IAPCO Annual Meeting and General Assembly 2025: Taipei Special WE ARE OF A TRIBE

Geneva reinforces its close relationship with PCOs worldwide

Geneva has forged a close and lasting partnership with the global PCO community. After hosting IAPCO EDGE in 2023 and the IAPCO Council Meeting in 2024, Geneva proudly joined IAPCO as a Destination Partner in 2025.

This strong relationship is reflected in the city's track record of hosting major international conferences. In 2023, the World Chambers Congress at Palexpo drew 1,418 participants from around the world, thanks to the seamless collaboration between the Geneva Chamber of Commerce, Industry and Services the Geneva Convention Bureau, MCI, Palexpo and local stakeholders.

Geneva's strategic location, world-class infrastructure, and cutting-edge scientific expertise makes it a premier destination for international events. Its central European position, international airport with over 145 direct flights, and exceptional service standards have attracted major conferences, from the World Cancer Congress 2022 and 2024, by UICC, to the World Hospital Congress 2025, by IHF, and the 2025 Scientific Assembly of the International Association of Volcanology and Chemistry of the Earth’s Interior (IAVCEI).

Beyond its logistical advantages, Geneva offers a unique opportunity for delegates to engage with the many international organisations headquartered in the city. As Dr Cary Adams, CEO of the Union for International Cancer Control

(UICC), notes, 'Individuals know that when they come to Geneva, they come into the global health hub of the world. They can meet organisations like the WHO, Medicines Patent Pool, GARDP or GAVI, and all these international organisations, which are very much part of the Geneva community, which is an exception when they come to a congress.'

Flexibility is a key strength, with the CICG and Palexpo providing modular event spaces, complemented by the University of Geneva buildings and the city's extensive high-end hotel options. Furthermore, congress organisers and participants benefit from free access to Geneva's efficient public transportation network, making it easy and quick to travel from all points of interest. The Geneva Convention Bureau looks forward to connecting with the IAPCO community at industry events in 2025, including IMEX Frankfurt, IBTM Barcelona, PCMA EMEA, and the ICCA Congress. IAPCO AM&GA 2025 Special Issue

I am happy to welcome you to the prestigious edition of the PCO for year 2025 and my first message to you through this channel, from my position as President of IAPCO.

This edition follows a highly successful Annual Meeting & General Assembly 2025 in the heartbreakingly city of Taipei. I would like to take this opportunity to congratulate team Taipei, led by our fellow Council Member and Treasurer, Jason Yeh, for the tremendous success but also their commitment and passion in making this event a remarkable milestone in IAPCO’s history.

This circular’s theme ‘We are of a Tribe’ is inspired by the actual theme of the 2025 Annual Meeting, which represented Taiwan’s ‘tribe’ culture, framed the country’s target to collaborate respectfully and set the path for the attendees to explore their identity deeply.

The 'tribe element' connects harmonically with the mission and vision of IAPCO and highlights key elements of our future efforts in fostering the 'tribe' mentality and philosophy across our strategic activities.

Through regional strength and expertise, provided by our members and partners, but also through an elevated community engagement strategy and a strong advocacy plan, our Council and Administration will focus in fostering connections and partnerships, offering elevated and exclusive education, with the aim to establish the brand IAPCO, empower the PCO capacity and contribute to a global growth for our Industry.

We represent a global community of future-invested meeting professionals, who make a difference. As the global voice of PCOs across the Meetings and Events Industry we are committed to providing world class quality, while we uphold excellence, resilience and trust.

Respectful collaboration aligned with shared objectives and the creation of a stronger bond between us as a community through various channels, are strong elements of the case studies and articles included in this inspiring issue.

Let’s get inspired and explore how our regional diversity and different perspectives can lead to excellence and growth through authenticity and positive collaboration.

This issue of the PCO follows our very successful Annual Meeting and General Assembly (AM&GA) that took place in Taipei, Taiwan. The theme: 'We are of a Tribe” was chosen as we felt it best describes our IAPCO community - IAPCO as a global tribe, united by shared values, goals, and a sense of belonging that transcends borders.

Though our members may come from diverse cultures, backgrounds and industries, they are bound together by a common purpose, forming a tight-knit community that offers support, knowledge, collaboration that demonstrate time and time again, the utmost professionalism in our industry.

Like a traditional tribe, an international association like ours fosters deep connections among its members, creating a space where individuals can exchange ideas, mentor one another and work toward collective success. Its leaders serve as guides, shaping the association’s vision while empowering members to contribute meaningfully.

The leaders from across such diverse industries that joined us on stage in Taipei certainly provided us all with food for thought, inspired us to act together and provided us with thought-leading insights into what may impact us all in the years ahead.

