Managing You

As we gear down to the end of the year and the much anticipated holiday season, it pays to take a look back at the past twelve months and assess the many influences on our businesses and personal lives and how we have responded to them.

T

here is no denying that we live in a world that is organised on and dictated by models of commerce and economics and patterned by family and social forces. Within these structures we spend an enormous amount of time and energy trying to manage the people, the processes and the details in our quest for happiness yet hardly any time is spent learning the tools of how to better manage ourselves. True happiness and fulfilment is found only by self-management and control of ourselves first. How do we manage our inner selves? Through the research and development of our body, mind, emotions and energies. Like managing any good business it requires understanding of the essential aspects; its operations; its employees; its strengths; weaknesses; and methods of communication. Only once we can take a look at ourselves, understand our internal management systems and influencers can we operate from a place of true power and rise to our full potential, thereby better www.shop-sa.co.za

managing the situations in our outer world. We are responsible for everything that happens in our life. Only when we learn to accept total responsibility for ourselves can we take back control of our lives. How can we go about it? • Take time to be quiet and reflective for a few minutes each day. Practice your personal beliefs, say a prayer, do a self-assessment of your skills and strengths or simply sit in stillness with yourself. • Recognise you control only 50% of any relationship and it’s your half. If you are dissatisfied with what is going on, change what you are doing and saying. • Challenge yourself to do things differently than you have in the past. It provides new ideas and keeps you interested. • Doing gives you the power to do. Ninety percent of success lies in showing up. • Remember, if you think you can or you think you cannot, you are right. Use the self-fulfilling prophesy on yourself - expect yourself to succeed. Confidence will take you a long way. • Live in the Now. The current instant

is the only time in which you have control - not the past, not the future, only now, in this instant. • Avoid worry. The majority of the things you worry about never occur. • Never criticise yourself as having a weakness. You do not have any weakness, only untapped potential. • Life is what you perceive it to be. Do you see it as stressful or easeful? Adjust your attitude accordingly. • Talk to yourself. Self-talk using positive affirmations is something that is common among all great achievers. They convince themselves that they can accomplish their goals. • Be pleasant all the time - no matter what the situation. • Operate on the philosophy that what we give out is what comes back to us. • Take some time, no matter how short, every day to do something you enjoy. May you find peace within and prosperity without this festive season.

W

hen I was a kid there was a wonderful movie about Rudolph the Red Nosed Reindeer, who, as you will recall, was really an oddity because of that infamous nose. Eventually however, the red nose becomes his defining feature and turns out to be a big advantage for leading the rest of the reindeer on their long Christmas journey to visit the all the children of the world.

But there was another scene in the movie that I really loved. In the factory where all the elves were busy making toys, there was one little elf, Herbie, who seemed preoccupied and couldn’t focus on his job, which was to paint the wooden toys that were coming his way on a production line. His agitated supervisor notices this, and starts yelling at him to buck up; when suddenly Herbie declares that he really doesn’t like making toys. “What!?” the supervisor yells incredulously, “You don’t like making toys?” Herbie confesses: “I want to be a dentist,” and all of the other elves laugh at him in ridicule. Shoving a load of unpainted wooden toys in front of him, the supervisor says, “Well, you’re an elf, and elves make toys”. Herbie is unhappy, and later in the movie runs away, soon meets up with Rudolph, and they sing a song about being misfits. They conclude that they want to be independent, and go off on a number of adventures. Of course, they win in the end and get accepted back by their friends. I never really got this message until I watched this old movie with my kids, and it brought a lump to my throat. You have probably heard about the research done by the Gallup Corporation in which more than 2 million people around the world have been interviewed about their work and their jobs, and the sad conclusion is that more that 80% of them feel disengaged. That means that only about one in five employees – coming from all levels of a company – are really doing what they love, and feel they are making a difference in the world. Now as we approach the Christmas season, a phase at first hectically busy, then followed by some quiet time to reflect, we all need to think about what we are doing, and decide whether we are lost. www.shop-sa.co.za

Sure, it’s difficult being around in these difficult and challenging times, but I fully believe that nobody can be successful and happy if they are pretending to be something that they are not. If you are not mostly doing what you love to do then you are lost and off-track. You are probably thinking, “Yeah, easy for you to say. I wouldn’t know where to start.” You are right: nobody is able to predict the future. Nobody know “where” or “when” or “what,” but you should know “Why?” Why are you doing what you don’t like? Why aren’t you clear about your purpose? Why do you think you were put on earth? To achieve or to be? Remember, I’m not asking you to resign immediately and start something new. Work can be fulfilling and it can be fun, so start by chatting to your manager about a “better fit” in your job, doing more of the things you love to do. Your best argument? If you are more happy, you

are more productive, and if you are more productive, the company benefits. Is it going to be difficult? You bet it is, and there will be lots and lots of challenges and scary things to put you off. But there will also always be people around to help you, although you may have to ask them for help. Virgil wrote “fortune favours the bold,” and there will be times when you have to take a risk as you pursue your passions. Rudolph’s strange red nose turned out to be a real advantage as it guided Santa’s sleigh through snowstorms, and maybe your desire can do the same for you and light up your path to success. By the way, my favourite Christmas “fascinating useless fact” is about reindeer. According to the Canadian wildlife authorities, male reindeer usually drop their antlers before the winter and Christmas time - sets in, but female reindeer hold onto their antlers until they give birth in the Spring. Therefore in all the pictures and movies, when we see the reindeer pulling Santa’s sleigh filled with toys across the world, since they all have antlers, they must all be females. We should have known: only women would be able to drag a huge fat man in a bright red velvet suit all over the world in one night and not get lost! I wish you all a wonderful Christmas filled with love and health, and may 2014 bring us all a sense of peace and contentment. m

