Managed print services (MPS), also sometimes referred to as managed document services (MDS), is today the focus of much of the printer reseller industry worldwide as a new channel for accessing corporate clients in order to assist with services that alleviate current bottom-line pressures.

The print industry has come a long way over the years. Not to say that there are not a number of old-timers still about who were at the top of their game during the ‘80s, and who may remember the rah-rah sales conferences of old, where unit sales dominated and top sellers wore grey leather shoes and loud ties. Today, we are fortunate to be surrounded by smart salespeople who are able to lead CFOs through the inclusive - and strategic - landscape of document management, which SURYLGHV D EHWWHU Ă€ W DQG 52, PRGHO that companies can’t deny (even if the stove pipe suit and black tie has seen a return to fashion). We invite you to take

Counting the cost of cable theft

The rising incidence of cable theft affects everyone, from big business to the consumer

A

s copper prices continue to rise, theft of copper cable grows in response, pushing the real cost to business and consumers into the millions. Over 120 tonnes of copper, worth more than R9-million, is stolen every month.

,W LV FOHDU WKDW FDEOH WKHIW DIIHFWV HYHU\RQH from service providers such as Eskom to HYHU\GD\ FRQVXPHUV ZKR DUH GHQLHG ,&7 services vital to business and security. For the parastatals such as Telkom, it is the cost of replacement, repair, additional materials and manpower. For big business it is the cost of lost hours of productivity without a phone, fax, WKH ,QWHUQHW DQG SRZHU ZLWK WKH DGGLWLRQ of life-threatening situations seen in the medical sector. For consumers, it is the cost of lives as trains derail; the cost of alternative means of transport required to reach work; and cost and safety issues when appliances are damaged by power surges. According to Business Against Crime (BAC), the cable thieves usually work at night, armed with trucks, pulleys, industrial cutting tools and tractors used to

Ă DWWHQ S\ORQV DQG SROHV WR JHW WKH FRSSHU They are either part of organised crime syndicates, who tend to export their loot, or are subsistence thieves who steal only metres of cable at a time. Frustrations are running high and Telkom has in certain instances refused to replace stolen cables. Says Telkom spokesperson Pynee Chetty, “Cable theft is severely affecting WKH GHOLYHU\ RI VXVWDLQDEOH ,&7 VHUYLFHV WR FXVWRPHUV ,Q PDQ\ KLJK WKHIW DUHDV cables are repeatedly stolen, sometimes MXVW GD\V DIWHU UHSODFHPHQW 2I FRXUVH WKLV is affecting our capacity to deliver services within acceptable time intervals. ´:KLOH WKH REMHFWLYH LV WR SURYLGH quality information technology services, in areas where cables are stolen 20 to 30 times Telkom is unable to sustain our infrastructure, and we have to look at alternatives.â€? ,Q DQ HIIRUW WR VWHP WKH OHYHOV RI WKHIW Telkom has armed critical and sensitive FDEOH URXWHV SXW VHFXULW\ Ă€ UPV RQ SDWURO LQ known hotspots; moved overhead cables underground; and offered alternative WHFKQRORJLHV VXFK DV Ă€ EUH RSWLF DQG wireless. Telkom’s national campaign aims to raise awareness of the company’s toll-free FULPH UHSRUW OLQH DQG

asks for the co-operation and support of all communities in stamping out cable theft. Police Minister Nathi Mthethwa says the police are addressing the situation with increased security measures that include vehicle and daily foot patrols; observations; scrap yard visits; asset protection units; tactical response teams; accompanying repair technicians on callouts; and tasking the signal department to vandal-proof certain highrisk cable areas by cementing the cables to prevent theft and damage. The South African Chamber of Commerce has termed cable theft “economic sabotage� and has called on the legal system to enforce more stringent punishments. The Second-Hand Goods Act makes it a criminal offence to be in the possession of nonferrous cable with a burnt cover, UHVXOWLQJ LQ D MDLO VHQWHQFH RI XS WR \HDUV Despite this, cable theft has ensured that South Africa is one of the world’s leading exporters of copper to countries VXFK DV &KLQD DQG ,QGLD

Egomaniac or chief bottle washer? Can’t decide? You can always choose irrelevance

I

recently had an interesting experience when talking to a client. The talking was not the interesting part; neither was the insight into the client’s problems or the obvious solutions. The part that stuck with me was the client’s response to what was needed and the stubbornness that I witnessed.