In a world where digital interactions often replace personal connections, we remind ourselves of the power of community and convening together at professional meetings and events. Doing so, provides a sense of belonging and reinforces the important idea that success is not achieved in isolation but through shared wisdom of those around you.

Although it was impossible for all of you to have been able to join us in Taipei, our partners at Gevme have enabled us to share some of the insights from the presentations in this issue through their AI-driven summaries. I hope you enjoy them all.

How can we efficiently promote more business opportunities? From our experience what works? What do we need more of? Is it almost always the client that decides where the next congress will be or are PCOs noticing a shift and have more influence? How are destinations accommodating the changing needs of Associations?

We welcome submissions from all our members from around the world.

Taipei Shines on the Global Stage at IAPCO AM&GA 2025

Taipei had the distinct honour of hosting the IAPCO AM&GA 2025, bringing meeting experts from around the world together. This prestigious event provided an invaluable opportunity for Taipei to showcase its world-class business event capabilities while strengthening bonds with the global event-planning community. The event was made possible through the dedicated support of the International Trade Administration and the Taipei City Government, both of which recognise the immense value of the IAPCO community.

A Theme That Unites:

'We Are of a Tribe'

The theme of IAPCO AM&GA 2025, “We Are of a Tribe,” was carefully chosen to reflect the spirit of unity among professionals from diverse backgrounds and cultures. It also served as a tribute to Taiwan’s indigenous heritage, offering a unique cultural perspective that enriched the experience for all attendees. The event’s logo, featuring distinct indigenous weaving patterns, symbolised how Taipei brings together people from across the world, interweaving traditions, innovation and collaboration into a seamless fabric of progress.

To bring this theme to life, the programme included:

-Indigenous Representation: Speakers from Taiwan’s indigenous communities shared their perspectives, enriching discussions with their wisdom and traditions.

- Immersive Opening Performance: More than just a stage act, this experience welcomed delegates into a symbolic tribe, fostering a strong sense of belonging.

- Engaging Interactions: Delegates participated in meaningful exchanges, fostering learning and networking opportunities that transcended borders.

A Unified Effort with Global and Local Partners

As a united tribe, we also collaborated with other destinations across Taiwan to bring an even deeper meaning to the theme. With their generous sponsorship, attendees received locally inspired souvenirs, further embedding the essence of Taiwan’s diverse cultural identity into the event experience. Additionally, support from international partners played a crucial role in enhancing the programme—JNTO sponsored a speaker session, bringing valuable insights to the conference, while Geneva Convention Bureau contributed to

a coffee break, offering attendees a moment of networking and refreshment. These partnerships exemplified the collective effort behind IAPCO AM&GA 2025, reinforcing the event’s spirit of unity and shared success.

A Destination Designed for Global Conferences

Taipei is rapidly emerging as one of the world’s top business event destinations. With its state-of-the-art infrastructure, thriving business environment, advanced technology, and vibrant cultural scene, the city provides unparalleled opportunities for international business events. Hosting IAPCO AM&GA 2025 allowed Taipei to offer first-hand experiences to leading event professionals, demonstrating why the city is an ideal venue for their future meetings.

Taiwan’s Former President Tsai Ing-wen underscored the importance of this gathering: 'The theme "We Are of a Tribe" reminds us that, no matter where we come from, we are united by a shared purpose. Taiwan is proud to be part of this global tribe, and we are honored to host you as you exchange ideas and strengthen your professional bonds.'

Experiencing Taipei: A Journey Through Culture, History, and Innovation

To provide attendees with a deeper understanding of Taipei, IAPCO AM&GA 2025 featured a series of carefully curated field trips showcasing the city’s history, innovation, and culture:

- Taiwan’s Business Evolution and Trading Legacy: Delegates explored Dadaocheng, where Taiwan’s 19th-century tea trade flourished. A visit to WANGTEA, a 135-year-old tea factory, offered a taste of history through freshly brewed Taiwanese tea.

- City Views Through the Lens of Parasitic Temples: This tour revealed Taipei’s unique urban landscape, where modern skyscrapers and ancient temples coexist in fascinating harmony.

- Taiwan’s Bold Fight for Freedom and Human Rights: A journey through Taiwan’s democratic evolution, featuring visits to the National Human Rights Museum and Chiang Kai-Shek Memorial Hall, where attendees heard the compelling stories of political resilience from a survivor of past persecution.

A Lasting Legacy

Hosting IAPCO AM&GA 2025 reinforced Taipei’s status as a leading destination for global conferences. By offering immersive cultural experiences, cutting-edge facilities, and unwavering hospitality, Taipei successfully showcased its ability to host world-class events while embracing the values of the IAPCO community. This event was not just a gathering — it was a testament to Taipei’s commitment to uniting the world through business, culture and shared aspirations.