I

t is a common misconception that companies should be filled with A-Players. You know the ones. High performers, often with very active egos’. The ones that bring in the big bucks if they are sales people and yet seem somewhat fragile at the same time. They want your job, as quickly as possible and will walk over you and everyone around you to get it.

You neither need nor want a company full of A-players. They are a necessity because they are excellent at what they do and produce results consistently. They tend however to be slightly fickle with their loyalty and their competitive edge can be more damaging than beneficial. Now, the worker bees, and that is many people within organisations, are excellent and we should have lots of those. Being a worker bee is not an insult but actually a compliment. They work hard, consistently, most often with the big picture in mind, often selflessly and most often with an understanding that teamwork always wins. While they want and deserve a salary increase and career advancement, it is not their primary motivation. These people are loyal to the organisation and will often be the first to put up their hands when something needs doing that is outside of their roles and responsibilities. An excellent comparison for me would be that of the human-

dynamo’s that generally populate the Parent and Teachers Associations (PTA) of schools. They are passionate about ensuring that the school wants for nothing, they work tirelessly and often against great odds and achieve much, often because of what they do outside of the PTA and not because of it. They just seem to fit it in and nothing seems like a mission. Do you know one of these people? Then you know they are an excellent source of productivity within an organisation. Now at the bottom of this totem pole of employees are the C-team players. These are the ones that never seem to get anything done but still manage to hang around in their jobs, getting raises and promotions, much to the annoyance of others. They are often the naysayers, telling you why things cannot be done and how things should not be done that way. Around them productivity and ideas seem to vanish into a vortex of scepticism. These are often the people who should be the first to leave but actually hang around the longest. That’s mostly because they are not treated in the correct way with courageous conversations that allow them to see the purpose of the organisation, the effect of their actions, or lack thereof, where they do or do not fit in, and the path to get there or leave. C-players seldom affect the A-players because they occupy different corporate orbits but they have an unpleasant impact on the workers bees. Get rid of the C-players. They hold little value if they do not wish to change. Do it now, before they spoil the taste of the honey that you are producing. m Vol 97 - December 2013

Message from the Chairman

Another turbulent and difficult year is almost over, but I am pleased to report that shop-sa/My Office not only survived, but managed to set the scene for a much more stable and exciting 2014. The following key issues were addressed during 2013: - During a meeting with our advertisers,

valuable input was received to improve the magazine and advertising support and therefore ensure its financial viability. The proposal made by advertisers, to find a balance between Industry/Trade and End-users was agreed upon and it was decided to produce alternate magazines with the focus being on the respective target groups. - The Working Committee also made a conscious decision to scale back all other activities, and focus on making and keeping the magazine viable. - Furthermore, the Board agreed with the Working Committee that a long-term solution was needed to take the magazine into the future. The result, after intense consultation and research, was a proposal to outsource the My Office magazine to a suitable partner, retaining the already reduced staff, and keeping control of editorial content. Attendees at the AGM agreed unanimously and accepted the appointment of Future Wave Media as

publishers of My Office. - In addition Future Wave Media agreed to administer the affairs of the Association, which will be managed by the respective committees and the undersigned. This means there are two separate entities: Future Wave Media/My Office and the association shop-sa. - shop-sa’s offices moved to Future Wave Media in Randburg during September, at last vacating costly premises in Rosebank. We can now look forward to 2014, with the magazine being in good hands and the shop-sa association starting to strengthen and again add value for our members. I would like to express our thanks to our staff and committee members who worked tirelessly under difficult circumstances! Finally, to you our members and readers, have a wonderful and safe festive season and a great 2014!

