s preparations kick in to finish up what has been a somewhat tumultuous year for most, there remains an underlying commercial impetus to hang onto, if not intensify, efforts to meet targets in the tail-end month.

On page 21 are a few motivational pointers for CEOs and sales staff to crack the proverbial whip and stay focussed before the silly season gets too much into full swing. For retailers, the back2school, back2office high seasons that follow hot on the heels of the festive rush promises as much as a 20 – 40% increase in sales. This doesn’t come without costs however, with outlays of additional stock purchases, temp staff and in-store promotional materials eating into profits. For manufacturers, December usually heralds a shut-down, where processes and production schedules undergo a significant realignment to make up the shortfall of man hours and machine down times over the annual break. With its new push into consumer markets and the various digital platforms My Office has done its preparation for the upcoming year. By now you should have received our 2013 Features List as well as an invitation to the Association’s yearend events. Please note that our advertising rates remain the same into 2013. A big THANK YOU to our advertising clients who have done their marketing and branding pre-planning and booked their 2013 advertising contracts in order to receive their early-bird discounts. We greatly value the support of all our advertisers and look forward to sharing a successful transition into the upcoming New Year.

crime alert

Be Warned! wrong person and do not investigate further. Even more likely is not even opening the mail thinking it is junk mail.

The warning bells of credit card fraud It is coming up to that time of the year when South Africans shower their loved ones with gifts or spoil themselves with a well-deserved holiday, It’s also the time to be extra alert when doing financial transactions. The few months in the run up to December are when scamsters come out play and increase their fraudulent activities. It is therefore crucial to educate yourself on the signs of credit card fraud so you can take action and decrease your risk of being a target. Go through statements carefully It is imperative to check and recheck the transactions illustrated on your statement each month. Assuming those little charges are your spouse’s is dangerous, as fraudsters take the chance of testing your card without running up the bill. Bills for unauthorised accounts One of the obvious signs of credit card fraud is receiving a bill for credit you did not apply for. This may seem like an obvious tip, but sometimes people assume that the company just got the

Suspicious membership A phone call from a merchant might come through to you, indicating that your membership fee could not be processed after your two-week trial was over. If you did not sign-up for a free trial recently, this is a good indicator that someone tested to see if the card was active by enrolling with the credit card. Call the credit card company, or at the very least check your balance or statement to see if there are any unauthorised charges.

Fraudsters place order as Eskom Bojanala Office National in Rustenburg recenty received what seemed to be a suspicious order from Eskom. The request was for delivery in Thabazimbi and the email address that was used was as follows: mphom@ supplychaineskom.co.za! The feeling towards the order was that something was amiss and after consulting with shop-sa, Bojanala Office National contacted Eskom to verify the order placed. Eskom’s Forensic and Anti-Corruption Department promptly responded confirming that the documentation received, in fact was fraudulent and that the business should be avoided.

Always… Keep your credit cards safe and only carry those credit cards you will be using that day. Leave all your other cards at home. Thieves can take pictures of your credit card with a camera or cell phone, so don’t leave your credit card exposed any longer than necessary. Shred anything with your credit card number on it. Don’t sign blank credit card receipts. Avoid giving out your credit card information and be safe with your credit card online. Report lost or stolen credit cards immediately. Credit card criminals are quite determined, but aware consumers can halt these criminals in their tracks. Once the red flag is raised on credit card fraud, consumers can take action to protect themselves and limit their liability.

Bring your own device to work (BYOD) We do love our acronyms don’t we. A newish one is BYOD which refers to the trend of people bringing an IT device into their workspace.

I

t has been around for a while but has gained traction around the Apple iPad. Interestingly, Apple does not target the corporate sector but has managed to gain a toehold through this trend. BYOD started with one or two staff within an organisation bringing in their device and using it to access their email or files in some manner. These staff were usually those who could sort out the fiddly IT stuff on their own (hack the system). This started growing as soon as others began to see the usefulness of the devices (or began to feel the jealousy rising). Either way it began a movement to use a device used at home, in the workspace.

You may well wonder why this is an issue worth discussing. As with everything there are pros and cons. The cons are around data and network risk. From the data side there is risk around intellectual property protection and theft, security and corporate espionage. There is also a risk of having information on devices outside of the secure company networks. This could be files relating to confidential customer data that are on a laptop or tablet that are left on a train. BYOD is sometimes referred to by IT security people with very little tongue in cheek as “bring your own disaster.”

4

my office magazine

The cons are ease of access and ease of use, increased productivity, increased employee happiness and all around joy and world peace. That may be a bit far, but those that advocate BYOD believe that it is the future of the workspace, particularly for companies that are looking to have more of their workforce working remotely (and saving on spending on their own IT budgets). There are a number of ways to mitigate the risks involved and at a surface level these are covered by offerings that for example turn a BlackBerrry into an unusable “brick”, remotely. This can be done with an iPhone or iPad and other devices after the entry of a number of incorrect pin codes by the unauthorised user. There are numerous applications that also provide a level of additional on-device security. Each organisation, small or large, should have some kind of IT policy in place and adding a BYOD element takes a fair deal of thought and planning. Most organisations have a Microsoft platform in place and the devices need to fit into this environment. Fortunately, in most cases they do. Scenarios need to be laid out and investment will need to be made in the skills to make BYOD work. I believe that if you do not embrace this trend then, much like social media, it will embrace you, like it or not. It is very probable that it is happening right now and you are just not aware of it. Possibly not the best way for you to be in touch with what’s going on around you? m Vol 96 - Issue

Alexander Forbes takes up residence in its green home Alexander Forbes, one of South Africa’s largest and oldest diversified financial services businesses, in October moved its 2 200 Johannesburg staff into a new eight storey, R840-million, 36 950 m² head office at 115 West Street, Sandton.

S

ince 115 West is one of Sandton’s, and indeed South Africa’s, most innovative buildings, the move neatly echoed Alexander Forbes’ recent, equally ground breaking, rebranding.