As the delegates depart with unforgettable memories, Taipei remains ready to welcome the world again, ensuring that every event hosted here is more than just a meeting — it’s an experience of a lifetime.

Building Tribes: Empowering Connection

The question seemed simple enough: What makes a tribe? Yet, as is often the case, the simplest questions are the ones that lead us into something deeper. Seth Godin, in Tribes, argues that tribes form when people connect around shared values and a common goal, led by someone willing to inspire change. Sebastian Junger, in Tribe, adds another dimension: tribes thrive when their members feel a sense of belonging, trust and purpose, especially during times of challenge.

For MCI Canada, a proud member of IAPCO, these insights aren’t just theories; they are guiding principles. Tribes are not accidents of proximity; they are intentional creations, shaped through connection, purpose and leadership. Let me tell you how these principles play out in the real world.

The Heartbeat of Connection

Every tribe starts with connection. Connection isn’t just about proximity or presence; it’s about creating spaces where people can discover shared aspirations, collaborate meaningfully, and form relationships that endure. It’s about fostering moments of unity that resonate long after the gathering ends.

What do the One Young World Summit (OYW), Discovery X and the International Congress on Pattern Recognition (ICPR) have in common? Each project exemplifies this principle. At OYW in Montreal, 2,500 young leaders turned a vast conference hall into a place where shared dreams ignited new alliances. Discovery X, with its 3,000 participants, showcased technological breakthroughs but centred on collaboration – testing prototypes, brainstorming solutions, and sparking partnerships. Meanwhile, ICPR brought together researchers from over twenty countries to connect across disciplines, forming relationships that continue to drive innovation in biometrics and machine learning. These events remind us that connection is about building bridges, not just gathering crowds.

Aligning with Purpose

If connection is the heartbeat of a tribe, purpose is its compass. Tribes aren’t just gatherings; they are movements driven by shared missions. Purpose transforms an audience into a force for change.

Consider IMPAC5, International Nut and Dried Fruit Conference (INC), IOC Congress and the Canadian Council for Public-Private Partnerships (CCPPP) Conference. Each event exemplifies purpose in action. IMPAC5’s mission to protect oceans brought together global stakeholders, aligning them with Indigenous-led conservation initiatives.

INC united 1,500 industry leaders to tackle global challenges in the nut and dried fruit sector, transforming niche conversations into collective action. The IOC Congress extended its purpose to the public through conservation-themed bird tours and lectures, connecting scientific goals with community engagement. At CCPPP, 1,000 participants came together to strategise solutions for infrastructure challenges, turning ideas into actionable public-private partnerships. Purpose is what turns a gathering into a catalyst for lasting impact.

The

Role of Leadership

Leadership is what transforms a crowd into a tribe. It’s not always about being in the spotlight; often, it’s about empowering others to lead and creating structures that enable collaboration and growth.

The Joint CDDW-CLM Conference, Web3 & Blockchain World Conference (W3B), IOC Congress and Global Hepatitis Summit (GHS) demonstrate this power of leadership. At CDDW-CLM, the Canadian Association of Gastroenterology and the Canadian Association for the Study of the Liver grew attendance by twenty per cent and sponsorship revenue by 200 per cent, solidifying their leadership in their fields. W3B reinvented tech conferences by creating an immersive, human-centred camp experience, blending fireside chats with technical innovation. The IOC Congress took leadership into communities by partnering with local organisations and leading a movement for conservation outreach. At GHS, leadership united clinicians, policymakers and advocacy groups with a single mission: to eliminate viral hepatitis as a global health threat by 2030. These events illustrate that leadership isn’t about control; it’s about empowerment.

How We Help Build Tribes

So how do we help our clients create the value they are looking for? It starts with understanding the job-to-be-done. At MCI Canada, we don’t begin by asking, ‘What does the event look like?’ Instead, we ask, ‘What is the job this event needs to accomplish?’ This approach goes beyond logistics or programming – it’s about defining the impact our clients aim to achieve and charting the path to get there.

Crafting a Strategic Framework

1. Listening Deeply: Before strategising, we listen. We work closely with clients to uncover not just what they want to achieve but why it matters. Through discovery sessions, stakeholder interviews and market research, we gather insights that shape the foundation of the event strategy.

2. Designing for Outcomes: Once we understand the job-to-be-done, we reverse-engineer the event. Every session, interaction and touchpoint is intentional – built to achieve measurable outcomes. Whether it’s increasing stakeholder engagement, boosting sponsorship value, or advancing public awareness, our strategies are grounded in actionable results.

