3 ways to revamp the same event. BY EDWARD BYERS WITH SO MANY COMPETING EVENTS AND ORGANIZATIONS, it’s more important than ever to reimagine your events to stay relevant and offer new and unique perspectives. Below are some tips to keep your attendees engaged while allowing you to work smarter. Get Creative This is extremely important. How many times have you heard or even said, “this is the way we always do it” or “it worked well last year.” People don’t want the same thing. If you are holding your event in the same space every year, it is imperative you work with the venue to reinvent the space through A/V, furniture or even utilizing space in the venue that you may not tradition ally use (hallways or foyers, rooftops or large suites for example). If you have the freedom of switching venues each event, it is important not to just switch from one banquet room to another. Really think about your event and look at nontraditional space for all or part of your conference. Maybe general sessions can be held in the host hotel, but unique space nearby could be utilized to host a reception or dinner. It could be a museum, art gallery or any kind of city building. What if they don’t rent their space? Talk them into it. Not only will you be a hero, your attendees will be wowed in a space they’ve never seen. Use Technology Not only will the use of technology further engage your attendees, it will also save you time on your processes. It is imperative you explore the use of technology for all aspects of your meeting from registration to on-site management. For example, are your attendees having difficulty registering for your event? Using the right system will save you time on processing, collecting fees, offering discounts, printing name badges, pulling your attendee and exhibitor lists, segmenting your market ing and, above all, create a better user experience. If you aren’t using an event app, you should start. An event app allows you to provide real-time updates to your attend ees and allow your guests to connect and network with one another. The use of gamification is also a really great way to further engage people and help foster relation ships, networking and drive traffic to your exhibitors.

Partnerships can take all shapes and forms. When designing your sponsorship or partnership prospectus, think about all items you will need to successfully run your event. Offering potential partners the opportunity to provide their services in lieu of cash allows them to get involved when they may have otherwise passed. For example, A/V providers can offer a reduction of their costs, allowing you to create a better experience for your attendees by offering more. Or, perhaps, you can partner with media outlets or other conferences that will help promote your event. An additional example could be the use of any software that will enhance your meeting or event. A technology provider may want to partner to showcase their system to your attendees which may help you improve efficiencies. It is important to think about all elements needed to successfully organize your event and then to think of a potential partner for that service.

Aruba embodies happiness and well-being. Dubbed “one happy island,” Aruba has many reasons for its cheery moniker. While dining in, taking out and delivery are popular options, the catering end of the business is really taking off. “We have a full catering team that goes to your location and sets up buffet-style,” says Pam Ringgenberg, franchise operator. “We can cater for any amount of people. The largest we’ve done is for 700. We mainly cater corporate events, private home events, graduation parties, weddings and birthday parties.”

La Loma Tamales If you are a fan of tamales, then you want your event catered by La Loma Tamales from its Midtown Global Market location in Minneapolis. “That’s what we’re known for,” says Enrique Garcia-Salazar, who is coowner with his wife Noelia Garcia Urzua. The two of them moved to the United States right after getting married in their hometown of Quebrantadero, a small town in Mexico’s heartland. They brought with them a dream and a recipe. The dream was to create a new future for themselves in the United States, and the recipe was to make homemade tamales the same way they are made in Mexico. “We have 10 different kinds of tamales,” Garcia-Salazar says. “The best-selling one is the chicken and green sauce tamale. The pork and red sauce tamale is also popular. We also have the tamale Oxaqueño, which is a bigger tamale and more spicy than the others. Also popular are our enchiladas and tacos. We normally do buffet-style and can accommodate groups of up to 800 guests. We cater corporate events, birthday parties, graduation parties and events at different schools and universities.”

According to Ringgenberg, the taco bar is one of the most popular catering options. “We have 14 different kinds of tacos, and you get a choice of two types of tacos or three types of tacos. Chips and salsa come with it,” she says. “Our most popular tacos are the grilled fish taco, the brisket taco, the roasted pork taco and the rusty taco, which has achiote pork with pineapple, onion and cilantro. Our tacos are street-style, so they’re served on a soft corn tortilla. There’s also the option of doing a soft flour tortilla. We have a nacho bar, too. For dessert, we have churros and sopapillas. “Another option is our food truck, which we do for lots of private events. We actually bring the food truck to your location and set it up. It’s operational from April to October.”