Stationery that makes the list Shop the smart way when buying your Back to School stationery list items and meet the 2014 school year head on. Get started on your Back to School (BTS) stationery list early – that means before Christmas and its accompanying inclination for festive over-spending. By purchasing the required items now, you will also benefit from all the BTS seasonal promotions currently running and avoid the disappointment and hassle of finding items have already sold out on the shelves. It will also give you enough time at home to label the new stationery items purchased and cover all books, so you and your child can face the first day prepared and stress-free. Choose a reputable stationer when purchasing your BTS stationery list items as they can offer you all the products you need under one roof. Many back to school stationery suppliers also offer other items that may not be on your back to school stationery list that you may need, such as paper to cover school books, labels for books as well as ready made clear plastic covers which make covering school books quick and easy. Since they understand their products as well as what the school is requesting on the list, it is often easier to leave the list with them and have them boxed up for you to collect on your return from other shopping. Get a list from your child’s teacher ahead of time or get the basics as listed below and wait until school starts to find out any additional requirements unique to the school. The school will recommend specific brands, sizes, or quantities. Even if the list isn’t available, you can still

take advantage of back-to-school promotional sales on the basic items. Remember, you can’t go wrong with tools that help kids get - and stay - organised. Get the basics but stick to tried and tested brand names and don’t waste your money on gizmos such as feather pencils, light-up pencil sharpeners, or pretty erasers that don’t work. When it comes to organisational helpers, keep in mind that expensive folders with multiple pockets and zippers are often too bulky to fit in desks, and it is better to stick with more streamlined (and cheaper) models. Some items get used up and need to be replaced more frequently throughout year. These are usually items such as glue sticks, erasers, pencils or rulers. Take advantage of bulk buy promotions on these items and put them away in a draw for when they need to be replaced. When buying scissors, choose blunt ended styles for younger kids, and pointed for older ones. If you child is left-handed, be sure to purchase a pair of left-handed scissors. When buying pencils, buy a mid-range lead, such as HB or HB2, anything else might be too light or too dark to rub out easily. Save yourself money and frustration by buying a brand name as these leads are less likely to break when dropped. When buying ballpoint pens, blue is the standard colour used in schools but get a few red ink ones too, because some teachers have students do peer editing. Choose a pencil sharpener that is hand-held Vol 97 - December 2013



back to school with a top to collect the shavings in, as this will protect pencil cases from getting grubby. Choose a large eraser that is easy to hold when applying pressure and that is covered for protection and can be peeled back when more rubbing surface is needed. Traditional brands do the best erasing. Highlighters are essential for learning for exams – choose a selection of colours from a known brand if you don’t want them to dry out in a few weeks’ time. An innovation introduced by Bostik is the Neon Twister which works as a crayon highlighter, moves freely across the paper and does not dry out. When purchasing pocket folders, it is a good idea to buy two and label one “keep at home” and the other “bring to school” to help your child organise his papers. Remember to stock up on printer paper and ink cartridges for your home computer in preparation for home research and projects. Choose study aids, such as index cards, which are great for use as flash cards either when learning at home or doing class orals. When choosing organisational stationery, you can decide on a plastic pocket book file for storing and carrying loose papers or a hard cover file with single perforated plastic covers that can be easily removed

or added to a project. To save your child lugging around bulky binders, suggest using a notebook with tear-out pages, plus an accordion file folder with tabs for each subject. The student is then able to take notes in class, slip the pages and any hand-outs into the designated slot and at the end of the week, empty all the materials into a colour-coded filing system at home for safekeeping and easy access when learning and revising the year’s work. Alternatively create a “home file,” either a file box or a cabinet drawer, with a slot for each subject; colour-code the tabs to match up with any folders or pages used for each class. This gives the student a place to unload weekly papers, but it also helps them organise reference materials e.g. that periodic table of the elements. Plan ahead with a week-at-a-glance planner that can be placed somewhere prominent in the home and updated weekly from the student’s daily homework diary – this will remind both you and them when regular and ad hoc events are taking place. Don’t skimp on price when it comes to choosing a school bag. You will need a sturdy, supportive backpack otherwise the weight of poorly constructed bag can affect your child’s posture when lifting and carrying, and lead to future back problems. Some schools do not permit

rolling backpacks because of space considerations, so check with your school before purchasing one. One invaluable item that is generally not on your child’s BTS stationery list is a permanent marker. Make sure you purchase one or two of them so that you can mark your child’s new stationery with his or her name so that they may be returned if lost. Also remember to buy sticky tape, ready-made coloured book covers or printed paper; and rolls of plastic or sticky contact for a final protection. Stay stocked with poster board, markers, paints and brushes, and any other creative arts items for the day when your child tells you at 8pm they have just remembered they have a project that needs to be handed in the next day. A large part of the BTS landscape is the daily packing of lunch boxes. Make your life easier with reusable lunch tins, either with compartments or cooler bags to keep food fresh and cool. Pay extra for a good water bottle which won’t leak and super glue a sticker or miniature toy to it to identify it as yours and prevent it from being swiped. Keep sandwich bags handy for loose snacks such as nuts or cut fruit, which can be recycled by washing and reusing. Finally, teach your child the value of each item so they can learn how to care for them and get the longest possible use out of their personal stationery. m

