In LC Ankara, as each year, we’re trying to increase the number of people in EESTEC family and create an atmosphere in which our members feel comfortable and have fun. So, this is something we’d love to continue. Along with this local aim, internationally we’d love to increase the number of BATCAMs from our local branch, organ ise more international events and meet a lot of EESTECers!

We have almost 70 active members and some more that are participating but not that active. We believe our strong point is our members, meaning we have a lot of new members com ing every mandate looking forward to meeting EESTEC culture. This makes our events a lot easier for us and cre ates a huge EESTEC family, which we love having and growing. As of weak point, we can say that we may change our internal team meeting structure a bit and turn it into a more beneficial version.

LC Aveiro has not organised any event in this mandate.

We are very proud to have organised a Motivational Weekend, in which we had a lot of fun in Serra da Freita with playful activities and training sessions about Group Dynamics and Teamwork. This event was a welcome reception to new members, and also an op portunity to meet some members of LC Porto

This year we had a lot of new members at LC Aveiro, triplicating the number of our members. They are very active and motivated to organize new events and to participate in international events. We organize for the first time a EESTech Challenge local round. It was our first hackathon event and we considered it a big success. 412 members we have. Approximately 100 members are actively working. Our strong point is that we have many opportunities to do events for our members locally because Eskisehir is a student city.

What expectations do you have for your branch?

While returning to alive after the pandemic, we had difficulties at first due to uncertainties. However, with the opening of the schools, we have achieved very good progress in terms of manpower, reach ing more members than we expected. At the end of the term, we left more members than in previous years. During this mandate, we also held many good events locally. Our hosting of the Internation al 8th Design Sprint created great international awareness for our members as well.

Another important event for us was Uni-Day, one of our local fairs which unites students with companies that offer opportunities to study abroad. This was our first live event this year, and it was the first event we had with our new members being involved in the organization of, so it had great impact on the future of our branch.

This mandate has been very special for all of us, as we were return ing back to live conditions and had the chance to experience it to the fullest. We have started the mandate with full motivation and are ending it with the same feeling! There have been many mile stones for us this year, most important one being our international event, Game Technologies Academy Workshop. We have made unforgettable memories with our participants and bonded with all of them so much that our chat is still alive to this day.

Last but not least, our biggest local fair IoT Line Fair’22 also had a memorable place in this mandate, we had a team of 25 people working on this event whose efforts turned into great success. At the end of our event, we felt so proud and even more united after seeing our teamwork and spirit working out this nicely!

Having one D-SSA and one SSA was also very important to us as there has been no live ones since Corona. We had the chance to spread the training culture more within our branch and contribute to the self-development of our members.

Vice Chairperson for Human Relations: Jack Avcı

Situation of the branch

We have also organized 2 international events: GTA: Game Technol ogies Academy Workshop and the Malibu Club IMW. There were 14 participants in our Workshop and 28 participants in our IMW. It was such an amazing week for us to host such wonderful participants and spend lovely time with them!

We expect our branch to continue growing and sharing the EESTEC Spirit with all EESTECers, and sustain our motto #lcistanbulrocks!

We have organized many local events which included 2 local fairs, 2 SSAs, a Motivational Weekend for our new members, a local board simulation for our active members to prepare them for board appli cations, a workshop focusing on Start-Ups, another workshop about Darkweb, Speaking Clubs and many parties! Majority of our active members participated in all of these events, and after organizing each of these we felt like our efforts payed off as our bond with our members grew stronger all the time.

This mandate has been challenging for our committee - we were trying to integrate our pre-pandemic members with ones that joined Association during the pandemic times. Adapting to a new reality has been demanding for all of us, however, we were more than happy with the outcomes of our recruitments and with the number of new, motivated people that joined our branch. To give them as many occasions as possible we had 2 MWs, 2 Mentoring Systems, Christmas Eve, Alumni Day, and EESTEC Hour. Apart from integration, we focused on improving the working of teams and structuring the KT. We manage to put into our timeline 2 big local events: SSA and Hacnarok, 2 smaller ones - AleWarsztaty and HIoT, and an operational event - T4T with IMW. We organized a 4.0 Industry Workshop this mandate, from the 18th until the 22nd of April. There were 18 participants, and the experi ence was amazing. It was the first time since 2019 we organized an event, so there was a huge generational and knowledge gap. Still, we managed to pull it through. We believe this event managed to motivate a lot of new members to become more involved in the association, and also provided a good ammount of experience for future events. We also organised a SSA with 5 international trainers from the 29 of March until the 6th of April

