Hello everyone and welcome to our latest edition of The PCO.
Innovation and creativity are pivotal in the events industry, imagine if the PCOs of yesteryear didn’t want to be more efficient and develop the computerised registration system!
However, innovation is not just about technology. Driving memorable experiences, setting new standards and doing more with less seems to be the constant theme of PCOs or should we say Professional Conference Consultants (PCCs) every day.
PCOs / PCCs create and innovate every day of their professional lives but sometimes they don’t even realise they are doing it! It is an innate quality that makes what we do different. Our clients rely on us to use our skills to create something special for them and their customers to keep them coming back and to engage with new audiences.
During the Pandemic, we encouraged our clients to be bold and brave – to embrace the new frontier of virtual meetings. Post Pandemic, the tenant remains, we need to continue to be bold and brave, try new ideas to create new ways to engage new markets, new marketing strategies and new methods of delivering what our customers need.
It seems that events are the “new” marketing tool of the post pandemic era. Businesses thrive on relationship management not transactional sales. Events are such an organic way of creating these relationships but it cannot be a case of “same old, same old"

Yes, AI and technology play a part in meeting design and architecture, however, innovation and creativity, when paired together, are pivotal in transforming events from the ordinary into extraordinary and memorable experiences.
Our IAPCO Members continue to apply innovative solutions to their clients’ events propelled by advancements in streaming and interactive platforms, all of which have expanded audience reach and participation.
But it is the creativity of the formats and methods of delivery that bring uniqueness and emotional resonance to the fore. Creative themes, thoughtful storytelling and unique formats set the tone and atmosphere, transforming the mundane into the extraordinary. Whether that is through the unique on and off site activities, be it from live art installations to interactive workshops, participants want to feel a deeper connection to a destination, its culture and the other participants more than ever before.
With IAPCO EDGE Seminars taking place in Antwerp, Durban and Japan this year and our Annual Meeting and General Assembly taking place in Taipei at the beginning of 2025, we too continue to push our creative minds to provide a variety of global and local perspectives which we know will lead us all to richer and more engaging experiences.
I ask that whilst you read and learn from our global communities’ input in this edition, you keep as open a mindset as possible. In doing so, I am sure you will take away a few tips on how to ensure that the synergies can exist between innovation and creativity for your clients’ next big event.

Hong Kong Convention Ambassador (HKCA) Appreciation Night
Honouring Hong Kong's Convention Ambassadors (HKCA) – a celebration of the city's top business and academic leaders who have helped secure over 70 events and 70,000 visitors. A night of networking, gratitude, and renewed commitment to make Hong Kong the premier meeting destination and recognise the invaluable contributions of these Hong Kong Convention Ambassadors.

Next Generation Leaders earn their seat at the table at IMEX Frankfurt IAPCO Next Gen Workshop
The next generation of meeting industry leaders took the spotlight today at the "How to get a seat at the table" workshop at IMEX Frankfurt, hosted by Association Partners and supported by the Hong Kong Tourism Board.
Organised by IAPCO in partnership with AIPC, AMC Institute and IFES, the event provided a unique platform for Project Managers to network with industry peers from across the globe and to learn from industry experts about leadership and management.
The half-day workshop at the Sheraton Frankfurt Airport Hotel and Conference Center, brought together a diverse group of Project Managers from the four collaborating associations. Participants learned of the challenges faced by today's senior professionals during their early careers and the important role of mentorship. Attendees also gained insights into effective succession planning, navigating generational leadership dynamics and key characteristics of successful Next Gen leaders.
"Empowering the next generation of talent is crucial for continued growth and innovation," said IAPCO CEO, Martin Boyle. "This workshop created a valuable forum for knowledge sharing between seasoned veterans and rising stars."
Leading industry professionals from all four associations were tasked with ‘Defining the Next Generation’ during a panel discussion moderated by Stephen Noble, Chair of the IAPCO Training Academy and Giulia Sarri, Chair of the IAPCO Next Gen Committee.
During the Next Gen Hackathon session, small groups collaborated to reflect on the views of senior leaders and discuss the changes they would like to implement.
At the end of the workshop, the Next Gen leaders participated in a panel discussion about their ‘Ideas for the Future’. Their diverse perspectives gave attendees a well-rounded understanding of the generational opportunities and challenges ahead.
“One of the biggest challenges our generation faces is getting that coveted 'seat at the table' where strategic decisions are made," said the Next Gen representative of the IAPCO Council and Chair of the IAPCO Next Gen Committee Giulia Sarri. "This workshop is a chance young professionals can grab to challenge their creative intelligence, find solutions that can bring an impact on their clients’ communities and, therefore, play a meaningful role in shaping our industry's future direction."
"The meeting industry's future relies on fostering an inclusive environment where wisdom is passed between generations as well as creating a safe space for the newer generations to share their ideas,” said panellist and IAPCO Council Member Ellen Franck of Meetagain Konferens AB. "Today's discussions will empower project managers to secure a seat at the decisionmaking table through enhanced leadership skills and personal branding."
This workshop underscores IAPCO's commitment to nurturing talent and fostering professional development within the industry. The Joint Association Partners Next Gen workshop paves the way for a brighter future within the meetings industry by empowering the next generation of young professionals.
IAPCO held another education session at IMEX titled, ‘Paving the Way for the Next Generation’ on Wednesday, 15 May between 15:30 and 16:15 in the Canyon Room within Inspiration Hub at Hall 9, where the outputs from the Joint Association Partners Workshop were shared.