Accredited with a 4-Star Green Star rating by the Green Building Council of South Africa, 115 West is both energy and resourceefficient and environmentally responsible - incorporating design, construction and operational practices that significantly reduce or eliminate the negative impact of development on the environment and the buildings’ users. The 52 trees removed to create 115 West were replaced with 151 new trees, integrated into the design and work spaces of the building. Echoing the green theme, the atrium is designed as a forest-like canopy with South Africa’s most sophisticated retractable sunscreen systems intelligently linked to wind and solar sensors. These, combined with state of the art double glazing, control, conserve, store and focus light, energy and heat so efficiently that 115 West literally saves hundreds of kilowatt hours each day. Furthermore, a state of the art grey water system draws waste water from all showers, while a rain water filter harvests water to wash the toilets and irrigate the gardens, trees and ‘living walls’ that create the open, sun-filtered natural interior of 115 West. On the theme of retaining all that is sacred to the business, 115 West Street is also all about people, transparency, sharing, delivery and service. “It’s an environment that physically embodies our SERVE model, or the way we do business” says Edward Kieswetter, Group Chief Executive. “In fact, the SERVE graphic is being used in all the pause areas, consistently reinforcing Alexander Forbes’ corporate values. In this way simplicity, experience, relationships, value of trust and enriching lives is literally built into the walls of our building – just as integrally as they are built into

everything we do.” Reinforcing Alexander Forbes’ commitment to transparency, glazing delivers natural light to the heart of the building through individually designed skylights. Transparency is also complimented in the architecture by simplicity and sharing, as the building works to bring people together naturally, using state of the art design and technology to move and mix both people and information efficiently and effectively. A centralised circulation and service core ensures that the building maximises efficiency and ease of movement across four bridges on each floor. The lifts, with V3F drive and micro-processor fuzzy-logic, control people traffic and needs according to position and number of calls registered. Moreover, separate support units allow parts of the building to ‘move’ independently coping with both short and long term seismic movements, “reflecting almost perfectly our commitment to flexibility, independence and innovation,” adds Kieswetter. Furthermore, Alexander Forbes’ commitment to its higher purpose, enhancing the quality of life and providing peace of mind to all we deal with, is reflected in how, “115 West accommodates and treats people - employees, clients and visitors,” added Kieswetter. A key objective in the design of Alexander Forbes’ new headquarters was the health and wellbeing of staff since this is critical in delivering the businesses promise to clients. As such, users of the building have access

to an elegant dining space, finished with calm and restful stone counter tops and bamboo panelling, forming a neutral base for vibrant dining. A day crèche provides a fun and interactive indoor environment for children with vinyl decals and magnetic wall papers surrounding classrooms and playroom, providing stimulation and interest for children. A 200-seat auditorium provides space, in house, for even large gatherings and conferences, maximising convenience and reducing staff travel and carbon footprint. The same motivation was behind the inclusion of a world class, fully staffed gym accessible to all staff, in house. Also, with 115 West located directly across the road for the Sandton Gautrain station, building users will have the option of using energy and pollution efficient public transport instead of motor vehicles when possible. “Our staff will enjoy a more natural and healthy environment, with increased circulation of fresh air, reduced heat loads, numerous pause and other plant-filled breakout areas, combined with state of the art work stations and the latest information and building technology,” said Kieswetter. Most importantly, however, “The move, like our recent rebranding, is an expression of confidence in ourselves and the future of our country and continent - as well as a practical commitment to helping staff reach their potential while supporting social transformation and environmental responsibility,” said Kieswetter. m

n many industries, they have literally hundreds of choices of suppliers, all offering the same commodities at the same prices. How do you stand out as different and distinct in such a hard environment? What can you do to be unique – but without getting the financial director to start grumbling?

An experience occurs when your business engages your individual customers in a way that creates a personal, memorable event. Pine and Gilmore write: “Experiences are inherently personal, existing in the mind of an individual, who has been engaged on an emotional, physical, sensual, intellectual, or even a spiritual level.” So we are not talking about Disney World, or a Lady Gaga Concert here. Those are arranged by people whose whole life centres around creating these things.

There are a number of choices, and they include …

• Make people smile, be entertaining, surprising, playful, thrilling, create nostalgia, and/or create some positive emotion • Be simple and authentic, but still create fantasies or images in people’s minds • Be engaging, let your customers learn or explore, or offer their views, or connect with each other, or even take a “role” in “the show”. • Be a little naughty. Sex, lies and bathroom humour, (used appropriately, can be hilarious – and memorable. • Also be boundary-breaking or challenge the status quo: Are they beyond the conventional, innovative, unusual, remarkable, or outrageous, or do something where customers say, “I would never have done this myself if it weren’t for you.”

• Producing unique, exclusive and desirable products that people will pay just about any price to buy. • Constantly and continuously coming up with creative and unique ways to add value for them. • Having unbeatable service levels that include a strong focus on issues like reliability, quality, right first time, responsiveness, friendliness and courtesy, good communication and speed. • Customising your customer products and delivery to specifically meet their needs and wants. • Solving their unique headaches and problems and all the things that keep them awake at night. • Developing positive and personal relationships so that they become partners in your business. • Giving them personal and memorable experiences that they will never experience anywhere else – and never forget.

feature plastic

A world of plastic A plastic material is any of a wide range of synthetic or semisynthetic organic solids that are moldable and today play a major role in both trade and consumer lifestyles.

P

lastics are typically organic polymers of high molecular mass, but they often contain other substances. They are usually synthetic, most commonly derived from petrochemicals, but many are partially natural.