These devices plug into the USB port on your computer to upload or download data, and then store the information for up to 10 years without the need for batteries or other power sources. Best of all, most USB drives are about the size of a stick of gum, allowing them to fit comfortably in your pocket or on a key ring. Many companies give flash drives away for free as part of product promotions or marketing plans. Some contain sneak peeks of new games or software programs, and others serve as a business card for the company. Users can access the data on the drive, then simply delete any unwanted information and reuse the drive again and again. 9: Laptop Bags For the laptop user, selecting the perfect carrying case can be nearly as much fun as choosing the computer itself. These bags feature well-placed padding to protect your laptop during transit, and some even include built-in solar panels to charge your battery when you’re on the move. Both bags and sleeve-style holders also allow you to showcase your unique style, with designs ranging from bold patterns and prints to the finest leather. Laptop users who travel frequently may want to spring for a “checkpoint friendly” case to speed up the airport security process. These bags feature butterfly, trifold or sleeve-style designs that allow scanners to inspect your computer without removing it from the case. 8: Speakers A surprisingly large number of consumers use their computers primarily as multimedia entertainment centers. Sure, they may send a few e-mails or browse the Web, but music, movies and games often take center stage. For these users, high-quality speakers are a vital accessory and advanced sound systems now rival those found with top-of-the-line stereos. These speakers may plug into USB ports or connect to the computer wirelessly using Bluetooth technology. The right speakers provide much better sound quality than the tiny built-in units found in the

average computer. You’ll experience less interference and more realistic sounds that can boost your computing experience. Of course, you can always use a pair of high-quality headphones to enjoy a similar level of quality without disturbing your roommate, family members, or the guy seated next to you on the Gautrain. 7: Gaming Gear From Second Life to World of Warcraft, gaming and software manufacturers enjoy sales of more than $10 billion a year and rising. If you haven’t played computer games recently, you’ll be astounded to see how much gaming has evolved from the early days of Pong and Asteroid. As gaming has grown, so too has the number of accessories used to play these games, with each one offering a slightly different experience or edge. The basic joystick or gamepad plugs directly into your USB port for online play, and steering wheels and flight control systems offer a realistic driving or flying experience. One of the hottest features is “force feedback,” which sends vibrations or other motions through the game controller to reflect the action on your computer screen. 6: Compressed Air Can When the keys of your keyboard start sticking, or you just can’t seem to get the buttons to work correctly, it’s time to break out the compressed air can. This simple tool clears crumbs, dust and other debris out from between your keys by directing air through a narrow tube, similar to a straw. You can even use compressed air to extend the life of your computer by cleaning fans, air intake grills or the power supply. Built-up dust in these areas cuts off ventilation to vital operating components, causing them to overheat. Routine cleaning keeps your computer running, and compressed air cans make this task easy. If you have an old track-ball style mouse that’s acting up, try twisting off the base and using compressed air to blow dust out of the inner cavity. This allows the ball to roll freely within the casing, eliminating cursor skips and jumps. 5: Webcam Computer Webcams allow you to enjoy video chat sessions with family and friends, or conduct business with people around the world. Some laptops feature built-in cameras, but many desktop computers require a separate Webcam that plugs into a USB

The indentation would appear as a white letter or other character. Tips for covering school books

Covering school books both protects them and preserves their contents, but it can be a whole lot of creative fun too! Once you have the basics down on the perfect method to covering school books and the best tools to use, you can then branch out and customise them to look like you! Method: Place the book on the centre of the paper, leaving at least a 2cm border on all four sides. Mark where the spine sits with a pencil. Use scissors to make two v-shaped cuts in the paper at the top and bottom of the spine. Fold the paper edges over the back cover of the book, neaten corners and tape down. Close the book and fold the paper over the front cover (it’s important that the book is closed so the cover fits perfectly). Fold over edges, neaten corners and tape. Decorate the front and back, attach a label and cover with contact adhesive, plastic sheeting or ready-made plastic book covers. Heavy duty plastic will help reinforce corners and binding, and ensure books will last throughout the year. Ideas: There are so many book covering possibilities – you can try unused gift paper to calendars and artists canvas, menus or blue prints to vintage maps, sheet music to magazines or newspapers from foreign lands, wall paper to fancy shelf liners, trading cards or stickers. Cloth covering is not only biodegradable but serves as excellent cover protector - antiquarian books can be purchased today which are largely intact still thanks to cloth covers having been lovingly added many decades before. It’s also a very sophisticated statement for book lovers. Covering a book with cloth requires basic knowledge of stitching, as you will need to sew up the corners. m

long with our personal resolutions for the New Year, we could all do with adding ‘office organisation’ to our list to ensure we make the most of our time spent at work. Before we start, you may first want to ask a professional. Your stationer or office products professional is trained on the latest and best products available to help you solve your organisational dilemma’s. Take advantage of technology, ask for help, preview the office supplies catalogues and make some pivotal choices in tools and furniture that is going to bring some structure to your space.

