elcome to this edition of the shopsa magazine. As many of you might know already, this is the last issue that will be titled shop-sa on the front cover as we rebrand the magazine to its new title of My Office. In line with the rebranding, shop-sa has been hard at work behind the scenes in a drive to increase distribution markets to include greater reach to the end-user, consumer and corporate procurement and purchasing officers.

While we will continue, as an Association, to serve our members in the trade of stationery and office products, we will also be taking up the role of communicating, educating and providing information to the greater end-user market; the discerning purchasers of the very necessary items that make our office environments hum along so smoothly. Imagine reaching for a pen to scribble a memo down and there simply wasn’t one there? You want that report printed and there was no A4 copy paper available at all? Your boss wants something shredded, laminated, punched or filed and you don’t have the tools or technology to do it? The wheel breaks off your chair the first time you sit on it and there is no way of returning it. Often we don’t stop to consider just how important stationery and office products are to our world, only noticing when something is not working or unavailable. Crime Alert

Avoid Office Supply Scams Protect yourself or your company from becoming victim to an office supply scam by putting basic procedures in place. Fraudsters have learnt how to take advantage of holes in your organisation’s purchasing procedures or of unsuspecting employees who may not be aware of office practices. The typical office supply scam involves goods or services that you routinely order: copier paper, toner and maintenance supplies. They may claim to be your ‘regular supplier’, or sell you an offer that is "special" or "good for a limited time only." Don’t be wooed by offers that are too good to be true as they most likely are. These goods are either off the black-market, of inferior quality or will not work at all. When ordering stationery and office supplies always: 1. Assign designated buyers and document your purchases. For each order, the designated buyer should issue a purchase order to the supplier that has an authorised signature and a purchase order number. The purchase order can be electronic or written. The order form should tell the supplier to put the purchase order number on the invoice and bill of lading. The buyer should also send a copy of every purchase order to the accounts payable department, and keep blank order forms secure. 2. Check all documentation before you pay the bills. When merchandise arrives, the receiving employee should verify that the merchandise matches the shipper's bill of lading and your purchase order. Pay special attention to brands and quantity, and refuse any merchandise that doesn't match up or isn't suitable for

your equipment. If everything is in order, the receiving employee should send a copy of the bill of lading to the accounts payable department. Reconcile bills for services the same way. That is, don't pay any supplier unless the invoice has the correct purchase order number, and the information on the invoice matches the purchase order and the bill of landing. 3. Train all staff in how to respond to telemarketers. Advise employees who are not authorized to order supplies and services to say, "I'm not authorized to place orders. If you want to sell us something, you must speak to _______ and get a purchase order." Establish a team that includes the employees who buy and receive merchandise or services, and those who pay the bills, and develop some standard operating "buying procedures." For example, buy only from people you know and trust. Do not deal with unknown sellers without first verifying the reliability and complaint history of the seller’s business, for example, are they accredited members of the Stationery, Home & Office Products Association (shop-sa)? Call shop-sa on 011 880 1147 to confirm. Be skeptical of "cold" or unsolicited calls and practice saying "no" to high pressure sales tactics. Legitimate companies don't use pressure to force a snap decision. Finally, consider asking new suppliers to send a catalogue first. Formprops 66 (Pty) Ltd restructuring Following the Debt Alert notification that advised the alleged liquidation of Formprops 66 (Pty) Ltd, Debt Alert has now confirmed that Formprops 66 (Pty) Ltd has re-opened its doors and is under new management. Following a restructuring, the company saw a brief closure of its doors pending successful negotiations of the restructuring and as of 19 June 2012 new directors have been appointed. Greener cities and businesses Municipalities compete for green Award The Greenest Municipality Competition Awards, previously known as the Cleanest Town Competition, was established ten years ago as a national government intervention to assist in addressing some of the waste management challenges in municipalities around South Africa. The focus sees municipalities as strategic partners towards addressing long term sustainable development, economic growth and quality of life due to their proximity to communities and at the coal face of service delivery. The Greenest Municipality Competition requires municipalities to become actively involved in advancing the objectives of the Green Economy, which encompass the need to facilitate the introduction of initiatives such as solar energy and