I want drive, determination, a mindset and willingness to learn and to develop. These characteristics are much more important to me than any specific skill set.

Claire Smyth of Conference Partners International Wins the 2024 IAPCO Innovation Award

The International Association of Professional Congress Organisers (IAPCO) is thrilled to announce Claire Smyth, Director of Sales and Marketing at Conference Partners International (CPI) as the winner of the coveted 2024 IAPCO Innovation Award, supported by IMEX.
The IAPCO award, part of IAPCO’s Driving Excellence Awards Programme, was presented at the IMEX Frankfurt Gala Dinner on Wednesday, 15th May by Sissi Lignou, IAPCO PresidentElect and President and CEO of AFEA Congress. This Innovation Award recognises and celebrates those at the forefront of innovation, raising the standards of professionalism within the meetings industry.
Claire's winning entry addressed the challenge faced by One Young World, a forum for young leaders, when they brought their 2023 Summit to Belfast, Northern Ireland. Part of the motivation for choosing Belfast was to celebrate the twentyfifth anniversary of the Good Friday Agreement, a pivotal moment in the region's peace process. Claire impressed the judging panel with her creative and impactful approach to connecting the 2023 One Young World Summit with the city of Belfast.
Under Claire's leadership, CPI engaged both exhibitors and local street artists to create bespoke artwork that formed a connection between the Summit, commercial exhibitors and the local community. Every exhibitor hung a unique piece of artwork, each identifying a key theme around modern Belfast and the role of peace and reconciliation. Additionally, CPI organised a Community Dine Around, allowing delegates to experience firsthand the impact of peace on local communities affected by the Troubles.
The innovative initiatives led by Claire resulted in multiple positive outcomes, including increased engagement between delegates and exhibitors, a deeper connection to Belfast City and meaningful participation from local artists and communities.

Melbourne secures top spot for international delegate attendance in Australia, ranks 15th globally
Melbourne proudly clinches the title of Australia's number one city for delegate attendance, affirmed by the latest Country and City Ranking Report produced by the International Congress and Convention Association (ICCA).
The report underscores Melbourne's magnetic appeal, drawing the highest number of attendees to international association meetings across the country as well as the number two destination in the Asia Pacific region.
Melbourne Convention Bureau (MCB) Chief Executive Julia Swanson said the results are a positive achievement for Melbourne and the visitor economy.
"We strategically prioritise securing events that yield substantial benefits for both the client and the city."
"Our emphasis on quality ensures that every conference hosted in Melbourne leaves a lasting legacy, fosters trade and investment opportunities, and importantly attracts a robust delegate attendance, Ms. Swanson said.

