SECTION 1: Who We Are...

Athletic Philosophy

All athletes are required to properly represent Christ on and off the field or they will not be afforded the privilege of representing Faith in interscholastic competition The athletic program at Faith is structured very intentionally, with specific goals in mind for athletes at each level.

At the junior high level the focus is placed on the life lessons learned through the spirit of competition. All athletes who try out and make a junior high team will receive an opportunity to participate and contribute.

The freshmen and junior varsity teams are centered on player development. While the playing time percentage may vary, an attempt is made to ensure each student has an opportunity to contribute. At the varsity level, teams play to win championships. A varsity team can, and should compete at the highest level, giving maximum effort, in a way that honors Christ and the teams in which they compete.

HEAD COACH RESPONSIBILITIES

The responsibility of a coach will be to develop, train, and educate students in their respective sports to be the best Christian athletes they can be. The Coach will fill this crucial role through practice, prayer and discipline. The Coach will report to the Athletic Director.

JOB DESCRIPTION

Seeks to role model in speech, actions, and attitude, a consistent daily walk with Jesus Christ and exemplifies a Christ-like character both on and off the field

Responsible for the physical and spiritual well being of the athletes during the sporting activity.

Direct the athletes in the skills of the sport so that each player aims toward reaching his/her potential.

Prayer is required before each game and is led by the coach or the athlete. Shall handle any discipline situation that occurs on their team and may seek the assistance of the Athletic Director, if necessary.

Shall call to the attention of the Athletic Director any incidents of conduct on the part of coaches, officials, players, or spectators, which seem to be detrimental to the best interest of the sport, school, and our Lord Jesus Christ.

Shall maintain a good rapport with the official(s) associated with the administration of the contest and handle them self in such a manner that he/she represents Christ in a positive manner and sets an example for the athletes.

Responsible for managing all inventory and equipment necessary for your sport/program. Is responsible to notify all players of times and places in regard to games and practices. Ensures proper conduct of players at all times during practice, games, and trips

If an injury should occur, immediate, qualified assistance should be sought if the coach determines it to be necessary The coach should report serious injuries to the Athletic Director and to the parent(s) of the injured athletes.

Report game results to the Athletic Director.

Maintain and uphold the religious standards of Faith Christian School to include the Lifestyle Statement, Staff Covenant and Statement of Faith.

Responsible to disciple, instruct and actively pray for the students on our campus. Responsible to reinforce a Biblical Worldview in every workplace interaction with both students, staff and faculty.

Other duties as assigned that are closely related to this position.

HEAD COACH RESPONSIBILITIES

As the Head Coach of your assigned sport, you are responsible for the growth and health of the program, from elementary athletic camp involvement, to Varsity teams competing for State Championships.

SCHEDULING

PRE-SEASON TEAM SET UP

Schedule and confirm all games.

You must adhere to blackout calendar when scheduling

Be mindful of the following early release policy as well as any major events as indicated on our school calendar

Do not exceed TWO early releases aside from required District play and one tournament

All releases must be approved through the high school or junior high administration’s office and must be requested two weeks prior to the event

Submit your schedule for approval to the athletic office prior to publishing on RankOne

Ensure that the athletic office has a complete roster, in alphabetical order, (including jersey numbers if possible) at least one week before the first game.

Ensure schedule is on all platforms (RankOne, TeampApp)

Ensure rosters are on all platforms (RankOne, BlackBaud)

Ensure that all athletes are eligible through RankOne

Organize and execute pre-season parent meetings.

Enlist, train, and provide sufficient parent game day volunteers.

Determine the number of players to make a team. If cuts are required, the Head Coach MUST set up a meeting with the AD to discuss (high school teams only).

All uniform/gear check out and check in should be coordinated with Rae Williams in a timely manner.

Team gear stores may be set up through approved vendors

All gear must follow branding guidelines (school colors, logos, etc )

Read through TAPPS By-Laws and know the out-of-season player and practice restrictions

Confirm officials’ organization for the season.

Coach of the last team of the night is responsible for locking up facility, including the tunnel gates, if applicable, and ensuring that proper clean up has occurred.