Plastics play a major role in delivering and sustaining the quality, comfort and safety of modern lifestyles, says Plastics SA. Plastic’s impressive ratio of cost to performance also means that people of all income groups can enjoy these benefits and the plastics industry continues to innovate in order to advance its contribution to society. Plastics are one of the most resourceefficient materials available today and products made from plastics help save energy and reduce greenhouse gas emissions. Plastic products are lightweight, which translates into fuel savings during transportation. Their protective properties prevent losses due to damaged goods and

16

my office magazine

their insulating properties save energy that would otherwise be required for heating or air conditioning. Did you know that plastic products also save energy at the end of their life cycle – either through recycling or recovery of energy from waste? A recent study found that if plastics were to be replaced by alternative materials, there would be additional energy requirements of around 10 percent or about 25 million tonnes of crude oil, which corresponds to 105 million tonnes of CO2 greenhouse gas emissions per year. This is equivalent to a third of the Kyoto reduction targets for EU-15 countries. In terms of packaging alone, a separate study found that the use of plastics in packaging (versus alternative materials) saves 582.6 million gigajoules of energy per year. That is the equivalent of 101.3 million barrels of oil. However, innovation to meet the needs of society is not just about “today’’. Future generations also have the right to material and other benefits. Meeting the needs of tomorrow is the foundation of the concept of “Sustainable Development’. Plastic products are already helping daily to improve people’s lives, whilst conserving natural resources and helping to protect the environment for tomorrow, in a world that is growing in population, with everincreasing demands for water, food, shelter, sanitation, energy, health services and economic security. What is BPA? Bisphenol A (BPA) is a chemical used to make polycarbonate (PC) and epoxy. BPA is the building block, from which plastics are made. PC positively contributes to the consumer’s comfort and has become indispensable because of its impact and shatter resistance, clarity, high heat resistance, and electrical resistance. It is used for safety glasses, visors and lenses, CDs and DVDs, computers, kitchen appliances, power tools, sports equipment (helmets and goggles), medical devices and some food and drink containers. What is the issue around BPA? Some reports suggest that BPA has estrogenic effects in laboratory animals where large doses of BPA were administered. Concerns were raised about the safety of PC products, particularly baby bottles. How safe is BPA for humans? Much research has been done to identify any possible human effects of BPA on the human body, leading to an impressive amount of evidence that supports the safety of BPA for use in its current applications. Past and present studies confirm that BPA is rapidly absorbed, detoxified and eliminated from the body. The metabolic rate is approximately four hours, which means that BPA is essentially eliminated from the body within the day of exposure

18

and does not accumulate in the body. Banning of BPA Products Various governments around the globe have banned PC baby bottles to respond to consumer concerns. In South Africa, the Minister of Health has banned the manufacturing, importation, exportation and sale of polycarbonate (PC) infant feeding bottles containing Bisphenol A, as published in the Government Gazette. Plastics SA supports the government’s decision. Plastics SA is proud to announce that all food plastics packaging, including baby bottles and other beverage bottles are – 100% BPA free, and pose no threat to your health or the environment. The list of uses for plastics is endless, explains Lumoss Mouldings, who manufacture and brand a large range of promotional and retail plastic products. Sports bottles, lanyards, key rings, rulers, desk top stationery items, frisbees, lunch boxes, yoyos, badges, fridge magnets, swizzle sticks, ice buckets, plastic glasses, plastic plates, plastic bowls and trays. Plastic manufacturer Durattract emphasises the fact that plastic is durable and often more cost effective as it lasts a lifetime. They can’t and won’t limit themselves to one product as the plastic clientele is so diverse. m

What is bioplastic? Bioplastics are a form of plastics derived from renewable biomass sources, such as vegetable fats and oils, corn starch, and pea starch. Some, but not all, bioplastics are designed to biodegrade and can break down in either anaerobic or aerobic environments, depending on how they are manufactured. Some common applications of bioplastics are packaging materials, dining utensils, food packaging, and insulation.

selling strategy Acknowledgment Geoff Alexander & Company, visit http://www.alextrain.com/ for more sales tips.

End of Year sales edge Inside telesales tips guaranteed to end your year with a bang.

W

ith the countdown already in place for the end of year break, there are a number of sales techniques to remember in

order to close business.

Negotiate intelligently and portray price drops (if you use them) wisely. Whenever a month, quarter, or year comes to a close, reps try to close important business, and invariably negotiating on price becomes a factor in getting the prospect to agree to a deal. Superior negotiation techniques are critical. In order to hold negotiating power, you’ve got to fully understand the value your solution brings to the prospect’s business. Always start at full price. A common mistake is to negotiate a price with the technical buyer, then having to negotiate it all over again with a financial buyer. The financial buyer will almost always try to grab a 10-20% discount. Be firm, and tell the financial buyer you’ve already negotiated a final price.

20

my office magazine

In order to avoid negotiations carrying on forever, have a ‘drop dead’ date in which your offer is no longer valid. This delivers a “fear of loss” close, and also prevents the prospect from asking for the same discount for a later transaction at a later date. Provide a good business reason why your discount offer will end on a given date. Have a “walk-away” price point. Know in advance of negotiations what your bottom-line price is, and hold the line. Close on the first call, budget money may get re-allocated next week. On the first call to a prospect, you’ve got to get everything done in eight minutes or fewer, and that includes opening the call well, asking your qualification questions, finding out about the prospect’s business, determining how ROI fits into the equation, and then closing. This is because most of the time, eight minutes is all the prospect will give you. Drill down to uncover the financial reasons it makes sense for your prospect to buy now. You have to determine how the prospect perceives that your solution will either help him or her make money, or stop losing money. 99% of the time,

companies buy for these reasons. The technique of drilling down on the financial is most effective when you’re early in the sales cycle because the prospect is not yet in price negotiation mode. If you are selling software as a service (SAAS) consider throwing in December free for new prospects in return for a calendar year order for 2013, provided you get the purchase order this year. Essentially, you’re giving the customer 13 months for the price of 12. It’s less than a 10% discount, and it provides great motivation for the prospect to act now, rather than later. There’s always a lot of budget-shifting going on at the end of a calendar year, so it’s a great month to make calls. Add them to your Best Practices Playbook and have a great yearend. m

Gilbert founded and co-founded the companies Philip Crosby Ass. Inc. and Growth Partners and set up his own company, HR Chally SA, world leaders in predictive assessment technology.