greening programmes, and introduce programmes which reduce greenhouse emissions. The overall guideline is aimed at encouraging sustainable developments while providing work opportunities. The promulgation of the Waste Act (Act No. 59 of 2008) marked an important milestone in the waste sector. Through this Act, a significant shift has been made in government’s approach to waste management. Through the Greenest Municipality Competition there has also been healthy competition by participating municipalities over the years. Substantial prize money is awarded to winning municipalities. SA companies doing Green Business Green Companies in South Africa are introducing a new industry standard for

brand building to deliver real value to customers who in turn can pass this benefit to their customers and ultimately consumer South Africa. Steven Isaacson, joint CEO of Kevro, the largest and leading corporate clothing and promotional gifting wholesaler in Africa, rejected over 50 000 products to launch a South African first, environmentally compliant and child safe gifting range that is both safe for consumers and the environment. “There is a huge global focus on environmental sustainability, and organisations that do not conform to the highest of standards can suffer immeasurable damage to their brand. It must be noted that the average Lead and Cadmium quantity in the equivalent promotional non-green range of products is 6 - 10 000 parts per million. The focus is also on utilising sustainable resources that are recycled, recyclable, reusable and energy saving that will enhance the consumer’s relationship with a company’s brands, as well as exposing its brands to a wider audience. Natural elements are utilised as base materials, such as recycled plastic bottles, Bamboo, Cotton and corn. Steven Isaacson says, “In turn end consumers will not only enjoy original, great looking and safe promotional items, but your brand presence will be strengthened and raised to a new level knowing that your business is making an effort to improve on environmental and safe product by utilising product that meets these standards. Visit www.kevro.co.za m Launch of first carton recycling facility During the week of World Environment Day, Tetra Pak and Gayatri Paper Mills had the operational launch of the first carton recycling facility of its kind in South Africa, which ensures the complete, environmentally responsible and friendly lifecycle of the carton, from cradle to grave, as 6 000 tons of used beverage cartons per annum are destined for local reuse. “When the contents are gone, the carton lives on,” says Rodney Reynders, environment cluster leader, sub-Sahara Africa at Tetra Pak. “The unpretentious carton pack goes largely unnoticed in consumer homes worldwide more than 400 million times a day - appreciated for its low carbon, low cost simplicity but unrecognised for its engineering excellence.”

The cartons are made even more environmentally friendly with the introduction of the recycling facility, as the impact of every element of the carton’s lifespan is now considered, from responsibly managed forests to reinvention as a recycled product. The partnership is looking for rapid annual expansion in the volume of recycled material which will be sold back into local industry. The model is based on established carton recycling businesses in Brazil and seeks to include partners from local businesses to government and entrepreneurs. Recyclables are collected across the country by waste management and private collection companies who sort them into different material streams. It’s inconceivable for many people to consider going three or four days without access to some form of electronic communication, be it the ubiquitous BlackBerry Messenger, addiction-of-the-day Facebook, Twitter or email.

W

hy? We get consumed by what we believe is important, like managing our mailboxes, which often leads us to lose sight of what is important, getting the job done and thinking about what else we can do on a daily basis to add value to the company we work for.

Research shows that we have become so locked in to working with electronic tools of some form or other that we are slowly losing our ability to function as normal human beings. In Europe the continual growth in the number of mobile workers (those that either work from home or are “road warriors”) continues to grow. The benefits for the employer are obvious. Fewer desks, fewer people in the office, lower overheads. There is however, a downside to this trend in that communication with offsite employees is not yet seamless. There is also a degree of disconnection that takes place when human contact is removed, or at least minimised. These are just a couple of aspects relating to the encroachment of digital on our lives. Even though it is nearly twenty years since the advent of mainstream internet and myriad books and papers have been written about the topic of how it has and will affect us, we still don’t seem to have a handle on when enough digital is enough. Platforms like Facebook just add to the frustration of getting

