The AHLC's HairNow Conference is a very special place for us and one of our favorite industry events of the year. It provides so many incredible opportunities like having many of your favorite vendors in one place, learning new techniques, seeing the latest innovations and networking with industry colleagues. As former new members ourselves, we know that preparing for a jam-packed educational event can be overwhelming. Find Your Next Business Bestie

One of our favorite things about being an AHLC member is making a new connection. We met at the AHLC conference as new members in 2018. While we were both long time hair wearers, we were both new to hair replacement as business owners. We ended up sharing a table at lunch on the first day of the conference and quickly bonded over shared dreams (and shared fears). Seven years later we continue to share our dreams and our fears, almost on a daily basis! We support, challenge, and cheer for each other through the ups and downs of business ownership, and in life.

Our Top 5 Tips for Making the Most of Your Conference:

1. Check the website often for updates leading up to the conference. You will find information about pre-conference special vendor sessions that take place Friday and how to register. In addition, there are regular updates about conference sessions for Sunday and Monday.

2. Read the description for every session and map out your schedule ahead of time. Each session will be offered twice, once on Sunday and once on Monday. Think ahead about which sessions you plan to attend on which day so you don’t miss any of your preferred sessions.

3. Spend as much time on the vendor floor as you can. This is an incredible opportunity to meet with your preferred vendors face-to-face and to learn about new vendors. Make it a goal to introduce yourself to every vendor on the vendor floor – you never know what your business may need in the year ahead.

4. Don’t forget to have a way to share your contact information. Bring your business cards or make sure your digital contact information is up to date.

5. Network! Network! Network! The connections you can build with likeminded industry colleagues are priceless.

Assessing the Software Needs of Your Business

Going to the grocery store hungry might result in a cart full of food that you otherwise might choose to leave on the shelf. This analogy can also be applied to decision-making when choosing software systems for your business. However, having an extra bag of Cheetos is not the same cost or business impact as a wrong software decision.

We use software platforms simply to become more efficient and effective in running our businesses. We want to reduce the amount of time it takes to do a task and be able to manage assets such as inventory. We want the software to improve the overall customer experience, streamline internal shop processes, and

increase the visibility of our financials. These are all valid needs driving a business case to implement a system.

With over twenty-five years in manufacturing and information technology, I can confidently state that unprepared software decisions happen in organizations at every size and maturity level. Agnostic to whatever system is chosen, some consistent errors include rushing a decision without identifying current process needs and goals, assuming the software purchase alone fixes all problems, underestimating the amount of business sweat equity for an installation or overestimating the capability of business's resources. I've made these mistakes myself.

Most software applications are designed to represent industry standard, common best practices and functions. Designing, customizing and configuring a system fully from scratch to match your specific business is costly and the implementation timeline long. Most unique processes that make an individual business special can be accommodated because a platform does expect to have some adjustments. But here, the take-away messages for an owner are to be ready to commit to the industry best practices that the system is designed to deliver, but assertively look for any gaps where the system does not cover a process that is specific, key, and essential to your business.

Buying a Cadillac When a Chevrolet Will Do

During the process of making a proper purchase, the early business assessment and software decision-making phases are owned by the business. A good IT partner can help you through this process, but that is a variable. The business is the entity that feels the direct pain of a wrong buy; hence the business owns its assessment and the setting of objectives for a new system. A first impression of a software's capabilities may be impressive and seem perfect but investing time before the actual shopping to prepare questions, identify goals, become fully aware of processes, and discover pain points is critical.

To help you make the right decision, review these business assessment questions and discussion topics:

■ What are the specific problems, pain points, goals/objectives or improvements?

■ What exact business processes do I need a system to accommodate to run my business?

■ What business process(es) are unique and critical that a system must be able to support? Our hair restoration industry's practices, needs, and

procedures can be considered unique and niche. This can cause some gaps between what a system does "out of the box" and your studio. (Looking for these gaps is a key exercise to prepare for when evaluating systems).

