A PUNCH OF POSITIVITY January always seems to see a slow start to the new year. It is only really in February that the beach sand has truly been dusted off from between our toes, children packed off to school or university and the familiar routine of greeting our desks each day has set in.

T

he true gift of a new year is the chance to press control, alt, delete on many of the habits we have locked into and get a fresh perspective on the path ahead. It’s also a chance to embrace change that is so vital to the creation of a bigger life.

While the start of a new year may give us a comprehensive picture on our world, the real challenge is to recreate that same perspective each and every day, where each morning we choose to live a day in excellence. As business guru Robin Sharma proclaims ‘small changes every day will take you a long way.’ This year, My Office magazine hopes to reflect small, yet consistent changes back to you our reader, in every issue. Fraudsters do their homework As 2012 drew to a close, My Office was informed of yet another scam that had infiltrated the stationery industry. A woman claiming to be Rika from Slavepak (Bantex) phoned the creditors’ department of a large company and informed them that the Slavepak’s banking details had changed. She eagerly volunteered to forward through documents confirming the change. A false cancelled cheque and a letter of authority from Absa Industria were sent to the company as verification that the details had changed. The letter clearly was on an Absa letterhead and stated that Slavepak had indeed opened a new account. The physical details were all correct but the documents had been fraudulently produced and stamped. All the information however looked authentic. “Rika”, who was impersonating the

actual employee at Slavepak, and another unknown gentleman phoned again, confirming receipt of the documents. “Rika” spoke fluent English and Afrikaans and also asked for the creditors’ person by name, evidence that these criminals have done their homework. The warning here, please be aware of what you might be dealing with and proceed with caution. It is advisable that once you have been contacted, you contact the company yourself and verify every detail, preferably with senior management. At all times use the telephone, email and fax details you have on file rather than those provided by the potential fraudsters. m

Tip-off leads police to suspects selling matric results At the start of January, police questioned two men who were allegedly selling matric results for R30 long before the 6am embargo the next morning. Acting on a tip-off, Lenasia police pounced on a house in Carnation Avenue, Ext. 2. The police seized copies of the Sowetan newspaper from which the suspects were reading the results. Head of Crime Line, Yusuf Abramjee, said the 32211 SMS service received scores of tip-offs about the sale of matric results. “At one stage, we were told people were standing in a queue to view the results from the newspaper. They were charged R30 each,” said Abramjee. “Police took a suspect in for questioning and a second man was arrested for interfering with the police in the execution of their duties. We are told that police are looking at charges of theft and fraud,” said Abramjee. Abramjee said the Department of Basic Education had also been investigating the matter. “They expressed their anger at the sale of the matric results,” he added. m

Sustainable business Redisa plan in force The minister for Environmental Affairs, Edna Molewa, toward the end of 2012 approved the Recycling and Economic Development of South Africa (REDISA) Waste Tyre Management Plan for immediate implementation. The plan replaced the REDISA plan that was suspended in terms of an interdict granted on 20 November 2012. The legal challenge to the implementation of the REDISA plan, launched in August 2012, contained a long list of criticisms. The case was heard on the 8 November, with judgment delivered later that month. The judge found in favour of REDISA on all counts except one technical issue regarding the insertion of waste reduction targets into the plan after the public comment period, and determined that the plan should be suspended pending a review application. However, he also suggested that the minister could simply withdraw her approval of the plan, and re-apply her mind to approving the plan with the insertion removed. This is what the minister then did. “We are very pleased that the minister has taken such prompt action to resolve the chaos that the suspension of the plan was causing in the tyre industry,” said Hermann Erdmann, the CEO of REDISA.

“Getting the plan suspended pending a review application meant that the industry would have been in a state of uncertainty for months, not knowing if the waste tyre management fee was going to have to be paid or not. “A review application takes months to complete, and for all that time the industry would have had to provisionally set aside funds to pay the fee if the review court found in favour of the minister, and deal with refund claims if it found against her.” “By re-gazetting the plan,” added Erdmann, “the minister is following the resolution proposed in the judgment and bringing sanity back into the tyre market.” South Africa produces around 11 million scrap tyres annually which typically end up in landfills, dumped in the veld, or illegally burned for their scrap steel content. This is creating a growing health and environmental problem. The REDISA Waste Tyre Management Plan will establish a network of transporters to collect scrap tyres from the entire country, supply them to recyclers, provide support and help to develop secondary markets for the recycler’s output products. In doing so, the plan is designed to create jobs, particularly in the informal sector, and create majority black-owned small and micro businesses.