your life back in to your own hands. It is addictive. It is intriguing. It can be relatively mindless, almost taking over from television as a means to escape. And it can be scary. Addictive because it traps you in a never ending cycle of clicks to see this and that. Intriguing because you get a voyeuristic view of someone else’s life without having to “connect”. Mindless because you can get lost in Facebook. I’ll bet, if you are a Facebooker, that in the past two weeks you have at least once had a sudden awakening, come to your senses in front of your screen only to realise that you have just spent an hour or more wandering through the malls of Facebook. You are not alone as around 526 million people across the globe access the site on a daily basis. Scary because people know a hell of a lot about you and your life without having spoken to you in the past six months or possibly ever having met you. Believe it or not, this is not all good for you as a human being. The evolution we have gone through has taken thousands of years so we have had however, loads of time to adjust to a changing environment. The recent revolution of digital in our lives has come reasonably abruptly and we need time to assimilate it. Ultimately the decision of how much importance you are going to give always on/always attached, within your life, is yours. It is however worthwhile taking a digital holiday for a couple of days. It will give you perspective. Show you what is important. Reintroduce you to your children and wife/husband or, maybe, it will show you how much you love being a digital human being. m Vol 96 - Issue 07

Be gentle with your customers A woman (61) was fined for blowing a whistle down the telephone at a call-centre worker. Fed up with a constant stream of cold-calls to her house she, sadly, ended up in court with a fine the equivalent of R8 000 after damaging the hearing of her victim.

T

he elderly woman of German descent told the judge that she was so annoyed by the unending stream of marketing calls that she had snapped and blown a whistle into the receiver. She was hoping just to deter the company from calling her again, but ended up convicted of bodily harm after giving the female call-centre employee hearing problems and tinnitus. The woman initially challenged the fine but decided to pay it shortly before an appeal hearing was due to be heard.

Now I have to admit that I have been tempted to do something similar to companies that annoy me – fine or no fine. Being an old-fashioned person, I feel uncomfortable being rude to others (like slamming down the phone) but equally so,

I think it’s incredibly rude to interrupt me to sell me something I don’t want, and it’s downright unacceptable to ask me to pay for an SMS to opt out. Another example is the negative emotion most of us feel towards SANRAL and the current tolling system. By far the majority of people are happy with the new roads, and they have certainly saved us a lot of time and frustration in Gauteng. I am happy to pay for the new convenience, but the stubbornness and downright rudeness of the government and of the SANRAL executives have led to huge resistance from customers. Customers don’t like bad manners, and they don’t like being ignored in decisions that affect them. They will show their resistance in any way possible – in my case I have stuck the “No Toll GP” sticker on my car, and refuse to buy the electronic gizmo until I’m threatened with jail. If necessary, I will cover my license plates and round sticker with masking tape. And I will tell everyone who listens about why

I have done so. But if we go back one step, the question I always ask is, “Why do companies need to do this kind of thing in the first place?” I am constantly bombarded with marketing messages, like my bank for example, but this has not in any way affected my purchasing behaviour. In fact, I become even more determined to never buy anything from them. On the other hand, if my bank has spent exactly the same investment telephoning me to say “Hi. How are you doing? Anything I can help you with?” that could be the beginning of a wonderful relationship. The same is true for just about every place or business where I spend my money. Be kind to your customers. Treat them with respect and good manners. I guarantee they will be back again and again and again, because the world of business is a cold desert of companies demanding loyalty when they just don’t deserve it. m Vol 96 - Issue 07

Back to School bestsellers An overview of the Back to School bestseller market environment.

A

highlight in the stationery products market is the back to school season when thousands of families with children stock up on apparel, school supplies and electronics.

Combined with the student market at colleges and universities across the country, the months of June to August and November to February can see some of the biggest consumer spending events for retailers. With the constraints of the current economic climate, most consumers will be taking price into consideration. Before actually outlaying money for these essential items however, consumers will need to see the value of buying branded products over often inferior items which do not feature the same levels of quality and durability.

Promotions and Savings Retailers in the stationery and office products sector understand that consumers are extremely focused on value and as such will be taking this opportunity to offer substantial savings on merchandise. This may be in the form of bulk buying offers, negotiated bulk buying price breaks with individual schools or at retail level, the combining of branded products into pre-packed product varieties, and store-brand and generic item clusters offers. Popular items, promotions and innovative social media campaigns will see essential Back to School items advertised in-store, via flysheets at discounted retail outlets and in the local media. Increased spending will be seen in items such as computers, cell phones, and tablet devices as technology starts to make inroads into the youth market, with a small percentage of schools now incorporating computers and tablets into the curriculum. Already the industry is gearing up for the rush with many retailers filling their shelves with merchandise as early as June. By shopping around at a variety of retailers before deciding where to buy, parents will be able to find the best values on the items they really need this year When it comes to how much say children have in parents’ buying decisions, nearly two-thirds of parents say their children influence 50 percent or more of Back to School purchases.

