1. Compile and keep an accurate record of all minutes of the region and distribute approved minutes to chapters, officers, and committee chairmen, within the region within sixty (60) days after the annual regional meeting. 2. Compile and preserve a record of membership containing the name, mailing address, telephone number and email address of all members in the Region. 3. Give notice of the annual regional meeting to each chapter and members-at-large at least forty-five (45) days prior to the date of the annual regional meeting. 4. Compile the Book of Reports for distribution at the annual regional meeting. 5. Serve on the Credentials Committee. OUTCOMES:
1. I met with and compiled meeting minutes for the Southwest Regional Board and Executive Board of Directors as schedule by the Regional Director. 2. Compiled and distributed 2020 Southwest Region Annual Meeting Plenary Minutes. 3. Updated and distributed the Southwest Region Member Directory. 4. GOALS & OBJECTIVES: 1. Deposit all funds received from the Tamiochus, on behalf of the Southwest Region (SWR), in the bank designated by the region in a timely manner. 2. All documents related to funds received (i.e., transmittal forms, vouchers, etc.) are acknowledged with signature and returned to the Tamiochus. 3. Maintain an accurate accounting of SWR activity related to monetary funds. 4. Issue all checks and electronic fund payment (i.e. PayPal) drawn against the bank designated by the SWR. Checks to be countersigned by either the Southwest Regional Director or the Grammateus. 5. Responsible for annually bonding financial regional officers as budgeted by Region. 6. Serve as chair of the Budget and Finance Committee and orient members that are new to the committee. 7. Submit books for audit to SWR Audit Committee as directed by SWR. 8. Maintain the process of funds issued to payees via PayPal for reimbursement as authorized by Regional Director, Tamiochus or Grammateus acknowledgment on a voucher form. Issue documentation of PayPal activity to Tamiochus. 9. Utilize the knowledge, experience of Regional Director and Tamiochus for guidance in assisting Budget and Finance committee for formulating draft of SWR budget for next fiscal year. 10. Timely reconciliation of deposits with Tamiochus post fundraising and other events. 11. To receive full access to SWR designated banking responsibilities and activities as described in SWR Bylaws for the office of Tamias. 12. File IRS 990 annually with SWR budget documentation. 13. Annually review status of 501c3 status. OUTCOMES: 1. Continue dto duplicate and set-up accounting system to continue as previous Tamias officer. 2. GOALS & OBJECTIVES: 1. Work closely with Chapter Basileus, Regional Director, and National Historian. 2. Perform duties assigned by the Regional Director and National Historian. 3. Collect, compile, and store a chronological record of data submitted by Southwest Regional Chapter Historians. 4. Advise Chapter Historians on analyzing, evaluating an archiving historical. 5. Serve Chapter Historians as a source of information in terms of officer duties, quarterly 6. Plan for future class in excel for Chapter Historians to assist in data documentation 1. Soror Frances Gray, in quarterly meetings held via zoom has set in motion three projects that assist in preserving the rich history of Chi Eta Phi Incorporated by the preservation of historical documents. As a Sorority, we are moving away from paper documentation and more so toward digital documentation. The Southwest Regional Historians began using the digital form of documenting June 2020. First, a record of Service Projects was submitted via PowerPoint for presentation at the planned Leadership Conference in Memphis, Tennessee but, was cancelled secondary to COVID19. Simultaneously, SWR historians began the collection of two to three pictures and precented as PowerPoint slides to give a pictorial history of chapter activities titled “Did you Know.” Soon, chapters who submitted slides will now view themselves on the National website now that it is up and running. Lastly, each Chapter Historians have begun the collecting pictures to be presented as a PowerPoint chapter yearbook. 2. Southwest Region Orientation meeting for all SWR Historians 10/03/2021 3. B. Leadership Developmental
Delta Chapters annual leadership and strategic planning meeting was held via Zoom virtually in August 2020. Plans for the coming year were discussed for fundraising, community service, outreach recruitment and participating in National Initiatives. Members were encouraged to plan ahead for future elections and upcoming offices they might be interested in filling. Delta members take part in chapter and Regional committees. Several members attended Regional Meeting in Hawaii. Participated in Founders Day activities.
C. Educational Scholarship Due to the covid-19 pandemic Delta chapter was unable to hold the annual anniversary scholarship this year. A nursing scholarship will be awarded at a later date this year. D. Recruitment & Retention We try to engage all members in the activities, programs and projects of the chapter and the Organization. Former members are invited to all Delta Chapter events. Calls, cards and visits are made to our sorors who are ill, shut-in, or experiencing loss or hardship. Assistance is available to help 20
sorors attend virtual meetings or chapter events. Birthdays and special events are acknowledged monthly. We are actively seeking new members.
E Programs for Youth & Young Adults We give backpacks and school supplies to elementary schools. We have donated to the Saint Jude Hospital. F Programs for the Elderly Delta Chapter provided blankets and care packages and PPE to senior facilities and provided food baskets and gift cards to needy seniors G. Community Health Outreach Assisted with the distribution of PPE to several Senior facilities. Water and snacks were distributed to M.L. King Hospital Outpatient Dept. Participated in Go Red, Heart Health and Kidney Sunday activities at member churches. H. Visibility Delta Chapter members are active in other groups where information about Chi Eta Phi is disseminated and there is mutual support. Seven members receive Service Pins with Soror Betty Grimes receiving her 35th year pin. Soror Jo Alexander provided a Sickle Cell Poster presentation. Conducted annual Retreat in August. There were 18 members in attendance. This year’s focus was on how the Bylaws impact our chapter and our members; development of Chapter Operation Manual: and the Nurse in Leadership. This Operation manual will be a primary resource for mentoring members in new roles. F. EDUCATIONAL GOAL: To provide educational information that assist our members in staying current: OUTCOME: Provided education on various sorority protocol at 2 of our monthly meetings Provided one-hour presentation on the Future of Black nurses presented by Dr. Eric Williams, at Feb meeting. Twenty members present. Provided a session on Breast Cancer by Soror Nikesha Moberly with 20 members in attendance by Zoom. Shared various leadership articles by email 4 times during the sorority year. Held retreat that will add to members ability to function better as a member and leader. G. RECRUITMENT & RETENTION GOAL: To assist student RN’s to be financially capable of attaining their goals and to maintain activity of current members OUTCOME
Provided financial assistance to 3 nursing students this year. As we did not hold our fund-raising event, the scholarships were $1000 for each and $1500 for the Barbara Moore Scholarship recipient. Our 2020 Awards Scholarship was cancelled due to COVID-19. Florence Nwana -$1000 Erin Rowland, BMS, $1500 Stephanie Hughes $1000 Invited inactive members to join in social activities. There have been active attempts to locate and engage inactive Sorors through sending email updates and encouragements to participate in various activities. Birthdays and Anniversaries are acknowledged monthly with cards and at meetings. Have engaged with three possible reclamations. Remained active in various organizations which are made up of nurses and nursing students. Several members are active in the Pan African Nursing Student and Alumni Association at UCLA.