WWF partners with Woolies The World Wide Fund for Nature South Africa (WWF-SA) and Woolworths recently announced a broad-based, multifaceted partnership to drive greater sustainability through selected Woolworths products and operations. The three year partnership aims to achieve conservation outcomes by helping suppliers to Woolworths to produce more sustainable products and creating awareness around these products. The partnership also brings together significant technical expertise, research capabilities, industry insights and networks. Woolworths hopes to work with its suppliers on targets in its dairy, beef, seafood and textile operations as well as furthering its carbon and water efficiency strategy. (source: www.greentimes.co.za) Levi’s needs to detox Towards the end of 2012 South Africans joined the global call for Levi’s to “Detox”. Over 700 activists in over 80 cities around the world made their voices heard and demanded that Levi’s eliminate all hazardous chemicals from its clothing and supply chains. Through street art and creative confrontation Greenpeace demanded Levi’s, the world’s biggest jeans producer, to “go forth” and “Detox”. Greenpeace activists, staff and supporters held a dancing flash mob at the Brightwater Commons shopping center in Randburg. Over 60 volunteers stripped off their “toxic” clothing to reveal “Detox” tattoos on various parts of their bodies, before unfurling a banner that read “Detox Levi’s “ as a direct ask to the global fashion brand to eliminate hazardous chemicals from their clothing supply chain. “It is imperative that global fashion giants understand the need to eliminate these harmful chemicals that are later washed into our waterways; we are asking Levi’s to commit to Zero Discharge of Hazardous Chemicals by 2020, following the lead of Zara and Mango,” said Greenpeace Africa Consumer Campaigner Dianne McAlpine. Greenpeace investigations have revealed dumping of industrial wastewater containing toxic and hazardous chemicals

Green from the ground up Mario and Annemarie Delicio of Dematech are the owners of Hotel Verde – Africa’s greenest hotel. Dedicated and passionate about sustainability, they have transformed what was initially just a sensible business proposition into a showcase for some of the most advanced environmentally conscious technological installations as well as construction and operational practices in the world. Construction on Hotel Verde, which is a part of the recently launched BON Hotels group, began over a year ago just outside Cape Town International Airport, with a team of contractors and experts dedicated to finding the alternative. “If you look at what can be done from a green angle you look at energy, water and waste reduction,” Delicio explains. “You then take each of these areas and work out how to implement alternatives, generating your own electricity for example. Then you need to explore the extent to which you can go.” And the team at Hotel Verde have gone to the greatest extent yet seen on the continent – from locally sourced suppliers to sustainable practices on the building site to multiple ways in which they can generate their own electricity and reduce waste to almost zero. Problem exists between chair and keyboard (PEBCAK). That means you. The body between the keyboard and the chair. The operator who blames the device because it can’t be you, can it?

W

hen a glitch occurs we believe that it is the inanimate object that is at fault. These days the computing devices that we use are less and less inanimate and growing an intuitive nature that is at times a little scary. So is it their fault?

How often do support centre staff receive help calls that have little if anything to do with the tech but everything to do with the user? Anecdotally it is a regular if not overwhelming number. Why do you suppose that is? Is it your fault that you do not know enough to sort out the problem or is it that you may not understand the problem? Or is it the fact that devices are so complex, with so many options for configuration and use that it is not possible for you to get a handle on them?

I think it is a little of both. At a much younger age, I was a system administrator at a company of about 20 people. You need to understand that this was not and is not my field of expertise. This was a painful introduction to managing IT in an office environment, a thankless and selfflagellating job at best. Those were the days of Windows 95 and Windows 98 and an Exchange Server that was just a little difficult to work with. The problem wasn’t the tech, although it could be challenging if it was not the right stuff for the right job. The problem was that users were not trained or introduced to the equipment and software that they needed to use to get their jobs done in a manner that taught them to fish, and not to expect a filleted and sautéed cut on their plate at the drop of a hat. An IT support department should do just that, support the business to achieve its objectives and you really have only a couple of choices if you want IT to be of service to you (as opposed to you constantly servicing it).