Powerful presentation and market position It’s not just about flashy price tags and noisy savings comparisons either. According to Dawn Marchant, an author for Ezine Articles, the key in helping a product become a bestseller is knowing what challenge the product will help the customer overcome and what result it is going to deliver. According to wikiHow, the world’s largest how to manual, salespeople should convert the customer’s motivations into the product’s characteristics, which is known as ‘positioning’. The product should not be pitched too high or low in terms of affordability and luxury, and the salesperson must know which facts best serve each sale. The sale is about perception and it is the positive values of the product that sells the product. Candi Lewis, senior sales executive at BSC Stationery Sales, says the Back to School period is a hectic time of year and it’s important salespeople don’t waste time referring to a catalogue for product information. When a new product arrives they need to study it, test it and know all information including codes, descriptions and where the product is made, as well as any customer guarantees, warranties and after-sales service. Selling stationery products can be competitive, but by ensuring salespeople have knowledge about their product and have tested it, they will be better equipped in having their product become a bestseller on shelves this season. m Vol 96 - Issue 07

First steps to starting a business

I

t’s important to understand that drawing up a budget is not the simple matter that it’s sometimes made out to be. It’s possible to fill in templates of figures, but will you understand what it all means? This requires some training in accounting and financial concepts and cannot, realistically, be managed by a person with no training or experience. It is therefore important to have access to a professional person to guide you. What you can do is reduce the cost of this considerably by collecting all the information that you will need. A budget is normally drawn up on computer as a financial model. You will need to define the sales, how they are built up and the costs of making those sales, as well as the running costs and any capital expenditure. The usual format sees the first year shown by month, the second year by quarter, then up to three more years (five in total) annually, depending upon the needs of the business or funder.

STEP 1

Make a list of the following assumptions: The sales, which are also called the income or turnover, is the number of things that you will sell multiplied by the selling price. If you have more than one item, list them all. The cost of sales, also called the variable costs. This is the direct cost of making or buying the things that you sell only and does not include other costs such as rent, security, etc. For the sake of simplicity, you can leave the labour cost out. This is usually the raw material, component and similar costs. If you sell a service, for example, this will typically have no variable cost. The fixed costs or expenses. These are the costs that you incur whether or not you incur the variable costs - such as rent, accountant’s fees, security costs, telephone, insurance salaries and wages. If you are not sure whether a cost is fixed or variable, just think about if you made no sales – would you incur that cost? If yes, then it’s a fixed cost (hence the name) and if not, it is a variable cost. The table below shows a list of typical fixed costs. You might want to break some costs down into their component costs so that you can get a better idea of what the total cost is, for example, the salaries and wages of the different people and the various marketing costs (website, advertising, promotional cost, etc.) then put the total into the above cost. Some costs, such as bank charges, tend to vary a bit, but not directly with sales – they are sometime called semi-variable costs and for the sake of simplicity, put them in with the fixed costs. If you need to spend money on equipment/machinery, renovations, tools, computers, buildings or delivery vehicles (not personal use vehicles) write these down under capital expenditure. This is often abbreviated to CAPEX. For larger items, it is best to get more than one quote and if these quotes vary, find out why and maybe look for further quotes.

STEP 2

The sales less cost of sales is called the gross margin or gross profit and is often expressed as a percentage of sales. The gross margin less the expenses is called the net profit and is also often expressed as a percentage of sales to give an idea of the profitability of the business. You now need to give these to a financially literate or trained person who will be able to work out the depreciation on the items that you bought under the CAPEX. If you take a loan, the interest will be advised by the financial institution, as part of the monthly repayment. The net profit less depreciation and interest is the profit before tax, which is also called the earnings before tax. This is an extremely important figure as it tells you how much profit the business is making and this profit accrues to the business owner(s). Your accountant/financial advisor will also calculate the tax and recommend the size of the loan, if you require one.

