Search for New President/CEO is Underway By Rich Jones, CPA, CGMA, President & CEO
I
n my last column I announced that I would be retiring after 12 years of service from my position as President and CEO of WSCPA at the end of this fiscal year (May 31, 2017). I have enjoyed every day of this experience and feel privileged and honored to have been entrusted with this important responsibility. Bill Simer (Chair) and Dave Miniken (co-Chair) of the CEO Search Task Force have recruited representatives from a broad cross-section of the membership and have initiated the process of searching for a new CEO. In addition to Bill and Dave, members of the task force are Tom Donaghy, Kirsten Duke, Jim Ladd, Kris Lambright, Sharon Philpott, Rhonda Powell, Joe Smith, Susie Thomson-Sines, and Dave Trujillo. Task force members have reviewed the job duties, developed the position description, and defined and prioritized key competencies candidates should demonstrate to be successful in the President/CEO position. Based on initial interest expressed by people with varied backgrounds, we expect to have an excellent pool of candidates apply for the position. If you or someone you know might be interested in being considered for this position, I encourage you to apply or to spread the word about this opportunity. I was not active in the WSCPA when I applied for the position 12 years ago, yet I convinced the task force (and eventually the board) that I had the experience and talent to succeed in the job and I think they also knew I had a passion for our profession. If this also describes you, please consider whether you believe you are a perfect fit for this position and apply.
The search process is straightforward and efficient and officially opened on July 15. The task force will close the

LEADERSHIP LENS
You Don’t Have to Go it Alone! By David Miniken, CPA, WSCPA Chair for 2016-17
I
’m honored to serve as the WSCPA Board Chair for the next year. I recently attended the AICPA Spring Council meeting in New Orleans as one of three delegates from our state, and a central theme of the meeting was the staggering pace of change in the business landscape. Technology continues to evolve. More than 90% of the data amassed in history was collected during the last two years, much of which is due to the intersection of three forces: the growth in the number of mobile devices, the growth in cloud computing, and the development of software to process all the data. Technology is drastically changing the world of professional services. Given the greater amounts of data available, our challenge is to find a way to synthesize this data into a form that facilitates decision making, rather than allowing ourselves to become paralyzed by the sheer volume of information available. Firm cultures are evolving. The marketplace is moving toward flexible staffing models as well as variable and virtual work arrangements. In order to meet the changing needs of our workforce and enhance staff retention, leaders within “Firms of the Future” are embracing these changes and developing tools to invest in their team members’ futures so that their younger professionals feel more engaged, contribute ideas, and help set the direction at those firms. Our talented workforce is evolving. As leadership at most firms currently consists largely of white males, the Firm of the Future is committing efforts to understand the needs and expectations of women and minorities so that they can become leaders within those firms. There is a strong business case for the development of a more inclusive culture. Forward-facing firms are considering alternative career paths that focus on the strengths and interests of each of their

people, as well as embracing the generational differences in their offices (which I particularly appreciate each time I try to download a new app onto my cell phone). Our client relationships are changing. Your clients understand that you cannot be all things to all people, so it is increasingly important to carefully choose who you serve. Leadership within the Firm of the Future understands the importance of forming alliances to build working relationships with other firms and experts to strengthen their deliverables. It is important to revisit your firm’s service offerings, considering the future needs of the marketplace. This is a good time to reignite your relationships with your clients and strengthen your team’s ability to understand client preferences. Considering how to remain competitive during this period of significant change can seem daunting, but the great news is that you don’t have to go it alone as you transition toward being a high-performing Firm of the Future. The AICPA’s Private Companies Practice Section (PCPS), an add-on firm membership section within the AICPA, focuses on the needs of those of you managing local practices. The PCPS provides practical tools and resources specifically designed to boost the success of local practices, helping you to become the Firm of the Future. The PCPS supports CPA firms in the everyday intricacies of running a practice by
providing high-quality management tools dealing with such varied issues as virtual work arrangements, engagement pricing tools, recruitment and retention, building a social media presence, and going paperless. If your firm is not already a member of the PCPS, I encourage you to consider it. Firm membership is only $35 per CPA, up to a maximum of $700 per firm due and it provides a great wealth of resources for small- and medium-sized practices. In addition, your membership in the WSCPA provides you with many opportunities to discuss these issues with your peers and find out how they are dealing with these trends. In partnership with the PCPS, the WSCPA offers a free rotating tool available every month on the WSCPA website at www.wscpa. org/pcpsresources. As this rotating tool is replaced by another tool each monthend, you will want to check the WSCPA website frequently so that you can take advantage of these free resources. I look forward to serving as Chairman of your Board of Directors, and I look forward to meeting as many of you as possible over the coming year. Dave Miniken is a member of the management team at Sweeney Conrad, where he serves as the Director of Sweeney Conrad’s audit and accounting practice. CYBER SECURITY
Ransomware and Cyber Risk Management By Randy R. Werner
R
ansomware and cyber extortion represent one of today’s more malicious types of hacker attacks. It sneaks into computer systems, encrypts files, and demands a ransom before decrypting the files. A major problem is that ransomware does not always decrypt files even after the ransom is paid. Being prepared and taking precautions against cyber risk exposures such as ransomware is therefore essential. Otherwise, you’re at the mercy of criminals who prey on unprepared and unsuspecting businesses and individuals. Ransom demands range from a few hundred dollars to several thousand, depending on the size of the victim. Not all ransomware attacks are reported to authorities, so estimates of the total amount paid over the past few years vary widely, ranging up to $300 million.