3. Adaptive Collaboration: No event exists in isolation. We collaborate with clients to ensure the event ecosystem reflects their broader mission. From aligning with corporate initiatives to addressing regional or global priorities, we create synergies that amplify the event’s impact.

4. Monitoring and Evolving: The job-to-be-done isn’t static. As events unfold, we continuously assess and adapt, using data and feedback to refine our approach. This agility ensures that we not only meet objectives but exceed them, delivering lasting value for clients and their stakeholders.

The Power of Tribes Tribes don’t just happen – they are built. They are cultivated through intentional connection, aligned purpose and empowered leadership. At the One Young World Summit, young leaders found allies. At IMPAC5, global stakeholders found alignment. At Discovery X, innovation sparked collaboration. And at the Global Hepatitis Summit, scientific discovery saved lives.

This is the work of a tribe-builder: to create spaces where people belong, connect and thrive. To turn gatherings into movements and audiences into communities. This is what unites us all – as professionals, as partners and as a global community. Together, we are the architects of connection, the cultivators of purpose and the enablers of tribes.

Juliano Lissoni, MCI Canada

The Strength of a Tribe: Collaborating to Create an Extraordinary Event

A symphony of collaboration for the XXV World Congress of Philosophy

The XXV World Congress of Philosophy, held in Rome from 1 to 8 August 2024, was much more than an academic event. It was a remarkable example of how a global ‘tribe’ can come together to create something unique. Organised in collaboration with the University of Rome La Sapienza, the International Federation of Philosophical Societies (FISP) and Zetema, the event welcomed over 5,700 participants from more than ninety countries. It marked a true triumph of stakeholder collaboration. The result? An experience that exceeded expectations and left a lasting impact on participants and on the city itself.

An Experience Beyond Borders: Collaboration and Impact

The Congress theme, ‘Philosophy Beyond Borders’, not only inspired the academic content but also shaped the organisational approach. Diverse strengths, expertise and visions came together to create something greater than the sum of its parts. Triumph Group International orchestrated the logistics and overall organisation, while the University of Rome La Sapienza hosted the academic sessions, providing the ideal setting for dialogue and reflection.

Rome amplified the Congress’s value. The opening event at the stunning Baths of Caracalla opened the doors of philosophy to the city and its participants. The Orchestra of the Teatro dell’Opera di Roma enriched the evening, performing for more than 4,400 attendees. National and international press celebrated the event as a perfect example of the connection between local culture and global dimensions.

In addition, a series of public events featured international speakers from the Congress as special guests. These moments became an integral part of the Estate Romana cultural programme, demonstrating how an academic event can transform into a social experience that engages an entire community.

A Shared Success

The success of the Congress stemmed from flawless teamwork. Triumph Group International acted as the conductor of a complex orchestra of stakeholders, each playing a key role. FISP provided strategic vision and content. La Sapienza contributed to its academic excellence. Zetema enriched the event by showcasing the cultural heritage and

spaces of Rome. Together, they created an event that not only achieved its goals but also redefined the concept of collaboration, bringing tangible benefits to participants and the host city alike.

Exceeding Expectations: A Legacy for the Future

Working as a ‘tribe’ means collaborating to achieve a common goal while inspiring each other to push boundaries. The Congress was not just a scientific success. It built bridges between disciplines, cultures and generations, demonstrating how philosophy can enrich global dialogue. Rome welcomed visitors from all over the world and embraced its citizens, transforming an academic gathering into a universal celebration of knowledge and culture.

Working as a “tribe” means collaborating to achieve a common goal while inspiring each other to push boundaries.

Porto - Where People Connect & Events Empower

Porto is all about the people. They are fiercely proud and passionate about their beautiful city, and rightly so. The IAPCO EDGE seminar, held from 28—30 January 2025, was the perfect platform to showcase Porto’s rich traditions and vibrant culture to seventy-five participants from twenty-four countries.

The seminar spanned three days and was hosted at two remarkable venues: the Renaissance Porto Lapa Hotel and the Alfandega Congress Centre. The Alfandega, a historic former customs house, boasts breathtaking views across the River Douro to the renowned port houses in Vila Nova de Gaia.

The education programme was led by seasoned faculty members Sissi Lignou, Nicky McGrane, and Mathias Posch, along with a new addition to the IAPCO faculty, Ellen Franck from Meet Again, Sweden. Ellen delivered an insightful session on Facing Fears in Congress Budgeting.

Adding to the seminar’s impact, guest speaker Ana Sá, a professor of psychology at Porto Business School, engaged participants with a dynamic and high-energy session on Negotiation Skills.

Empowering Communities

Aligning with the seminar’s theme — Where People Connect & Events Empower — participants were introduced to CAIS, a social enterprise that has been uplifting Porto’s homeless community for over thirty years by equipping them with artisan skills.