Case study: "Mind Portraits" – Memories of a success that is still relevant
Have you ever wondered what shape the thoughts of three hundred people take? When we decided to bring to life The Embassy, our healthcare communication agency specialising in scientific communication projects, we immediately showcased its innovative spirit with the "Mind Portraits" social experiment. We invited participants at IF! Festival of Creativity, in Milan, to have a portrait of their thoughts captured using EEG Brain Monitoring Technology. This unique installation combined photography with visualization of participants' mental data, employing advanced brain mapping technologies. Visual representations gradually converged into a large gallery, and by the end of the experiment, we discovered the extent of diversity – or standardisation –within our industry's intelligence. This creativity provided an immersive and personalised experience and showcased the convergence of storytelling and science, revealing the essence of the human mind. "Mind Portraits" transcended art and technology: it represented a tangible bridge between humanity and its inner complexity, demonstrating how the connection between people and technology can unveil profound truths about human nature.
Sharing this experience, we wanted to convey our collective thought. By using technology not merely as a tool for event organisation, but as a means to amplify the authenticity and value of content, we can forge deeper and more meaningful connections with the audience, offering experiences that resonate with the deepest emotions of human beings.
Time to Think Deeper: Defining the "Why" for Your Next Event
As conference planning gets underway and competing priorities emerge, too often I see one of the most critical first steps overlooked – defining the core purpose and mission of the event. It’s important to ask why you are organising the conference, meeting or incentive trip in the first place. What is the deeper "why" that will guide every decision and ensure an impactful, memorable experience?
It’s easy for events and event organisers to get bogged down in logistics and surface-level planning without taking the time to uncover the authentic underlying motivation. Without establishing the "why," events risk lacking focus, personality and a compelling value proposition for attendees.
Establishing a clear event mission from the start provides an essential strategic guardrail. It allows you to make purposeful decisions around programming, core messaging and experience design that link back to tangible objectives and KPIs.
The mission discovery process begins by reflecting on and defining the true purpose, ethos and personality you want your event to embody. Partnering with an experienced event organiser that takes a human-centered approach to thoroughly mapping the attendee journey and interpreting your mission can help guide you to getting started.
A trusted event partner should go beyond just managing logistics to initiating robust discovery and design sessions. Their goal should be to breathe life into your "why" by pinpointing the motivations and profiles of your specific target audience, i.e. attendees, sponsors, speakers and other stakeholders. Take time to workshop their individual goals, pain points and definitions of success. How can your event's purpose intersect with and elevate their experiences?
Attendee journey mapping is crucial for developing accurate and personalised, omni-channel communication strategies. You need to understand how each target group prefers to consume content and how best to nurture their relationship with your event brand.
The key is continuous optimisation based on data driven insights. Consistently tracking and reviewing your engagement metrics and evolve your tactics based on what is resonating with your audience subgroups. Don't be afraid to re-direct your approach if the data indicates a need to realign your communication tactics with your core "why."
An event's purpose must be embedded into every phase of the lifecycle through purposeful touchpoints, not just a siloed planning element. Schedule regular check-ins to re-validate attendee engagement and their surveyed experiences against your organisation's established event mission and goals.
For example, the “why” for the Organising Committee of the International Council on Monuments and Sites (ICOMOS) 21st General Assembly and Scientific Symposium, held in Sydney in late 2023, was to leave a lasting positive legacy for the recognition, protection and management of cultural and natural heritage and for communities that value and care for it in Australia and globally.
This “why” guided elements like creating a programme that provided visibility and platforms for First Nations leaders and communities, creating an Aboriginal Procurement Policy to engage local Aboriginal-owned businesses, offering free events to encourage community involvement and education, and taking steps to become a certified carbon neutral event. The overarching ”why” and key objectives were revisited at every meeting to ensure Arinex and the Organising Committee remained on track.