STEP 3

You have made a whole lot of assumptions to be able to construct this budget. Assumptions about the sales, selling prices, etc. and now need to verify that these assumptions are valid. They normally revolve around checking the size of the market, market pricing, levels of competition, what kind of customers exist and their buying behaviour and how you will reach those customers and get them to buy your product or service.

urther to my last article - which discussed service of summons – this month we will concentrate on the next important step in the process, namely Defended and Undefended Claims, based on whether the Defendant has served a Notice of Intention/Appearance to Defend or not.


Finance Once the sheriff has successfully served the summons on the Defendant the Defendant then has two options: 1. Not to enter an appearance to defend the claim as set out in the summons OR 2. To enter an appearance to defend the claim as set out in the summons. 1. FAILURE / REFUSAL TO ENTER AN APPEARANCE TO DEFEND Should the Defendant not enter an appearance to defend within 10 working days of receiving the summons, the Plaintiff / Plaintiff’s attorneys can proceed with an Application for Default Judgment. What this entails is that the Request for Default Judgment and return of service are lodged together with the Magistrate requesting Judgment to be granted. Unfortunately, due to huge backlogs in the courts, this process can sometimes take quite a number of weeks before Judgment is granted. Once granted – then the Plaintiff can proceed by way of attachment proceedings (which will be discussed in our article on attachment in the coming months),

2. ENTERING AN APPEARANCE TO DEFEND If a Defendant intends on defending the claim as set out in the summons, he must notify the Plaintiff by way of a Notice of Intention to Defend, which his attorney will send to the Plaintiff’s attorney or nominated address, and which must be done so within 10 working days of the service of the summons. Once the Notice of Intention to Defend has been served, the claim is known as a Defended Claim and the Defendant then has a further 20 working days from the service of the Notice of the Intention to Defend to serve and file its Plea. The Plea is the formal court document which the Defendant sets out his dispute as to the amount being claimed by the Plaintiff. However, it is important to remember that if the Defendant has no defence (i.e. no valid argument that he does not owe the Plaintiff the money) and is merely entering an appearance to defend for the purposes of delaying payment then there is recourse for the Plaintiff by way of a Summary Judgment Application. If the Plaintiff believes that the Defendant is merely entering an appearance to defend as a delaying tactic and he has proof that

there is no defence (for example a letter acknowledging the debt), the attorney will make application to court to grant Summary Judgment based on the fact that there is no defence. Application is made based on affidavit arguments. If Summary Judgment is granted attachment procedures are followed thereafter (which will be discussed in a future article). If Summary Judgment is not granted then the Defendant is entitled to proceed with entering its Plea and proceeding to trial. Our next article will discuss defended claims and the trial procedure. m

industry news Lighting Innovations celebrates new developments Lighting Innovations, a family-owned business established 30 years ago, celebrated the announcement of several new marketing and manufacturing investments in June set to strengthen the company’s position in local and international markets. Speaking at the company’s head office in Johannesburg, Bruce Waddell, chief executive of Lighting Innovations, introduced the company’s new 363 page lighting catalogue, the most comprehensive lighting catalogue produced in South Africa. The HP t610 Flexible Thin Client offers customers enhanced security lockdown, enriched media capabilities and more efficient network management. SABS introduces labelling standard for electronic appliances Following several calls by government for households to reduce their daily energy consumption and alleviate pressure from the electricity grid, the South African Bureau of Standards (SABS) has introduced a product labelling standard for electronic appliances. The standard will empower consumers to make informed choices when purchasing appliances such as dishwashers and television sets. SANS 941, Energy efficiency of electrical and electronic apparatus is a voluntary standard which will in future be regulated by the National Regulator for Compulsory Specifications (NRCS) and through the implementation of the Energy Efficient Standard and Labelling Programme as a combined effort by the dti and the Department of Energy (DoE). Dr. Sadvhir Bissoon, Standards Executive at SABS says, “The country must save in excess of 3000 MW of electricity in order to avoid load shedding. This new standard will assist every household to make better decisions on their household consumption by looking for the energy label – which must be visibly displayed - when buying a household appliance, which will ultimately also translate into a monetary saving.” The new labelling will present the appliance name, model number and manufacturer; the appliance efficiency classification and product information which will include average energy consumption per year and where applicable average water consumption, noise levels and other relevant info pertaining to the specific appliance. STMC is a quality measurement for monochrome printer cartridges. The measurements include page yield, average density, solid density, back-grounding and waste toner. “To date the SABS has not implemented a quality standard for the testing of remanufactured printer cartridges, so in order to provide our distributors and their customers with a high level of quality assurance, we opted to become the first South African company in our field to apply for certification to attain the STMC standard,” Oliver explains. Every time a JetPrint-branded cartridge is remanufactured, the carbon footprint per cartridge is reduced by approximately 2.5 kg of CO2 emission and 3 litres of crude oil. The plastic is made of engineering-grade polymers and takes at least 1 000 years to decompose. “However, approximately 97% of these combined components can be recycled and reused, which has a hugely positive effect on the environment,” says Oliver. Oliver says that, dependent on the condition of a cartridge sent in for recycling, it can typically be remanufactured up to four times.