There are many potential solutions to any one problem. The choices can be narrowed when there is more than one problem; and then exacerbated when the

problems are merely symptomatic of core issues with either the business or the culture. Very often a challenge that lies at the centre of the business is the easiest to correct; however, business culture issues, despite being “softâ€? issues, can have their roots deep in the daily grind of the organisation. Having to tackle both at the same time is akin to keeping a sinking ship DĂ RDW DQG KDYLQJ WKH HQWLUH FUHZ QRW LQ the least bit interested in rescuing either themselves or the vessel. Time and again we see that the single most important element is leadership. ,I WKH VKLS LV QRW OHDG E\ WKH FDSWDLQ who sets the example - doing what he says should be done then there is little hope and

abandoning the craft is probably the most merciful path. My suggestion was a combination of three interrelated concepts or paths that would have a positive impact. 7KH Ă€ UVW ZDV WKH XVH RI FRXUDJHRXV conversations throughout the RUJDQLVDWLRQ ,Q WKLV FDVH LW ZDV PRUH about introducing accountability into the business at all levels. Next was servant leadership. A tough one to instil if an organisation is highly hierarchical, divided and driven by ego - but one that pays off when all begin to realise that they are there for a greater purpose and that service to all those around them, as part of their daily roles and responsibilities, has a multiplier effect in the business, inside and out. The last used the thought process behind Colin J Browne’s book, How to Build a Happy Sandpit. “Employees in a business are like FKLOGUHQ LQ D VDQGSLW ,I \RX KDYH a group of children who play well together, they will build sandcastles. They may build very elaborate ones. One will run off to the tap and fetch a bucket of water and they’ll build a moat. They’ll have such a good time doing it that they will want to do it again tomorrow.â€? That sums up what we all want, whether we are the boss, the owner or the employee: a place where the chief bottle washer does what he says and says what he does. ,W LV WRXJK WR GR WKHVH WKUHH WKLQJV within practically any business, but that is neither an excuse nor a reason to avoid doing them. Of course, there is always the choice of irrelevance. There is almost always a choice.

or 17 years we had a photocopier contract with a well-known company, which we renewed every few years.

We were mostly happy with the machine and the company; even more so when they introduced a rapid response time for repairs and maintenance, for an DGGLWLRQDO IHH RI DERXW 5 D PRQWK The total monthly bill came to about 5 VR ZH GLGQ¡W WKLQN LW ZDV D ELJ deal to pay a bit extra to have this speedy turnaround facility. About three years ago the copier from the original company broke down and ZH FDOOHG WKH VXSSOLHU , DVNHG ZKHQ WKH technician would arrive. The answer left PH Ă DEEHUJDVWHG “Well, we’ll try for late tomorrow DIWHUQRRQ EXW LW ZLOO SUREDEO\ EH Ă€ UVW thing in the morning the day after tomorrow,â€? said the young lady on the other end of the line. “What happened to the four-hour WXUQDURXQG UHVSRQVH WLPH"Âľ , DVNHG incredulously. “Oh, didn’t you notice?â€? she asked. “We stopped that a few months ago, and it ZDV UHĂ HFWHG LQ \RXU PRQWKO\ VWDWHPHQW Âľ %XW QRERG\ WROG XV , UHVSRQGHG ´:HOO you have to understand that we are feeling the pinch of the recession, and we’ve had to retrench some technicians, so it’s impossible to squeeze everyone in

so quickly.â€? , ZDV IUXVWUDWHG EXW KHOSOHVV DQG ended up going to the local print shop for my copies. ,Q WKH PHDQWLPH RYHU D SHULRG RI D few years, a young lady from one of the copier company’s competitors, Kim, kept telephoning me to set up an appointment to come and chat. Every few months VKH¡G FDOO DQG DVN LI VKH FRXOG SOHDVH MXVW have 20 minutes of my time. , NHSW VD\LQJ WKDW ZH ZHUH KDSS\ ZLWK the current company and it would be a waste of her time because we were stuck in a contract. She would always say it was her time to waste, and she’d love to pop in for a cup of tea. 6R D IHZ ZHHNV DIWHU , KDG WKDW horrible conversation with my old FRPSDQ\ , FDOOHG .LP WR DVN LI VKH FRXOG come by and meet me. Upon arrival, she asked to see our FXUUHQW FRS\LQJ PDFKLQH , ZDV H[SHFWLQJ her to be critical of her competitor’s product. ,QVWHDG VKH VDLG ´9HU\ QLFH PDFKLQH ² and it’s also got all these nice facilities, OLNH ERRN SULQWLQJ DQG RIIVHW DQG²¾ , LQWHUUXSWHG KHU EHIRUH VKH FRXOG carry on, and told her that she should understand that we used the machine SULPDULO\ WR PDNH SKRWRFRSLHV ² PRVWO\ black and white, but sometimes colour. “Oh no,â€? she exclaimed. “You’re paying for all these amazing facilities. You should use them.â€? “But who’s got the time to read that

What are the lessons to be learned here? ,I \RX DUH LQ VDOHV QHYHU JLYH XS <RX never know when the circumstances in your prospect’s company will suddenly change. When your competitors fumble, take advantage before they rectify the situation, but never knock your competitors in an unethical way in front of your customers or prospects. Finally, do your homework. The more information you have about them and their needs, the more likely it is that you will succeed. Pay attention to the little things, get personal, and the rewards will follow.

ncreasingly, companies are looking to cut back on overheads to improve their bottom line. We are also seeing an increase in the outsourcing of non-core services so that a business can focus on delivering optimum yield on the company’s primary functions.