gathering, re-entering and reconstructing data. Rebuilding work, such as tax returns based on the backups, also takes time. If personally identifiable information is involved, such as Social Security numbers, the firm might also need a professional risk assessment to determine its legal responsibilities.
The more notorious names among ransomware are CryptoLocker, CryptoWall, TorrentLocker and Locky, among others. Some attacks rely on software that now has known fixes, so a solution might be found online. However, other ransomware is technically advanced and has no known fix, except for the victim to rely on current backup files. The primary defense is to institute frequent backups of the files you do not want to lose. Some ransomware even seeks out backup copies of files, so best practices include creating multiple backups in different locations. Cloud services, or remote backup services, and external or USB hard drives are options to consider for multiple backups. Even with backup files in place, a firm may still spend many hours
Such losses can sometimes be avoided by creating user awareness and training everyone in your firm to be extremely cautious about unsolicited or questionable attachments or hyperlinks in email messages. Training can broaden your firm’s prevention IQ. It also never hurts to call or contact senders to ask if they sent you a document before you open it. Sometimes ransomware enters a computer system via innocuous-looking Word or Excel documents. There’s a reason why people say, “An ounce of prevention is worth a pound of cure.”
Loss Prevention Tips •
Create backup copies of all important data and information on a regular basis. The frequency of backup depends on: how often your data changes, and the impact on your business if you lose the data between the last backup and the time of loss. Store and secure backup copies away from your office location and use encryption to protect any sensitive information about your firm and clients. Regular backups better ensure that critical data is not lost in the event of a cyber-attack or physical incident such as a fire or flood.
•
Do not open attachments or hyperlinks if you did not request them or if the e-mail is suspicious or questionable. www.wscpa.org
CYBER SECURITY
Do not follow instructions to “enable macros” or “enable content.” Many attacks appear to come from a trusted source or someone you know, as part of a social engineering scheme. A scheduled event, travel plans, or user interests can be used to create what looks like a legitimate document, employing logos and brands to deceive users into performing an action such as opening a document, clicking a link, or changing a password. The action then enables a hacker to commandeer accounts and launch attacks. By hovering your mouse over a link, without clicking it, you can check the address for the website. If the address is for a different website, that’s a big red flag, as is a misspelled link. •
Strictly define user permissions and restrictions so that users don’t have any more rights or access to a program or system than they need, also known as the “least

privilege” concept. The same applies to administrators, who should not stay logged in as an administrator any longer than is strictly necessary. Excessive rights and activities can allow malware to do extra harm and lead to large losses of data. •

•
Apply all software security updates to your computer. Once a software vulnerability is identified, most software companies automatically issue software updates. If the software you are using does not have an automatic update feature, develop a business practice to check for latest updates. Antivirus software is a must. Antivirus companies constantly update virus definitions to defend computers against new threats, and for the most part these software updates are seamless to the user. Most antivirus software includes spyware, adware and e-mail attachment protection. If not, they should be deployed along with antivirus software.