olitics simply refers to the d y n a m i c s and struggles for power. Most human relationships involve some kind of backand-forth play for power. We contend for control at home on a daily basis -- what to watch on TV, what to eat for dinner, where to go on holiday and so on. Around the office, where people with conflicting goals have to get along and careers are at stake, politics thrive.

Whether it’s a struggle for control of the thermostat or getting a promotion, offices are notorious political battlegrounds. Even as you sit at your desk minding your own business, politics seep through cubicle walls and saturate the workplace. According to most experts, no workplace is immune to struggles for power. If we wish to foster good working relationships, get things done or get ahead, experts argue that we should actively and consciously engage in office politics. Does this mean we have to get our hands dirty to succeed in the business world? Office politics gets a bad name from the people who are most known for playing it. We all know the type - corrupt, manipulative, insincere sycophants who vie for praise and promotions. Office politics lends itself to power-hungry brown-nosers and vicious behaviour. But that doesn’t mean you have to make unethical decisions to play the game effectively. Even the bosses we like and respect probably didn’t get their promotions based solely on job performance. They also leveraged politics - they may just have been subtle about it. Some people take to office politics naturally. You know the ones who are irresistibly likeable and don’t appear to have a manipulative bone in their bodies. They always seem to get people to gladly cooperate on projects. For other folks, actively playing the politics game is uncomfortable and feels inherently insincere. Regardless of which category you fall into, it helps to learn how office politics works. personal improvement practice and help you re-evaluate your own motivations and tactics. Dirty Office Politics: Survival of the Fittest Office Politician Although office politics is a fact of life, many people consider it insignificant or downright petty. You may have heard people rant about what they feel is dirty office politics. However, for better or worse, many experts consider it extremely important. Even if you’re happy where you are and don’t care to boost yourself up the corporate ladder or oust your boss, you should keep in mind that office politics affects day-today workplace dynamics.

Paying attention to it can be just as important as fulfilling the responsibilities written in your job description [source: McIntyre]. If you aren’t on the watch for it or don’t tactfully engage in it, you could jeopardise your career and watch your hard work and loyalty go down the drain. If this sounds like an exaggeration, consider how things work in your own office. People