■ Can I commit the resources of my team or myself to make an implementation work? Business resources will be needed at various levels during an implementation. For example, data (such as client information, appointments and inventory), will need a cleanup, preparation or even entered manually. User training and the testing of your system are other big demands of time.

■ Where do I see my business growing that a system or partner would need to support? For example, do you plan to add a service that you are not currently offering, such as e-commerce for retail.

■ What is my timeline for launching a new system? Do you need to launch at the end of a fiscal quarter? During a slower business season? Or do you want to rapidly launch as soon as possible?

■ What risks are there? Where are the ways that customers might be negatively impacted?

■ What are my expectations from an IT partner during the implementation phases and business support postlaunch?

■ What are my total cost assumptions and budget?

■ Have I asked for input from other business peers, my employees or clients?

Sounds simple, but an IT vendor cannot provide answers to these questions or topics. Maybe your business needs the Cadilliac, but the discussions with different software vendors are more valuable when you are aware and prepared. You are looking for a solution and a partner that is the best operational and fiscal fit for your business.

Some studies have shown that >80% of IT projects are delayed and the average cost overrun >30%. Anecdotally, I agree. In my opinion, a great preventative measure is spending this effort on the front end assessing your business, then diligently matching and mapping the different software solutions while evaluating IT partners for competency. Another result of this due diligence is that an IT vendor will be aware they have a committed and accountable customer (which are all prerequisites for a successful, collaborative, and positive system installation).

Also keep reminding yourself that the last group of stakeholders to affect or disrupt are your clients. Throughout every phase of preparation/business discovery, software purchase, implementation, and launch, always be diligent to ensure customer disruption is prevented. No business owner wants to launch an online booking tool that breaks on day one. Make this a theme from day one of your assessment effort.

The main priority of your business is the delivery of great services and products to our hair restoration clients, not necessarily to be a renown IT expert. It is a good idea to consider bringing in a consultant or third-party advisor to guide the assessment, evaluation and, decision-making process for software and vendors.

The Importance of Scalp Health During Hair Prosthesis Removal

When it comes to removing a hair prosthesis system, the primary concerns of a hair restoration professional are the health and well-being of the client. During this delicate process, signs of imbalance or issues on the scalp may emerge, requiring careful assessment and a targeted intervention.

The removal of a prosthetic system can reveal a range of skin conditions, from mild irritations to more severe infections. It is crucial not only to promptly recognize and address these issues, but also to establish and maintain correct habits to prevent their recurrence. This ensures the ongoing health of the client's scalp. An experienced professional will be able to identify and treat these problems with competence and sensitivity.

During the removal of the prosthetic, it is important to carefully observe the client's scalp. If necessary, conduct a thorough evaluation of the scalp using methods such as capturing macro and microscopic images with a scope.

If issues are detected, it is our responsibility to provide to the client detailed information regarding the situation. This includes guidance on maintaining scalp balance and addressing any skin disorders. This advice may involve recommending specific products, suggesting hygiene improvements, and further consultation with industry and medical professionals. The key to properly address any issue

is collaboration. Collaboration is done with the client by establishing an open dialogue and creating a relationship of mutual trust. With medical professionals, we collaborate to avoid prescriptions that could be ineffective or harmful to the client's health. With our colleagues and peers, we collaborate by sharing our different experiences.

Education is crucial to ensure a client maintains a healthy and balanced scalp. It is the responsibility of the professional to provide the client with detailed information on proper scalp care practices. This advice includes regular washing (at least twice a week) with specific products, daily drying of the prosthesis (with a cool air dryer to prevent humid conditions that may encourage irritations or bacterial growth) and increasing the appointment frequency of salon hygiene services. Scheduling is particularly important during periods of heightened sensitivity, such as seasonal changes or when dealing with oily skin conditions or new medications.

What Factors Can Promote Skin Problems?

■ Incorrect application of the prosthesis, such as not precisely adhering to the original edge.

■ Neglecting scalp analysis or failing to rebalance the scalp during monthly service.

■ Failing to recognize problems, such as mistaking irritation for infection or vice versa.