We have around 120 members, out of which only around 50 are active. How ever this number changes throughout the year. Our strongest points is prob ably the reach we have on our faculty: almost every student has heard of our association, every year we are the association which gets more new members, and our university provides us with a wide office for us to keep our stuff and use to study, work, etc. On the other hand, one of our problems is the knowledge lost in the generational gap caused by COVID, while we also lack experienced members on fund raising so money is usually a problem. We are currently trying to tacke these problems one step at a time but it will require work

How to reach us

This year has been a challenging one. We faced a mandate with a Board where all but 1 member had never lived a local event and only had 6 months of live experience, since our faculty closed during the pandemic. We began our year with our office closed, but still managed to do a good recruiting by organising 3 days of activities with new students at the faculty and managed to get around 60 new members. We also organised some bonding activi ties between members and created a very nice environment in our association. While organising the Workshop we faced also lots of problems: lack of experience in fundraising to find speakers for the sessions, absence of a guide/document that helped us overcome the knowledge gap the pandemic had created... still, we managed to pull through the event and the outcome was quite nice. Partici pants were very happy with the event and it was a great experience for all.

Board members

Situation of the branch

We intend to become more internationally involved by trying to engage more of our members in EESTEC activities and events, solve the problem of the knowledge gap by creating documents summa rizing the process for organising an event and the instructions for each position to make the work easier for newer generations in case anything happens. Another one of our prioritys is creating a strong fundraising to give us the financial backing and support we need to have more potential

The most difficult part of the mandate was to register the branch and organisation in the university. We needed to create our charter and present it to the committee and make some changes in our documents to stay present as a branch. Fortunately, we completed this work.

What expectations do you have for your branch?

We organized our first local motivational weekend in over 2 years and it was one of the best feelings during our mandate. So many of our EESTECers all in one place, some of them seeing each other for the first time (because of the pandemic). It definitely was the most amazing atmosphere of our mandate.

We currelnty have around 72 mem bers, 64 of which are active. As a strong side, we consider our increasing count of members that are willing and happy to help and dedicate time to our branch. A possible weak point is the knowledge gap that the global pandemic has left us with, regarding organizing live events. to reach

The biggest event that we were focusing during our mandate were the academic events. We organized a brand new event called Back 2 Basics - to help first year students with their studies and EESTEC Academy which is a local event with a long tradition. We organized 3 modules of EA and it was the biggest event in our mandate with more than different 60 participants in each module. Organizing EA was pretty easy but exciting.

We plan on filling the following year with many We expect our branch to further grow. Soon our biggest faculty might go back to being fully offline and that means even more potential members. We expect many new EESTECers to join our LC Skopje family. New live events and activities. And last but not least we are excited about the international event that we get to organise this year.

Organizing B2B was amazing. We had the freedom (and responsi bility) of creating a brand new idea, brand new event.

This mandate can be summed up as a year with many academic events and fun bonding activities. Overall the whole experience was incredible. It was a time full of improvement, learning and transitioning from online to offline. All while having fun and get ting to know eachother better. There where a lot of hours spent on planning, meetings and organising the details of each activity that we had. We had an amazing time doing that and we as board are thrilled that we had motivated members throughout the whole mandate that were always happy and prepared to help. Some of the bigger events that we organised were the 3 modules of EESTEC Academy, the first edition of Back to Basics, Soft Skills Academy and our first after-pandemic motivational weekend.

Lastly, we organised an International Workshop and the first IMW of our branch in May. The Workshop hosted 12 International EESTECers and the IMW about 50 participating EESTECers in total (locals and non-locals). We cannot even describe how content and emotionally moved we are for these milestones. As participants, we met sooo many other EESTECers from all over Europe, partied really hard and experienced great moments. On the other hand, as an Organising Committee, the organising process was a true test of character, but the feeling of success at the end was very very sweet.

We expect another successful recruitment, which will help maintain the number of active members as high as necessary to continue organizing local and international events. We also expect a better spread of the events organized in both semesters of the mandate (e.g. a Job fair and some academic events by the end of 2022). We also expect a higher level of engagement in international level in Teams and Projects.