Next, take time to recognise your strengths and weaknesses when it comes to managing your paperwork so you can design a system that works the way you do. There are some common organising styles that the majority of us fit into. The Stacker lives with piles of paper on every available space; when one falls over, another begins. The obvious filing solution for a Stacker is letter trays, a desktop sorter or a caddy and inexpensive desk trays which will not only get the clutter off of your desk, but will also improve the flow of information to and from your work area. The Over-Categoriser creates a new file folder every time a piece of paper crosses their path. Their desks are spotless but it takes 10 minutes of searching to retrieve a document. The best solution here is a hanging file folder but

organisational ideas hanging file folders that contain fewer than five documents is a sure sign that you need to start broadening your filing categories. Use general categories to label hanging folders, and then go ahead and create as many interior file folders as feel you need. The Out-of-Sight, Out-of-Minder keeps everything on top of their desk or taped to their monitor, afraid that if they put it away they will forget about it. This person has probably learned from experience that she needs constant visual reminders in order to get things done. What will work best for this organising style is a combination of a bulletin board or magnetic strip and a hanging filing system. Put items that need immediate attention on the bulletin board. Once the work is complete or is awaiting authorisation, store it in your expanding file until you need to look at it again. Sticky notes in a variety of eye-catching colours and designs can also help you remember phone calls you need to make and meetings you need to attend. While identifying your File Style will help you create a system that works for you, there are some basic rules of effective file management that apply to just about every style. Rule #1 – What to keep and what to toss. Toss as much as you can out as soon as you get it. Its called a File 13 and is the waste paper basket beneath your desk. An accordion organiser is a handy way to sort and store scraps of paper and receipts you do need to keep. Rule #2 – Map it out. Before you get to work on your new and improved filing system, get it down on paper. By first writing it out, you have the opportunity to evaluate the system and fine tune it before you go through the process of creating labels and actually putting everything away. Make sure that your written system is created in the form of an outline allowing for main categories, which will be your hanging file folders, and subcategories which will be interior file folders. A written plan will also allow you to plan for supplies so that you won’t be interrupted by re-ordering midway through your quest for file organisation. Remember you can also put the contents of your file drawer in a binder, or the pages of a binder in a storage box, or use a document box to hold file folders. There is no one filing system that is perfect for everyone.

Rule #3 - Establish activity centres. The efficient office should be zoned into activity areas: The Work Centre, which includes a clear workspace, the computer and frequently-used office products. The Reference Centre, which includes binders, manuals, dictionary and professional books and materials. The Supply Centre, which contains office and paper supplies. Position your equipment by frequency of use. If the printer is used daily, it should be within easy reach. If the CPU is only accessed for troubleshooting, it can be placed under or next to the desk. If a scanner is rarely used, it can be placed outside the work area. When setting up hardware, be conscious of access to drives, trays and cords. Rule #4 – United together The paper clip is a very effective office organisation tool that often goes unused. If you have documents that go together but you cannot staple them, then use a paper clip, it can keep your important papers organised without the collateral damage caused by a stapler or tape. If you need the quick convenience of a stapler or punch, choose a solid, colour-coded product that will match the walls of your office and won’t break if knocked off the table top. Organise client business cards into handy flip page card organisers and remember a rolodex isn’t just for business contacts. Use them for recipes, website log-ons, and passwords.

organisational ideas Arrange desk essentials, like a tape dispenser, Post-it Notes, and scissor on a tray of you choice to match your existing décor – whether vintage or uber modern, it will help keep it looking orderly and a lot prettier. Invest in interior draw trays and keep order inside the draws too. When your space reaches capacity, it’s the one in, one out rule: If you buy a new book, out goes an old one. When you discover a trove of pens or blank CDs, donate them to a school – the average teacher can spend as much as R900 of her own money on supplies and will be grateful for your castoffs. Use labels that attach easily to metal shelving, boxes, and bins. Rule #5 – Location and secure data To get work done without the temptation of looking over your computer towards other distractions, place your monitor in front of one of the walls of your office or cubicle. Choose the wall closest to your door that would allow the monitor to face you but not allow people to look over your shoulder to see what is on your monitor. Label the cords that connect different components to each other, as well as the cord to the electric supply. Bundle like wires together to cut down on cord clutter. Invest in a backup system and schedule a regular time every week to back up your files. Use a surge protector for all delicate electronic equipment. High-end protectors are built with replaceable fuses and will last longer than less-expensive models. Use a multi-device charging station and free up space on your desk. Rule #6 – Comfort, social and down time Make your cubicle or office functional, but not comfortable. The more comfortable and interesting your work area is the more likely you are to get people dropping in to interrupt your day. The only creature comforts should be for you, such as a padded chair so you do not injure your back, a wrist cushion, a

supportive back or foot rest, water jug, personalised mug or USB fan attachment to keep you cool. Keep a pack of decorative cards and envelopes on hand for last moment thank you’s, birthday wishes and invitations. Strictly monitor personal emails and Facebook time. Allocate half an hour a day at most. Rule #7 – Filing supports and storage While a cabinet full of hanging file folders is considered by some the gold standard for file organisation, it is not the only option. A neat row of labelled binders on your bookshelf keeps paperwork at your fingertips, magazine files are just the thing for storing catalogues and directories; banker boxes are the perfect solution for odd-sized items like brochures and pamphlets, and desktop sorters keep frequently used files in easy reach. Feel free to use one method or a combination of many. Update and replace all torn files. Buy new files to suit your décor or in different colours. The best file systems are colourcoded – we recognise visual cues faster than labels – then organise them alphabetically within each colour scheme. Never put the word “Misc” on any file - once you file it, you’ll forget what you put in it. Organise more immediate papers in an accordion file with 12 pockets and designate one pocket for every month. Create a ‘Take to Meeting’ bin and fill it as you come across relevant items – this will stop you from feeling unprepared for your next meeting. Make a pending folder and revisit it often to make sure the action required or response needed occurred. Setup this folder in your email inbox for “pending” items there too. Things used less often can be stored up