■ Neglecting to discuss with the client new medications or hygiene habits.

■ Poor hygiene practices, including infrequent washing or neglecting salon hygiene services.

How Can We Avoid Scalp Problems?

■ Conducting preventive patch tests of the base materials of the hair system and adhesive materials and repeating them when you see the client is having a reaction on the scalp. Every individual is unique and may go through periods of increased sensitivity, so it’s necessary to repeat the patch test.

■ Education on correct hygiene practices.

■ Accurate identification of issues, no self-diagnosis but consultation with professionals and medical personnel.

■ Using products that do not align with individual sensitivities, such as those containing aggressive ingredients, allergens, or not specifically formulated for the scalp.

■ Respect for the application and removal protocols; taking care not to skip steps or use unproven do-it-yourself methods. When encountering scalp problems during the removal of a hair system, it is important to address the situation with care and attention. A comprehensive and personalized approach includes assessment, treatment, and ongoing support. These steps are essential to ensure that the client maintains a healthy scalp to promote long-term hair growth.

Five Cancellation Policy Mistakes & What To Do Instead

There are two universal truths in this industry: Every business owner (a.k.a., you if you’re a stylist or salon owner) needs to have a cancellation policy. And nobody likes talking about it.

Listen, having the hard conversation about (not to mention enforcing) your cancellation policy is not fun, but it’s necessary. Let’s dig into the top five most common cancellation policy mistakes and what to do about them!

Mistake #1: Not Having a Cancellation Policy

Real talk: If you don’t have a cancellation policy, you’re allowing your clients to walk all over you. Yes, sometimes life gets in the way (a sick child, a flat tire, an unexpected work meeting). But here’s the thing: adults are just older children.

Meaning, we’ll try to push the limits and get away with as much as we can.

And, like kids, we respond well to negative repercussions…which is where the cancellation policy comes in.

Does that mean you always have to enforce it, even when your client is having a run of bad luck? Not necessarily.

Around here, we believe that everybody should get one get-out-of-jail-free pass, one time that they can cancel against policy and it’s okay. BUT that comes with certain verbiage: “Thanks for reaching out. I totally understand about [situation]. I’m

going to give you a one-time pass on the cancellation policy ’cause I know you’ve never canceled before. In the future, if you do cancel regardless of reason within [whatever the policy is], there is a penalty of [whatever the penalty is]. Just something to keep in mind. I’ll waive it for this time. Hope you feel better [or whatever response makes the most sense].” When you use this language, it reinforces that this is a one-time thing. Next time, you’ll enforce the policy.

Your time is worth protecting, friend. Take the time to build a cancellation policy and practice talking about it to get comfortable and confident.

Mistake #2: Not Enforcing Your Cancellation Policy

Let’s say you do have a cancellation policy, but you never enforce it. Every time somebody cancels last minute or at a timeline that doesn’t work for you, you say, “Oh, no worries. I understand. See you soon.”

It’s fairly immature to go to any kind of business and say, “I should get a getout-of-jail-free pass because I’m having a bad day/my car got a flat,” etc. Everybody has bad days. Everybody has days where things go wrong. But you don’t need to take a full hit because somebody else’s day didn’t go as planned.

Does that mean you can’t be flexible? Of course not. You can use the verbiage in mistake #1 to communicate that you understand, but this is a one-time pass. Will there be instances where you need to bend your cancellation policy? Probably. Life happens, right? But enforcing it 99% of the time will enable you to run a solid business and protect your time.

Mistake #3: Only Posting It on Your Website

The average client doesn’t peruse your website on a regular basis. 99% of the time, they get on your site to book an appointment, maybe click around a bit, then log off. In other words, they aren’t going out their way to look for your cancellation policy.

you read the fine print? Probably not. Your clients don’t either.

Assuming your clients know and agree with your cancellation policy just because it’s on your website is not fair and possibly not legally enforceable. Instead, have a pop-up on your online booking platforms that reminds them of your policy every time they book. That way, they’re reminded of your policy and can decide before they book whether this appointment is a good fit for their schedule.