Lock down all your IT so that users cannot touch and feel it Buy devices and software that are really difficult for a user to mess with Don’t buy IT. No IT, no headache.

The other alternative, and my choice, is to train your staff so that they have more than a rudimentary knowledge of the devices and software that they are going to use. There has never been a better time to access training at reasonable prices or, in some cases, for free. YouTube is one example of a content platform and eLearning outlets are another avenue. If you prepare your staff with some skills and empower them with the belief that they are capable of sorting out the small problems or actually avoiding them all together, then you’re in the 21st century, sort of. The last thing you want is your IT service provider or support staff racking up hours and hours of billable support time when your challenge is in fact: PICNIC (problem in chair not in computer). m Vol 97 - Issue

I

t’s not their job to be friendly, but if your aspiration is to be the best and friendliest airport in the world, as the managers and staff of Singapore’s Changi Airport wanted, you would not have any excuse, and you would not say things like, “Well, that’s just the nature of the job,” as you shrug your shoulders.

But now there’s a problem: if you ask the security and passport control people to smile a lot and to make small talk just to be rated as “friendly”, it may compromise the reason why they are there. Even worse, there is a critical objective that they have to adhere to called “SPEED,” and you know what that’s like for customers when they have to wait and wait in long queues. So they analysed the situation at Changi, racked their brains for answers to this dilemma, and then came up with an unusual and innovative solution: what if they placed a bowl with small bars of chocolate at every counter, and then trained every officer in the new script consisting of only two words – “Passport? Sweet?” That’s it. You walk up to the counter after a short wait in the queue, and the officer will point to the bowl and say, “Passport? Sweet?” Guess what happened to the scores for friendliness? And it’s the same with the security staff. Of course, they cannot offer you another sweet, but when it was my turn to pass through, the official apologised for the inconvenience, took my jacket, folded it neatly so it wouldn’t crease, and placed it carefully in the container. Changi is a beautiful airport. The planning and operations of the airport reflect that it has been designed to keep passenger’s comfort as their highest priority; to give them as much comfort as they can imagine; and to take all the stress out of travelling. It is amazingly clean from the moment you get off the plane until you leave the airport. The facilities are clearly marked, the toilets impeccable, trolleys readily available wherever you look, your baggage comes out safely in a reasonable period of time, and it’s easy to find transport or a taxi. The shops are beautiful, and there are facilities like a Koi pond, a butterfly park, a playground with a huge slide, and even a swimming pool! But one of the key reasons for the success of Changi Airport constantly being rated as the best and friendliest airport in the world is their constant measurement of customer’s opinions, both face to face, (just as I passed through security, for instance) and with a myriad of strategically-placed touch screens and feedback kiosks – even in the bathrooms. They constantly survey and measure customer satisfaction, and work on achieving the highest scores, no matter what the circumstances. Changi stands as inspiration for all businesses that have customers. m Vol 97 - Issue

“Life is not a trial run” - meet Sam Pickering Dunn, MD of Staedtler.

Sam Pickering Dunn recently took up her position at the helm of the South African arm of Staedtler. Indeed her name might be a mouthful but then again, so are her achievements.

A

ctive and involved from a young age, Sam spent her childhood “getting dirty!” “I have fond memories playing in the wood shavings in my granddad’s workshop, body surfing waves, walking the veld or the mountains with my dad, and riding horses with my aunt.” It is evident from her stories about her childhood and listening to her life after varsity that this powerhouse, who “doesn’t live her life in stages but rather for the moment” has always lead a dynamic life and we don’t see her slowing down anytime soon. How apt then, that the company synonymous with fine writing instruments, Staedtler, appointed Sam to lead, inspire and motivate their South African team. This born and bred Capetonian

completed two degrees, namely Bachelor of Business Science (Marketing) and B.Com Accounts at the University of Cape Town. After working as a diamond merchandiser, she soon found herself at SABMiller in Johannesburg. She stayed there for four years. Sam soon felt the urge to move to the United Kingdom (UK), a commute she would not be doing only once. While in the UK, Sam furthered her studies and completed her MBA at London Business School. Here, her work experience included time spent with reputable big businesses such as Anheuser-Busch, Cable & Wireless and Shell. On returning to South African soil, Sam moved to Port Elizabeth to work for a large tyre manufacturer. She once again moved to the UK and after 18 months