There are three other locations—Minneapolis/ Mercado Central, downtown Minneapolis Northstar and downtown St. Paul Town Square. All four loca tions are set in food courts. Cocina del Barrio For a top-notch Mexican catering experience, try Cocina del Barrio in Edina. Its most popular item is the taco bar. “It’s a very comprehensive, build-your-own taco bar where you have a selection of a couple different meat fillings,” says General Manager and Catering Coordinator Sean Foley. “It comes with a wide variety of accompaniments such as lettuce, tomato, onions, cheese, jalapenos, limes and salsa to name a few. Generally we do soft shells only, with soft flour and soft corn. We can do hard shells if it’s requested. We also have a number of appetizer platters, which is probably the next big gest hit. Guacamole is huge. Aside from that, we do a lot of tequila shrimp skewers. In the summertime, we do a lot of jicama pineapple mango skewers. We do a lot of chicken enchilada platters, too. For des sert, we have our tres leche cake, which translates to three milks—three different kinds of milk are used in Accordingit.” to Foley, Cocina del Barrio does most of its catering off-site. “We’ve done groups as small as eight people and as large as 400. That’s about our max,” he said. “We do a lot of office lunches in down town Minneapolis and St. Paul. Generally, the most common size is about 30 people. On-site, we can accommodate up to 200 guests seated for the whole restaurant. Most on-site events in our private event space is for 16-18 guests.”

There are four other Barrio Tequila Bar loca tions: downtown Minneapolis, St. Paul, Target Field and Terminal 2 at the Minneapolis-St. Paul International Airport. The Minneapolis and St. Paul locations offer private event space but do not do off-site catering.

BY JULIE KENDRICK THE BOOMING NORTHWEST CORRIDOR OF THE MINNEAPOLIS METRO —containing the cities of Maple Grove, Brooklyn Park and Brooklyn Center—is a location that checks off all the boxes on a meeting planner’s “must have” list. Close to downtown? Just 10 minutes from downtown Minneapolis. Lots of meeting space? Almost 200,000 square feet in the three-city area. Hotel rooms? Nearly two dozen hotels call the area home. Nearby activity possibilities? Topgolf, WhirlyBall and two pro golf courses, plus The Shoppes at Arbor Lakes.

Helpful CVB “We’re a destination that even Minneapolis locals like to visit,” says Megan Diaz, senior business development manager for Minneapolis Northwest Tourism. In addition to all those great amenities, Diaz explains the solid financial reasons to consider booking a meeting or event in Northwest Minneapolis. “We have event assistance funds set aside to use as incentives for a first-time booking in our area. In other locations, those funds are earmarked just to assist with transportation, but we allow them to be used for anything— shuttles, cocktail receptions, attendee swag bags and more,” she says. “The only stipulation is that it has to be a new event for our area.” Diaz says her group is especially knowledgeable about the area’s hotels, venues and fun things to do. “We’re a one-stop shop for planners and our services are free,” she says. “We don’t send you off to do research on your own. We’ll talk with you and make recommendations that are a good fit for your group. If you just want to come in for an opening event or a team-building activity at Topgolf, for example, we can show you around and help arrange that,” she says. “The sky’s the limit.”

The center was built in the late 1800s and is now owned by the city of Brooklyn Center. “We have everything you need right on-site, including free parking, free Wi-Fi and on-site catering,” he says. With 40,000 square feet spread across 19 different spaces, the center can accommodate groups from 10-1,000 participants. During the spring and summer seasons, events can take advantage of the center’s 80,000 square feet of courtyard space. “We have two fountains, a large patio, lots of green space,” he says. “We do many breakouts and team-building sessions out there. You don’t feel like you’re in the middle of the city when you’re in our courtyard.”

“We also have 10,000 square feet of flexible meeting space,” Hayes said. “There’s an onsite event planner who can help in arranging events for up to 300 guests.” The hotel has full audio-visual equipment rental and services, catering and videoconferencing.

If you’re wondering about the ability to golf in one of the coldest major metropolitan areas in the United States, Topgolf already has figured that. “We have high-powered heat ers that keep the temperature warm in the winter months,” he says. “Guests are really impressed with the heaters, and it’s made all the difference.”

“One of our greatest features is that you can get anything you need delivered anywhere to you in the hotel at anytime,” Hayes said. “You can order a yoga mat for your room, take out one of our free bikes, get an alarm clock deliv ered—whatever you need.”

For warmer weather, the rooftop ter race accommodates 300 guests.”