In a hands-on workshop led by Alexandre Teixeira (CAIS) and Mariana Sousa (Porto CVB), participants formed ten groups to design children’s pouffes using repurposed event canvas stuffed with shredded hotel slippers. The designs were stitched by CAIS artisans and later donated to a children's cancer ward in Porto, showcasing how events can leave a lasting, positive impact.

Speakers

Social Highlights and Cultural Immersion

The energy at the welcome reception was unprecedented, with attendees forging connections from the moment they arrived. After full days of learning and collaboration, participants explored Porto’s cultural gems. They enjoyed local wine and port tasting at The Pink Museum, dined at WOW and witnessed the mesmerising Clerigos Tower light show — a breathtaking display of kaleidoscopic light technology within an 18th-century Baroque church.

A highlight of the social programme was the EDGE party, hosted by a dance, music, and theatre performance company directed by Max Oliveira. Inspired by Porto's iconic marketing campaign, the event celebrated the eccentric persona of Ofélia de Souza, encouraging attendees to embrace their inner Ofélia and revel in the evening’s festivities.

Delivering an Unforgettable EDGE Experience

The IAPCO EDGE seminar in Porto was a testament to the power of teamwork. AIM Group, which opened its Porto office in March 2023, played a crucial role in bringing the seminar to life. Under the leadership of Nélia Fonte (Porto Business Manager), in collaboration with Patricia Morris and Mariana Sousa (Porto CVB) the team delivered a seamless and memorable event.

Special recognition goes to AIM team members Andreia Mendes and Miguel Nunes for their calm and unwavering support throughout the seminar. Muito obrigada!

Organizing an event for industry professionals is no small feat, but the reward is immeasurable. The generous praise from attendees reflects the magic of EDGE, proving that even a decade later, its impact remains strong. Filling a room with seventy-five strangers and watching connections flourish is the true essence of EDGE — and Porto was the perfect city to make it happen.

We Are a Tribe: Harnessing Collective Intelligence in Conference Design

In an era of hyper-connectivity, professional conferences have evolved far beyond traditional industry gatherings. They are now catalysts for innovation, influence and impact. As conference organisers, our role is not merely to manage logistics but to design strategic experiences – platforms where thought leaders, changemakers and disruptors come together to shape the future.

The theme of this PCO issue, ‘We Are a Tribe,’ deeply resonates with this perspective. A tribe is not just a community; it is an ecosystem of collective intelligence, driven by shared purpose and relentless curiosity. This philosophy underpins how Professional Congress Organisers (PCOs) operate, shaping events that move beyond transactions to create real transformation.

Beyond Transactions: The Evolution of Conference Design

Traditional event planning has long focused on structure –schedules, speakers, sponsorships. However, to maximise impact, today’s conference organisers must move beyond logistics to strategy.

• Engineering Influence – Conferences are not just about content delivery; they are about shaping thought leadership. The most impactful events are those that curate content ecosystems, ensuring that discussions on stage translate into real-world action.

• Designing for Connection – The value of an event lies not just in knowledge exchange but in the relationships it fosters. High-impact networking, strategic alliances and unexpected collaborations are what make a conference truly successful.

• Creating Cultural Moments – Conferences should be more than meetings; they should be movements. By integrating storytelling, behavioural psychology and experiential design, we can ensure that events leave a lasting imprint on industries and individuals alike.

High-Impact, High-Value, Highly Human

To elevate events from transactions to transformative experiences, a new approach is needed – one that aligns with the deeper strategic objectives of stakeholders while fostering an authentic sense of belonging.

1. Intelligence-Led Design Conferences should not just fill rooms; they should curate

the right conversations. Data, audience insights and trend forecasting must guide content strategies to ensure relevance, engagement and forward-thinking dialogue.

2. High-Trust Ecosystems

The best outcomes emerge when participants feel safe to exchange bold ideas. This requires creating trust-first environments, where open dialogue and candid discussions drive dynamic problem-solving.

3. Seamless Physical and Digital Integration

The modern professional tribe is not bound by geography. Conferences should blend in-person engagement with digital amplification, fostering continuous interaction before, during and after the event.

Embracing the Tribe Mindset

To fully realise the potential of conferences as transformative experiences, organisers must:

• Design experiences that encourage shared learning and active participation.

• Create rituals and traditions that strengthen community ties, from meaningful opening ceremonies to innovative networking formats.

• Leverage technology to extend connections beyond the event, turning attendees into long-term contributors to a knowledge ecosystem.

From One Event to Infinite Impact

As PCOs, our work goes far beyond event execution. We are community builders, experience architects and catalysts for change. By embracing the power of the tribe, we can elevate conferences into platforms for long-term influence – whether advancing a cause, shaping industry policies or sparking new ideas.