Why CEOs should get serious about sales Most CEOs come from accounting or technical backgrounds, and many have never been in sales. Sales is largely ignored by many senior managers, academics, and the business press.

M

ost business publications devote infinitely more space to crossword puzzles, bridge and astrology than they do to

sales. Sadly, there are few great sales forces to be found anywhere. Ironic when this is the function that drives the top line and the gross profit line in many companies. No sales and you die! But consider the facts. Companies that have great sales forces make far, far more money than their peers. It would seem to be a no brainer. Over five years in a recession the world’s best sales teams outperformed their peers by a country mile.

• 42,52% 5 year p.a. revenue growth • 24,95% 5 year p.a. net income improvement • 41% Higher market value (MV/ EBITDA) So, what is it that these organisations do that is different? Well, firstly they pay a great deal of attention to sales, and then they make some key decisions:• They decide on strategy. What do we actually sell? Commodities, solutions, value, strategic value, partnerships or combinations of these. Choose carefully, and then execute brilliantly. • They make sure they have managers who know how to manage a sales force. • They decide on what type of salespeople they need to execute their strategy. There are many different types of sales role. Some people can

do one, some a few, some many and some none!! Some people should not be in sales. • They carefully focus on sales resources where the money is and only play where they can win. • They make sure they measure the right things. Measuring revenue is too late. Measure the sales activities that drive revenue. • They run their sales force like a machine, Make your salespeople heroes, and pay them well. • They create the total buying experience from switchboard to debtor’s clerk, and everyone in between. It pays spectacular dividends. • Lastly, they train their salespeople. With the right skills for their strategy Sales effectiveness is probably the swiftest route to company revenue and profit growth, IF you do it right. m Vol 96 - Issue

on the road

Road trippin’ reps Relationship building with clients can entail many hours spent on the road away from home, and calls for a certain sleight of hand to retain the reputation of “road warrior”.

M

any a telesales trooper has dreamt of cranking the tunes in a company car, putting pedal to the metal and nursing a new tan along with leisurely afternoon lunches outdoors with clients – but the life of a travelling salesman looks a little different in reality. My Office discovered that many of its industry “road warriors” are actually quite Zen, road savvy and healthy!

Prime example: Gershwin Naidoo of Staedtler. Every day, he packs his lunch and a bottle of water in a nifty cooler bag (he eats six meals per day); checks his spare tire, keeps to the speed limit and makes sure his client rounds leave time for an hour in the gym. Jenny Blom, National Retail Account manager at Rexel and Tidy Files sales consultant Shirley Segal are addicts too – health addicts that is. They both favour “Woolies” and will pop into either a shopping centre based store or an Engen Quick Stop for either a salad, muffin or sandwich – and a bottle of water, a seemingly standard prerequisite for all the “warriors” interviewed. “Ordering fast food makes you fat, fatigued and costs an arm and a leg,” said one. And while he claims to have “given up eating years ago” while on client visits, Lloyd Baillie of African Filing Systems still packs home-made “padkos” when leaving long distance on family holidays. What are some of those sleight of hands that count? Primary is a quality cellular phone with a network that gets excellent reception, together with a light-weight laptop, and handy travel

bag for business cards, catalogues, price lists, demo samples, and database software for maintaining customer contact information and updates. Always choose comfortable but professional shoes, pack a fresh shirt in case of spills or a pashmina which can double as a cloth, pillow or sunshade. If staying overnight, pack light and keep two sets of toiletries, one at home, and one (in travel size bottles) in your suitcase. Include a basic first aid kit, with eye drops for red eyes, and painkillers for when the evening entertainment ends in a ‘morning after’. Whether a name brand hotel chain or private B&B, it comes down to value and personal preference for most, with factors such as safety, personal service, free Wi-Fi and breakfast coming in close behind. Always losing your receipts for your month end expense report? Take snapshots of them with your smartphone. Most agreed that life on the road is becoming more combative and tools such as Tracker, a Garmin together with a back-up mapbook, AA membership and knowledge of trouble spots and back routes is key. Travellers should also take note of emergency numbers displayed on highways, and the number of your insurance company contact. m QUICK TIP BOX - Supplement your cell phone with a phone card for emergencies. - Avoid stupid traffic fines - Get ‘smash & grab’ protection, especially if female - Use the bathroom at every stop - Keep your car clean and neat, it represents you at the client. - Travel with a positive mind set or invest in self-help audio books.

personal growth Acknowledgment By Heather Skipworth Craven, www.inspiringteachers.com

Prepare for the End of the School Year It’s hard to fathom that the close of the school year is almost here.

A

lthough each school year is similar in routine and procedure, they are also as unique and individual as fingerprints. In one aspect or another, teachers powerfully impact the lives of each one of our students. Each classroom is an extended family and community who live, play, work and coexist together for nine months.

Children by their very nature are amazingly adaptable and resilient, but ending one school year and preparing to transition to another one remains a huge transition. For many children it’s a very emotional time of saying goodbyes to teachers, friends and preparing for the next academic step. So how can we as educators help our students with these transitions? What kinds of activities can we do with our students to bring a positive closure to the school year? The following are some hopefully beneficial suggestions for activities:

1. Use a theme such as “See How We’ve Grown”, “Finishing The Race!”, “Where We’ve Been, Where We’re Going!!”, as starting places for activities which will reinforce goals and progress students have made throughout the year. 2. Give students an opportunity to stay in touch with each other. Provide postcards for students to pre-address and give out to classmates to send to each other over the summer. 3. Making a class memory book is a good way for students to record positive events and milestones of the school year.

personal growth

4. Have an “autograph party. Students can make simple autograph books out of construction paper and plain white or notebook paper. Covers can be decorated and then laminated. It’s often very difficult for students to verbally express their feelings towards one another. An autograph book is a wonderful vehicle for expressing these feelings. 5. Provide opportunities for discussion, role-play, field trips, and guest speakers for students transitioning to a new school, or higher level of schooling such as moving from primary to high school, or high school to college. Each school year remains a journey for both teachers and students. Both learn from each other, and will ultimately carry with them memories, knowledge and experiences that will last a lifetime. m

furniture

How important is furniture in schools? Think back to the simpler days of school… Do you remember scribbling on your desk in boredom or etching your current love interest into a wooden desk?