Specifically, looking into the Educational Seminar “Laparoscopy is Here to Stay.” This innovative seminar aimed to better approach and familiarise participants with laparoscopic urinary tract surgery. Through live broadcasts, three-dimensional surgeries and hands-on training, participants gained valuable knowledge and skills on the unique topic of laparoscopy. The event took place at the White Cross Clinic, a venue equipped with the latest infrastructure and amenities, ensuring an excellent environment suitable for learning and professional development. An event that couldn’t be possible without Professor E. Liatsikos, President of the Hellenic Urological Association, President of ESU and Chair of the event, who was thanked for his trust, and the Mentor White Cross for their support.
Another notable example is the partnership with Node Institute, supporting its remarkable work in empowering health care professionals, young doctors and surgeons. The New Era of Creativity
In the contemporary era, characterised by rapid technological, social and economic transformations, creativity emerges as one of the most crucial skills. The ability to innovate, think outside the box, and overcome and strive within new challenges has become essential for success in many fields. Particularly in the event organisation, creativity plays a fundamental role in transforming each event into a unique and memorable experience that can create a lasting impact on participants and ensure the overall success of the event itself. With the fast pace of artificial intelligence obtaining a seat at the table, the creative element acquires even more a key role and growing importance in meeting the high level of expectation. As a matter of fact, participants are increasingly accustomed and inclined to being directly involved and engaged by event owners in co-creative experiences.
This is the reason why AIM Group believes that every aspect must be handled with a creative approach to ensure maximum impact and satisfaction, from multichannel data collection to video campaigns, from innovative setups to interactive engagement. Here are some examples of educational initiatives and community events managed by AIM Group International that have proposed multiple ways to interpret creativity.
• Agevity 2023, the first networking event for all players involved in the value creation for the longevity economy organised in collaboration with Assolombarda and Silver Economy Network, the creative stimulus was the integrated way opinions were gathered around what longevity meant to participants and to the general public. This collection was carried out through four distinct channels: an online survey available on the event website; a QR code hanging around at the venue; a real-time response tracking with immediate feedback during the plenary session; as well as an initiative in major cities’ squares in collaboration with an association that brings together young people willing to provide “niece services” to the elder population on demand. These young volunteers collected opinions directly from citizens. This added an element of inclusiveness and expanded the event's reach beyond the physical boundaries of the venue, thus giving a much more concrete sense to the collected data.
• Reflecting further on how creativity can be applied to event organisation, it is evident that there is potential for application in numerous fields, ranging from promotional campaigns to the production of communication materials supporting the event. For two consecutive years, for the ESE (European Society of Endodontology) association, multiple video campaigns were produced involving various KOLs with a key role in the organisation of the event. Each video of less than a minute, highlighted a specific aspect of
the congress, such as the scientific programme, the social programme, networking opportunities, or grants for young people. Nothing new so far… still, at the end of each video, all actors were asked to showcase a specific anecdote, place or typical food from the destination, so that the target audiences could properly prepare to travel to that specific destination.
Another fundamental element in event organisation is represented by setups and engagement activities. Here too, the examples are many and varied, but they all share an essential factor: the use of creativity. Some examples include:
• Wheel of Fortune: an interactive installation that attracted and engaged participants in a playful manner, while asking them to express their opinion regarding the future of organ transplantation;
• Immersive room: an immersive dark box offering a unique multisensory experience, turning learning to be much more intriguing and engaging, while unleashing an opportunity for the sponsoring company to collect leads;
• Brand colour activation: a themed event for a pharma company turned to be the Premiere Night of one of their newest products, during which the brand colour was the major special guest of the night!
• Special Anniversaries: many associations have been celebrating a special birthday that AIM Group supported and powered with great enthusiasm. In 2023 Italian rheumatologists could in fact enjoy a majestic sand art performance following the moving words of the President narrating the story of the association, as well as a round table session with TV journalists and special guests, a celebration stamp and an old photos contest.
In the vast landscape of events, creativity is not confined to high budgets or big happenings. Every type of event can be redesigned and redefined through innovative solutions that arise from an attentive assessment of the true challenges and needs of the communities they are designed for.

Next Gen’s Real-Life Experience with Creativity and Innovation
"The heart and the soul of a company are creativity and innovation”: this is what Walt Disney Company CEO Bob Iger once said about the toolkit that any organisation should have to continue making a difference in each specific landscape.
So, What does creativity truly mean in the world of events? How can innovation transform the way we experience gatherings and congresses? The present edition of The PCO delves into cutting-edge approaches, imaginative designs and inventive technologies revolutionising the future of events. Do we have the means and skills to drive the transformative power of events towards the direction we wish them to go?
During the mini hackathon held during the IMEX NextGen Workshop in May, we discussed how our sector’s services and solutions could solve the community’s issues considering many variabilities, and the collective intelligence as a strong “tool” to develop creative ideas.
Creativity is not necessarily about using paint and a brush, it’s more about connecting the dots in a new way to find useful and relevant solutions for our clients!
Here are some major trends for interpreting creativity in the world of events and some specific experiences from members of the IAPCO Next Generation Committee.
1. Immersive Technologies
Augmented reality and virtual reality have gained a steady position in creating interactive, immersive experiences that captivate attendees and provide unique engagement opportunities. Also 360-degree videos or unconventional photo booths, for instance, attract delegates’ attention, as they always see an Instagram opportunity there!
During the Internazionali BNL d’Italia tennis tournament in Rome, as well as during the European Athletics Championship, AIM Group’s young professionals enriched the overall visitors’ experience with a Digital Tech Wall, where young and old could immerse themselves into a cutting-edge health experience by playing a tennis match in a futuristic environment where every move was monitored and analysed in real-time.
Since doing sport means health, during the match a bracelet on the player's wrist measured five vital parameters, while a team of doctors from La Sapienza University of Rome were ready to provide informative pills on how to maintain a healthy and active lifestyle.
2. Personalisation and Data-Driven Experiences
More and more AI, computer vision and machine learning are being leveraged to analyse attendees’ data and preferences, allowing personalised content or helping save time to get the easier jobs done. Is that considered creativity, though?
We do believe in the value of the advancement of tech and digital. However, we are also very aware that our sector is not fully ready yet for such an integration. A mindset shift should be undertaken before really applying the power of AI or computer vision in everyday life.
However, there has been some real-life experience with analogue data collection here! Imagine a self-standing panel showcasing the evolution of the patient journey within a specific therapeutic area using illustrations. Next to those graphic novels, there would be a whiteboard with a call to action for delegates to comment on that journey with some simple sticky notes. No AI… yet! AI was useful afterwards when comments were gathered to make a comprehensive report!
At ERA Congresses & Events another innovative way to leverage personalisation and enhance engagement is through interactive competitions. At the 57th Panhellenic Ophthalmology Congress, the Resident Quiz engaged ophthalmology residents in teams. A total of nine teams participated, with four proceeding to the final round, and one ultimate winner emerging. The room was packed, and the audience was highly engaged, enthusiastically backing up the teams from their respective hospitals. Equipped with buzzers and tablets, participants competed by answering medical questions posed by a host. This format not only made learning enjoyable but also fostered team spirit and networking among participants.
At Kenes Group, artificial intelligence has been successfully integrated into a few congresses’ abstract submission and selection processes, by implementing a virtual assistant that provides the submitter with an analysis of their abstract, the probability of acceptance or rejection based on factors like the quality of the writing and the alignment of the topic with the scientific programme, comparatively to thousands of abstracts received in previous editions of the meetings.
On the other hand, the PCO has also implemented chatbots that allow participants to navigate through general frequently asked questions, and personalised information about the congress, including their registration process, hotel booking,