In the end, we are not just event organisers. We are connectors. Strategists. Changemakers.

And together, we are a tribe

Securing the bid to host the Congress was a collaborative effort led by the Melbourne Convention Bureau (MCB), in partnership with The Florey Institute of Neuroscience and Mental Health, and supported by the Victorian Government and Tourism Australia’s Business Events Bid Fund Program. Co-hosted by the International Society for Biomedical Research on Alcoholism (ISBRA) and the Asia-Pacific Society for Alcohol and Addiction Research (APSAAR), the Congress embodied a spirit of community and inclusivity, bringing together diverse voices to foster collaboration and drive meaningful progress.

Challenges

The significance of the World Congress on Alcohol and Addictions extends beyond academia; research from the previous Congress in Australia directly informed government policy on safe drinking guidelines and contributed to the diagnostic criteria for foetal alcohol disorder. For the 2024 edition, organisers aimed to achieve a similar level of impact while ensuring alignment with ISBRA and APSAAR’s mission of advancing research and encouraging collaborations.

A key challenge was to design an inclusive event that was sensitive to attendees with lived experiences and mindful of potential triggers. This required a thoughtful approach to program planning, speaker selection, and onsite experiences, ensuring that all participants felt safe, respected, and included.

Solutions

• Inclusive and diverse Organising Committee: A diverse, gender-balanced organising committee was formed, including scientists at various career stages, cultural backgrounds, and individuals with lived experiences. This ensured a holistic perspective in planning and decisionmaking, fostering a sense of belonging among all participants.

• Building collaborative connections with stakeholders: Organisers facilitated meaningful dialogues between government representatives, researchers, and practitioners to promote collaboration and inform evidence-based policymaking.

• Culturally inclusive programming: A dedicated First Nations stream was created to honour and amplify Indigenous voices, supported by funding for invited First Nations attendees. Utilising MCB’s First Peoples Engagement

Guide, organisers ensured culturally enriching experiences that respected traditions and promoted social impact.

• Thoughtful consideration of sensitive topics: Recognising the sensitive nature of addiction topics, the Congress:

— Offered non-alcoholic beverages at the Opening Ceremony

— Excluded winery tours from the social program

— Conducted welfare checks and risk assessments for venue staff to safeguard their wellbeing.

• Fostering Community and Mentorship: To support emerging talent, the Congress introduced mentor-mentee ‘speed dating’ sessions and provided travel scholarships for clinicians and young investigators.

Outcomes

The ISBRA APSAAR 2024 Congress successfully demonstrated how thoughtful planning and communitycentric strategies can create a supportive and inclusive environment. The Congress attracted a diverse audience, exceeding sponsorship and attendance targets by 195% and 109%, respectively.

Key achievements included:

Fifteen travel scholarships awarded, enabling participation from clinicians, students, and non-government organisations. Twenty new connections made through the mentor-mentee sessions, strengthening professional networks.

Recognition of emerging talent with five Early Career Investigator Award winners.

The Congress exemplified how a respectful, inclusive approach can foster a strong sense of community among participants, ensuring a memorable and meaningful experience. It served as a vital platform for advancing understanding of alcohol and addiction while promoting cultural sensitivity and social impact.

Quote from ISBRA President, Professor Andrew Lawrence

'It’s important to bring to the forefront the impact alcohol has in society, while also destigmatising this medical condition. Addiction is a complex problem that people should be encouraged to seek help for. It has a huge impact on the economy and social fabric of our society.'

Berlin Global shows ‘We are one Tribe’ –An exceptional permanent exhibition

Yesterday, today, tomorrow: much of what happens in Berlin has an impact on the world. And much of what happens in the world has an impact on Berlin. BERLIN GLOBAL shows how the city and its people are connected to the world. On the first floor of the Humboldt Forum (a museum dedicated to human history, art and culture, located in the Berlin Palace in the historic centre of the city), the exhibition shows Berlin as part of a world of diverse networks. It tells the story of how the city, its people and the events emanating from it have changed the world and how global events affect Berlin – in the past and now.

The BERLIN GLOBAL exhibition at the Humboldt Forum explores Berlin’s multifaceted connections with the world – like IAPCO’s unifying Annual Assembly theme of ‘We Are One Tribe’. The concept highlights humanity’s shared experiences and interconnectedness, deeply rooted in Berlin’s history as a global crossroads.

Spanning 4,000 square metres, the exhibition showcases how Berlin has influenced and been influenced by global events, embodying the idea that despite our differences, we are all part of one global community.