Mistake #4: Mentioning It at the First Appointment (& Never Again)

If you’re not talking about your cancellation policy, it’s not a policy. It’s an idea.

Should you explain how your business works (including your cancellation policy) early in the client/stylist relationship? Absolutely. You can do that verbally, in written form, or digitally.

Should you mention your cancellation policy the first time a new guest is in your chair? Yes.

It’s important to establish the foundation of the client/stylist relationship because people don’t know your business like you do. They don’t know your policies and systems inside and out. So, walking them through on their first appointment or sending friendly reminders throughout the year when big events or seasons (like the holidays) come up is good business practice.

How do you bring up your cancellation policy when big events or seasons approach? Try this verbiage: “Just a reminder: I know we haven’t talked about it in a while, but since the holidays can be pretty stressful, I’m using this time to remind my clients about our cancellation policy. I know your life is busy, my life is busy, so out of mutual respect, I wanted to remind you that [talk about your policy here].”

Finding a cadence that allows you to talk

about your policy with clients a few times a year keeps it top of mind for you and them.

Mistake #5: Over-penalizing

While some stylists never mention their cancellation policy, others take it a step too far and create overly rigid policies with heavy penalties.

We get it—if somebody doesn’t come in, it’s money out of your pocket, right?

That being said, there’s a lot of laws around services rendered and payments due for services rendered. In most places, the law is written so that if a service is not rendered, a consumer doesn’t need to pay. (Cancellation policy regulations vary by state, so check yours to be certain (or, one better, contact a local small business attorney for 100% certainty.).

Sustaining your reputation is what’s most important. A cancellation policy is meant to be a slap on the wrist and an opportunity for behavior correction. It’s not meant to make people feel like they’ve hurt us or for it to be too heavy.

Four Things to Consider When Crafting Your Cancellation Policy:

1. Decide what your cancellation policy will be. Consult a local small business attorney to help identify your options and implement an enforceable policy.

2. Have your clients agree to the cancellation policy in the salon. Taking the 30 seconds to restate it out loud to them shows that you mean it.

3. Create a way to invoice clients for the penalty charge. Have a structure in place so they can’t book their next appointment until the penalty is paid. They either follow your rule or can’t play with you anymore.

4. Customize your policy to your business. If you work five days a week, your policy will look different than somebody who works three days a week. If you’re more part-time, consider a 36, 48, or even 72-hour policy.

For example, if you have a policy where you charge 50% of the service, the client will likely win if they took you to small claims court. Or if you ran the client’s credit card on file with a 50% cancellation policy and they fight it, they’ll likely win due to consumer protection laws. Either way, chances are

So, build up the confidence you need to have the conversation to enforce that policy. Create the structure and the conversation. Consider what works best for you and your business, and don’t be afraid to hold people accountable for their actions.

My journey into the world of barbering began at the age of 12. A visit to a local barber college for a haircut left me dissatisfied, prompting me to take matters into my own hands when I returned home. Little did I know this experience would ignite a deep passion within me for the art of barbering. When I became a licensed barber in 1994, my whole life changed. I went from working construction jobs to building people’s confidence with clippers!

Barbering is a unique skill not everyone possesses. Upon joining the industry, I knew I had found my calling and envisioned myself standing behind a barber's chair for years to come. Obtaining my barber's license at 21 marked the beginning of my journey. Driven by this passion, I delved deeper into mastering every aspect of this craft.

I am firm believer in setting, rather than following, trends. I actively seek opportunities to elevate my expertise through participation in hair shows, continuous education, and industry conferences like the American Hair Loss Council's HairNow conference and Bronner Bros International Beauty Show.

After graduating from barber school, I became an entrepreneur by establishing Billco Barbershop in Gary, Indiana. This venture continues to thrive today with 12 chairs. A relocation to Houston allowed me to further expand by opening a hair

replacement center. Moving to Houston was powerful because I was able to reach out to a client demographic that needed the expanded barber services I provide.