M

ost of us will remember those “good ol’ days” and the tables and chairs we occupied for the large part of our school careers. Nowadays, the reality is, those child habits probably have not changed but the furniture certainly has.

Flexibility is key for any classroom environment, in terms of the spatial arrangements and combinations of furniture for different group sizes and uses, says Anna Holder of the Bureau Design+Research. School furniture has come a long way since the restrictive bench tables that kept pupils immobile and trapped, facing the teacher. Working Contemporary pedagogy emphasises the place of group-work and the movement from individual learning, through smallgroup discussion and collaboration to larger collective inquiry. Recent developments in learning space and furniture design reflect this. Ergonomics and Health Much focus in educational furniture research has centred on its effects on children’s physical development and health. A number of studies in the last decade found links

28

my office magazine

between school furniture and lower back pain, particularly where children were sitting for long periods of time. The emphasis is on adjustable furniture and reiterated ergonomic studies, which have found that pupils benefit from tilting desktops for reading, and higher seat positions. Furniture designers and manufacturers have been quick to respond to these changing needs, with a range of adjustable height and flexible tables and chairs hitting the market in recent years. Regulation According to Reboni, a South African school furniture manufacturer, poorly produced furniture is the major challenge facing the industry today. The ability to regulate manufacturers for compliance is its biggest problem. Efforts are being made to regulate standards through the National Regulator for Compulsory Specifications, a division of the Department of Trade and Industry, while the SABS also plays a large role to ensure conformance. Storage While in previous generations of school design, personal student storage was accommodated within students’ desks, or in cloak rooms, rising student numbers and contemporary pressures of security and spatial flexibility have led to new strategies of student storage. In its most basic form, this can mean lockers lining corridors. However, storage can be very successfully integrated into school design, making a positive contribution both spatially and visually.

Studies of back pain in school-age pupils also showed that carrying heavy school bags was a cause of certain complaints, and recommendations for solving this included the need for secure storage at school, such as individual student lockers. Display A neat solution to storage and display furniture is where student work or objects of interest are placed into the thickness of the wall between classroom and corridor. m

Summary of key approaches and recommendations • Think about the different roles involved in project development and who is involved: getting the right furniture is a collaborative process, not a one-off decision, and should involve conversations with stakeholders and users. • Build-in or double up on spaces and furniture elements – steps which double as seats, corridors with niches for private study. • Do consider how the furniture you choose might support or embed certain pedagogy, including enabling creative use of spaces and imaginative play, or encouraging different types of group working or communication. • Don’t just assume the right furniture is out there – in some cases the best results will be achieved by creating something new to fit your school’s particular needs. • Equally, don’t feel you have to start from scratch - be inspired by examples from case studies, both within the education sector and further afield.

breakroom

Keeping cool If you work in an office, chances are that it is air-conditioned and your kitchen area features a cooling unit to keep your food fresh.

O

ne of the benefits of working in an office is that in summer, while outside the rest of the world is sweltering in temperatures of 30°C and up, you spend your day in blissful coolness, along with an accessible fridge for a steady supply of chilled drinks.

Air-conditioning Air-conditioners are primarily used to make the air cooler by circulating the air through a Freon mechanism, very similar to what happens in a fridge’s system. Fans, in comparison, don’t actually cool the air, even though it seems like they do. The feeling of discomfort caused by heat and the resultant drop in productivity prompts individuals to start up the airconditioners. What are the benefits of having airconditioning? Well, according to the experts (the same people who sell air-con units), there are several.

30

my office magazine

Most modern air con units have special plasma filters which filter the air and rid it of most impurities and toxins, including pollen, dust mites and bacteria. They even remove much of the smoke from the air although, arguably, they can do little about car fumes and other hazardous pollutants that city-dwellers have to contend with these days. Most units have heat pumps, so that in winter you have one of the cheapest and most effective forms of heating. Unlike the small one-bar heater in the corner, the aircon heating will heat not just one limited area but the whole area and spread the heated (or cooled) air evenly. Most modern aircon units have louvres so that you can, if you wish, direct the cool air in a specific direction. Choose a reputable company to assess your needs and install the unit - remember, good after-sales service is important. Choose a brand that is well-known and has been tried and tested. Make sure the unit is big enough for the area to be cooled. Where you position the unit is also important. Usually, it is better to place a unit high up on a wall, because cold air sinks and generally, it is desirable not to have too great a difference between the air-conditioned

air inside and the outside temperature as many people believe going in and out of air conditioned air, especially on hot days, can make you more vulnerable to colds and flu. Refrigeration The shared refrigerator is undeniably the most abused appliance in an office. It is also a convenience, and a money-saver for the office worker that requires as much office etiquette in the kitchen as in the conference room or shared office cubicle. When buying a refrigerator, select the right size for your needs. A model that is too big wastes money and energy, and one that is too small becomes overcrowded with food and drinks. Measure the space where the appliance will be located (height, width and depth) before shopping. Allow enough space for good airflow for maximum operating efficiency. Easyrolling wheels will make cleaning easier, especially for vacuuming the condenser coils regularly in order to maximise efficiency and compressor life. Some modern offices use canteenquality refrigeration with glass doors and wide shelving. Others sport branded beverage dispensers in foyers that make refreshments available to visitors too. m Vol 96 - Issue

Sun

Take note!

solutions for summer Sun protection is important for all regardless of race.