The exhibition is divided into thematic rooms, each focusing on a unique aspect of Berlin’s identity. ‘Thinking the World’ greets visitors with an expansive mural that reflects the shared human drive to understand and shape our interconnected existence. The ‘Revolution’ section features immersive installations such as the ‘Wheel of History’, highlighting moments of change and upheaval in Berlin’s past, while ‘Free Space’ celebrates the city’s creative and free-spirited club culture through artefacts such as the door from the legendary Tresor techno club. ‘Entertainment’ takes visitors through a century of Berlin’s music, film and theatre, showcasing how storytelling and art unite us as one tribe.

‘War’ examines the impact of conflicts on Berlin, offering insights into the shared human cost of war and the universal desire for peace. ‘Fashion’ highlights Berlin’s dynamic role as a hub of innovation and self-expression, blending diverse influences into a globally relatable style. Finally, ‘Interconnection’ explores Berlin’s global ties, emphasising how the city’s influence transcends borders and captures the spirit of the theme ‘We Are One Tribe’.

The exhibition integrates contributions from various artists, experts and community groups, offering a diverse narrative

of Berlin’s history while celebrating our shared humanity. CPO HANSER SERVICE, as a PCO based in Berlin and organising international congresses and meetings, plans guided tours, networking receptions at or near the venue or thematic workshops inspired by the exhibition to create additional experiences for attendees and is an ideal connection to international congresses.

Making Medical Congresses More Than Just Another Event

A successful medical congress goes beyond presentations and panel discussions – it is a catalyst for new ideas, innovation and a strong professional community. With careful planning, a conference can transform into a dynamic environment where knowledge thrives, collaborations take shape and attendees leave feeling truly inspired.

However, creating an engaging congress requires more than just logistical expertise. True success comes when a PCO not only focuses on the big picture but also takes time to listen and refine the small details that foster connections. Here are some best practices from Congrex Switzerland to design an event that brings people together.

Listen to Understand the Attendees Needs

The first and foremost responsibility of a PCO is to listen – to truly understand the essence of the congress and the needs of the delegates. Insights for improving the event aren’t just found in post-event surveys – they emerge from direct exchange with attendees at the congress, onsite observations and lessons learned over the years. By documenting these insights and applying them to each new event, we ensure that every congress gets better and more impactful than the last.

Make Networking Easy

Networking can be intimidating, especially for first timers. Instead of leaving attendees to navigate social interactions alone, a PCO can design opportunities to connect in ways that feel natural. For example, simple touches like differentiated lanyard colours to indicate experience levels or tailored networking sessions for specific groups can go a long way in fostering meaningful connections. It’s all about making it easy for people to meet others who share similar interests or professional stages.

Create Spaces for Informal Connections

Attendees come for knowledge, but they also come to connect. Often, the most impactful conversations take place outside formal sessions – over coffee, in hallways or in comfortable seating areas. To foster informal interactions, it is essential to design inviting, relaxed spaces where discussions can unfold naturally. Although space at congress venues is often limited, a PCO should make a point to include areas where attendees can relax, chat and build relationships.

Thoughtfully arranged seating, open-air lounges and areas with plants and greenery create an atmosphere that fosters organic networking and a deeper sense of community

Rethink Session Engagement

While traditional lectures have their value, diversifying the format can elevate the learning experience. Imagine gamified activities, or interactive ‘idea labs’ where participants can pitch and refine their concepts or findings. These engaging formats encourage active participation, boost energy, and foster a sense of collaboration – turning the event into an interactive experience rather than a passive lecture series.

Encourage Connections Beyond the Event

A great congress experience shouldn’t end when attendees leave. There are ways to provide opportunities for continued engagement – such as mentorship programmes and collaborative initiatives – ensure that connections and knowledge-sharing extend beyond the event, fostering lasting relationships and continued professional growth.

The magic of a memorable medical congress lies in the details: Thoughtful networking, informal spaces that promote connection, and an atmosphere where every attendee feels heard and valued. When all these elements come together, your congress becomes more than just another event – it becomes an experience that attendees look forward to year after year.

Araya Bernhard joined Congrex Switzerland as a Meeting Planning Manager in 2021. She is in charge of the project management of several major medical associations, with events of up to 12,000 participants.

Collaboration and Competition Within a ‘Tribe’: A Next Gen Perspective

In the fast-evolving world of professional congress organisation, one thing remains constant: the power of collaboration. IAPCO, much like a professional ‘tribe’, is built on shared values, a collective mindset and the balance between cooperation and competition. While competition drives excellence and innovation, collaboration sustains industry growth. IAPCO professionals exchange knowledge, support one another, and set high standards in event organisation.