•
Consider cyber insurance. Coverage for extortion expenses incurred as a result of a credible cyber extortion threat is a good feature, but remember that paying a ransom does not always decrypt files.
With more devices becoming connected to the Internet, it’s important to take steps toward avoiding cyber threats such as ransomware. Have a plan in place for mitigating threats and risks. If and when you are hit by a threat, you’ll at least be in line with the Boy Scout motto, “Be prepared.” Randy R.Werner, J.D., LL.M./Tax, CPA is a loss prevention executive with CAMICO (www. camico.com). CYBER SECURITY
Tips to Protect Yourself from Cybercriminals By Kaspersky Labs
Spam & Phishing Scams
S
pam is a form of electronic junk mail sent en masse to users. While annoying in its own right, it can potentially be very dangerous if part of a larger phishing scam. Phishing scams are a form of cybercrime that involves defrauding users by acting as legitimate companies or organizations in order to obtain sensitive information such as passwords and login credentials. Spam is the electronic equivalent of the “junk mail” that arrives on your doormat or in your postbox. However, spam is more than just annoying. It can be dangerous especially if it’s part of a phishing scam. Spam emails are sent out in mass quantities by spammers and cybercriminals that are looking to do one or more of the following: • •
•
Make money from the small percentage of recipients that actually respond to the message Run phishing scams in order to obtain passwords, credit card numbers, bank account details, and more Spread malicious code onto recipients’ computers
How to protect yourself against spam email and phishing
Here are some useful tips from Kaspersky Lab’s team of Internet security experts to help you reduce the amount of spam email you receive: Set up multiple email addresses
It’s a good idea to have at least two email addresses: Private email address • This should only be used for
10
WashingtonCPA Summer 2016
personal correspondence. Because spammers build lists of possible email addresses, by using combinations of obvious names, words, and numbers, you should try to make this address difficult for a spammer to guess. Your private address should not simply be your first and last name – and you should protect the address by doing the following:
• Never publish your private email address on publicly accessible online resources. • If you must publish your private address electronically, try to mask it in order to avoid having the address picked up by spammers. For example, “Joe.Smith@ yahoo.com” is an easy address for spammers to find. Try writing it as “Joe-dot-Smith-at-yahoo. com” instead. • When you need to publish your private address on a website, it’s safer to do this as a graphics file rather than as a link. • If your private address is discovered by spammers – you should change it. Although this may be inconvenient, changing your email address will help you to avoid spam.
Public email address • Use this address when you need to register on public forums and in chat rooms, or to subscribe to mailing lists and other
Internet services. The following tips will also help you to reduce the volume of spam you receive via your public email address:
• Treat your public address as a temporary address. The chances are high that spammers will rapidly get hold of your public address, especially if it is frequently being used on the Internet. • Don’t be afraid to change your public email address quite often. • Consider using a number of public addresses. That way you’ll have a better chance of tracing which services may be selling your address to spammers.
Never respond to any spam
Most spammers verify receipt and log responses. The more you respond, the more spam you’re likely to receive. Think before you click ‘unsubscribe’
Spammers send fake unsubscribe letters, in an attempt to collect active email addresses. If you click “unsubscribe” in one of these letters, it may simply increase the amount of spam you receive. Do not click on “unsubscribe” links in emails that come from unknown sources. Keep your browser updated
Make sure that you use the latest version of your web browser and that all of the latest Internet security patches have been applied. Use anti-spam filters
Only open email accounts with providers that include spam filtering. www.wscpa.org

Smartphone Security
S
martphones and other mobile devices can be vulnerable to cyberattacks and other threats, but following a few common sense security tips can help keep your device safe. Today’s smartphones are capable of doing so much more than the mobile phones of a few years ago – but this greatly extended range of capabilities has also seen the introduction of some new security risks. Because we’re using our phones for a much wider range of activities, from social networking to online shopping, banking, and surfing the web, we all need to take sensible precautions to ensure our phones and our information are safe from malware attacks and cybercriminals.
Security tips for safer smartphone use
Here are some useful tips from Kaspersky Lab’s team of Internet security experts: Keep it locked
Make sure your phone’s screen lock is on at all times so there’s less at risk if your phone falls into the hands of a cybercriminal.