Small to medium size mailing houses will offer a small selection of hand work services and a limited range of machinery, suitable for smaller runs. Full service mailing houses will offer speed and technology that see them able to write code to fix glitches in your data. Your choice of packaging will play an integral role in the mailing process, be it a standard, window or self-seal envelope, machinable envelopes or light, water resistance and durable polybag where your mail is packed and sealed in one process on a dedicated poly-wrapping machine. Getting straight to your points Company’s that offer loyalty programmes to their customers ensure a baseline of repeat business. According to Inc., the price of acquiring a new customer can be about 5-10 times more costly than it would be to sell to an existing customer. The question therefore is: What are you doing to keep your existing customers coming back for more? THE POINTS SYSTEM Whether a discount, a gift or some kind of spoil, frequent customers earn points which translate into some kind of reward or a version of cash. Where companies fail at the point system, however, is when the reward system becomes too difficult and tedious to work out. The national airline carrier South African Airways offers frequent flyer miles to those who use their credit cards for purchases, incentivising their customers to spend by using their card facilities. These are also known as coalition programmes and can be good for customer retention and company growth. Tip: Understanding a customer’s habits, lives and their purchase process will help determine which company is a good fit as a partner.

eCommerce giant Amazon found a way to combat issues such as “sticker shock”, the after tax and shipping prices, with their loyalty programme called Prime. For US$79 annually, Prime users get free two-day shipping on millions of products with no minimum purchase, among other benefits. NON-MONETARY PROGRAMMES Your customers could possible find more value in rewards that are non-monetary or discounted. It is easy for a company to offer up vouchers and points but the opportunity also exists to really connect with an audience, if the company can provide value to the customer in ways different to money. Shoprite previously pioneered a sort of nameless loyalty programme which awarded instant airtime for purchases of marked products. Now they’ve done it again, with SA’s first workable mobile couponing initiative, EeziCoupons. Shoppers can view coupons on their cellphones, purchase those products and enter their WiCode on the pin pad at the till. The total discount is then deducted and the savings revealed at the bottom of the till slips. The WiCode allows punters access to thousands of bucks worth of discounts at once. It also gives Shoprite access to absolutely scads of data about which shoppers want what.

FNB’s reward system, eBucks, is a multi-partner rewards programme. As an eBucks member you can enjoy a variance of rewards for performing every day, mundane tasks. Up to 40% is discounted on a selection of flights, gadgets, shopping vouchers, movies and more. The value added here is that eBucks never expire so saving them could afford you something special.

PLAYING GAMES A cool way to encourage repeat business and guarantee customer retention would be to turn your loyalty programme into a game. It really depends on the game but this type of reward system could solidify your brand’s hip and funky image. Tip: It needs to be understood that the company is not conning customers out of rewards. This type of loyalty programme has the potential to backfire if customers feel like your company’s messing them around to win business. Executed properly, however, this type of programme could work for almost any type of company, DITCH THE REWARD PROGRAMME ALTOGETHER Considering the amount of loyalty programmes that are on offer, one innovative concept would be to scratch the concept completely. Loyalty can be built by providing awesome benefits to first-time users, hooking them, and offering those benefits with every purchase. Too simple? Consider one of the most innovative companies on the planet – they implement this strategy: Apple. Even the most loyal Apple customers are not privy to special rewards or discounts. Why? Because they do not offer them to anybody. Apple charms, captivates and fascinates customers by delighting them with a product or service the first time. Let’s face it – the product is THAT good. Therefore customer loyalty is usually long-lasting. Tip: This minimalist approach works best for companies whose products or services are unlike any other. m