who get promoted are probably heavily involved in office politics. They often voice suggestions for improvements and make themselves known. Those who consider politics beneath them keep to themselves and appear unfriendly or unmotivated, even if they work hard. When budget cuts are necessary, these people might be the first heads on the chopping block. Worse still, without even knowing, you could be offending your co-workers or stepping on someone else’s toes. When you take over a job, a project or even a nice office that previously belonged to a well-liked co-worker, it might foster bitterness and make it harder to work with his allies. Being on the lookout for these issues and addressing them could help you make peace with people you might unintentionally be offending. Indeed, the authors of “Enlightened Office Politics” suggest that you owe it to your company to engage in its politics, because it’s the necessary avenue to getting things done [source: Dobson]. Do you still think the pervasive presence of politics in the workplace is a corrupt system that rewards smarmy manipulators? A case can be made for rewarding good office politicians. Studies reveal that increased political skill leads to better job performance. Research shows that this applies both to people in upper-management jobs and to employees in lower-level jobs that don’t require much personal interaction. Political skill proves to be the best overall predictor of job performance, surpassing intelligence and personality traits [source: Ferris]. So, you may get better at your job by honing your political skills. The trick is doing it without digressing to nasty tactics. Ethical office politics starts with being diplomatic with co-workers. Surviving Office Politics: Dealing with Co-workers Whether you want to get things done, improve your professional reputation or just make your office a happy place to work, it’s a good idea to foster good relationships with your co-workers. Although it’s impossible to please everybody, reaching across to the person on the other side of your cubicle wall has some big advantages. Expand your sphere of friends and acquaintances so that you can call on them for help in the future. You may also know it as networking, and it plays shopsa magazine

personal improvement Then there are the co-workers who don’t want to partner with you and seem to insist on making you look bad. Maybe they’re not out to get you, but it sure seems that way. Instead of sinking down to their level and risking entering the morally grey area of negative office politics, experts suggest that you confront the person calmly and rationally [source: Zupek]. And if this doesn’t work, that’s when having allies around the office helps - they might be able to warn you when a co-worker is using underhanded tactics to hurt you behind your back [source: Lancaster]. It’s tempting to make friends with co-workers by sharing the dirt you know on everyone else, but this isn’t a good habit. Indulging in gossip will probably come back to bite you. It’s considered unethical to perpetuate rumours that could damage someone’s reputation, and the rumour could be traced back to you. Nevertheless, many experts say it doesn’t hurt to listen as long as you don’t chime in or spread it [source: Zupek]. Knowing what’s going on may help you understand the power structure and influences in your office.

How to Play Office Politics: Using Office Politics to Get Ahead Improving co-worker relations is one thing, but if you want to make a big difference in a company, you’ll probably have to aim high and compete for promotions - at least this is how it works in the United States. This is ethically possible as long as you behave respectfully toward other people and you’re willing to refuse to violate your own sense of morals even if it means losing your job. And there are other ways to ingratiate yourself with your boss aside from brown-nosing. Even though office politics runs rampant through all companies, every office is different. So you can’t play office politics unless you know exactly how decisions are made at your workplace. Whether you just started a new job or are a long-term employee, you should look at the power infrastructure at your company. Expert Louellen Essex suggests you study the culture and values of an organisation. She also suggests adopting a role model you respect and who has attained a powerful position in your company. By studying his or her political skills and imitating his or her effective behaviour, you’re more likely to make a difference [source: Zupek]. Unless you’re an expert office politician, you won’t get anywhere unless you’ve proven yourself to some degree. To climb the corporate ladder, you usually can’t rely on empty words and promises, but you must be able to impress the higher-ups with a good reputation backed by solid accomplishments. That’s not to say your political skills can’t help you do this. In fact, political skill might be the best tool. This is where the alliances you formed with co-workers really pay off. Landing a big account or succeeding at a large project usually requires help from all sides, and if you’ve done well, you can call your allies into action. Unfortunately, it’s possible no one will notice your accomplishments unless you tell them and remind them. Essex suggests that you should occasionally brag - as diplomatically as possible - about your achievements even when you’re not interviewing for an open position [source: Zupek]. How safe is your business? A recent British television drama had a group of professional fraudsters stealing the identity of an aristocrat and then staging the sale of his country mansion to a self-made business woman. Far fetched? Perhaps not!

came across an article on the web recently describing the Top 14 financial fraud scams in history. It seems identity theft is as old as the hills and the bogus sale of someone else’s property is not new. My favourite is the Frenchman who created for himself the authority to sell the Eiffel Tower and then sold it for scrap; not once, but twice!

