NATURE OF CLASSIFICATION Under general supervision, incumbents in this class perform complex and difficult clerical and technical activities associated with the preparation of payrolls, time report audits, and the maintenance of personnel records. Incumbents may also perform a full range of general clerical activities, when needed.

EXAMPLES OF DUTIES Following are representative examples of the essential duties performed by incumbents of this classification. Not all incumbents necessarily perform each and every duty listed below, and may be required to perform other related duties, as assigned. Sorts timesheets and distributes with the leave accrual reports to various departments. Researches records and accounts to determine payment history, over and under payments, prior claims, and account discrepancies. Responds to requests for employee verification, employee record of attendance or leave record, and other employee information as requested by third parties such as the Internal Revenue Service, mortgage lenders, etc. Updates and maintains employee payroll files for both active and terminated employees. Processes timesheets bi-weekly which includes verification of timesheet approval, tracing leave hours used, checking authorization and documentation for overtime worked; applies pertinent labor contract provisions in the processing of personnel transactions. Processes personnel action documents received from Human Resources relative to hiring and terminating employees, withholding tax allowances, job cost allocation, class and salary changes banking information, and voluntary payroll deductions. Processes salary garnishment actions received from other government agencies by advising employees of the garnishment letter, responding to the requesting government agency and effecting the salary deduction into the payroll system. Processes final paychecks for terminated employees by reviewing payroll file data and printing and sending the termination checks to Human Resources. Assists in the processing of completed payroll reports and documents received which includes sorting of employees paychecks, verifying quantities of payroll checks/vouchers with the processed timesheets, preparing the paycheck logbook, and filing appropriate payroll reports. Prepares management reports such as the monthly overtime report; provides assistance to higher level staff on payroll matters or special projects and assignments. Provides clerical support attending to telephone calls, written or verbal inquiries and requests for documents from employees and other parties relative to payroll matters.