©Getty Images/Tek Images
Encrypt your sensitive information
www.wscpa.org
If your phone includes data encryption features, make sure you use them. In the event of your phone being stolen, criminals will not be able to access the personal information that’s stored on your phone – if that information has already been encrypted. Monitor how apps behave on your phone
your phone. It’s especially important to do this for Android smartphones. Protect your phone and your data
Many users that wouldn’t ever consider running a laptop, PC, or Mac computer without anti-malware software forget that today’s smartphones are powerful computers and they are vulnerable to the same risks. Make sure you use a reputable anti-malware program on all of your mobile devices and ensure the antivirus databases are regularly updated. Be aware of the risks of jailbreaking / rooting
Although it might be tempting to root or jailbreak your phone, in order to access specific apps or services, this will strip away the security. To help keep your phone and your data secure don’t root or jailbreak your phone. Switch off Bluetooth when you can
If you’re not using your Bluetooth connection, it’s a great idea to switch it off. That way, you’ll make your phone less vulnerable to cyberattack and you’ll reduce the drain on your phone’s battery. Choose a smartphone security solution with anti-theft features
Some smartphone security products include a range of anti-theft features that give you remote access to your lost or stolen phone – so you can lock the phone, wipe data from it, and find its location. AICPA, CIMA Members Overwhelmingly Approve Proposal to Advance Profession Members of the American Institute of CPAs (AICPA) and The Chartered Institute of Management Accountants (CIMA) have overwhelmingly approved a proposal to create a new, international accounting association that will integrate operations of both organizations, while preserving the existing membership bodies. Voting concluded in separate AICPA and CIMA membership ballots on June 16 and a supermajority of members who voted from both organizations endorsed the proposal. The AICPA ballot passed 86.5 percent to 13.5 percent, according to independent tabulator Survey and Ballot Systems. CIMA members endorsed the proposal 89.7 percent to 10.3 percent, according to their independent tabulator Electoral Reform Services. “In developing this proposal, we were careful to structure commitments to CPA and CGMA, CIMA and AICPA and public practice and management accounting,” said Barry Melancon, CPA, CGMA, AICPA President and CEO. “We are excited about crafting a path forward that reflects how the world is changing. At the same time, we will be extraordinarily mindful of protecting our collective history and the strong reputation both organizations have built over the past century. This is about building on what is great – and addressing an exciting evolving world.” The new association will represent more than 600,000 current and future accounting professionals and will raise the profile of public and management accounting in the U.S. and abroad. It will enhance resources, provide more market insights and have a stronger advocacy voice. AICPA members will get these benefits and automatic dual membership in the AICPA and new association as part of their regular AICPA dues, which will continue to be set and adjusted in line with historic norms. The AICPA will continue its strong partnership with state societies to promote, protect and grow the CPA. Fifty-two state CPA societies passed resolutions in support of the member ballot proposal, including the WSCPA, which welcomed the vote outcome. “This is an important milestone for the profession, one that will ultimately benefit accountants of today and tomorrow as they navigate accelerating complexity and change,” said Rich Jones, President and CEO of the WSCPA. The new association is expected to launch in 2017. Additional details will be provided as they become available in the coming months. www.wscpa.org

She is working with local chapter members to increase their connection to local colleges and help influence the next group of accounting majors to consider becoming a CPA,” said Amy O’Donnell, WSCPA Director of Member Services. Before founding Ahn Tax & Business Advisors, Lydia worked with CPA firms in Bellevue and Bellingham,WA and spent most of her career at a fast-growing CPA firm specializing in international tax and consulting. Prototype Leader: gracious, inclusive, energetic, interesting, smart and fun
“Looking back at the accomplishments of the past year the successful roll out of the scholarship program was clearly the high point of my year as chair,” said Bill Simer, CPA, WSCPA Chair for 2015-2016. “This success is due to the efforts of many but one member of our board stood out in his support and ‘boots on the ground’ effort. I am pleased to recognize Joe Smith as the recipient of the Chairs Award this year for his support of the Scholarship program.” As the Associate Vice President of Finance and an adjunct professor of accounting at Gonzaga University in Spokane, Joe understands the importance of scholarship support and he took a lead role in promoting the scholarship program to colleges and universities throughout the state. Prior to joining Gonzaga, Joe was a Senior Manager in the audit practice of KPMG LLP in Seattle. He serves as a board member for Catholic Housing Communities (a division of Catholic Charities of Spokane) and RiteCare of Washington.