Then came EESTech Challenge Local Round in April, which hosted 7 academic contributors and more than 100 participants. It was a unique hackathon experience both for us and the most tech-savvy of the local student community and helped many new members receive event organising experience and our branch to strengthen its relationship with the university and grow financially.

Mandate summary

It was a really loaded, yet refreshing mandate. We hosted a very successful recruitment event that helped our branch grow by more that 50 active and high-EESTEC-Spirited members, thus during the Spring we organized many events, such as our fourth Soft Skills Academy in late March, an EESTech Challenge Local Round in mid April and an International Academic Workshop as well as the first IMW of our branch in early May.

This year we have had five extremely successful local workshops: PLC ( a workshop on Programmable Logic Controllers), WES (Work shop on Embedded Systems), FrontEd (workshop on fullstack web development), IllumiNative (workshop on native mobile application development) and Robots. Back in November, we also organized an international workshop called ChainBrain, based on blockchain technologies, where fifteen participants from various LCs visited Zagreb and listened to lectures on several different blockchain topics. Our local workshops mostly had either 30 or 50 participants. In May we also organized a local Motivational Weekend for 50 of our members.

On the more problematic side of things during the Autumn Congress 2021 our Chairperson resigned. This led to the VC-EA stepping up and covering the position. Since then we have continued as a Board of four while trying to evenly distribute the responsibilities.

Besides that, all but one Operational Event have been scheduled or al ready taken place in collaboration with the Teams/Projects and Organis ing Committees. The EESTech Challenge Final Round has also happened successfully thanks to the Project and LC Milan. Also this year we had a Live Regional Meeting only for Region 5, organised by LC Bucharest, while we were about to have an LRM for Region 1 as well, organised by LC Izmir and JLC Bursa, but it got cancelled due to lack of applications. To cover the needs of the other regions, the LRM of Region 5 accepted par ticipants from other regions as well and the event happened successfully. Finally, some steps towards an Operational Event Guide have been made which is to be released by the end of the mandate.

Our mandate of 2021-2022 has been an interesting one so far, all with its ups and downs. During the first months, the Handover Board Meeting and the Summer Board Meeting happened in Porto and Sofia respec tively where the entire mandate was set up. We had a successful call for Leaders, Board Assistants, Coordinators and Team/Project Members with almost all the positions being filled and in the meantime little by little, branches have started to organise live events again in the decline of the Onpandemic.somemore

What have been the hardest challenges to overcome and what did you enjoy the most this mandate?

After Autumn Congress we continued working on our goals. A services document for Team/Projects/BAs and an Event Health Guide about measures for the COVID-19 pandemic have been created. An evaluation of the current Strategic Plan was done during WIBOM. A GDPR guide has been created and the Terms and Conditions of EESTEC.net have been updated while finally a new EESTEC website has been published. Works towards a new logo of EESTEC have been made too.

Spring Congress Organising Committee (SCOC): LC Belgrade

Is there anything that, if you could, you would have done differently during your mandate?

There are always things that can be im proved and our mandate is not an excep tion to that. We tried our best and gave a lot, which might not have yielded as much success as we would have wished for on all fronts but in the end it is what we could give both as individuals and as a team. We definitely hope for a less troublesome year for the next Board.

Supervisory Board

Gasper Kirbis - LC Ljubljana

The hardest challenge was to adapt the work of 5 people to a Board of 4 after the resignation of the chairperson. What we enjoyed during this mandate is meeting each other in various places in Europe, working together and having re sults from our work. Seeing our impact on branches and individuals was something that really kept us going through the rough patches and will forever leave some of the best memories we will be keeping from this year. Also the memes.

As for the last steps in our mandate we are currently in the middle of the handover process with the Board-Elect.

By combin ing the known ones into a structured process we seek more efficient communication. It is a fact that every year, there were misunderstandings, delays and an unclear process for the communication between Ambassadors & International Teams and Projects. The goal of the event

The impressions of the event are overall very positive. The sessions for the event were held by facilitators from the Design Team board. Some of them were in hybrid format, which had shown to be the most difficult ones to struc ture well.

Biggest achievement

Design Sprint is a design-oriented Operational Event. It aims to educate EESTECers on important design-related topics and tools, challenge their creativity and encourage teamwork and idea-sharing in order to achieve a com mon goal.

It gives the participants the opportunity to understand the importance of design and how to take advantage of the information provided during sessions in order to con tribute to the visual identity of the Association, on both the local and international level.

