PRESIDENT’S MESSAGE As a new Club year begins, I reflect on the heartache caused by the loss of loved ones and dear friends in the past few months but I am grateful for the long lasting memories that will forever remain in our hearts. Let’s all keep praying for these individuals. With the continuing Corona virus variants, I am grateful to have our Club opening on September 8 to our members, followed by our Membership Luncheon on September 10 at 10:00 a.m. Brenda Skinner and her committee will host with a delicious meal! Cost will be $10 for members, but there will be no charge for guests. Please make your reservations by calling the Club at 972-264-2320. In addition, our Department Chairs will have information available about the various departments that you can join for fun and fellowship. Our hardworking Yearbook Chair, Brenda Skinner, worked through the summer getting members signed up; dues collected, and paid ads by local retailers to help defray PRESIDENT the costs of printing our Yearbooks! She was able to present the copy to the printer AuPaulette Reid gust 12 in anticipation of the books being printed and ready for distribution at our September 10 Membership luncheon. Thank you Brenda! The Club has had a much needed drapery replacement in the auditorium thanks to the approval of the Advisory Board and the hard work of Jackie Blackburn to get them installed. They are beautiful. In addition, the kitchen has newly installed professional grade ovens, an electric range and microwave since the old ones decided to go out during the last event. These had been approved by Advisory, however, were delayed being purchased due to Corona. And to finalize our growing expenses the commercial refrigerator, which we all called the magic refrigerator because it kept flowers beautiful for weeks, in the laundry room quit working during early August. Jackie made an emergency Advisory phone session to get approval to replace the old one since she could not find anyone to work on it. She was able to purchase a new one at a very competitive price after an active search. Let’s hope our new appliances last as long as the previous ones! Judi Stith, VP-Buildings, has been receiving calls from outside groups and members to schedule luncheons/events at the club. VP-Projects, Jackie Blackburn, has two major events planned for our Club year. You may have seen the post “Elegant Designed Tables” for October 23, information on Facebook. If you need information or would like to design a table for this fundraising event to be used to help fund our scholarships, please contact Jackie Blackburn (jacquelineblackburn@ msn.com) or Vivian Vance (vivianvance@judgefite.com). Jackie also has a Wine Tasting Event that more information will be forthcoming. VP-Programs, Reni Cook, has a wonderful array of guests for our upcoming General Meetings. Our Parliamentarian, Janette Skrasek, met with her committee to review the existing By-Laws, Standing Rules, Department Standing Rules and Duties of Department Officers to ensure they were updated as needed. I can tell you that it was a detailed, lengthy, but much needed meeting. The revised Standing Rules, Department Standing Rules and Duties of Department Officers will be provided at the September Membership Meeting. Any recommended changes to the By-Laws will be presented for vote by the Membership at a future General Meeting. Janice Pribble, Overall Department Chair, and her committee for the Christmas Auction have already started collecting gift cards from restaurants and retailers to include in the auction. More to come on that! The entire Executive Committee has been meeting all summer to make sure we are on top of things and I am confident that I have the best Executive Committee yet! I’m thanking our President-Elect, Treasurer, Historian, Publicity Chair, Corresponding Secretary, Recording Secretary, Directors-At-Large, Telephone and Email Chair, and Decorating Chair, and all the Executive Committee and Board Members in advance for all they are doing and will be doing in the coming months to make sure we have a successful year! I hope to see you all soon and as my grandmother used to say “the good Lord willin’ and the creeks don’t rise”. Stay safe.

Please be advised that the Executive Board met and made updates to the Standing Rules, Duties of Department Officers and the Department Standing Rules. These updates may also be found in the new directory. Thank you.

AMENDMENT TO DUTIES OF DEPARTMENT OFFICERS

The word Chairman, Chairmen, Chairperson shall be changed to Chair. The word Assembly shall be removed. CHAIRS: The duties of Department Chairs are to preside at Department meetings, coordinate and work with each elected officer and member of the Department, serve as a member of the Overall Department Standing Committee, coordinate Overall Department fund-raising projects with her Department and the Overall Department Chair, and ascertain that all duties, records, etc., are completed as required. It is her responsibility to attend all General Meetings to report business at these meetings to her department and to act where necessary. She shall appoint any committee necessary to the Department. PROGRAM CHAIR: It shall be the responsibility of the Program Chair to plan programs for each monthly meeting of her Department. A complete schedule of programs for the Department’s club year, September through May, shall be submitted to the Overall Department Chair by June 15. Programs should include time and date of meeting, location, hostesses, guest speakers, and titles of programs. Socials, luncheons, tours, etc., shall be planned by the Program Chair and report on the Program schedule. SECRETARY/TREASURER: The Secretary/Treasurer shall maintain the record book and post the cash journal. She shall record the minutes, collect dues, and keep a role of the Department in the record book. When called upon, she shall report the amount in the Department treasury. ALL DEPARTMENT CHAIRS ARE REQUIRED TO ATTEND AN ORIENTATION TO BE CONDUCTED BY THE OVERALL DEPARTMENT CHAIR. *NOTE: The Overall Department Chair represents each Department on the Executive Committee. Departments shall coordinate activities and submit requests to the Overall Department Chair.

AMENDMENT CHANGES TO DEPARTMENT STANDING RULES

Standing Rules for Departments are to be approved by the Executive Committee.

2. The Club President, President-Elect, and Overall Department Chair shall be ex-officio members of all Departments. The Overall Department Chair will represent the Departments on the Executive Committee. 3.