This organization is composed of students and alumni who may serve as a resource for new Chi Eta Phi members and for other Recruitment and Retention efforts. Maintained a Chapter Facebook site and actively posts pictures and notices concerning its activities and events. Launched our website under the PR Committee, under chair, Rogena Burrus, it is up and running. Encouraged nursing instructors within the chapter to invite students to educational offerings. This has been particularly effective for our Sickle Cell Conferences. Planed a Fall and Spring Recruitment line with 3 inductees. One new member was inducted as a new member in our Fall intake. The intake was totally off schedule due to the Pandemic. She is proving to be an involved active member. Spring Intake scheduled for 2/13. H. PROGRAMS FOR YOUTH & YOUNG ADULTS GOAL: To support children and young adults to survive victimization of human trafficking OUTCOME: Developed a partnership with Forgotten Children, a program which fights the victimization of girls through an anti-human trafficking campaign. This year, our primary support has been through funding support. We are currently awaiting classes and the conclusion of COVID so that we can assist with the outreaches that are occurring. I.
PROGRAMS FOR THE ELDERLY GOAL: To provide support to those who are current residents of adopted nursing school OUTCOME Coordinated with our Inductees Community Service, Mu Chi members donated PPE equipment to the staff of Manchester Manor On July 15, 2020. In addition, we provided a video on how to use the equipment. Celebrated Christmas by provided gifts to Nursing home residents and breakfast to staff. (12/8/20)
J. COMMUNITY HEALTH OUTREACH
GOAL: To assure that members in need are provided consideration OUTCOME Chi Calls- regular calls are made to our ill or temporarily incapacitated Sorors with offers for assistance as needed. Emails, visitations, cards to encourage and show support are routinely sent. Soror Shirley Pate and Soror Donna ruth Garber jointly chairs this combined Hospitality committee and has provided regular updates and active service to members. In addition, Sorors in ill health were visited at Christmas and given cookies from the Angel Food Project. Activities include but are not limited to, phone calls, visitation, transportation, and special assistance as needed. A monthly list of current and past Sorors & Fraters is compiled and shared with the Body.

K. VISIBILITY GOAL: To assure that Mu Chi is recognized for its good works and as an asset to Chi Eta Phi Nursing Sorority, Incorporated® OUTCOME: Launched our website. This will be one of our primary ways of communicating with the public at large. We also included our newly developed PayPal account for ease of giving donations and paying dues. Remained active in other organizations which include: Alpha Kappa Alpha, Council of Black Nurses, Delta Sigma Theta, Bible Study Fellowship, Soul Food for Babies, and Southwest Alumni Association to name a few. Our members are charged with assuring that these organizations are aware of our activities and our role in the community. We have, also, made alliances with the Knights of Peter Claver, a Catholic fraternal organization and Kaiser Permanente through our classes on Healthier Living. We have a direct relationship with Jenesse, a shelter program for abused women, and Forgotten Children, a program for Sexually trafficked youth. Through our connections with other organizations and with the various communities, Mu Chi is becoming a recognized asset for the Los Angeles community. Donated $200.00 donation to Inglewood Southside Christian Church for Nurse’s Week.