The evolution of the barber industry undeniably reveals a shift towards hair replacement emerging as integral to modern barbering practices. Our societal standards emphasize self-care and appearance more than ever before. Adapting to these changes is paramount for barbering professionals. Before-and-after transformations are common and trending on today's social media.

I feel the future of barbering lies in embracing innovations such as hair replacement systems. This non-surgical procedure can be a gamechanger for any

barber. Adding these services is a strategic move not solely driven by financial gains, but also goals of efficiency and client satisfaction. As professionals in this dynamic industry, we strive for success and growth while meeting evolving client demands head-on. It is crucial to stay ahead of trends and offer comprehensive services that cater to diverse client needs.

Embracing change is key, evolution waits for no one. To fellow barbers and stylists alike: Ask yourselves where you see your career heading in ten years? Will you continue along familiar paths or dare to explore new horizons within the hair replacement business? As we navigate through shifts in consumer preferences and market dynamics, the ability to adapt swiftly and effectively will set us apart as industry leaders.

The longer you are in the industry, you will see your clients experiencing hair loss. A mentor once told me, “Don't lose your clients because they are losing their hair." That is the power of hair replacement.

"Turn your passion into profits,'" serves as a guiding principle for aspiring barber professionals seeking longevity and success in this ever-changing field. I pride myself in staying ahead by learning new innovations and techniques. I will also continue to inspire and challenge barbers to push themselves to further their careers.

How Nutrition Affects the Hair and Scalp

To understand the connection between nutrition and hair we first must understand keratinization, the body's process of making hair.

Keratinization is the intricate process by which new hair cells form, mature, and eventually appear from the scalp. This produces keratin, our hair's primary protein. But here is the catch, keratinization is not an easy "walk in the park." It is a demanding process that requires ample energy and an array of nutrients to fuel the journey. Just like a construction site bustles with activity – your body diligently works to synthesize keratin, fueled by the nutrients you provide through your diet.

What happens when the body's nutrient supply falls short? Similar to a construction project that halts in the absence of essential building materials, the process of hair growth can come to a screeching stop when there is a deficiency of key nutrients.

When the body senses a shortage of vital nutrients, it prioritizes its resources, channeling them towards essential bodily functions to ensure survival. Unfortunately, since hair is a non-vital organ it often takes a back seat in this scenario. The body conserves energy by temporarily suspending hair growth until the deficiency is addressed and more resources become available.

Aiden's Story

On December 18th, 2021, Aiden's life would change forever. It was evening in Medellin, Colombia, when his mother and he were involved in a tragic accident. Aiden was two years old when he and his dog were playing in the house. His mother was cooking when a pot of boiling cooking oil suddenly fell. Aiden's mother suffered burns all over her hands. The oil burned Aiden's head, neck, and down his back. A neighbor rushed them to the hospital.

The medical staff separated Aiden from his mother to transport Aiden to the pediatric burn center. Aiden spent the next 24 hours in critical condition. The doctors emphasized that if Aiden could endure the surgeries that were to come, then his chances of survival increased significantly. Aiden spent the next 90 days at the hospital receiving wound care for second- and third-degree burns.

Fortunately, with the support of his family, friends, and an excellent medical staff, Aiden was discharged and sent home for the final stages of recovery. Two months later, Aiden and his parents returned to the US, where they currently reside in Miami. They followed up care with Jackson Hospital, where they learned that Aiden's hair would never grow back due to the scarring along the left side of his scalp.

Aiden's father, Mike, was desperate to find a solution. Aiden's scars were a constant reminder of the tragedy. He felt it was his due diligence as a father to find a solution for his son's hair loss. Unfortunately, due to Aiden's young age, the doctors could not perform any transplants or laser surgeries. We are hopeful that during his teenage years and with technological advancements he may be able to benefit from another surgery. Mike then started researching wigs, which directed him toward non-surgical hair replacement.

On October 4th, 2022, I received a message from Mike inquiring about hair replacement. He previously connected with other non-surgical hair replacement techs, but some did not work with children or were not

comfortable with trauma-driven hair loss. Fortunately, a colleague referred them to me. After a few virtual consultations, Aiden and Mike traveled to Frederick, MD.