Sunscreen ingredients break down over time. Check the expiration date on the bottle and throw away anything old. Tanning beds are as harmful as lying in the sun. Pick the right lotion for your activity, be it waterresistant, sports or babies. Apply it right up under swimming costumes so no skin is left unprotected if the costume moves. The sun can turn glossy hair to a limp, dried out frizz, apply appropriate hair protection. Pets also burn, ask for protection at your local pet store.

W

hile we are all aware that exposure to the sun turns up the clock on aging, and can lead to cancer later on in life; what many of us don’t know is the short-term cosmetic effects.

Many of us think that enlarged pores are genetic, however exposure to the sun actually causes your pores to get bigger and your skin can develop a rough, patchy texture. The sun can also irritate skin conditions like eczema, melasma, vitiligo, and even acne, as well as causing tone changes that can range from hyperpigmentation to scarring. The biggest barrier to savvy sun care is overcoming behavioural habits. Here are some QUICK TIPS to incorporate into your everyday office routine: - Rain or shine, apply sunscreen every day. Even if it is cloudy there still exists danger from UVA and UVB rays. - Don’t rely on tinted moisturisers, rather apply sunscreen underneath face makeup. - Apply the size of a shot glass worth of sunblock at least 30 minutes before you go out. It takes that long to be absorbed into the skin. - Keep sunblock in your car, bag or desk and don’t forget application to the back of hands, feet, ankles and between toes.

32

my office magazine

- Don’t rationalise tanning with a need for Vitamin D, it is safer to take a supplement than expose yourself to harmful rays. - Reapplication is important. Re-spray yourself or your children if you go in the water, use a towel or sweat. Otherwise reapply sunscreen every two hours. - Budget brands are just as effective as the more expensive brands. - Take time out in the shade between 11 am and 3 pm when the sun is strongest. - Children and babies need greater protection so use specially formulated kids ranges with gentler ingredients and higher SPFs. If you get sunburnt, taking antiinflammatories will reduce your body’s inflammatory reaction and apply aftersun lotions, especially those containing aloe vera gel. Take an antioxidant such as

vitamin C, vitamin E, or green tea and use cold compresses. SELF-TANNERS Many of us opt for sunless tans using selftanning lotion or sprays. For the best effects, exfoliate for a few days before application to clear your skin of dead, scaly cells. Moisturise regularly before applying and note that certain areas of your body are much drier than other areas and might soak up the self-tanner which leads to blotchy colouring. Do not apply the selftanner in your steamy bathroom. The heat and moisture can cause you to sweat which will cause streaks. Take your time with application and work systematically over your body. Wash your hands directly after application or use a pair of latex gloves, and then wait 15 minutes before getting dressed. m Vol 96 - Issue

During November each year, Movember is responsible for the sprouting of moustaches on men’s faces around the world.

T

he aim of Movember is to raise vital funds and awareness for men’s health, specifically prostate cancer.

On Movember 1st, the boys register at Movember.com with a cleanly-shaven face and for the rest of the month, these selfless and generous men, known as Mo Bros, groom, trim and wax their way into the annals of fine moustachery. Mo Bros effectively become walking, talking billboards for the 30 days of November and through their actions raise awareness by prompting private and public conversation around the often ignored issue of men’s health. My Office spoke to Marc Lewis of 94.7 Highveld Stereo’s Afternoon Drive and EWNSport, who sported his “tash” in 2011. What does Movember mean to you? To me, Movember is about raising awareness and funds for a serious issue. Prostate cancer is a very real reality for a lot of men, not just in South Africa but worldwide. Why join the initiative? It’s important to raise awareness because the subject is often ignored by men. By

34

my office magazine

joining the initiative, you can not only assist in helping those struggling with cancer, but also get to take a stand as men and make people realise there is nothing taboo about prostate cancer or any other cancer for that matter. Why and how did you get involved? I’ve lost two family members to cancer and although their deaths weren’t caused by prostate cancer specifically, it still resonates in my heart, and because of that, I want to do as much as I can to help others around me. Why did you opt for that “style”? The previous year, I went for an oldschool type look. So this time around, I felt like going for something more outrageous and 1970s policeman like! How does your wife feel about the “tash”? She absolutely loves it. Contrary to popular belief that every woman hates facial hair, my very understanding wife loves it. How popular do you think Movember is? In the last two years, I have noticed the event has grown massively. Whether you’re doing it seriously to raise funds, or just passively to be a part of the movement, the number of Mo Bros is growing every year. Anything else you want to say? Men… Get involved and grow that tash!

Creative merchandising More akin to the arts than a set science, creative merchandising should well up from the inspiration sourced from your own passion for your product coupled with industry knowledge.

W

ith the holiday season looming and the back to school, back to office season hot on its heels, retail outlets will be vying for a competitive purchasing spend. While internet buying is becoming more prevalent with SA consumers, especially for hi-tech goods, entertainment and books, general retail remains largely unaffected by online shopping channels.

• •

• Here are some basics, with a little creative direction thrown in to help you make your store stand out from the rest. • Key components to start with are rethinking colour, lighting, balance and simplicity. • Place larger items, as the focal point of your display, and arrange other related add-on items around it. Avoid symmetry, asymmetrical yet simple displays are more interesting. • Less is more, every time. Nothing stands out in a clutter. • Accent lighting creates visual interest for shoppers, and magically puts products in their sight. • People love novelty – decide how far

40

my office magazine

you are willing to go and then push the envelope some more. Go unusual and big. Use variations of one colour or more, matching tonally or textually or combining in unexpected way. Colour can demand a shopper’s attention, evoke emotion and influence decisions. Use additional props in-store to create atmosphere ie music and scent. Show the items in use. Set up a school desk or corporate office in the window with all the necessary ‘tools’, including a mini-skirt clad model on the desk. Put the items which are not so attractive in a classy rack to enhance its visual impact and added value. Place informative signage beside or near your items especially when they have unique specifications – today’s shoppers are wise buyers, and it will lessen the repetitive tasks of sales staffs on giving the same answer to different customers. Change displays weekly. Create entertainment and education, keep it fresh. Your main aim should be to entice the shopper into your store and then to direct them deeper into the floor space in order to be exposed to more merchandise. Keep your entrance door open and clear and create focal points towards the back of the store.