PA to the GM, ‘Charlene’ only eats Snicker bars, ‘Tony’ in Sales wants a Red Bull and a pack of Camel, ‘Wendy’ doesn’t eat meat, while ‘John’ in accounts wants his meat and potatoes with gravy every day. Kids can be a little less demanding in this context merely because they are still in the ‘what you see is what you get’ phase and haven’t clocked onto the power of being able to voice an opinion on the quality of canteen service at the school tuck shop level, but make no mistake, this is where they learn what it’s all about, and knowing your market is still foremost for the administrators of such. Canteens and tuck shops are all about convenience, which again kicks off at school level. Mom forgot to buy bread or the alarm clock didn’t go off, so much to the delight

of the kids, its tuck money day… of course they won’t buy the cooked meal option… it will be a day of Willards chips, suckers, an ice-cream and anything else sugary of small value to be bought for the remaining cents. When it comes to facilities, the only thing required by the school canteen is a Snackwich, a glass-fronted display fridge, a freezer, an urn and a mom with good stock ordering abilities… she does run a shopping list for a household after all. Canteen catering however does require a tad more organisation and if it’s done well, a person with a title of chef could take a company on a long road to happiness in a well-fed corporate kind of way. Business lunches in the board room take on new meaning, sales target successes and pub birthday celebrations, retirement parties and lunchtime meals that keep staff happy and in the work environment, and mobile and industrial catering all add up to a lot of added productivity. The saying a way to a man’s heart is through his stomach doesn’t only apply to personal relationships… it can foster long-term loyalty and love in the work environment too. Here, the language is bain-marie’s, meatslicers, grillers, gas oven’s, sauce pots and icing pipes, the tools and applications

required for top level aficionado food. Hospitals, boarding schools, prisons, and airlines all use industrial catering services. Offered as part of a service, much like Oliver Twist’s days, you don’t get more and skills are revealed in their ability to produce hundreds, if not thousands of ‘plates’ per meal. At the end of the day, when it comes to ordering stock, it’s a numbers game… if Charlene is the only Snicker bar lover, chances are she will have to bring her own to work or walk down to the local supermarket to get it. And much like a restaurant carries a theme; a good canteen will carry the corporate flavour of its staff, which might be the difference between being able to order a macaroni cheese, coronation chicken or coq a vin for your lunch meal. Depeche Mode are set to release their 13th studio album in March 2013 with Columbia Records. “I am very happy with how the album turned out,” comments DM’s Martin Gore. “The music has a similar vibe to Violator and Songs of Faith and Devotion and I think the songs on the album are among some of the very best we’ve done.” The band has announced that the new album will contain brand new tracks written by Gore and Dave Gahan. confess. I have never had ability with languages. I struggled with Afrikaans at school and nearly lost my university exemption to it, only to discover to my horror that my chosen career had it listed as one of the required subjects. There I sat after lectures at 19 years of age with a set of headphones on my head repeating after a nononsense type of voice the correct syntax of a sentence…

I have always felt a flash of envy when watching translators in action – they possess a freedom of communication that opens borders, cultures and whole networks of business and lives. Effortlessly, they seem able to switch not only languages and accents but the very way the tongue and jaw forms the sounds, mysteriously and instantaneously taking on the haughtiness of a Parisian or the gung-ho adventurism of an Alpineclimbing Bavarian. What wasn’t so available to me back in my day, was the availability of language learning facilities, and leadingedge technology on offer today that will

globe. Whether you are a new learner at just over knee-height or a grizzled CEO stuck behind an oak desk, you have dedicated schools, universities, private facilities, and corporate and legal business assistance and services at your fingertips. The Independent Schools Association of Southern Africa (ISASA) carries a list of language specific international schools offering language education in schools, eg the Deutsche Internationale Schule, Lycée Jules Verne, Crawford Preparatory, Waldorf and Redhill schools. Localisation includes translation and cultural adaptation of user interfaces and software applications, as well as the creation and translation of internet

content in diverse languages. Other private services include Alliance Française, the Goethe-Institut Johannesburg and businesses accredited to train legal translators for our South African Courts. Freedom Stationery’s approach is to treat its employees like they’re part of a large family. That company culture has boded them well over the past 25 years and seen them grow from strength to strength. The fact that they provide service and products well above par is simply an added benefit.

stablished in 1987 in Isithebe, KwaZulu-Natal, Freedom Stationery recently celebrated its 25th birthday, with many exciting milestones to attest to their success.

