Description: Executive Assistant We are looking for a smart, presentable Executive Assistant who can provide both secretarial and administrative support to our team of professionals. The role plays a vital part in the administration and smooth-running of our multi-cultural and multi-diverse businesses in an effective and efficient manner. Required to maintain customer confidence and protect operations by keeping information, confidential in a professional manner. The job involves both written and oral communication, customer support and research, secretarial and reporting and requires relevant skills such as IT, organizational and presentation skills. The ideal candidate should have a pleasant, pleasing personality with a ‘can-do’ attitude and willingness to learn more on the job. Multi-tasking abilities and working under pressure would be needed. Though experience of 2-5 years would be great, but it is not a mandatory requirement. We can consider freshers with the right frame of mind and good attitude to work diligently. Executive Assistant Job Description : •

Responsible for secretarial and administrative management of the office.

Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

Carry out background research by reading, researching by internet, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

Prepare reports by collecting and analyzing information. Produce documents, briefing papers, reports and presentations

Planning and scheduling meetings, conferences, teleconferences, and travel/accommodation.

Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

Attending meetings, taking minutes and keeping notes

Sorting and distributing incoming post and organizing/sending outgoing post

Liaising with colleagues and external contacts for smooth operations

Photocopying and printing of various documents

Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

Making travel and guest arrangements

Providing quality customer service

Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

Providing information management support

Any other duties as needed from time to time.