“Bill Simer, WSCPA Board Chair for 2015-2016, is a tremendous role model and representative of the CPA profession,” said Rich Jones, WSCPA President & CEO. Bill is a tax partner in the Spokane office of Eide Bailly, a large regional firm headquartered in North Dakota. He agreed to become Chair of the WSCPA Board of Directors during the time that his firm was merging into Eide Bailly. During his year as Board Chair he presented Professional Issue Updates to several chapters. Bill was an advocate for increasing the strategic importance of our chapters and personally demonstrated his support of this initiative by attending as many chapter events as possible. He went above and beyond by testifying three times in front of the Washington legislature to support a bill sponsored by the WSCPA that allows out-of-state firms doing attest work to perform that work in Washington without registering with the state board or paying additional fees.

ADVOCACY
Supporting the CPAPAC: What it means and why your contribution is important By Kimberly Scott, CAE
W
hen you contribute to the CPAPAC, you provide essential support to the WSCPA’s advocacy efforts. The WSCPA is the only professional association advocating for CPAs in Olympia. The CPAPAC provides contributions to the campaigns of legislators who sit on key committees, are CPAs or have shown support for the profession. Contributions are delivered in person so that local CPAs can build relationships with their legislators. These relationships are essential to ensuring that legislators understand the value of a CPA. It is important to understand that the CPAPAC is bipartisan, and does not endorse candidates.
•
State Board Relations: Rich Jones, WSCPA CEO, and I attend the WBOA’s quarterly meetings, and participate in other meetings throughout the year. The WSCPA provides both feedback and public testimony during the rule-making process. The two organizations have a great working relationship and work collaboratively on issues when necessary. Here are some WBOA highlights:
Washington State Elections
In case you have missed the news, 2016 is a major election year. What that means in Washington State is that all House seats and half of the Senate seats are up for election. We also will be electing a Governor, Lieutenant Governor, State Auditor and State Treasurer, to name a few. The WSCPA is not expecting to bring any legislation forward this year; however, we expect, as in recent years, that the Society may want to weigh in on any proposed legislation related to taxes or issues affecting the profession. This summer dozens of WSCPA members and advocacy staff are visiting with legislators to get a better understanding of what may be happening in Olympia in 2017.
Recent Washington State Highlights
State Legislation: The WSCPA is always watching for legislation that could directly affect the profession. The WSCPA also drafts legislation when necessary to amend our statute, or other statutes that may affect the way a CPA can do business in Washington State. When bills are being heard, WSCPA member volunteers and staff travel to Olympia to testify on issues.
20
WashingtonCPA Summer 2016
House Bill 2148, which did not pass and was not drafted by the WSCPA, would have allowed CPA firms to audit municipalities that are currently only able to receive an audit from the State Auditor’s Office. While the concept of the bill was satisfactory, some language in the proposed legislation would have caused issues for CPAs.
•
The new Executive Director, Charles Satterlund, started his term in office as of February 8, 2016. Unlike in most other states, in Washington State the Governor appoints the Executive Director.
•
The WBOA has three new board members who were officially appointed to the board by the Governor in July 2016. In total the WBOA has nine members, six CPA members and three public members. The three newly appointed members are: Mark Hugh, CPA Member, Public Accounting; Joel Cambern, Public Member, Banker; Rajib Doogar, Public Member, Educator.
2015 - WSPCA passed two bills: • House Bill 1263 provides an exemption for CPAs in the Private Investigator Statute. •
Senate Bill 5534 creates a scholarship fund for accounting students in Washington State. This was funded by money from the Washington State Board of Accountancy (WBOA) that would otherwise would have been moved to the state general fund.
2016 - WSCPA passed one bill: • House Bill 2433 aligns the Washington Accountancy Act with the Uniform Accountancy Act. The bill updates the definition of attest and allows firm mobility (similar to individual CPA mobility).