• Cross merchandising is retail space planning that sees the placement of the same product in more than one location of your store, and in locations that make sense to shoppers. According to the South African Council of Shopping Centres (SACSC), there is a rising trend of the social use of mobile phones when making purchasing decisions, where shoppers are using their cell phones to take photos of products they want. They send the pictures to friends or post them online. Once they receive the comments from their chosen social group, they then decide to buy it or ditch it. This kind of shopping can drive merchandise sales trends within an area, or community, and create desirability and demand for specific items, brands, retailers and even shopping malls said the council. “Retailers and shopping malls that have traditionally been suspicious of shoppers taking photographs inside their spaces, usually for security reasons, may be wise to re-assess their parameters,” says Amanda Stops, GM of SACSC. And, with a trip to the shops still a social activity, why not throw in some “free” inspiration with a bit of retail cross promotion between the cellphone or coffee shop around the corner? m Vol 96 - Issue

US exhibitor, US Ring said Paperworld China is an important show. “It is a major contributor of market information, understanding the trends, and what the customer is looking for,” saidBrent Robinson, the company’s director of marketing and merchandising. “You can’t make enough sales visits throughout a year to gather as many clients in one environment in such a short amount of time as during a show. It’s a positive trade show impact. In addition, the company has successfully acquired marketing and product development information through the show.” Long term exhibitor Tung Yung Holding Ltd manufactures the brand “Eagle”. Chairman,Chan Siu Leung said, “We always attend Paperworld China, because this show is worth attending.” Offering advice to Chinese stationery industry players, he added, “It’s time to shift the focus on price competitiveness to innovation design and a modern production line. I believe this will help to increase product quality and remain competitive in the market.” Visitors also enjoyed meeting suppliers from all over the world in one location.Australian visitorTim Mahony, executive director for Quill, which has a factory in Shenzhen, China, said he found products at Paperworld China that he could not find at other shows. “It’s very useful to come to Paperworld China because for us there is a different geographical spread of exhibitors. Some of the machines are interesting for our factory.” Peter Sy Lim from Philippines visited Paperworld China for the first time to source colour pens, plastic folders and other stationery for schools on behalf of POC Bon Educational Supply, Inc. “I am happy with the exhibitors here,” he commented.“They are reputable companies with high quality products and I think I have met some good suppliers already.” Linyi Tianhui Trade Co Ltd organised a buyer group to visit Paperworld China from Shangdong, China. The board chairman of the company,Song Liansheng, thinks the show has improved. “I can see that Paperworld China has improved a lot in terms of planning and quality. The industry people in Shangdong are very interested in visiting the show as a buyer group. In order to guarantee visitors’ quality, we only pick representatives from leading companies to www.shop-sa.co.za

visit the show.” Patrico Yepez Russo, general manager for expocsac S.A. Ecuador, took part in the business matching programme which helped visitors to improve their sourcing efficiency. The summit’s topic was “The Changing Landscape of Responsible Paper and Packaging Sourcing.” Ms Keri Hess, the Rainforest Alliance coordinator of SmartSource US & Canada, was one of the speakers. She said, “I think Paperworld China is a great platform for us because of the audience and the wide breadth of potential suppliers that might be here to listen to our message and to understand the opportunities that sustainable sourcing might provide to them and their business that they may not have otherwise been aware of.” The “Extraordinary Stationery” area revealed some of the latest design and trends featuring exhibitors such as VIVA DÉCOR, a German brand for creative colour sets, and Kidstoyo Origami Classroom which offered interactive activities for visitors. Nora Zhu, a representative for Shanghai Xuhui Foreign Trade Ltd, China attended both interactive activities and said her experience helped her to make a purchasing decision. China remains as South Africa’s major imports source, showing the ever growing demand for China-made products in subSaharan Africa’s fast-rising economy. In 2009, the mainland surpassed Germany as the biggest importer to South Africa as China’s trade with Africa grew 39.5% to US$27.92 billion in the first seven months alone. The fair is well timed to address this demand by providing a profitable and accessible B2B venue for buyers in the region and nearby markets. Having the largest collection of suppliers from greater China than any other trade shows in Africa, the second annual China Sourcing Fairs in Johannesburg were successfully held in Gallagher Convention Centre during November 30 to December 2, 2011. The event showcased over 820 booths in total, an increase of 29% year-on-year. An extensive array of products were displayed at the show. In total, the three-day event attracted 7 006 professional buyers, a 20% growth compared to the same period last year. More than providing buyers with quality suppliers and costeffective products, the China Sourcing Fair also presented a free conference programme featuring relevant topics on China sourcing for beginner and veteran entrepreneurs. Importers, wholesalers, retailers and buyers are all invited to attend the China Sourcing Fair. Sappi awards excellence in the print industry Print excellence was celebrated at the 2012 Sappi African Printers of the Year event held at Melrose Arch. The event highlighted Sappi’s philosophy and tagline “Inspired by Life”. The theme was emphasised by chief executive officer Sappi Southern Africa, Alex Thiel, “Tonight’s celebration of excellence is not just about patting each other on the back – it is about inspired print that is vital to show paper’s best characteristics. Few alternatives can stand up to paper’s ability to enthral, to entice and to connect physically and emotionally with the reader.” The judges commented that overall the quality of the entries was excellent with good use of challenging techniques on the selected substrates which enhanced the visual appeal of the publications and the consistent use of colour and varnishing applied in the winning entries. Alex Thiel further commented, “Your work is an inspiration to all of us in the industry, whether we are your suppliers, your customers, your peers – but most importantly your work inspires the intended target audiences and moves them to action.” Thiel also explained how Sappi’s recent restructuring was geared to ensure staying relevant to customers, providing them with products that would enhance their businesses and ultimately sustainability and profitability for them and for Sappi.m