customised parallel events’ tickets, and more. This has noticeably relieved the operational team to by decreasing the large amounts of emails received from the participants with the same questions so they can better focus on more creative tasks.
3. Sustainable and Eco-Friendly Practices
There you go! Another fundamental item of discussion. Choosing sustainable materials for event setups, such as biodegradable decor and recyclable products, and waste reduction strategies like digital ticketing and reusable utensils to minimise the environmental impact, are top of mind for today’s event professionals.
Why are we including this in an article about creativity?
Well… if practising sustainable initiatives could become the crux of community days for smaller groups, then it can get creative!
The Boyden World Conference 2023 held in Madrid and powered by AIM Group not only earned the Sustainability Certificate for Environmentally Friendly Practices but it was also the opportunity for delegates to leave a legacy on the local community.
A team-building activity was arranged: assembling children’s bikes as part of a challenge entertained the group and brought them together. The bikes were later donated to underprivileged children, reinforcing the legacy left to the local community.
Another example of how creativity is also enhanced by collaboration between several partners of a Congress is the results of the sustainability strategy implementation at the Annual Meeting of the European Society of Paediatric Infections Diseases ESPID 2023 and ESPID 2024 organised

Kenes Group.On this occasion the society’s sustainability committee, the venue, the PCO and local NGOs worked together to bring the attendees an event with a clear waste management strategy, committed to no-single use plastic and tailored sessions for healthcare professionals about waste management at hospitals and home.
4. Storytelling and Thematic Design
We couldn’t close the article without considering the creative power of narrative-driven content. Integrating themes throughout presentations, workshops and performances is one of the strongest means to achieve simple yet mindblowing experiences.
Of course, art installations, creative set designs and visual storytelling enhance the event atmosphere, but it can be easy as follows.
At the 11th International Brain Research Organisation World Congress held in Granada, Spain in 2023, the society along with the local committee, the University of Granada, the PCO Kenes Group and the Cajal Legacy Institute, among other partners, opened a free exhibition of the drawings and items from the personal archive of Santiago Ramón y Cajal, the father of modern neuroscience and Nobel Prize in Physiology or Medicine 1906 . The exhibition also integrated interactive components, using voice recording of Ramon y Cajal.
Moreover, the 15th International Congress on Shoulder and Elbow Surgery (ICSES) is a world-renowned event serving as a platform for exchanging cutting-edge knowledge, techniques and advancements in this crucial area of medical practice. To make this thought leadership even stronger, the event powered by AIM Group started with a captivating
opening ceremony "Around the world in 8 chapters," symbolising the interconnectedness of the global medical community with pop-up dancing performances.
Also, participants were amused with a closing ceremony with a sketch full of irony and wit where the two congress presidents, dressed as ancient Romans, playfully handed over leadership to the upcoming Vancouver Congress President, dressed as a hockey player.
Triumph Group's Digital Leap: How Innovation is Shaping the World of Events
Triumph Group International, a company with more than thirty-five years’ history in the world of events, congresses and live communication, has undertaken a corporate development driven by internationalisation of the company itself, and innovation of its products and services.
Among the actions undertaken, it is worth mentioning the opening of new offices in geographical areas such as China, South-East Asia, the Middle East, unquestionably at the forefront in the sector of digital innovation, and therefore capable of constantly stimulating discussion within the company aimed at creating services that are increasingly in line with customer needs.
Triumph Group has also acquired a digital agency, The Twist Lab, whose objective is to become a true "digital hub" capable of designing, developing and offering the best and most innovative digital experiences related to the conference world on the market.
Here are some interesting cases linked to how a new digital communication was used in the context of two recent conferences organised by Triumph Group international:

- National Congress of the Italian Society of Medical, Surgical, Aesthetic Dermatology and Sexually Transmitted Diseases (Sidemast)
The main objective for both projects was to bring an innovative approach in in creating a digital communication strategy that would better engage users and conference participants.
The World Congress of Philosophy (WCP) saw the creation of “social columns / headings” designed to involve registered students:

For the first one, the Call to Action invited exclusively registered students to answer the following question via video: If your favourite philosopher could speak today, what message would he bring to WCP2024?
The second column was aimed at all participants in the congress, not just students. The Call to Action invited the community to share a video via email where they answered one of the following questions: “How can philosophy move people beyond boundaries?” or “What does 'philosophy beyond boundaries' mean to you?"
Despite the limited window of time available, the response was massive!
Twist Lab clearly created detailed guidelines to ensure adequate content for publication, including proper documentation on privacy and consent for posting content on social media and related advertising.
The videos were then selected by the professors. The first video received was of a student who used artificial intelligence to simulate an interview with the philosopher Friedrich Nietzsche:
In 2023, during the Sidemast National Congress Triumph designed and planned a dedicated area into the Metaverse, available for the entire duration of the event.
Inside the conference venue, they set up a “Metaverso Sidemast hub”, where each member could access via oculus and cursors to explore various virtual activities:
- Access to the virtual poster area.
- Virtual walk along the Naples seafront, offering a realistic experience of the seafront.
- Viewing an emotional video in memory of the Congress President, who passed away a few months before the event, with the possibility of interacting with her avatar.
The Metaverso area was highly appreciated by the participants, recording 1,340 accesses out of approximately 1,500 members.
Meeting Design Tool creating Sparks, Strategy and Cohesion
At Congress by design, they believe that they are not just about organising conferences – they’re about designing them. This approach brings added value to everyone involved: the client, the organising committee, speakers, workshop leaders and most importantly the participants. Strong meeting design drives direction, creativity, cost-efficiency and impact.
Connecting people, sharing knowledge
“We believe a congress is never a goal in itself, but a way to connect people and contribute to scientific progress and a healthier and safer world”, says Marije Sant, Account Manager and Team Lead at Congress by design. “There are many factors that influence success: a live or hybrid set-up, the characteristics of the target group, roles and responsibilities and the strategic goals of the organising committee. Good meeting design starts with clarity and alignment on all aspects. Because a congress only has a real impact when goals, content, and experience are aligned. We have developed a Meeting Design Tool to view congresses through a new lens. A PhD student's needs are different from a seasoned professor nearing retirement. While content remains paramount, today's generation of scientists seeks interaction, variety and the ability to curate their own experience.”
Co-creation and lateral thinking
Marije explains the ideal scenario: "The best results come when we're involved early on, even before the programme committee starts its work. Our approach is more strategic than just logistical. Ideally, we begin with a half-day meeting design session focusing on co-creation and lateral thinking. We literally map out the congress using questions, visualisations and tasks to explore, for instance, the attendees' expectations and whether these align with the committee's goals. Often, we find misalignments, and our design sessions
lead to surprising insights, creative ideas, and a unified direction. This lays a valuable foundation, offering guidance and direction throughout the process."
Implementing the Meeting Design Tool
Since 2022, meeting design has been integral to Congress by design’s approach. With hands-on training by impact maker Juup de Kanter, they developed their own Meeting Design Tool to help clients make a real difference. They rolled out this tool to clients, starting with the Local Organising Committee (LOC) of the IUPAC | CHAINS Congress, a prestigious international conference of around 1,500 chemists.
Using creative methods and the Meeting Design Triangle, they establish a broad-based goal and determine desired participant behaviours. This approach ensures that the congress achieves its objectives. They tailor the programme to balance knowledge exchange, networking activities, rest, reflection and interaction. Using the brainwriting method, they generated fun and creative ideas. The Impact Meter helps Congress by design evaluate which ideas have high impact and are easy to implement.
Creativity within budget
"For the extensive IUPAC | CHAINS chemistry congress, we successfully integrated coherence into the programme," says Marije excitedly. "The theme 'connecting chemical worlds' was palpable and visible throughout, from a large world map at the entrance for chemists to mark their home bases, to the invitation during the opening ceremony to connect with their neighbours. These creative ideas don't have to be expensive to be effective." Marije emphasises, "These small touches make a real difference.”
The European Stroke Organisation Conference (ESOC): A conference with a lasting impact
Major events not only attract a large number of people to a city but also bring in influences, moods and, in the best case, even food for thought. But what remains once the curtain has gone down? This was the question that the organisers of the European Stroke Organisation Conference (ESOC), held in Basel from 15 to 17 May 2024, wanted to examine in greater detail. The creative approach they took was to hold a public panel discussion to raise awareness of the issue and thus lay the foundation for a Swiss patient organisation.
Basel is regarded as one of Europe’s most important teaching and research locations for the life sciences and medicine. The University Hospital in Basel has had one of the world’s leading stroke centres for many years and the European Stroke Organisation (ESO) has its headquarters here. With Messe und Congress Center Basel, the city also boasts the ideal venue for a conference of this size. It is thus not surprising that Basel won the bid to stage this conference and recently welcomed around 4,000 participants from more than 100 countries. Alongside clinical studies, exciting workshops and rousing debates, attendees particularly appreciated the opportunity to engage in discussions with colleagues from different disciplines, institutes and regions.
In the runup to the conference – on 14 May 2024 – the Swiss Stroke Society (SSS) organised a panel discussion. This was intended for stroke patients and their relatives as well as for a professional audience. The aim was twofold – the society wanted to highlight the day-to-day challenges faced by those affected and also to create an incentive for continuing to offer them a platform in future too. Contrary to the case in other countries, Switzerland currently has no organisation specifically dedicated to the needs of stroke survivors.
The tremendous response to this occasion gives reason to hope that the discussion on setting up a corresponding interest group will be taken forward. Messe und Congress Center Basel is also delighted to have once again hosted an occasion that broke new ground.