high or down low. Shelves, wall baskets, wall-mounted or magnetic file holders and hooks are most helpful. Rule #8 – Boards, diaries and notebooks Use a telephone message log or journal to write down voicemail messages and notes during telephone conversations. You’ll have a record of all calls and numbers in one organised location. Use a daily desk planner, keep a strict appointment diary that you check the previous day for upcoming events and keep an art journal in your desk or bag for inspirational ideas. Rule #9 – Form and furniture Almost any piece of furniture is improved by wheels. You can bring a file cabinet or set of drawers out in the morning, then push it under the desk or into a closet at the end of the day. Keep a ‘clean’ section where you store screen and CD cleaners and cloths, tissues and wipes for spills, and hand creams and emergency medical supplies. Rule #10 – End of day Staying organised does not require a large time commitment. At the end of each workday, when you have 15 to 20 minutes before you are ready to leave, put things back where they are supposed to be. File all papers in their appropriate plastic bins or file folders, put your stapler back, move your phone back to its place and put your pen in the pen holder where you will not lose it. Then take a few minutes to write up a “to do list” on the white board in your office. When you arrive the next morning, everything will be where you need it to be and you will know exactly what you have to accomplish for the day. m

Style and Grip Penmanship Whether just learning to write for the first time or battling to hold onto a pen with aged hands, the ergonomics of a pen remain key.

W

riting can be a pleasant and rewarding experience, especially when enjoyed as part of daily journaling of one’s thoughts and dreams, however our recent Matric’s might not agree at this point, having just had to complete hours of exam fact regurgitation. I still bare the ‘scars’ of my Matric ordeal via a rather large lump on my middle finger that formed as a blister and stayed as a permanent guest. Back then, we didn’t have articles on how to hold pens correctly or ergonomically designed instruments sporting retractable tips and gel inks for added glide. At least I had things better than my dad. He was left-handed but was forced to use his right hand in school, to the point that they tied his left hand behind his back – and it most definitely had an effect on his handwriting.

Learning how to hold a pen correctly for little learners is essential as incorrect gripping habits will eventually lead to ink smears, ripped paper, less legible penmanship and for some, regression in writing and drawing ability as they re-learn the correct way to hold their pen, pencil or crayon. Later on in life and for people who write frequently, these nuisances can give way to writer’s cramp, arthritis, tendinitis and carpal tunnel. When writing longhand, the ergonomics of your writing instrument will have the largest effect on your comfort level. Fortunately, some of the best – and cheapest - pens on the market are ergonomically designed for comfort and sustainable writing. What to look for: A cushioned grip on a pen is designed for comfort and to reduce writing fatigue. Vol 97 - December 2013


The first finger (pointer finger) and thumb make a slightly irregular shaped circle. The other end of the pencil comes out of the circle and rests near the knuckle at the base of the pointer finger.

Size and comfort are optimal. Your favourite pen should require minimal downward pressure – from a single finger to control it and a very light muscle action in the hand. Modern Pens Ink pens, correction pens, eraser pens, highlighter pens, interchangeable ink pens, mechanical pens and markers - the choice of pens and their uses today are endless. Kids who play video games do better as adults

If you tell boys they can spend their time doing whatever they want, - they can learn whatever is interesting to them - they will learn a lot about video games.

I

t’s difficult for most parents to allow their kids to play video games for hours and hours every day. I know, so I spend a lot of time reading about the effects of video games to understand the dilemma. And the first thing I’ll tell you is that research based on “screen time” which includes television, concludes that it’s detrimental to kids in large doses.

Research specific to video games shows largely positive effects from high engagement. The core difference is passive vs. active engagement. When a kid is zoned out in front of a TV, there is no problem-solving or strategising. That’s not true for a video game. A kid who is completely absorbed in a video game and can’t hear a word his mom says is actually exhibiting the behaviour psychologists like Mihaly Csikszentmihalyi calls flow — which is the highest form of learning because it’s such engaged attention toward mastery of a skill that you don’t notice anything around you. The American Medical Association recommends limited screen time because of the passive nature of watching TV, but ironically school is passive, like TV, and harmful to kids for all the same reasons that screen time is passive and harmful.