A Global Tribe with a Shared Language

As with any tribe, IAPCO has its own culture, traditions and even a shared language. A clear example of this is IAPCO’s Meeting Industry Terminology, a continuously updated resource that standardises congress-related terminology in sixteen languages. This is solid proof that even between borders and different languages, we still have our own dialect, one that unites professionals in the meetings industry under a common understanding.

Beyond terminology, this shared language extends to the way we think, work and support one another. Members face similar challenges, navigating evolving client expectations, adapting to new technologies and redefining event success metrics. However, even though our challenges are nearly identical, the solutions we develop often differ due to cultural perspectives, professional backgrounds and local market conditions.

Beyond Borders: A Network of Endless Possibilities

In a world where information is abundant but meaningful connections are rare, the ability to exchange ideas with peers across continents is invaluable. IAPCO provides a platform where professionals can not only share knowledge but also learn from these differing approaches shaped by unique cultural and regional influences. Being part of this global network means gaining access to a wealth of perspectives.

This level of global collaboration ensures that knowledge doesn’t remain siloed but instead circulates within the professional tribe, strengthening the industry as a whole. By embracing diverse perspectives, IAPCO members not only refine their expertise but also contribute to the broader evolution of the meetings and events sector.

Why Collaboration Comes Naturally to Next Gen

Unlike top-level executives, younger professionals face less direct competition among themselves. Instead of protecting information, they openly share insights, lessons and strategies. This environment fosters an ethos of collective growth, where one person’s success strengthens the entire professional ‘tribe’.

Next Gen initiatives within any association, regardless of their name or format, provide a structured environment for cultivating this mindset. These initiatives create safe spaces for open dialogue, networking and mentorship, where new professionals are encouraged to bring fresh ideas to the table. This approach not only empowers individuals but also strengthens the industry by ensuring that innovation is continuously fostered and shared. More importantly, these initiatives encourage decision-makers to actively involve younger professionals in strategic discussions, not just in task execution. Giving the next generation a seat at the table ensures that the industry benefits from fresh perspectives while building a culture of inclusion and long-term growth.

Building the Future Together

As the industry evolves, so too must our approach to leadership. The future of congress organisation belongs to those who collaborate, share knowledge and uplift peers. IAPCO is proof that, despite being in a highly competitive industry, professionals can work together to achieve greater success collectively than they ever could alone.

Ultimately, collaboration beats competition by driving progress, strengthening networks and ensuring industry growth. Through mentorship, shared learning and a global perspective, the IAPCO tribe is setting the foundation for a future that is not only successful but also sustainable and inclusive.

We are of a tribe. And together, we are shaping the future of the meetings industry.

DAY TWO

THREE

Thank you!

Frankfurt: A modern, diversified and well-connected city

Known far and wide as Europe’s smallest metropolis, few cities in Germany stand for internationality and diversity as much as Frankfurt. Here along the River Main, some 180 nationalities exist peacefully side by side, turning Frankfurt into a veritable melting pot of cultures. However, Frankfurt is not only global; it is also very local. The city on the river Main is, and always has been, characterised by a closely knit citizenry, its residents being well known for their openness and togetherness. This unique blend of cosmopolitanism and love of homeland makes Frankfurt a place where tradition and modernity are irrevocably intertwined.

Three years ago, the Frankfurt Convention Bureau, DEHOGA Frankfurt, Messe Frankfurt Venue GmbH and the Frankfurt Hotel Alliance came together to establish the ‘Frankfurt MICE 2030’ initiative with a view of taking greater advantage of Frankfurt’s many benefits.

‘Frankfurt is international, modern and youthful, while at the same time being a place of great history, experience and economic power. In short, Frankfurt is the ideal event location for the MICE target group,’ says Jutta Heinrich, Director of the Frankfurt Convention Bureau. ‘Our objective is to further strengthen Frankfurt’s position as a leading MICE destination in Germany and Europe by 2030.’

Germany has held a top position among international congress destinations in Europe for many years. With the founding of the ‘Frankfurt MICE 2030’ initiative, the collaborating partners are striving to expand on Frankfurt’s visibility as a leading international event location.

‘We see ourselves as the driving force behind the many measures aimed at making the congress and conference location of Frankfurt even more attractive to event organisers and their clientele. Our mission is to develop – together with our partners – concepts aimed at implementing Frankfurt’s marketing strategy, promoting touristic development and increasing global awareness of Frankfurt as a premier MICE destination,’ adds Michael Biwer, Divisional Director of Guest Events at Messe Frankfurt.

To increase the attractiveness of Frankfurt for event organisers from across the globe for the long term, the ‘Frankfurt MICE 2030’ initiative is seeking to develop a potent network consisting of major players from the fields of business and politics. Right at the top of its agenda? Promoting congresses with greater financial means.