About us

The Team was structured as one large team, with all members being able to apply to work on any task/project available at a given time. We created smaller sub-teams (2-8 members) for larger tasks and projects, like logos, websites, videos etc, as well as for the Design Academies. These project/ task-based subteams were monitored by one of the Design Team Coordinators, depending on the nature of the task/project. Web design and vid eo-related projects and Design Academies were monitored by the Coordinators for Web Design and Video Technologies respectively, the Design Academy for Illustrator by the Coordinator for Education and the more general tasks or projects by the Coordinator for Workflow and the Team Leader.

What happened

The participants of the event were motivated and en gaged throughout the whole event, both during the sessions and while working and giving feedback on their project. Friendships were made, with many of them join ing the Design Team after the event concluded.

Summary of the mandate

The 8th Design Sprint and the three Design Academies, eestec.net, Ambassadors Video Re ports, the second Publication.

Overall, as the Design Team board, we can say that this event maintained its legacy as one of the most creative and engaging ones our Association has to offer and are glad we had the opportunity to be a part of it.

For EESTEC in general we have organized three Design Academies - Design Academy Illustrator, Design Academy Web Design and Design Acad emy Video, organized the 8th Design Sprint, in collaboration with LC Eskisehir and the Board of the Association, created a draft logo of EESTEC, as part of the 8th Design Sprint participants’ proj ects, initiated a Design Packages for Branches project, in order to supplement branches which have weaker design departments with the neces sary promotional and other materials (social me dia posts, a website template, t-shirts and so on), We collaborated with multiple Teams (IT Team, Training Team, PR Team, HEAT, CR Team ), Projects (Publications Project, Legal Advisory Project) and BAs (Ambassadors, Alumni Manag ers), as well as the Board of the Association. Some examples of larger collaborations are: The eestec.net project in collaboration with the IT Team. We have fully completed the public part of the website and the internal part is almost com pleted as well.

LC Eskisehir - 28.2-5.3.2022 - 15 participants

The second Publication, The creation of a potential Ambassadors logo, The Ambassadors’ Video Reports.

The goal of the Design Team is to ensure a consis tent visual identity of the Association, to educate all members of EESTEC on the academic aspect of design, to provide creative design solutions for the needs of the Association and to maintain a friendly, productive and collaborative environ ment amongst the Team’s members.

8th Design Sprint

As for LC Eskisehir, they handled all the logistics amaz ingly. The food and accommodation were great. Each eve ning was planned out with activities and everyone had a lot of fun. We did have some unexpected setbacks during the event from both sides, mostly related to schedule re arrangements, but they were all handled as soon as pos sible through joint efforts. LC Eskisehir had been a lovely host and we are extremely happy with this collaboration.

For the Team Members, we tried to maintain consistent communication and connection with them, through different communication chan nels, meetings, working sessions and team bond ing events. We organized multiple educational sessions for the members on various design-relat ed topics, as well as encouraged feedback culture. The biggest achievement of the year would be the organisation of the first live Final Round since 2019. It was organised in collab oration with LC Milan and was held between the 23rd and 27th of May 2022. One thing to note is that it was financially sustainable thanks to the great work of LC Milan and help of the Board of the Association.

35 Teams & Projects

The Academic Team, led by the Academic Coordinator, is responsible for the academic part of the competition, from finding the topic of the year, to contacting academic partners for the Project and assisting the branches in everything relat ed to the aforementioned.

Local Round Organising Branches

Throughout the year, the EESTech Challenge board worked on documenting processes to pass on to the next mandates, while also being creative and working on their ideas. A data driven approach was established for coming up with the topic of the year. The Academic Team worked on creating an im proved Academic guide, establishing a mentoring procedure for the branches called “”Academic Assis tance”” and a new Academic event, that sadly had to be cancelled. The Ambassadors Team was constant ly helping the branches and making the commu nication between them and the international level more efficient. The Public Relations Team utilized their creativity to the fullest and were constantly coming up with ideas to enrich the social media of the Project. The Designer created a beautiful visu al identity for the Project and was always ready to assist the branches, most significantly by providing them with editable templates for everything that came up.

5th IT Sprint

We migrated from mailman to google workspace in August, organized the 5th IT Sprint together with LC Porto in December, organized an unofficial meetup of the EESTEC.net subteam in Italy in March and later de ployed the first version of the external part of EESTEC. net. We have also actively been collecting feedback both on the designs and the actual website.

