NATURE OF CLASSIFICATION Under direction, incumbents in this class perform a wide variety of complex legal secretarial work and may provide lead direction over subordinate staff in the Office of General Counsel.

EXAMPLES OF ESSENTIAL DUTIES Following are representative examples of the essential duties performed by incumbents of this classification. Not all incumbents necessarily perform each and every duty listed below, and may be required to perform other related duties, as assigned. 

Prepares, without instruction or review, memoranda, correspondence; and a wide variety of properly formatted legal documents, including pleadings, briefs, subpoenas, contacts, jury instructions and complaints.

Abstracts information from various sources and puts general information into proper legal form.

Opens, maintains, monitors and closes legal case files.

Establishes and maintains a tracking system to insure the timely response to a variety of issues.

Maintains and monitors the Authority’s law library.

Maintains attorney appointment calendars; stays current on important court dates; and ensures legal documents are filed with courts as mandated.

Conducts research, collects information, and responds personally to routine inquiries, complaints, and requests for information and assistance.

Refers complex and/or sensitive issues to the General Counsel and transmits instructions to other staff.

Receives and screens visitors; opens mail; answers telephone calls; and operates and maintains a variety of office equipment.

Prepares, obtains appropriate signatures, routes and tracks the disposition of purchase requisitions; orders furnishings, equipment, materials and supplies.

Attends a variety of meetings.

MINIMUM QUALIFICATIONS KNOWLEDGE - Database, word-processing, spreadsheet and visual presentation software applications; record and file keeping practices and procedures; basic math; English grammar, spelling and punctuation; contemporary legal office practices and procedures; legal forms, documents and terminology; local court rules and procedures involving civil litigation. SKILLS – Ability to prepare a wide variety of legal documents from general instructions, including abstracting pertinent information from files; compose letters and memoranda; organize and maintain detailed legal files and records; exercise good judgment in making routine decisions in accordance with existing laws, ordinances, regulations and departmental policies and procedures; respond tactfully and courteously to public inquiries, complaints, and requests for information and assistance; make arrangements for meetings, conferences, public events, and travel; efficiently manage the schedules and calendars of several attorneys; work cooperatively and effectively with the ethnically and culturally diverse individuals, communities, agencies and organizations that comprise the constituency of the San Francisco Housing Authority; and type net 55 words per minute from clear copy.