Report all District scores through RankOne.

This can be done through the RankOne app on your phone or on your computer. This is a TAPPS mandated requirement and must be done within 24 hours of the contest.

Report any ejection/unsportsmanlike conduct penalty from your team (coach or player) or your opponent to your Athletic Director immediately upon completion of your game. (See Section 3 for further clarification)

SECTION 3: Athletic Policies

TEAM COMMITMENT &

P0LICIES

365 DAY RULE

A student will have 10 school days from the TAPPS official first day of practice with a team to quit without any consequence

Any student who leaves a team after the “grace period” will become ineligible to participate in ANY sport for a one year period of time (365 days) beginning the date that he/she leaves the team

Exceptions from this rule must come directly from the Athletic Director

ATHLETIC PERIODS

The athletic period is considered a class period and will be treated as such. All students must attend their respective athletic period each day

ALL coaches must report attendance

If a female student-athlete is participating in any of these sports she MUST be in 8th period athletics:

Volleyball, Soccer, Basketball, Tennis, Softball, Cheer

This means that the student-athlete will have a coach assigned to them during the athletic period for the entire school year

If a female student-athlete is ONLY participating in these sports she IS NOT in 8th period athletics:

Cross Country, Golf, Swim, Track

This athlete reports to their coach before or after school therefore DOES NOT need to be in an athletic period

If a male student athlete is participating in any of these sports he MUST be in 2nd period athletics:

Football, Basketball, Soccer, Tennis, Baseball (if multi-sport)

This means that the student-athlete will have a coach assigned to them during the athletic period for the entire school year

If a male student-athlete is ONLY participating in these sports he IS NOT in 2nd period:

Cross Country, Track, Golf, Tennis, Swim

This athlete reports to their coach before or after school therefore DOES NOT need to be in an athletic period

If a male student-athlete is ONLY participating in these sports he is in 8th period: Baseball

Students have ten school days to make a schedule change.

If they are not on a team, they must be removed from the athletic period within the first ten school days

ALL seniors must remain under the coach's supervision during post-season activities UNLESS they get approval to drop the class through the counselors office

WEIGHT ROOM USE

The weight room must be under direct supervision AT ALL TIMES while in use by student-athletes

Coaches are responsible for safety and success of the athletes' lifts/exercises

Coaches are responsible for cleaning and racking all weights after use

NO weight room doors can be propped AT ANY TIME (pre, during, post-workout).

Coaches are responsible to ensure that all doors are closed and secure prior to leaving

INJURY/ILLNESS

Students who are unable to participate in any class, practice or athletic event for longer than 2 days, due to a physical injury, will be required to provide documentation from the nurse and/or athletic trainer

A student may return to full participation only when the coach has been notified by the nurse and/or the athletic trainer

If a student is ill they should remain at home as outlined in the student handbook

Students must be in attendance at school for at least 5 class periods to participate in a game scheduled for that day.

Unusual circumstances will be evaluated by the athletic director or principal.

GRADE CHECK POLICY

ACADEMIC PROBATION & CO-CURRICULAR

ELIGIBILITY

A C A D E M I C A S S I S T A N C E

Grade checks will be taken three weeks prior to the end of the quarter. If an athlete is failing at that time, he/she will be placed in the Academic Assistance Program until the end of the quarter.

Any athlete in the Academic Assistance Program will be required to attend bi-weekly academic assistance sessions for each class he/she is failing.

Athletes will follow Academic Assistance Program procedures (on website under “Eligibility Information”). Athletes are solely responsible for ensuring all requirements are met.

Athletes will be eligible for play during the time they are in the Academic Assistance Program as long as requirements are met.

If a student fails to complete their tutoring requirements, they will then become ineligible starting the following Monday

A student who has a failing grade on his/her report card will be ineligible for a three week period

F A I L I N G A Q U A R T E R

All communication pertaining to Academic Probation and Co-curricular eligibility are sent to the coaches from the academic office

It is the responsibility of the coach to understand the following procedures and partner with our academic office to ensure your student-athletes maintain eligibility

Students who receive a failing grade (69 or below) on their report card will be on academic probation and will not be eligible to participate in co-curricular activities for three weeks.