“Interesting” I hear you say, “but it could never happen to me”. Recently published statistics in the USA indicate that 3.7% of American adults have been victims of identity theft crime (Federal Trade Commission); extrapolating to Europe would indicate that 14.8 million adults have fallen victim to fraudsters. Research by the British Federation of Small Businesses claims that 5% of businesses have experienced corporate ID fraud; across the EU that’s 1 million businesses in the SME sector alone! Corporate ID fraud is big and can be expensive, both in direct costs and time taken to resolve the consequences. There are many ways it can happen and businesses need to be aware and put in place processes to guard and protect www.shop-sa.co.za

their sensitive data, and that of their staff, customers and partners. Corporate identity fraud can happen through fraudsters changing companies’ details, the hijacking of web domains, fraudulent bank mandates and discarded papers in the rubbish. The impact can be considerable, damaging a company’s reputation, credit rating and profitability. Fortunately there are some simple steps that will reduce the risk of falling victim to corporate identity fraud. The starting point is awareness and not just at a senior management level, but throughout the organisation. Thereafter reviewing your specific data circumstances and putting in place a policy and action plan will greatly enhance your security. The following is a guideline: 1. Always verify the identity of customers, suppliers, business partners and employees 2. Review online security arrangements; a firewall and wireless encryption are simple steps. More complex businesses dealing in eCommerce will need to consider secure payment systems and compliance with local legislation around the handling and storage of customer details.

3. Review all your information, not just paper-based. Think about all the data held by various departments whether in files, on PCs, etc. 4. Classify the data, e.g. general, sensitive and confidential. 5. Define how each classification should be stored, accessed and destroyed. 6. Never allow company information (even seemingly innocuous things like company letterheads) to be thrown in the bin. Go green to clean The benefits of implementing ecofriendly cleaning products and green cleaning procedures in the work place is becoming more apparent.

s the health and environmental impacts of conventional cleaning products become more thoroughly understood, more and more brands of healthy, green, and effective cleaning products have started hitting the market and competing for that coveted place of honour under your sink. Many of these products are non-toxic, biodegradable, and made from renewable resources (not petroleum).

According to market researcher Mintel approximately 12% of consumers are ‘True Greens’ people that consistently purchase green products. Another 68% can be classified as ‘Light Greens’; buyers who buy green sometimes. Truly green businesses align their products, services, and business cultures to their customers. They understand that ‘going green’ is one of the best ways to lower costs, increase revenues, improve operational efficiencies, and increase stakeholder support. Cleaning with environmentally-friendly products at the office may be more important than ever with certain traditional cleaning products containing Volatile Organic Compounds (VOCs), affecting indoor air quality and leading to certain health problems. According to Donna Duberg, Tork Green Hygiene Council Member, the VOCs from traditional cleaning products are released into the air through evaporation. This can contribute to problems such as eye, skin irritation, respiratory irritation and allergic reactions and can lead to complaints, absenteeism and lower productivity in the work place. There are numerous environmentally aware companies offering green cleaning products that are biodegradable detergents, dedicated to developing chemicals not harmful to the environment.

Teaching aids are an integral component in teaching, presenting information in a new, exciting way through methods such as reading, comprehension, illustrating or reinforcing a skill or concept, and relieving anxiety or boredom.

Types of hearing aids There are many aids available, which can be classified into visual aids, audio aids and audio-visual aids. Visual aids include items such as pictures, charts, objects, models, maps, flash cards, flannel board, bulletin board, chalkboard, overhead projector and slides and appeal to the eyes. Audio aids involve the sense of hearing and include items such as radio, tape recorder and gramophone. Audio-visual aids involve the senses of vision and hearing and include items such as television and film projector. Teaching aids that have been particularly popular over the years include birthday charts, shapes, number lines, school songs, clocks and national symbols, flags and anthems. The importance of teaching aids To make learning effective for learners, it is necessary to use techniques that facilitate learning. There is a belief some learners are eye-minded, some auditory-minded and some verbal-minded and many agree the more senses used in the learning process, the more effective the learning experience becomes. Verbalminded learners can be taught through verbal instructions but other learners rely on visual aids to allow abstract ideas to become

Language is conceptual, while mathematics is theoretical, which means the teacher has to present varied experiences so learners can form correct concepts. Audio-visual teaching is more effective than conservative teaching as audio visual devices enhance the interest of learners, especially as young learners take interest in colours and different instruments and devices making it easier to teach them. Every individual has the tendency to forget and the proper use of teaching aids helps learners retain ideas more permanently. The process of learning relies on the different types of equipment available in the classroom.