Health Promotion & Disease Prevention March 2020, Kidney Sunday Programs: – Two (2) active presentations by Sorors, followed with distribution of literature and BP Screenings – All Chapter members were requested to distribute printed information related to Kidney Disease. 3/15: Grant AME Church, Long Beach – Soror McKinley did a presentation about signs and symptoms, prevention and treatment of Kidney Disease followed by BP screening (15) – with no abnormalities) and distribution of literature from NIH; Bethel CME Church, Long BeachSoror Willingham-Touré presented information about Kidney Disease followed by BP Screening (12)-no abnormalities) Distribution of literature from NIH related to kidney disease and lupus. All chapter members received Kidney Disease literature with request to distribute at their Church, to family members, friends, and co-workers April 2020, Cancer and Minority Health Month: Distribution of literature relating to various types of cancer and Sickle Cell Disease to (2) Churches in Long Beach (Bethel CME and Grant CME), and member’s churches. May 2020. Mother’s Day Gift Bags to Crittenton Center - 35 “Pink Packets” containing toiletries and a few makeup items to Crittenton Services to be used as gifts for the women they serve that participate in their Mother’s Day Tea. Center reported that these items really elevated the spirits of the participants. November 2020 - Virtual Contact – Distribution via email of information on Diabetes and Alzheimer’s - By members – Response and comments from 85+ recipients December, 1, 2020 Observation of World AIDS Day. Information related to AIDS. Description of the disease process, current medications, diagnostic tests, statistics were distributed via email. Two members that teach at the BSN level, shared information with students (35) and one held discussion as part of the discussion for the evening. February 5, 2021 National Red Dress Day. Chapter members wore RED in recognition of Heart Disease in Women. Heart Healthy Lunch Virtual Chapter Meeting and members will dress in red. Activities planned throughout the month to emphasize Heart Disease in Women B. Leadership Development Mentoring: Members of the chapter are polled annually to discover interests in the various positions in the Chapter (Officers and Committee Chairs) and conversations are initiated by current officers/chairs with that individual to discuss the role and if interest continues has follow-up discussions. Power Point Presentation: A Power Point/Video Presentation on Leadership has been developed by Sorors Napper and Willingham-Touré. Will be shared with membership during March Chapter Meeting. C. G. Community Health Outreach: ACT NOW: Collaborated with the organization for Virtual Education Conference. Psi Eta members assisted with the development. Move More, Eat Better – Ten (10) members along with co-workers and their circle of friends reported healthier eating as evidenced by healthier potlucks at work and visits to restaurants. Six (6) members attending a gym with two (2) working with personal trainers.

Programs & Projects Outcomes: Overall all goal: Lambda Chi Chi has set a chapter goal to host/participate in at least two program and project activities a month. The activities can be a combination of any of the program targets (A-I) listed below. Overall, all we have participated in over 40 activities during the reporting period. Overall outcome: In the first half of the reporting period Lambda Chi Chi met its goal of hosting/participating in at least two program and project activities a month. See program targets below for additional details regarding completed and planned program and project activities. A. Health Promotion & Disease Prevention: Goal: To increase personal health knowledge and awareness Outcome: Lambda Chi Chi achieved this goal by participating in over 15 services projects (including youth and young adults & elderly focused programs. Lambda Chi Chi conducted intake and welcomed five new members on February 8, 2021. The Committee is to review all financial statements received from Tamias/Tamiochus, verify and sign off as to the correctness thereof at the conclusion of the Southwest Region Annual Meeting and Conference. 2. Solicit statements of estimated expenditures for the coming year from officers and committee chairs to assist in budget preparation for the coming year. 4. Correspond with prospective registered nurses by mail, phone, or personal visit, when feasible. • With information provided by chapter members in the Southwest Region or the National Organizer, made contact with interested parties to provide necessary information. • With assistance of the National Organizer confirm the receipt of necessary materials. 3. The committee oversees the implementation of protocol in a professional manner and ensures that proper protocol is followed prior to and during all regional events. 3. Review and score all applications received by the extended deadline of February 18 2021. Select the awardees based on the established criteria and present the awards at the 2021 Southwest Region Annual Meeting (Virtual) Awards Ceremony.
3. To ensure that all members of the Southwest Region know the history of the Clarice Jackson Gibson Scholarship award.

Plan and implement a fundraiser activity that promotes healthy exercise and sister/brotherhood among the members, families & friends of the sorority. Develop a financial strategy that will include a series of fundraisers that are fun, flexible and effective to include annual and yearlong events.

Scholarship committee is expecting to award a possible three $1000.00 scholarships this year. Recipients will be recognized during Awards Ceremony. Clarice Jackson Gibson DVD to be screened during Awards Ceremony. The fundraiser: Steppin’ in the Name of Love encouraged participants to take at least 10,000 steps over 5 days and meet up on Zoom for games & prizes. The result was almost $1000.00 raised which may allow 3 scholarships to be awarded this year (up from 2 last year).
