Greetings From DS Ijah B. Greetings Club Secretaries! My name is Ijah Erica Brown, your newly appointed District Secretary. It is with gratitude and humility that I serve as your DS for the administrative year 2015 – 2016. I am looking forward to meet each and every one of you and to have an amazing year with you guys. DUTIES OF THE CLUB SECRETARIES The secretary is responsible for the management of all club records. The secretary must be ready to document the details important to running a smooth club operation. Included in the managing of club records is keeping minutes and attendance at all club and board meetings. Club Secretary Duties and Responsibilities:  Maintain all records including club membership, dues payment, and committee activity.  Document club activity through meeting minutes.  One of the most important duties of the club secretary is documentation of club activities and member involvement with those activities. Accurate records lend to club credibility and viability. In addition, this information is helpful to incoming officers and committee chairs as they evaluate the success of past club activities and then develop goals for the future. The secretary is responsible for documenting: o Member attendance at meetings. o Minutes of club meetings and board meetings. o Member participation in club activities. o Service hours and administrative hours contributed by each member. .

DUTIES OF THE CLUB SECRETARIES CONT’D Weekly Duties  Attend all meetings and compose the official minutes.  Respond to all correspondence within several days and inform officers and advisors of the communication. Monthly Duties  Recommend to president agenda items for the board of officer meetings.  Attend board of officer meetings.  Collect the monthly committee reports.  Write and submit monthly report to the district.  Forward newsworthy information to the district publication and Circle K Magazine.  Publish a club bulletin (if club bulletin editor position does not exist). Annual Duties Obtain all files and information from immediate past secretary. Inventory all club property. Create a filing system for club reports, bulletins, and literature. Produce a club membership directory. Complete award forms for district and International contests. Complete all delegate registration forms for district and International conventions.  Assist incoming secretary in becoming acquainted with the position.      

DUTIES OF THE CLUB SECRETARIES CONT’D Reporting to the Board  At each board meeting the secretary should be prepared to present a report of activities over the past two weeks. This report should include:  Information about any correspondence received and/or mailed.  Report of meeting attendance and total member and guests participating in club projects.  Report on prospective new members.  Report activities accomplished, such as the submission of dues, development of club bulletin, and monthly report.  Report monthly on the number of committee reports received.

THE TOMORROW FUND Looking for assistance to fund a major project?... Well look no further because there is the Tomorrow Fund. The Tomorrow Fund is an endowed fund for Circle K International held within the Kiwanis International Foundation. This fund, utilizing the interest earned, helps CKI clubs and districts serve the world through grants for service opportunities. The fund is established through a portion of CKI member dues, direct donations, the donation of Carthage-Pullman Society memberships and the donation of Sapphire Circle honoraries. Tomorrow Fund grants can help you take action. How? Identify projects your club would like to tackle on your campus or in your community. Then, apply for grant funds to support those service projects. Grants by the Circle K International Board from the Tomorrow Fund must conform to the policies of Circle K International. Tomorrow Fund grants are granted only to CKI clubs and/or districts. The review committee may award up to, but not more than, the amount of interest earned off of the endowment available at the convening of the committee. Clubs may request funding assistance from US$200 to US$2,000. The committee typically funds those clubs asking for a portion of the total cost of the project, and clubs that are working with other organizations to fund and complete the project. THE KIWANIS FAMILY Kiwanis International is the parent organization of CKI at the college, Key Club at the high school, Builders Club at the junior high or middle school, and KKids a the elementary school levels. For a CKI club to exist, a Kiwanis club must sponsor it. The objects of both CKI and Kiwanis are parallel and they share the same motto, "We Build." When a Kiwanis club agrees to sponsor a CKI club, it agrees to make a financial and programming commitment. Key Club Key Club International is a high school-based organization with more than 245,000 members dedicated to helping others, serving their schools, and making their communities better. There are nearly 5,000 high schools around the glove with service-minded members of Key Club. Builders Club The first chartered Builders Club was sponsored in 1975 by the Kiwanis Club of Ashland, Kentucky, at the Coles Junior High School (now known as Verity Middle School). The original concept of Builders Club (known as "Young Builders" in the 1930s) was to provide a guidance program to combat disruptive behaviour at the junior high and middle school level. From this evolved the idea of a service organization to develop leadership skills in junior high/middle school students interested in making a personal contribution to their home, school, and community.

THE KIWANIS FAMILY CONT’D Key Leader Key Leader is a weekend experiential leadership program for today's youth leaders. It focuses on service leadership as the first, most meaningful leadership development experience. By participating in a hands-on, weekend event, Key Leaders learn that leadership comes from helping others succeed. The program is designed to identify and empower emerging student leaders and move them beyond where most other leadership programs end. Thousands of students on four continents have and will become Key Leaders. Terrific Kids Terrific Kids is a student recognition program that promotes character development and good citizenship. Terrific is an acronym meaning: Thoughtful Enthusiastic Respectful Responsible Inclusive Friendly Inquisitive Capable. Bring Up Grades Bring Up Grades is a program designed to provide recognition to students who raise grades into an acceptable grading period to the next.

THE KIWANIS FAMILY CONT’D K-Kids K-Kids is a "student-led" community service club for elementary-age students that teaches members the value of helping others through participation in community service projects and club activities. Aktion Club An Aktion Club is a community-service group composed of adults who live with disabilities. A Kiwanis club, composed of leading business and professional people of the community, serves as the Aktion club's sponsor. Aktion club service projects can address needs of the community and of the supporting agency. Kiwanis members focus on not only the social and emotional needs of the clients through Aktion Club, but they also help the agency purchase materials and equipment. Aktion Club members strive to return to their communities, the benefits, help, and caring they have received, while at the same time developing important skills. Meet DS Ijah B. DS Ijah was born on January 12. She has been a part of the Kiwanis family for over 12 years. She spent 3 years in Builder’s Club, 7 years in Key Club and is in her 2nd year in Circle K. Throughout her years in Builder’s and Key Club she has served in various positions namely, Chairperson, President, Vice – President, Treasurer, District Webmaster, District Bulletin Editor and District Secretary Treasurer. DS Ijah has copped several awards during her years in Key Club. She has received awards for “Most Improved Key Clubber”, “Outstanding Vice - President”, “Most Outstanding District Board Member”, “Distinguished District Bulletin Editor 2012 – 2013” and “Distinguished District Secretary – Treasurer 2013 – 2014”. DS Ijah attends the University of the West Indies, Mona where she studies Computer Science. Ijah enjoys dancing, singing, sleeping, hanging out with friends and serving the less fortunate.

Quick Facts In 1947 the first Circle K Club was chartered at Carthage College in Illinois. In 1957 Texas – Oklahoma became the first district of Circle K International.

NOTICES CIRCLE K INTERNATIONAL CONVENTION (ICON 2015) The 2015 Circle K International Convention will take place June 24-27, 2015 in Indianapolis, Indiana, at the JW Marriott in downtown Indianapolis. Friday April 17, 2015 was the last day to register for the CKIx at the Early Bird Registration rate of US$225. The room rate for the Holiday Inn Express is US$139 per night for up to four individuals plus applicable taxes (currently 17%). Breakfast is included for each morning.