Managed print services (MPS) is a relevant marketing opportunity that offers a current solution to the paring of costs and delivery of increased

productivity within an organisation. Companies with high volume print requirements - where information is driving the business, such as law firms or creative and marketing companies with many satellite locations or departments - see the most benefit. This is due to the high value put on print functions and the sharing of knowledge. According to Gartner, as much as 1% to 3% of a company’s revenue is spent on print activities. Often, companies which see print as an essential component of their ZRUNÁRZ SURFHVVHV KDYH LQHIÀFLHQW SULQW

infrastructures; have no internal controls or purchasing policies in place; and view printing as a low-level administrative function. When left to departmental responsibility, costs are high and often unseen due to ad hoc purchasing, crisis management and repair. raud, like other dishonest acts perpetrated by employees, is now a bigger source of danger for an employer than ever before. This is because the culture of dishonesty has had 10 years in which to entrench itself. The state’s consistent failure to deter dishonesty has emboldened criminals, and it is often the employer who loses out through the crimes of robbery, theft, pilfering, hijacking and fraud.

However, out of all these brands of commercial crime, fraud holds the biggest danger. This is because fraud is the easiest of crimes to hide. Due to the inherent nature of fraud, which often involves trickery and deception, large amounts of money can be spirited away without the employer ever becoming aware of it. ,Q RUGHU WR EH DEOH WR GHDO ZLWK fraud, employers need to get to grips with what it means in a legal sense. :HEVWHU¡V (QF\FORSDHGLD GHĂ€QHV IUDXG DV ´,Q ODZ PDNLQJ D IDOVH representation, by words or conduct or by withholding facts where there is a duty to disclose them, in order to obtain a material advantage. “To prove fraud it is necessary to show that a false representation was made (1) knowingly, (2) without belief in its truth, or (3) recklessly, without concern whether it was true or not. “A contract based on fraud may be declared void at the option of the LQMXUHG SDUW\ Âľ 7KHVH GHĂ€QLWLRQV UDLVH FUXFLDO LVVXHV

for employers. Firstly, the meaning of fraud is broader than many people think. For example, even where an employee was not sure that their statement was untrue, this could be fraudulent if the employer can show that the employee made the untrue statement recklessly, without regard for its truthfulness. For instance, where a salesperson tells their boss that a product is defective in order to be able to buy it more cheaply, this could be seen as fraud even if the salesperson was not sure that the item was defective. Secondly, in order to prove fraud, the employer must show that the employee committed the act for gain. However, such JDLQ ZRXOG QRW KDYH WR EH FRQÀQHG WR GLUHFW ÀQDQFLDO DGYDQWDJH 7KH IUDXG FRXOG be committed for the advantage of a friend or family member, or could be a means WRZDUGV JDLQLQJ WKH SHUSHWUDWRU D MRE For example, claiming false TXDOLÀFDWLRQV IRU D MRE ZRXOG EH IUDXGXOHQW LQ WKH VHQVH WKDW WKH MRE applicant would be gaining employment based on a lie. The danger is that the employee could avoid dismissal for fraud on the grounds that the fraud occurred during the pre-employment stage. That is, because the fraudster perpetrated the misrepresentation before the employment contract took effect, they could argue that they cannot be disciplined for an act carried out when they were not an employee. There is a potential danger here for employers because the courts have been willing to see employment contracts and employment relationships as separate entities. The employer’s strategy for combating employee fraud needs to be based on two broad approaches, namely prevention and reaction. Prevention

involves the principle of trusting nobody, and the implementation of comprehensive safeguards. These could include measures such as video cameras and telephone conversation recordings, authority levels and procedures, access controls and auditing procedures. 5HDFWLRQ LQYROYHV WDNLQJ VHULRXVO\ all reports or hints of irregularities, responding to them swiftly and in a way that makes it clear that fraud will not be tolerated under any circumstances. Turning a blind eye to irregular acts of employees encourages dishonesty. Failure to discipline and dismiss the perpetrator will perpetuate the culture of dishonesty but failure to investigate and manage the incident properly can result in the dismissed employee being UHLQVWDWHG RU EHLQJ JUDQWHG ÀQDQFLDO compensation for an unfair dismissal.