Video games are not passive. I come across research all the time explaining why unlimited video game time makes for healthy kids in the same way that unlimited baseball practice does for a kid who loves baseball. A kid stops naturally when he is exhausted from exerting effort. I have to tell this to myself every day when I hear the boys screaming about their video games from the room next to me. And, recently, I’ve found a bunch of research that shows that gamers are happier and more successful as adults. This is what will get me through my doubt for this week: Gamers do better in jobs that are active. For the types of jobs that require hand-eye coordination, gamers are not only better at doing the job, but continuing to play the games a little bit each week keeps these professionals sharp at work. We have known about this research for a while from the military, but a study from Iowa State University shows that even surgeons perform better when they regularly play video games. Gamers are better at jobs that are intellectual. In the future, thinking-type jobs will be largely about data gathering, analysis and collaboration. So kids need to learn data gathering early. If you tell a kid to

do research online for a paper they are writing for school, the kid is not doing self-directed research. They are finding something because they were told to. Gamers constantly gather information online about the game to be better players. The data collection and synthesis skills are much stronger for someone obsessed with a topic, because they are driven to find more and more specialised information. In the workplace right now, the gap between the value of a younger person and an older person often rests in their differing abilities to search for information online. In ten years the search and synthesis skills one will need in order to be a high performer at work will be much higher than they are today. This is okay, because kids’ brains fundamentally change when they are online searching and taking in information all day in odd bits and chunks. If you don’t allow your kids’ brain to develop this way, they eventually will have an outdated way of problem solving. Gamers are happier over the long run. Science Direct republished a study that shows that gamers report a higher sense of wellbeing than non-gamers as they age. A lot of this probably has to do with the fact that gaming is social and gives people a sense of belonging to a community. Which means that the long-term benefits of spending a lot of time on video games are similar to the long-term benefits of spending a lot of time at church. m Vol 97 - December 2013

BIC donates 1.2 million pens to the needy BIC has handed over 1,2 million pens to needy children at 1369 schools across the country through the READ Education Trust this year to learners at schools serving disadvantaged communities – all as part of its 2013 Choose BIC and Change a Future campaign. Speaking at the handover ceremony at the Mbuyisa Makhubu Primary School in Orlando West, Soweto, BIC Marketing Manager of stationery, Millicent Quoilin, said that the campaign had clearly resonated with both retailers and consumers. “Over 30 different BIC products carry a Choose BIC and Change a Future sticker. For every pack sold, we commit to donating a pen to a needy child. For a greener world Energy Efficient Tax Incentives launched The National Treasury has published section 12L, which puts into operation deductions of energy efficiency savings in terms of the Income Tax Act of 1962. This long-awaited announcement was welcomed by the Certificated Measurement & Verification Professionals (CMVP) industry which has been advising clients to prepare for the imminent release for a while now. The 12L allows deductions calculated at 45 cents per kilowatt hour or kilowatt hour equivalent of energy efficiency savings. A person claiming the deduction must obtain a certificate issued by an institution, board or body prescribed by the regulations. Such bodies can be found on the South African National Accreditation System (SANAS) website www.sanas.co.za.

To claim for energy efficiency savings from National Treasury the Regulation requires that a baseline must be set at the beginning of an assessment year with a reporting period of the energy use at the end of the year of assessment and that such savings calculations meet the full criteria and methodology used to calculate energy efficiency savings. To find persons qualified to provide M&V services, the Council for Measurement and Verification of South Africa (CMVPSA) is an independent professional Measurement & Verification (M&V) Body that represents the South African industry. SA’s first utility-scale solar plant goes online In South Africa, the Kalkbult solar power plant has gone online three months ahead of schedule. It is South Africa’s first utilityscale photovoltaic solar power plant. It has an electricity generation capacity of 75 MW and consists of 312,000 solar panels. 600 construction jobs were created by the project, 16% of which were female. Construction of the plant began in November 2012, in Petrusville, Northern Cape Province, and was carried out by Scatec Solar, a Norwegian energy company. The national utility Eksom is to purchase an estimated 135 million kWh per year from the Kalkbult solar power plant via a 20-year power purchase agreement (PPA). The electricity is to cleanly power approximately 33,000 homes, and operate on a piece of leased land from a 105 hectare sheep farm.