Membership in all Departments shall be open to all members.

4. The Department Officers shall consist of the Chair, Program Chair (if necessary) and Secretary/Treasurer. The Chair may appoint any committee deemed necessary, such as Telephone, Membership, Social, etc. All Department Chairs shall attend an Orientation meeting conducted by the Overall Department Chair at which time record books will be explained and furnished. 5. The Department Chair, or a representative, must attend General Meetings in order that business discussed can be reported to Department members. 6. List of Department Officers, Committees, and Programs (if necessary), including date and time of meeting, hostesses, and place if other than the Woman’s Building shall be submitted by June 15 to the Overall Department Chair for inclusion in the yearbook. Department luncheons shall be scheduled with the Building Chair. The Woman’s Club is unable to accommodate special diet requests. 7. The Overall Department Chair will collect all record books from the Department Secretaries/Treasurers following the last Department meeting of the Club year. After audit, the outgoing Overall Department Chair is to give them to the incoming Overall Department Chair for distribution to incoming Department Officers at the Orientation Meeting. 8. May.

9. Each Department shall operate individually according to its financial ability, and all expenditures shall be voted on within the Department, bearing in mind the Department’s responsibility to the Woman’s Club. 10.

Each Department shall participate in Overall Department Projects.

11. Department dues shall be at least $0.50 and no more than $4.00 annually. Dues over this amount must be approved (1) by a majority vote of the members of the Department, and (2) by the Executive Committee. A statement must be made by the Department Chair as to why the additional dues are required and submitted to the Overall Department Chair for approval by the Executive Committee. Department dues are not refundable. 12. Each Department is responsible for submitting information to the Bulletin Chair. 13. Members of the Woman’s Club may visit Departments once without paying Department dues. House guests are always welcome to Department meetings. 14.

Any gift presented to the Woman’s Club by a Department must be cleared by the Advisory and Building Committees.

15. A Nominating Committee, consisting of three members, shall be selected at the January meeting of each Department. Chair of the Nominating Committee shall be appointed by the Department Chairs, the additional two members shall be elected from

the floor. The Nominating Committee shall report a full slate of officers at the February Department meeting. Officers shall be elected at the March meeting of each Department. Nominations may be made from the floor. Woman’s Club Officers are elected at the March General Meeting.

STANDING RULES

1. Members are expected to be dressed appropriately and in good taste for the club and department functions. Beer and wine may be permitted in the building if a request is submitted and approved by the Executive Committee. Each event or occasion must have committee approval, with a preference to non-profit Grand Prairie groups, and an exclusion to non-members private parties. Children under the age of 12 are not permitted in the building except for club projects and children specific events. 2. The Club cannot be responsible for wraps, money or other valuables left in the Club Building. Anything left in the kitchen shall be considered a donation to the Club. 3. Request for the use of premises must be submitted in writing to the Building Chair for approval of the Executive Committee of the Club. Requests will be considered in the order of submission. All rental fees must be paid at the time of service. For comfort of seated members, suggested number using the Alva Waggoner Room is 40, and the Auditorium is 200. 4. Permission must be obtained from the Building and Advisory Committees before any individual or group attempts to alter, remove, or add anything that affects the walls, furnishings, or other personal property of the Club. All gifts to the Woman’s Club must be approved by the Building and Advisory Committees. 5.

No individual shall ever derive any personal monetary benefit from the Club other than in giving and receiving service.

6. Property belonging to the Club may not be borrowed or removed from building at any time by anyone but is restricted to the use of Club activities unless being used by club activities or event. 7.

Each group using the Club facilities is responsible for leaving the Club rooms clean and in order, and for any breakage.

8. Inventory of the Woman’s Club property shall be taken at the end of each physical year by incoming and outgoing Advisory Committee Chairs. 9. The Bulletin Chair shall attend all meetings of the Executive Committee and of the Board of Directors as non-voting members. 10.

Paper and plastic dinnerware is prohibited at the General Meetings.

Members may bring a prospective member to a General Meeting, and all out-of-town guests are welcome.

12. No organization will be permitted to bring food into the Woman’s Club Building except light refreshments as stated in the reservation request form. 13. SCHOLARSHIP TRUST - Funds from donations designated for the Woman’s Club Scholarship Trust will be placed in a permanent trust account. Scholarships will be awarded to Grand Prairie Independent School district female students. The Committee to administer the Trust Account Scholarship shall be chaired by a member at large appointed by the President. The Committee will consist of one Past President, selected by the Advisory, The President, President-Elect, and the Treasurer. The Committee shall award scholarships annually, recipients to be selected from Grand Prairie Independent School District female students. The Treasurer shall oversee receiving funds and making appropriate acknowledgments after any donation.

14. The Woman’s Club will contribute $50.00 to the Scholarship Trust in honor of any member of the Woman’s Club that passes away. 15. Any project that is to be canceled must follow the following guidelines: A. Department Chair must meet with their committee members to discuss any project cancellations. B. A vote must be taken by the committee members to determine the need for cancellation. If the committee votes to cancel a project, the Chair must notify the Woman’s Club President. C. The Chair, President, and President-Elect must meet to discuss the project cancellation and take a vote to determine if project cannot be postponed or rescheduled for a later date. If not, a majority vote must take place and will be required for a cancellation. D. Telephone Committee Chair must be notified of any cancellation and the telephone committee must notify all members.
