiling, and organizing information from various sources, screening phone calls, visitors, and mail, directing questions to the appropriate staff, and assisting in department-related projects and programs. Positions at this level receive only occasional instruction or assistance as new or unusual situations arise and are fully aware of the operating procedures and policies of the Human Resources Department. This class is distinguished from the Senior Human Resources Technician in that the latter performs more difficult and specialized administrative and office support work involving diverse and difficult assignments requiring greater familiarity with Authority functions, policies, and procedures, in addition to the use of a greater degree of initiative and independent judgment in establishing work priorities and selecting work methods. Screens calls, visitors, and incoming mail; assists and directs the public, and/or staff; responds to complaints and requests for information; assists in interpreting and applying regulations, policies, procedures, systems, rules, and precedents in response to inquiries and complaints from public; provides coverage for reception as needed. Logs and routes personnel request forms for signature, distributes job announcements, submits classified advertisement for job announcements to newspapers and periodicals, receives and logs applications for position vacancies, mail response letters to candidates. Performs a wide variety of clerical duties to support Human Resources Department operations, including filing, preparing records and monthly reports, creating and maintain personnel files and records, and preparing and processing invoices.