CONVIN Successfully Organises Three Major International Congresses in Athens
CONVIN had the honour of organising three significant congresses in May and June at the Megaron Athens International Conference Center.
The 26th Triennial Congress of the International Academy of Legal Medicine (IALM 2024) provided an excellent platform for presenting the latest scientific developments in Forensic Sciences. Distinguished scientists exchanged knowledge and ideas on the significant contribution of Forensic Science to the administration of justice and the protection of human rights. The thematic sessions covered cutting-edge issues such as the application of Artificial Intelligence, molecular autopsy, violence against women and the investigation of sudden deaths.
Prominent international organisations participated, including the International Criminal Court of The Hague, the International Committee of the Red Cross and the European Council of Legal Medicine. The collaboration with the Board of Directors of the Hellenic Society of Forensic Medicine and Forensic Sciences and the excellent organisation of the conference were recognised and praised by all participants.

The 8th World Conference on Research Integrity (WCRI 2024) served as a platform for discussing the critical challenges faced by the global scientific community concerning research integrity. Iliana Ivanova, the European Commissioner for Innovation, Research, Culture, Education and Youth, highlighted the necessity of integrity in research, especially in an era when trust in institutions is being tested and new technologies like artificial intelligence in genetics are becoming increasingly significant.
WCRI 2024 is expected to leave a significant mark with the Athens Declaration, which will guide research towards reliable policy and innovation. This declaration aims to promote research integrity and enhance its influence on policy formulation and innovation promotion.
The 21st International Symposium on Biomedical Imaging (ISBI 2024) was organised by the National Technical University of Athens in collaboration with the National and Kapodistrian University of Athens and the Aristotle University of Thessaloniki. The conference focused on the latest developments in medical imaging and artificial intelligence, highlighting their role in personalised and
precision medicine. Participants had the opportunity to attend seminars, innovation competitions and clinically focused sessions on the use of AI and imaging for integrated diagnosis and monitoring of diseases such as cancer and neurodegenerative disorders.
A particularly innovative initiative of ISBI 2024 was the "Artin-Biomedical-Imaging" series of events, which combined the science of biomedical imaging with artistic creation. During the conference, a renowned street artist created works inspired by the conference’s sessions, which were donated to ELEPAP to support its mission.