The three week period begins the Monday after the report cards have been released. During the probationary period, students may practice but are ineligible to travel with their team/group or participate in any games/competitions, this includes sitting on the bench with the team. These students’ grades will subsequently be checked after three weeks. Students must be passing all classes to be reinstated.

He/she must pass ALL classes at the end of that ineligibility period to become eligible again

The three week period begins the Monday after the report cards have been released. T O B E E L I G I B L E

If a student raises his/her grades to passing AFTER that three week period, he/she would then become eligible immediately

All grades must be confirmed by the respective departments and the junior high and high school offices before a student is deemed eligible for play

TEAM PROCEDURES

SENIOR NIGHT TEAM MOM/DAD

You will have a senior night, best date to be determined by the coach Varsity coach should use the following guidelines for senior night

Send athletic office senior night date

Distribute senior night forms to athletes and have them returned to the athletic office the week prior

Flowers will be provided by the athletic office and the ASBC Senior night gifts are not paid for by program budget

Any gifts to seniors must be parent driven and not the responsibility of the coach Coaches, with the assistance of parents, will set up and carry out senior night recognition

6TH GRADE PARTICIPATION

Many coaches utilize a team parent to help with program logistics throughout the season We highly recommend using the talents of your parents to help you throughout your season

AD Administrative Assistant will be our Team Parent liaison and can meet with you about the “Do’s and Don'ts” to best help you as a coach

Please remember, parents are volunteers, not employees and should never be given a coach's responsibility

OVERNIGHT TEAM TRAVEL

Coaches must get approval from the athletic office prior to committing to an overnight/travel game(s)

Coaches must provide all necessary logistical information for trip (ie location, date, transportation needs, lodging needs, opponents, etc.)

Note: All out of town games/tournaments that are not district related must be parent-paid (to cover transportation, lodging, and meals)

All out of town games/tournaments that are playoff related will be school paid (except for athlete meals) Upon approval, the athletic office will work with the coach to meet your needs

PARENT MEETINGS

Sixth graders may be used when their participation is vital to field one Junior High 7th grade team or a “B” Team if more than one team is needed.

If fewer than the appropriate number of 7th and 8th grade students report within the first week of practice then sixth graders shall be notified of the opportunity to participate

If the number of 7th and 8th graders reporting the first week of practice meets or exceeds the appropriate number then 6th graders shall not be used anytime during the entire season

Sixth graders may participate in cross country and golf regardless of 7th and 8th grade participation

Prior to the beginning of each season, individual sports will host a parent meeting. This meeting allows the coaches to communicate with the parents of their teams and discuss policies, expectations, etc..

Coaches are responsible to pick the date that best fits their program

Coaches must submit their date to the athletic office for approval

Please do this in a timely manner so the athletic office can communicate the parent meeting date, time, and location to all prospective families effectively

SUMMER CAMP POLICIES

All Athletic Summer Camp dates must be approved by the athletic office prior to submitting to Camp Director

All approved Athletic Summer Camps must be submitted to the Camp Director

Please note the deadline for camp submission is around the end of February

All approved and submitted Athletic Summer Camps must be inputted into FMX

Camp Coordinators will receive $150 per camp day (12 month employees not included)

Camp Assistant Coaches will receive $100 per camp day (12 month employees not included)

Student Assistance are volunteer only and can receive community service hours for assisting

Camp coordinators will ensure there are a sufficient number of assistant coaches at a ratio of approximately 10 campers per coach.

Note: if your camp does not exceed 10 campers a paid assistant is not necessary

Camp hours are at the discretion of each camp coordinator; generally, two hours per day, 4 days per week with no camp being conducted on Friday.