After a few online editions and some unsuccessful attempts, the event finally took place live and it was a success. Most of the frontend sessions were held by members of the K&E team while the backend ones by a member of LC Porto. The sessions had many occa sions to practice and, at the end of the week, a small hackathon took place and all the participants were able to work on the given tasks. Many of the partici pants and facilitators later joined the team and have contributed substantially to its work and we are all in contact with each other to this day.

Furthermore, the PR Team is responsible for the recognizability of the EESTEC Brand by promoting all the opportunities and activities that EESTEC offers to our target audiences (students’ community, other NGOs, possible partners-companies, Universities, etc). The biggest achievement of PR Team is that we managed to be united during the mandate. We all faced out some periods of demotivation but we reminded to each other why we applied for our positions and we respected the needs of each others. In general, we worked as a TEAM.

The PR Team board consists of a Team Lead er and six Coordinators: Branding Manager, Coordinator for Education, two Content Coordi nators, Digital Coordinator and Team Designer. They will be working together with all Team members who will not be separated into subteams this year.

Damlanur Yağdı LC Ankara

The goal of the event

All the participants were so satisfied with sessions but at the same time with the quality of the event( food, accomodation, fun activities). We didn’t accept any important complaint, only that the schedule was full. In general, Brand.Comm left a good impact to both participants and facilitators and now there are many motivated people for positions relevant to PR.

Summary of the mandate

During this mandate, we uploaded more than 30 posts and several stories in EESTEC’s social media (Facebook, Instagram, LinkedIn), we gathered all the BPP violations of the branches and we organized branding sessions for them. Not to mention that we collaborated with other teams and projects regarding their needs (updating their branding guides, promoting external partners in our social media etc) and we researched other trends and created adver tisements. One of the highlights of PR Team was that we organized the 4th Brand.Comm in Patras in which many sessions on PR, Branding and CR were delivered to the participants but we also delivered some of them to our PR Team members. Last but not least, in order to inte grate the new members of the winter call, we implemented for the first time the mentorship system inside the team.

4th Brand.Comm LC Patras - 2-8.04.2022 - 13 participants

The purpose of Brand.Comm is to educate people who are active in decision-making positions in their branch on the connection between PR, CR, and Branding, as well as advanced techniques of those. By the end of the event, the participants will not only have acquired the knowledge, but will also be able to share it with their branches.

The purpose of the Publications Project is to maintain EES TEC’s academical image by publishing scientific articles. However, it has the potential to become more than that, like helping spread EESTEC awareness among members of the association. There are 2 teams in the Project: Content Team, overseen by the Content Coordinator, which is in charge of writing the articles and any other content that will be pub lished throughout the mandate. Then there is the PR Team, led by the PR Coordinator, which promotes the publications we make and keeps an active presence in social media. Finally, the Designer has the role of creating the design for the publica tions and make them ready for publishing

Summary of the mandate

We started our mandate with barely 6 mem bers in the Content Team and 4 members in the PR Team. We collaborated on the 1st Publication with H.E.A.T. to promote the Winter Call for members, publishing it near the end of January. After the Winter Call we got 7 more members for the Content Team and 4 more for PR Team, and started working on our 2nd Publication, where we collaborated with Spring Congress Career Expo to promote it on the publication. We also included 2 interviews, one to the Board and another to the VC-AA, made by members of our Content Team. We are now working on this project, the Yearbook, as our 3rd Publication, to keep this tradition of EESTEC going.

Biggest achievement

Probably showing the great versatility this Project; more than only writing scientif ic articles, it can also help spread EESTEC awareness through the members, like help ing promote certain events, making inter views to people in different positions so that members have access to a first hand opinion and insight to these positions and might help motivate them to consider applying for some of them, etc.

About us

The New Technological Project was launched last mandate with the aim of improving the technological aspect of EES TEC. This is suposed to be achieved by creating a long-term technical challenge, bringing technical minds together and bonding engineers, ending in a final-round-like EESTEC event, similar to the EESTech Challenge.

The Training Team is an important Team of our Association that ensures the knowledge transfer, the personal development of EESTECers, the improvement of branches and, of course, the growth of our Association. The Team is formed by official EESTEC Trainers and Trainer Candidates who are constantly delivering training sessions on the local and the international level.