The moment I saw Aiden, I felt an emotional wave. To see a young child impacted by such trauma, I knew I would do anything to help him feel "normal." My team and I started Aiden in a poly/skin hair system and medical tape. We designed it specifically for the area in need. Since they lived in Florida, we wouldn't be able to help with maintenance. We also felt he was too young for adhesive. For these reasons. we decided that Aiden’s hair system should be removed daily for comfort and longevity.

Over the next few months, Mike and I kept in touch. Aiden was having success with the hair system, and they felt it was completely undetectable. I was confident about moving Aiden into an advanced cranial prosthetic. They returned to Maryland for the parameter appointment, which uses a 3-D scanner and fiberglass mold to create a custom prosthetic.

The system was delivered a few months later. With his parents' permission, we brought in a media company to capture his story. My goal was to share his story to help other victims realize that solutions are available.

I have worked with all types of hair loss, including genetic, autoimmune, and cancer-related hair loss. But working with burn victims has a special place in my heart. I come from a family of firefighters, and I've seen firsthand the devastation to the first responders and the victims. Burn survivors with scarring alopecia will never grow their hair back without invasive procedures. That is why we, as a hair restoration industry, need to be their advocate. Unfortunately, most insurance coverages do not provide cranial prosthetics, but we were fortunate to "gift" Aiden his prosthetic. I feel confident we can be the voice that is needed for change and become involved.

There are a few ways a center can engage. There are burn centers located all over the country. I recommend contacting local center rehabilitation teams who work with victims on emotional and physical recovery. Another way is to research the local burn survivor support groups and participate in events. This is a great way to build relationships with the volunteers and survivors. Social media is a powerful tool. Look for hashtags and geotags to find others in the burn recovery community.

One of the first outlets we contacted is the Phoenix Burn Society. They are a non-profit organization that serves burn survivors, loved ones, burn care professionals, researchers, and anyone else committed to empowering the burn community. After speaking with their representatives and educating them on cranial prosthetics, they were astonished that such a thing existed. They next invited the Advanced Hair Loss and Scalp Solutions team to their podcast, "Girls with Grafts," which plays on Spotify. These some examples that help to spread awareness of burn recovery and hair restoration.

At Advanced Hair Loss and Scalp Solutions, we are still finding our footing in this community. We will continue to strive with a goal of positively impacting the lives of other survivors just like Aiden.

Hire Slow, Fire Fast

In 1997, I took over Apollo Image Enhancement Center at the ripe old age of 22. When I started with the company, there were 13 people doing jobs that could be done by a team of six. In my first company meeting, I looked around the room and felt that only one person there would be around for an extended period of time. 27 years later, not only is she still a member of the team, but also one of my closest family members. She is celebrating 40 years with Apollo this year. Also, two other managers have now been on our team for 18 and 17 years respectively.

The foundation of any relationship is trust! It took me over ten years to learn the importance of hiring the right people and having a diligent hiring process. Our philosophy now is "hire slow, fire fast." Apollo has found our most success in the hiring process is from using referrals and recommendations from co-workers and friends. I had always been taught to not work with family. But I have found that by hiring referred friends and family members, you can create a familystyle work environment that clients can see and feel.

What we have found to be the best hiring process is (regardless of what platform you use to find potential candidates) is by using our management team, not just myself, to sort through the applications to find who they think would be the best team addi-

Once a new hire starts with the company, they are provided with a detailed employee handbook and a regimented training period. The first 90 days of employment is a trial basis. This allows us to make sure that they are the right fit for our team. If both parties decide to move forward at the end of that period, they are restricted to back room work and removal/cleanup of the clients over the next 90 days. All of our hires have been stylists that have never worked in hair replacement before, so this gives them a chance to learn what we do and how our business is different from a typical hair salon or barbershop. After the first six months of employment, new stylists are then presented with a non-compete agreement before working with clients one-on-one.