Described as an amazing journey, the last 25 years witnessed the stationer grow from a fledgling competitor to a well-respected leader in its field of expertise. This phenomenal growth of the brand has subsequently resulted in Freedom Stationery setting up five fully-fledged branches with nationwide distribution. Additionally, the company developed its export market and currently exports to Namibia, Zimbabwe, Botswana and other neighbouring countries. In 2000 the company invested in an extrusion, injection moulding and conversion plastics plant in Cape Town and by July 2003 this division was moved to Isithebe, leaving the Cape Town plant as a distribution warehouse. The plastic division specialises in filing sleeves, display books, presentation files, secretarial folders, Spacecases, rulers and other polypropylene products. In July 2003, the company acquired a distribution warehouse in Midrand, Gauteng, a massive milestone in the company’s history. Freedom Stationery was now in close proximity to its existing customers which afforded them the opportunity to increase its market share as well as attract new customers. This new premises in Gauteng

also allowed the company to expand its business further via Gauteng’s reputation as the gateway to business on the African continent. 2003 was a busy year for Freedom Stationery, when the company acquired the Marlin brand of stationery and to this day still supplies a comprehensive range of Marlin home, office and scholastic accessories. In August that same year, the company obtained machinery for the manufacture of lever arch files and ring binder files, as well as a printing machine for design covers. The demand for these new products was phenomenal and by July 2004 Freedom Stationery had also acquired a company in the Kempton Park area that manufactured lever arch files and ring binder files. The file plant still trades under the name South African File Manufacturers (Pty) Ltd. The years that followed saw the addition of Marlin Kids, a children’s brand of stationery, and by April 2008 the company had opened its East London branch and received its certificate as a ISO 9001:2008 compliant company. 2012 saw Freedom Stationery add another two branches to its family, namely the Prospecton Durban branch which houses sales and warehousing, and the Port Elizabeth branch. The company is currently certified as a level three B Broad Based Black Economic Empowerment contributor. Its core business, however, remains the manufacturing of scholastic books with volumes in excess of 100 million books per year, and boasts the title of largest manufacturer of scholastic books in the southern hemisphere. m my office magazine

Creativity with a twist SERVICE AWARD Lesley Ann Johannes A long service award went to Lesley-Ann Johannes, who in November had been part of the Kolok family for 15 years. What an achievement!

Antalis appoints new MD Raymond Waldeck was appointed managing director of Antalis Southern Africa with effect from 1st January 2013. He succeeds Dave Haldane. Waldeck previously worked in a number of different companies, the most recent being Bridgestone Maxiprest. There he held the position of chief operations officer. Waldeck holds a B.Com Law and Business Management degree, as well as marketing and sales qualifications. With his wealth of experience, Waldeck says he is looking forward to learning the ropes, facing every challenge, while also working alongside a great team with vast experience in the paper and printing industry.

Colour creativity For the first time in 2013, ‘back to school’ was made easy for parents in the Middelburg area with one-stop shopping at Middelburg Mall. Children were also able unlock their potential and their imaginations. “Every day is an opportunity to grow children’s minds,” said Middelburg Mall centre manager Mike Tammadge. “Keep their hands busy and let their imagination take flight. It isn’t only at school that children learn. They discover how the world around them works in everything they do. Play is as educational as the classroom.” According to Khoki Middelburg Mall, the new store, creativity is the key to learning and reiterates the passion about encouraging local children to grow their minds, while also giving busy moms and dads the tools they need to keep their kids happy and entertained for hours. Khoki emphasises reading as a key element. “When you open a book you open a world of exploration and adventure, full of learning,” says Windy Makuwa, store manager of Khoki Middelburg Mall. “We are passionate about encouraging reading.