IAPCO Member, CAP Partner, a leading professional conference organiser (PCO) based in Copenhagen, is thrilled to announce the promotion of Hanne Kvalheim to Head of Conference Organisation. This promotion underscores CAP Partner’s commitment to growth and excellence in scientific conference management.
Hanne Kvalheim has been a dedicated team member since 2006, contributing significantly to the success of CAP Partner. In her new role, she will oversee the planning and execution of conferences, ensuring the high standards CAP Partner is known for.
Since 1999, CAP Partner has helped researchers and scientific nonprofits with conference organisation, association development and project management. Since its foundation, CAP Partner has helped over a hundred international associations achieve their goals and organised more than 200 scientific conferences globally.
“Berlin – City of Contrast” – A wonderful night with some challenges!
Last year, CPO Hanser Service was selected as the official PCO for the annual conference of an international association in the field of aromas.
In addition to organising the five-day event in Berlin, CPO was also responsible for the social events. A very special highlight was the closing banquet at Station Berlin, an old industrial hall in the city centre. Filling this empty hall with life and presenting the theme of “Berlin - City of Contrast” was an exciting challenge, and all in a short space of time. But we know that well in our industry The CPO team liaised with numerous service providers in order to implement even last-minute customer requests to everyone's satisfaction and to ensure the success of this unique evening. The set-up alone took thirty-six hours with more than 150 employees.
A Canadian Tailgate Party: The Casual Dinner at the International

Vancouver, 2024 – The International Council of Fruit and Dried Nut Conference, renowned for its formal assemblies and serious discussions, took a delightful turn this year with a casual dinner event that was anything but ordinary. Held at the iconic BC Place (home to Vancouver’s BC Lions and Vancouver Whitecaps), the evening was transformed into a quintessential Canadian tailgate party, complete with all the local flavours and fervour one could imagine.
As attendees from across the globe gathered, they were greeted by the tantalising aromas wafting from food trucks, each offering a taste of Canada’s diverse culinary landscape in a traditional tailgate party fashion.

Hong Kong Convention Ambassadors of Twelve Sectors Celebrate Achievements of Securing Seventy Conventions in Appreciation Night
The Hong Kong Tourism Board (HKTB) hosted the Hong Kong Convention Ambassador (HKCA) Appreciation Night on 20 May at Rosewood Hong Kong to honour ambassadors from across twelve sectors for their exceptional success in bringing about seventy conventions to Hong Kong, attracting about 70,000 high-spending visitors. These achievements solidify the city's status as a premier global hub that consistently draws world-class events and conferences to its shores.
Dr Pang Yiu-Kai, Chairman of HKTB said, "The programme has proven its value in just three remarkable years. We are truly grateful to have over 140 top leaders from the local business community and the Mainland as advocates for Hong Kong’s conventions sector".

LabSummit
From 16 to 18 May, the Convento de São Francisco in Coimbra hosted the first edition of LabSummit, a landmark event for the laboratory industry, organised by AIM Group's Portugal office. The event attracted great interest from the scientific community and the market, with 1,000 participants and fifty-three sponsors supporting the first edition of the Summit.
100 years of IUSS
Centennial Congress of the International Union of Soil Science IUSS, celebrated with more than 1,500 participants in Florence, 19–21 May 2024. Five field excursions were organised in different locations in Italy, to study the local soils, including Villa Lubin in Rome, where the Society was founded 100 years ago.
ESH Milano
The 33rd European Meeting on Hypertension (ESH) was celebrated in Berlin (31 May - 3 June) with over 2.000 participants, half of them from outside the EU, in particular from China. The scientific content is always of great interest, with 1,000 abstracts received, 754 e-posters and 125 oral presentations.
INS 2024: A Global Gathering on Neuromodulation Organised by Kenes Group
During six days, from 11 to 16 May, the city of Vancouver, Canada hosted the 16th World Congress of the International Neuromodulation Society – INS 2024, drawing 1,230 scientists, researchers, engineers, device developers and healthcare providers from fifty-seven countries to explore the latest advancements in neuromodulation, in collaboration with the local organising committee, the Canadian Neuromodulation Society and the awardwinning, world-class Professional Conference Organiser – PCO, and Association Management Company – AMC Kenes Group.

A shining example is the 7th EUGEO Congress and the 51st Conference of Irish Geographers hosted by the university in May 2019. With a theme centred on “Re-Imagining Europe’s Future Society and Landscapes,” sustainability was at the heart of every aspect, from the programme to field trips and exhibitions.
Professor Frances Fahy, who co-chaired the conference, ensured it was one of the most sustainable events ever held in the west of Ireland. Her efforts led to creating the university’s Sustainable Event Policy Checklist, now used for all its events. This dedication was recognised in November 2022 when Fáilte Ireland (the National Tourism Development Authority of Ireland) awarded EUGEO 2019 the inaugural Sustainability Spotlight Award.