RISE by Elevation “Are we having fun yet?” is the tagline for this Minneapolis Northwest hotel. As that cheeky phrase indicates, the property is “a little bit outside the box,” according to Cara Hayes, director of sales for Boxer Resorts. RISE by Elevation is an oasis in the city, surrounded by 500 acres of parks and scenic walking paths. “We’re fresh and off the beaten path. And we offer free parking.” The 174-room property does things a little differently. For example, guests can enjoy a free locally brewed craft beer or Lavazza coffee at check-in, plus an automatic reward for each visit, which can include items like a free bottle of wine at check-in, complimentary breakfast for two or a free two-night stay at Elevation Hotel and Spa in Crested Butte, Colorado.

WhirlyBall Twin Cities For an active team outing that will be a new experience for participants, consider booking the courts at WhirlyBall Twin Cities. “The sport is a combination of basketball, lacrosse and hockey, and it’s played in bumper cars,” says Nick Lambrecht, owner. “Just being in a bumper car is fun, and when you add in the competitive aspect of a game, it elevates the experience to another level. It’s also nice from corporate standpoint because it’s so equaliz ing. No one goes into it as an expert.” The facility has a full restaurant with what Lambrecht describes as a “chef-driven kitch en,” and a full bar with 17 beers on tap. Dining options include everything from scratch-made pizzas and sandwiches to steaks and salm on. With capacity for 800 people, the space includes two courts, a laser tag arena, pool table and dart boards. Lambrecht has recently added a new option, the Enigma Adventures: Escape Room Games. Minneapolis Marriott Northwest This property says it “offers the excitement of the city from the tranquility of the sub urbs.” Conveniently located near The Shoppes at Arbor Lakes, Minneapolis Marriott Northwest has 34 event rooms and 62,203 square feet of meeting space. The largest space, the Northland Ballroom, accommodates 728 guests theater-style. You can also book the Elm Creek Amphitheater, in the only hotel amphitheater in the Twin Cities, which seats 140 attendees. MNM+E: Any tips for planners? EideCom: To make the most out of livestreaming to a remote audience, make sure you have enough budget in the video department of the event. This can mean anything from the right encoders to broadcast trucks, depending on the complexity of the stream. Having plenty of camera angles and interesting camera types is helpful, too. I recommend budgeting to have many more cameras than usual. Having a dedicated team for the livestream is crucial. Your online audience has different needs than your in-person audience and should be treated as such. Having commercials, pre- and post-roll content along with lower third graphics and packages all enhance the remote audience's experience. Don’t settle for consumergrade or prosumer-grade equipment. If you want a true experience for your remote audience, hire professionals with professional-grade equipment. It makes all the difference. On being overprepared: “I try really hard as I get ready for an event to take into consideration all the possible ups and downs and variables that could come my way so that hopefully by the time the ones that you didn’t think of show up, everything else is managed as well as it can be so those don’t become as rattling and I can take them on with a good sense of composure.”

On her future: “I am pretty happy where I am right now in a lot of ways. I’m a life-long learner so I’m always looking for a new challenge or a chance to grow professionally. … I’m just enjoying the balance of work and life and the people that I get to see every day and the great industry that I work in right now. The association surveyed 500 restaurant owners and operators about their environmental efforts and sustainability opportunities and challenges within their operations. More than 1,000 consumers were also surveyed about the best methods for restaurants to promote sustainability practices to customers. The results show that restaurants of all types are innovating and making progress. From independent operators to large restaurant chains, the food service industry is reducing its energy and water consumption, minimizing waste creation, and connecting with environmentally aware guests. After getting to know her clients and walking through more complex installation sites, Van Veldhuizen designs each custom project. She and her team then coordinate the production process from the ordering of materials to the creation and installation of the piece. In addition to the client’s vision, budget and limitations of the space itself, Van Veldhuizen considers sustainability when selecting materials for an installation. She’s used pingpong balls, coffee filters, straws, forks and paper clips; her incredibly popular balloon designs are made with air rather than helium. In the past year, Girl Friday has created nearly 200 installations. Van Veldhuizen says the company has had the opportunity to go national, a venture she’s slowly exploring. Van Veldhuizen worked first as a wedding planner and then a photo stylist before realizing that design is where her heart is. Her company, Girl Friday, is now eight years old and has produced some of the most impressive event and retail installations in the state. Past clients include Target, the Mall of America and the Minnesota Vikings. The name Girl Friday comes from a term coined in the 1940s that means both right-hand man and jack of all trades. Van Veldhuizen chose the name because she feels it embodies the company’s goal, which is to make clients feel like they were really heard and understood when they walk into the room.“Alot of people ask where I get my inspiration from and if I ever feel ‘dry,’” Van Veldhuizen says. “I tell them that if I feel dry, I know that I wasn’t listening to my client and that I need to go back and ask more questions, listen harder and be present.”