Camp shirts cannot exceed $10/shirt

Coach is responsible for designing, ordering, and distributing camp shirts

Coach is responsible for submitting check request through athletic office for payment of camp shirts

Social media is a tremendously powerful tool to engage our families and prospective families and showcase the athletics' program at Grapevine Faith. Our goal is to highlight all sports programs, not only for their athletic aspect, but more importantly for the commitment you each have to developing young men and women in the image of Christ. The interaction between coach and athlete, between teammates, is one of the key items that sets GFCS apart from all schools in the area Social media can be an amazing tool if we work together to tell the story of the student athletes at Faith

Please notify the communications department of all anticipated college signings, player of the week honors (or consideration), and unique achievements In addition to social media posts, we will schedule, school-wide communications and press releases accordingly

We will work with Darrick Ware to communicate regarding campus visits by colleges and universities If there are visits or highlights that occur away from Faith, please email communications@grapevinefaith.com.

Photography

Like the majority of your sports, photography is a team effort We will have photographers at a variety of events, but rely on the support of parents, assistant coaches/managers (when available), and students We will network through your team moms and player parents to establish key contacts for photo support, but need your help in the initial contact each season. Please email communications@grapevinefaith.com with the name of your team mom or key parent contacts as soon as these roles are established.

SECTION 4:

Media Inquiries

All media inquiries are handled by the Office of Communications. If you are approached by any media outlet or reporter, please direct them to tammy.peden@grapevinefaith.com or get their information and the communications team will follow up. If you have a story to pitch, team/individual accomplishment to highlight, please contact tammy.peden@grapevinefaith.com. We have established relationships and/or contact information and will work for you to get the coverage for your story. For your protection and that of the school, never contact the media directly.

SECTION 5: Athletic Procedures/Protocols

COACH EVALUATION

All coaches will be subject to evaluation during the season and postseason. Each Head Coach will meet with AD at the conclusion of the season to discuss all things related to the operations, expectations, et. that are noted in the comprehensive Head Coaches Online Evaluation.

SERIOUS INJURY/ILLNESS

In case of serious injury or illness call Athletic Trainer, Ashley Andrews (817-443-8800) and/or call 911. The response time for an ambulance coming from Grapevine is typically 4 minutes or less After calling 911, inform Patrick Reents (217-710-7281) or Shawn Mingledorff (405-6061843) of the situation.

THINGS TO REMEMBER

Please direct Visitors to park on Dallas Rd. (729 E. Dallas Rd.) and walk through the tunnel. Busses unload and park there as well, unless given prior approval for an alternate plan Remind Visiting coaches to only bring water inside the gates. There is to be NO Gatorade, gum, food, seeds, et. on the track and field. Violators will lose the privilege of using the facility.

Coaches are ultimately responsible for athletes’ use/abuse of facilities.

CONCUSSION PROTOCOL

WHAT VALIDATES A CONCUSSION?

Concussions can be difficult to diagnose and do not always have the same clinical presentation. Each concussion is different and should be treated based on the individual’s level of severity

Concussions can have serious long-term health effects A major concern with any concussion is returning to play too soon Having a second concussion before the first one has healed can slow recovery or increase the risk for long-term problems. In rare cases, a second concussion can result in what is called Second Impact Syndrome (SIS), which is characterized by rapid swelling and bleeding of the brain and may lead to serious issues

Baseline cognitive testing will be administered through ImPact to each athlete involved in a high contact sport every year of high school. The baseline test measures brain functions such as memory and reaction time The results assist the physician and athletic trainer in appropriate return-to-play

CONCUSSION PROTOCOL

If a head injury is suspected, the athlete will immediately be pulled from activity/competition and an evaluation will be performed by the athletic trainer and/or physician The athlete will not be allowed to return to activity that day The next day, the athlete will be re-evaluated by the athletic trainer for appropriate management. If the athlete is still experiencing or exhibiting symptoms, they must see a physician at the earliest possible time. Once the athlete receives medical clearance from the physician, they may begin the return-to-play protocol under the supervision of the athletic trainer