National Highlights
WSCPA advocacy staff attend the NASBA (National Association of www.wscpa.org
State Boards of Accountancy) meetings twice a year with WBOA members, where we stay informed about topics being discussed by national and international regulators. The WSCPA leaders and key staff also attend AICPA council and leadership meetings to better understand national and global issues. Leaders and staff also meet every other year in Washington, D.C. with our state senators and Congressmen and women to discuss www.wscpa.org
key issues affecting the profession. Without your monetary support the WSCPA would not be able to be such an effective watchdog and advocate for the profession. Contributions can be made online by the individual or via check mailed to the CPAPAC 902 140th Ave NE, Bellevue WA 98005. For the 2016-17 school year, the Foundation awarded 46 scholarships for a total of $230,000. These scholarships are possible thanks to contributions from individuals, and from organizations via the named scholarship program, and the new Certified Public Accounting Scholarship Program. In 2015, the Washington State legislature passed substitute Senate Bill 5534 which created the Certified Public Accounting Scholarship Program, to be administered by the Washington CPA Foundation. The final State Operating Budget for 2015-17 allocated a total of $3.3 million to this program, which was effective July 24, 2015. In 2016, the program funded 35 $5,000 scholarships. The Foundation also awarded eight named scholarships, two endowed scholarships and one Foundation Ph.D. scholarship for accounting students in Washington State. TECH TIP
Using Excel’s Flash Fill Tool to Clean Up a QuickBooks Trial Balance By K2 Enterprises
E
©iStock by Getty Images/Skip ODonnell
xcel 2013 introduced Flash Fill, a great feature for manipulating data in a number of ways. You can use Flash Fill to format data, parse or split apart data, and concatenate or join data. And as you will see in this tip, you can use Flash Fill to clean up a QuickBooksgenerated Trial Balance report and put it in a format that most accountants prefer. To begin, export the Trial Balance report from QuickBooks into Excel by opening the report in QuickBooks and choosing the Export option. Upon doing so, your report will look similar to the one pictured in Figure 1 (with some rows hidden for presentation purposes). What is problematic in this case, to many accountants, is the presence of the account numbers and account names in the same column in the Excel worksheet. Additionally, subaccounts in the same cell as their parent account – such as Federal Withholding sharing cell A21 with Payroll Liabilities – is also an issue for many. Fortunately, we can quickly reformat this report in Excel using Flash Fill. Flash Fill is a pattern-recognition tool, meaning that it manipulates data based on patterns that you specify. Flash Fill is not perfect, as it will not always interpret the patterns correctly. However, as you provide additional guidance to Flash Fill, it “learns” from its mistakes.
Figure 1 - Exported QuickBooks Trial Balance
To address the issues identified with the report in Figure 1, begin by specifying the pattern you want Flash Fill to use. In this case, we will enter “10100” for the Account No field in cell D2 and “Checking” for theAccount field in cell E2, as shown in Figure 2. Next, we click in cell D2 and execute Flash Fill by using either a CTRL + E keyboard shortcut or by choosingFlash Fill www.wscpa.org
Figure 2 - Establishing a Pattern for Flash Fill WashingtonCPA Summer 2016

TECH TIP
from the Data tab of the Ribbon. Based on the pattern it recognized, Flash Fill provides the results shown in Figure 3 – a good start, but not exactly what we were looking for because Flash Fill did not correctly interpret the pattern as it relates to the nested subaccounts. We can manipulate the preliminary results generated by Flash Fill by providing the tool with some additional guidance. Simply click in cell E21 and type “24010” – the subaccount number. Upon doing so and pressing enter, Flash Fill’s pattern recognition engine interprets this additional guidance and generates the results shown in Figure 4. Notice that Flash Fill has correctly extracted all of the Account Numbers from column A and placed them in corresponding cells in column D. With the Account Number field addressed, let us now focus on the Account Name field. Because we have already established a pattern in cell E2 for Flash Fill to use, all that is necessary is to click in cell E2 and run Flash Fill. Upon doing so, Flash Fill provides the results illustrated in Figure 5.
Figure 3 - Preliminary Flash Fill Results
Figure 4 - Updated Flash Fill Results
In a matter of just a few seconds, we have completely cleaned up the report using this incredibly simple, yet powerful, feature of Excel.
Summary
Flash Fill – added to the Excel 2013 release – is indeed a versatile and powerful tool. Using pattern-recognition algorithms, Flash Fill was able to quickly address the formatting issues that many QuickBooks users have with Trial Balance reports generated by the application. Of course, the usefulness of Flash Fill doesn’t end there...give it a try whenever you have a set of data you need to manipulate.