Pitney Bowes adds gloss to My Office competition with Dahle laminator prize Pitney Bowes gave one of its Dahle A4 lamination machines to My Office as a prize in the publication’s online competition. Lexmark raises over R100 000 for Cotlands

Stabilo incentive winners enjoy awesome prize

International printing and imaging company Lexmark has raised over R100 000 at a golf day and gaming event for Cotlands, a nonprofit community development organisation, that actively seeks to find solutions to real community problems by intervening directly within communities to build capacity in caring for children through the provision of health, education and psychosocial services. The event was part of Lexmark’s Cartridge Recycling Initiative for Babies (CRIB) and took place at the County Club Johannesburg in Woodmead. It was the 11th Annual CRIB Golf Day to benefit Cotlands. “The initiative has grown in stature over the years and involves a wide range of Lexmark’s corporate customers and suppliers who continue to support our endeavors including our annual charity golf day. It is heartwarming to see the impact this self-sustaining programme has on so many childrens’ lives and the communities in which they live,” comments Mark Hiller, country general manager of Lexmark South Africa. m

Winners of the recent STABILO incentive competition, the prize for which was a week’s all-expenses-paid trip to Germany and the Czech Republic, were uniformly thrilled by the experience and have come back singing the praises of all involved in the organisation and hosting of the trip. As one agent commented, “The trip was extremely well organised, informative and a great deal of fun.” Everyone agreed that the team consisting of Doris Rothenaicher and Ilse Galster of STABILO in Germany and Wayne Mostert and Maritza van As of Silveray Statmark Company (SSC) went out of their way to ensure that a fantastic time was had. The competition, which was organised and run by SSC, a Bidvest Group Company, offered this fabulous prize to the top eight STABILO stockists throughout South Africa. Any encore will undoubtedly see SSC customers being even more competitive to win such an inspired prize. m

Antalis mourns a great man

Trevor Driscoll retires Trevor Driscoll started his career in the stationery business in 1966 with a company that is still in existence, GR Pym. “At that stage I was just a counter hand,” he laughs. “In those days paper was still cut by hand,” explains Trevor. “And I had to make sure it was wrapped at a 90 degree angle. “Opportunities came up and I moved on to John Dickinson in Isando.” Trevor went from purely stationery to a paper division which only enriched his experience in the stationery industry. He then joined companies such as Seligson and Claire and finally, the family concern, Pilladium, where he spent 17 years. Pilladium were bought by Waltons and he moved on to Gala and then onto the Nasionale Pers, until they decided to move out of stationery altogether. Thereafter, Trevor found his footing at Dalrod and spent the last 17 years there. With cycling as a passion, evident from the four Cape Argus and seven 94.7 titles, Trevor now plans to spend more time on his bicycle. He also plans to travel more and has already booked his trips overseas with his wife to visit his sons and grandsons. As a last note to the industry, Trevor does recommend setting yourself apart from the rest of the crowd by getting to know your product but more importantly by getting to know your suppliers. He feels more value needs to be placed on relationships and service and that by doing this, a person can only prosper. m

“Chris was a great manager, a bold leader respected and admired by all but moreover he was an exceptional human being I was proud to call a friend.” shared a pensive and sad Keith Solomon, director for Antalis South Africa (Pty) Ltd. Solomon and a large Antalis contingent paid their respects to Chris Head whose life tragically ended, late in September, due to a car accident. At just 46 years old Chris had a full life ahead and news of his accident came as a shock to many dear friends and colleagues. Chris joined Antalis in 1990 as a Graphic Arts technician where, through dedication, effort and enthusiasm, he soon became a key player in the First Graphics team. Not long after he took up the reins as the head of the department before moving onto Antalis. Everything that Chris embarked on he did with phenomenal dedication, energy and reliability. “Another characteristic not found too often these days was his determination to do – everything. In both his professional and personal life Chris did what he said he would do – moving heaven and earth to deliver. “Chris emanated zest and if anyone deserved to have a long, happy life surrounded by friends and family it was this dear man. I personally will remember Chris with deep affection as will his many beloved colleagues. Our sincerest sympathies go to Chris’ three sons and their mother, Mandy, whose sadness can know no bounds,” concluded Solomon. m OPS A / REXEL Professional of the year OPSA’s Secretaries Day Royal Flush Half Day Conference and Luncheon saw the culmination of months of assignments and hard work for the finalists in this year’s OPSA Rexel SA National Office Professional of the Year competition as they presented to a packed crowd at Focus Rooms in Sunninghill. Nomvula Moloko from Oxfam walked away with top honours after an inspirational presentation on how to make yourself indispensable. She had the crowd on their feet as she described her journey from receptionist to top executive personal assistant. In the past, the finalists got to present to a panel of judges and the winner was announced on Secretaries Day. This year, to celebrate its 30th anniversary, OPSA opened up the voting to all the guests present and they were able to choose their favourite via real-time voting keypads generously provided by Affordable Adventures. Apart from the serious business of conferencing, guests were also treated to the crazy antics of MC/entertainer Bongi Mthombeni and they got to enjoy a delicious lunch and lots of give-aways. m

ACT moves house ACT opened its doors originally in December of 2001 and was then based in Midrand. In October 2012 ACT moved to their new building in Sandton, as the company had outgrown the office in Midrand and it was no longer suited the ACT business. The company had initially converted an underground car park into their warehouse but as the company expanded, the space and flow started to affect picking and turnaround time. The new building is situated within close distance of major highways and is easily accessible for both Johannesburg and

www.shop-sa.co.za

Pretoria customers. The building was built specifically for ACT and is perfectly in line with the company’s trading and business requirements. There are now seven dispatch doors and four receiving doors and orders that used to take over a week to pick, pack, check and dispatch are now being done in less than half the time. The ACT team seems to have moved in comfortably and in the excitement is confident that the new move will only improve business and keep clients, employees and the business happy. m