REPORTING CONCUSSIONS

Athletes must know that they should never “tough out” a concussion. Teammates, parents and coaches should never encourage an athlete to play through the symptoms of a concussion In addition, there should never be an attribution of bravery to athletes who do play with concussion symptoms The risks of such behavior should be emphasized to all team members, parents and coaches If an athlete suffers from a concussion, he/she should report to the athletic trainer or coach (if an athletic trainer is not present at the time) immediately. The athletic trainer will evaluate the athlete and determine the appropriate actions. If a concussion is diagnosed, the school protocol for return-to-play from a concussion will be initiated under the supervision of the athletic trainer Under no circumstances shall the athlete be allowed to return to practice or play without the approval of a licensed medical provider trained in the treatment of concussions

RETURN-TO-PLAY

This return-to-play protocol will follow a step-by-step progression Before the athlete may begin this progression they MUST remain asymptomatic for 24 consecutive hours and receive medical clearance from a physician The athlete must remain asymptomatic for 24-hours during and following each level before they may progress to the next. If the athlete begins to exhibit or experience symptoms at any point during the progression, they will drop to the previous asymptomatic level after a 24-hour period of rest has passed If the athlete remains symptomatic for an extended period of time, they must return to the physician for re-evaluation

RETURN-TO-PLAY 5 STEP PROGRESSION

Following a 24-hour asymptomatic period

Level 1

Light aerobic exercise; 5-10 minutes on an exercise bike or light jog; no weight-lifting, no resistance training or other type of exercise

Level 2

Moderate aerobic exercise; running at moderate intensity in the gym or on the field with no helmet or any other equipment; sport specific drills.

Level 3

Full non-contact practice no equipment; may begin weightlifting and resistance training

Level 4

Unrestricted full contact practice with all required equipment

Level 5

Full game play

Continued post-concussive symptoms, prior concussion history, and any diagnostic testing results, along with neuro-cognitive testing and physical exam will be utilized by a physician and athletic trainer in establishing a timeline for an athlete’s returnto-activity It is important to note that this timeline could last over a period of days, weeks, months or potentially disqualify the student from athletics. All cases will be handled on an individual basis.

FIELD USE AND WS FACILITIES PROTOCOL/PROCEDURES

Please note that NO COACHES or PARENTS are to park in the red fire lanes, clearly marked, in front of the field house

P A R K I N G

To include the gravel access road that runs in front of the field house

To include anywhere along the road that runs behind the gym through and to the Cottage parking lot No parking is to take place on Ruth St

All players and parents accessing Ford Field/Grass Fields should park at Dallas Rd and walk the tunnel Booster Club and Faith Faculty and Employees will park in Cottage lot for Varsity football games Must have I.D./Pass for access.

All players, fans, and parents accessing the WS gym/Aux gym, for games or practices, are to park in the Cottage parking and walk around the back of the campus to enter the courtyard and gym door via the netting area.

Coaches and officials are the only ones allowed to park in the parking spots behind the WS gym.

Worth St drop off for athletics is through the Ruth St gate Parents are to enter the gate and take an immediate right, through the gym parking, and loop around to drop off athletes in front of field house No parking is permitted by parents If they need to drop off and get out of vehicle, they are to use the Cottage parking and drop off

The Athletic key is able to open the bathrooms west of field, the electrical closet that houses the switch to the Grass Field lights, and unlock the padlocks that will be on each of the 4 gates to the field

Game Day Administrator will be responsible for turning on lights in a timely manner

Lights on Ford Field are to be off BY 9:15pm without exception

Lights on Grass Field are to be off by 9:30pm without exception

Game Day Administrator will ensure all bathrooms are open and clean

Pick up ALL trash, bleachers, track, and field included Make sure ALL gates to field are closed and locked.

Ruth St Gate

7:00am open - 7:20am closed (students being dropped off after 7:20am should use the car line)

Swipe Key Door behind netted turf area (WS Gym Doors)

8:00am open - 8:15am closed

9:15am open - 9:25am closed

Hebrews Swipe Key Door

8:50am open - 9:05am closed

Cottage Gate

6:30am open - 8:20am closed (except Wednesday’s because of Bible study, gate closes at 9:20am)

Tunnel Gate

7:00am opened (Maintenance)

Athletics is responsible for locking the gate after the last practice of the day