I doubt the sheep would mind, as solar panels produce no noise or gases to disrupt them. “The fact that renewable energy can work in harmony with the environment and without disrupting surrounding activities is often overlooked,” said Raymond Carlsen, CEO of Scatec Solar. “After 20 years, we can upgrade the project with the latest technology and continue operations for many years or we can dismantle it and leave the environment in its original natural state.” This is only 1 of 47 plants awarded PPAs with Eksom under the REIPPP national procurement program, and is a step away from South Africa’s heavy dependence on coal-fired power plants. First ever renewable energy branch for Nedbank Nedbank Group has unveiled Africa’s first ever banking branch that fully offsets its energy usage through renewable energy sources. The Lansdowne Corner branch situated in Cape Town utilises an innovative hybrid power installation, effectively making it a 100% off-the-grid outlet. The grid-tied renewable energy system harnesses solar and wind energy and converts this to standard mains electricity directly to the Nedbank branch. The Lansdowne Corner branch was transformed to run completely on renewable energy as part of Nedbank’s commitment to being a leading enabler of environmental sustainability in South Africa. So effective is the hybrid energy installation that, during some months, it actually generates more electrical power than it uses. Any excess production is allocated to the shopping centre lighting, which is compliant with current legislation in that no energy is ever exported to the Municipality grid. At this rate the set-up costs for the bank will be fully recouped in only 9 years, which is in line with expectations. According to Ciko Thomas, Managing Executive of Consumer Banking for Nedbank Retail, the achievement of Africa’s first fully off-grid bank branch is the direct result of Nedbank’s commitment to applying innovative thinking where such technological advancements become catalysts towards a thriving green economy. In continuing to making banking more accessible to all in South Africa, this commitment also extends to delivering a choice of distinctive banking experiences and relevant products and services to meet the needs of clients at every stage of their lives. “The off-grid hybrid installation offers proof of what can be achieved when organisations have a genuine vision for, and commitment to, contributing to a greener future for our country,” he explained, “and builds on the similar success we have achieved previously with the implementation of South Africa’s first partially wind-powered bank branch in Du Noon, also in the Western Cape, unveiled in 2010.” According to James Carpy, the Technical Director of Kestrel Renewable Energy, which was contracted by Nedbank to undertake the installation, the hybrid grid-tied system is capable of supplying the branch’s full annual electricity demand of 70 000kWh, which can easily supply electricity for approximately six middle income households in SA. “This is a remarkable achievement,” he points out, “particularly since it ensures that the branch’s operations will now have little to no climate change

impact, thanks to its vastly reduced carbon footprint.” According to Carpy, this innovative renewable energy solution by Nedbank will effectively help to lower South Africa’s total CO2-eqt emissions by approximately 71 tonnes per year. Thomas stresses this model is symbolic of how renewable energy can give rural communities access to resources where there are infrastructure constraints. In keeping with Nedbank’s integrated sustainability approach, the launch of the Lansdowne Corner renewable energy system was also accompanied by two community sustainability outreach projects that see Belmore Primary and York Primary schools in the surrounding area benefiting from vegetable tunnels, rainwater harvesting tanks, as well as sustainability workshops, empowering them to also embark on their own journeys. “We believe that Nedbank Lansdowne Corner has set the standard for future ‘green’ banking branches in South Africa,” Thomas concludes, “particularly since it exemplifies the transformative potential that can be unlocked when an environmentally-friendly bank branch is accompanied by a firm commitment to ongoing community involvement and upliftment, while also ensuring more people have access to empowering banking solutions that can change lives and build better futures for all.”

Shoplifting is a serious crime he Consumer Goods Council of South Africa (CGCSA) regards shoplifting as a serious crime that leads to huge losses within the retail sector and has put in place measures to combat it.

Speaking at the Consumer Goods Council of South Africa Summit recently, national police commissioner, General Riah Phiyega said that the big five retailers incur huge losses through shoplifting every year. James Oosthuizen, Head of the Consumer Goods Risk Initiative at the CGCSA said all retailers, regardless of their size or goods they sell are faced with the problem of shoplifting. “The CGCSA is concerned that shoplifting is currently not taken as seriously as it should be. The perception is that one or two items are stolen by desperate people but in fact there are major syndicates operating using “vulnerable looking” people to steal for them,” Oosthuizen said. “Thieves can pose as customers and then use the opportunity to steal stock.

Losses due to external theft are very difficult to define as syndicates concentrate on certain products which are usually high value as opposed to some items stolen by “customers” who cannot afford the product.” Oosthuizen said the CGCSA welcomed the police commissioner’s willingness to work together with business to combat crime in the retail sector. The CGCSA have set up a shoplifting forum which will assist with this ever increasing problem. The Shoplifting forum is being chaired by the South African Police Services (SAPS) and consists of Consumer Goods Risk Initiative (CGRI) members (mainly retailers), SAPS representation from their National Head Office, the National Prosecuting Authority and the Asset Forfeiture Unit. All shoplifting incidents that are of organised nature are being sent to a General from the Detective Service who coordinates the investigations. Regular feedback on progress and discussions on best practices are being fielded at the forum meetings. He continued to say that one of the best defences retailers have against shoplifting is reducing the opportunity to steal and increasing the risk of being caught. “Deterring shoplifters is a much more productive and cost effective methodology

in preventing shoplifting than simply relying on apprehending them. Well trained staff can deter shoplifters through direct eye contact and by the way of positive verbal communication skills. “A shoplifter can be anyone in the store. Studies estimate that one in every 10 person attempts to shoplift at some stage. Regardless of the type of shoplifter they all have the same three objectives which are to enter the store unnoticed, conceal merchandise without detection and leave the premises unnoticed,” he said. The CGCSA has developed tips for retailers on how to prevent shoplifting. Some of the common characteristics of shoplifters include taking too long to decide what to buy, lingering in one area or wandering aimlessly and also groups that enter together and split up. Oosthuizen says shoplifting can be prevented. Some of the practical solutions to preventing shoplifting include, acknowledging customers as they enter the store. Fast efficient services will deter most shoplifters and always watch the nervous customer who does not want assistance, if suspicious watch their hands.
