RECREATION POLICIES & GUIDELINES

Please review the following, most frequently accessed policy and guideline information. For assistance or clarification email Recreation@WylieTexas.gov. ACTIVITY SATISFACTION GUARANTEE So you tried Macramé Comeback and it just wasn’t for you. A full refund is available through the first day of most contracted courses. If you are dissatisfied with the quality of a registered activity, please contact a staff person immediately so we may have an opportunity to solve the problem. DON’T MISS A THING! Activity registrations are available on a first-come, first-served basis with full payment. Register early and guarantee your spot before maximum enrollment is met. Full payment and waiver are required prior to participation. Allow time for your front desk registration or skip the line and register online. Activities cancel several days out if minimum enrollment is unmet. Register early and encourage friends to do the same. Registering “in bulk” is encouraged as a timesaver. Full refunds are available for most multi-day activities through the first meeting date. Review full withdraw and refund policies prior to registration. ANYTIME ACTIVITY REGISTRATION Register online with a credit card for most activities at https://apm.activecommunities.com/wylie. Some exclusions apply. IN-PERSON ACTIVITY REGISTRATION Register in person with cash, check, or credit card at Wylie Recreation Center, Senior Recreation Center, or Parks and Recreation Administration Office during business hours. ACTIVITY REGISTRATION SCHEDULE Get the worm! Activity seasons open up for Early Bird Online Registration (EBOR) one week prior to standard registration. Winter and Spring activities with a start date between January and May open up Dec. 1 for EBOR. Summer Activities with a start date between June and August open up for EBOR on May 1. Fall and Winter Activities with a start date between September and December open up for EBOR on Aug. 1. Some Activities may require special registration procedures including deadlines. Some Activities may be excluded. ACTIVITY DISCOUNTS The City of Wylie Parks and Recreation Department offers ongoing discount programs to encourage enrollment in a variety of recreation activities. An Early Bird Online Registration (EB)

discount of 5% is available for online registrations processed during the week prior to standard registration. The discount is available for designated activities. A Rec Pass Holder (RP) discount of 15% is available to current Rec Pass Holders for most contracted activities held at Wylie Recreation Center. The RP discount may be combined with Early Bird Online Registration. To receive the discount when registering online, use your existing account tied to your Rec Pass. Let us know if you need assistance, Recreation@WylieTexas.gov or 972-5166360. EB and RP discounts may not be applied to Special Events, Leagues, off-site activities, or staff-led activities. ACTIVITY WAITLIST You may be eligible for a waitlist when an activity has filled. If space opens up, waitlisted guests will be contacted in the order received. Please maintain current contact information with us. Waitlisted guests will be given a limited amount of time to follow up with a full registration before the next waitlisted guest will be contacted. The waitlist does not guarantee your spot nor serve as registration. ACTIVITY CANCELLATIONS Encourage friends to register with you and register early. An instructor may require a minimum number of participants before offering an activity. A decision about whether or not to cancel an activity is typically made the Friday before an activity starts. Please maintain current contact information with us. Registrants are notified by phone. If your activity cancels, you may transfer to another available activity, leave the credit on your account for future use, or request a refund. Supply fees are nonrefundable regardless of withdraw or cancellation of the class. ACTIVITY SUPPLIES Books, handouts, and other supplies are included with your registration unless otherwise noted. ACTIVITY WITHDRAW AND REFUND The City of Wylie Parks and Recreation Department encourages you to try something new and enjoy your enrollment. All patron-initiated withdraw requests must be made in writing and delivered to an employee or emailed to Recreation@WylieTexas.gov. Withdraw requests must include 1) date of the request, 2) full name of the person being withdrawn, 3) name of the activity, 4) reason for withdraw, 5) mailing address, and 6) how you would like the eligible registration fees applied. Registration fees eligible for refund may be 1) applied to your account with us for future use, 2) transferred into another eligible activity, or 3) refunded back to you. To be eligible for credit, requests for 1) Contracted Activities and Courses must be received prior to the start time of the second class meeting. 2) Requests for withdraw and refund of Flex Reg Programs, One-Day Activities, Trips and Special Events must be received at least 24 hours prior to the scheduled start time. 3) Requests for withdraw, and refund of Activities categorized as Camps must be received no later than noon, Friday before the first day of the camp. result in forfeit of any refund. Activities that require advanced “ticket” purchase are nonrefundable, unless the open spot can be filled. To fill the spot, staff will begin pulling from the waitlist. If the waitlist fails to produce a registrant for the spot, your registration fee is forfeited and unavailable for refund. If a waitlist is unavailable, you must find someone to take your spot and register, properly. When this new registration is complete, your registration fee can be refunded. In the case of staff-initiated withdraw due to course cancellation, staff will contact you to discuss how you would like your eligible fees: 1) applied to your account with us for future use, 2) transferred into another eligible activity, or 3) refunded back to you. If this information is not relayed to staff within seven days, any eligible fees will automatically be refunded. All refunds will be made to the original payer only. If original payment was received in the form of a credit card, the refund will be processed to the same valid credit card; allow three to five days for processing. All other refunds will be processed in the form of a check from the City of Wylie; allow four to five weeks for processing. Supply fees are nonrefundable regardless of withdraw or cancellation of the class. We strive to promote activities that provide a positive, independent recreation experience for everyone. Reasonable accommodations are provided based on the individual needs and abilities of each participant who has a disability. To make a request for accommodation, please contact the facility supervisor where the activity is coordinated prior to registration. ENHANCEMENT REQUESTS You are encouraged to suggest recreation enhancements. Activities, features, and programs are added or changed based on need and industry trends. To help us help you, please complete an Enhancement Request form as thoroughly as possible. Staff will review your request for possible existing means and/or alternatives. The decision to implement an enhancement is largely based on need, industry trend, and impact on resources. Enhancement implementation or response is not guaranteed.
