Excellence — A goal or state of mind?
A LEGACY OF EXCELLENCE
Join us in shaping the future of the global MICE industry. Be part of Rwanda’s extraordinary story-where opportunities await and potential knows no bounds.
In December 2024, the prestigious FIA General Assembly and Awards ceremony was held in Kigali, Rwanda. This annual event, which celebrates the achievements of motor-sport champions, marks a significant milestone for Rwanda. It’s the first time the ceremony was hosted in Africa, underscoring Rwanda’s emergence as a destination of choice for high-profile global events.
“To be here in Rwanda for such an important moment in the FIA’s calendar is a testament to the strength of this nation, in particular its growing influence in motor-sport” stated the FIA President Mohammed Ben Sulayem.
Hosting international events like the FIA General Assembly and Awards brings significant economic benefits. The influx of visitors will stimulate sectors such as accommodation, transportation, entertainment, and retail, consequently, local businesses experiencing increased demand, resulting in revenue growth and job creation. Organizing such events show-cases Rwanda’s ability to organize large high end gatherings, making it an attractive destination for future conferences, exhibitions, and business meetings.
It also provides opportunities for PCOs to showcase their expertise, expand their networks, and attract more clients, driving growth and innovation in the MICE industry. This accomplishment is no coincidence. Rwanda’s state-of-the-art venues, robust infrastructure, efficient events coordination and reputation for safety
and hospitality have created a foundation for success. Rwanda and its capital city Kigali are both second in Africa on the ICCA ranking for preferred destination for Association meetings. Yet, it’s the country’s mindset— its relentless pursuit of excellence—that truly sets it apart. From the seamless logistics to the culturally rich experiences offered to attendees, Rwanda is not just meeting expectations; it’s surpassing them.
As we go into 2025, Rwanda is preparing for the UCI Cycling World Championships 2025 in August. This is not merely ticking off milestones; it is defining a new standard of excellence in Rwanda’s MICE sector. These events are more than opportunities to showcase the country - they are platforms for transformation, leaving a legacy that resonates long after the final applause. This event, which brings together elite cyclists from around the globe, will shine a spotlight on Rwanda’s breathtaking landscapes, including the iconic climbs that have made the Tour du Rwanda a fan favorite.
The investment in world - class infra-structure, such as the new Amahoro Stadium, BK Arena and Kigali Convention Centre to name a few, is complemented by a commitment to innovation and inclusivity. Rwanda’s journey proves that excellence is not just a goal; it’s a state of mind - a relentless pursuit that transforms aspirations into achievements and events into experiences that inspire the world.
Excellence — a goal or state of mind?
Welcome to our final edition of The PCO for 2024, where we delve into the compelling theme of Excellence — a goal or a state of mind?
As professionals in the world of conferences and events, we are often measured by outcomes: the success of a meeting, the satisfaction of attendees, or the impact delivered to our clients. These are tangible markers of achievement, the "ticks" that many would equate to excellence. However, as I reflect on our industry and my own journey, I’ve come to realise that true excellence is not merely a goal you check off — it’s a mindset, a way of being. Using a sporting analogy – it’s the “1% ers” that make the difference.
Excellence thrives in the everyday actions we take to exceed expectations, solve challenges, and deliver value. It’s found in the commitment to continuous learning, the courage to innovate, and the determination to inspire trust and collaboration. It’s about striving for better, even when “good enough” would suffice.
Unlocking excellence is also deeply personal. It is about the relationships we nurture, the integrity we uphold, and the pride we take in our profession. It is not simply the end result that defines excellence, but the attitude and values we carry with us along the way.
Let’s challenge ourselves to see excellence not as a destination, but as the essence of who we are and what we do. I hope the stories and insights in this issue inspire you to continue raising the bar — for yourself, your teams, and our industry.
My very best wishes for 2025!
Sarah Markey-Hamm President, IAPCO
Aristotle said that ‘excellence is not an act, but a habit’.
Whether one considers excellence as a pinnacle of achievement or a tangible goal to strive for in both personal and professional endeavours, excellence transcends being an end goal; it is equally, if not more importantly, a state of mind and an ongoing attitude towards work and professional life.
IAPCO’s ‘Unlocking Excellence’ campaign, launched in October, features thoughts from numerous industry professionals and thought leaders across academia, scientific and corporate and meetings industry backgrounds. Each embraces the journey and the outcome of working with a person and team with an excellence-driven mindset.
Whether one measures excellence based on academics such as standardised testing or Nobel Prize winning, professional excellence based on employee productivity (i.e. KPIs) or business excellence through revenue benchmarks and customer satisfactions (i.e. Net Promoter Scores), excellence can be identified and measured both quantitatively and qualitatively proving value.
At IAPCO, excellence in standards and quality of service levels remains the priority of our members across the globe, regardless of the size and scope of the project they work on.
In this issue of The PCO, you will experience some of their thoughts and see, first hand, where excellence has shone through.

Delivering on the value of business events for positive change
Business events provide a unique opportunity to deliver positive economic, social and environmental impacts. In recognition of the shift towards creating broader societal and environmental value with a long-term perspective, Ireland recently launched a new business events strategy. Its creation was a collaboration between the Department of Tourism, Culture, Arts, Gaeltacht, Sport and Media, their tourism agencies, (Fáilte Ireland and Tourism Ireland), and their industry leaders.
The overarching aim of the new strategy is to deliver on the value of business events, for tourism and beyond, achieving benefits for Ireland as a community and also ensuring positive impacts on local communities and long-term legacy benefits for the participating sectoral collectives.
The World Rural Health Conference 2022 is an example of a conference that had a significant impact on rural healthcare in Ireland. Hosted by the University of Limerick, the conference brought together global healthcare professionals including experts from fields such as health, science, engineering, arts and NGOs to tackle rural healthcare issues. The theme of this annual event was ‘Improving Health, Empowering Communities.’ Ireland, with one of the highest rural populations in Europe, was the perfect host destination. The World Rural Health Conference was aligned with a number of UN Sustainable Development Goals including UNSDG 3 – Good Health and Wellbeing, UNSDG 4 – Quality Education, UNSDG 5 – Gender Equality and UNSDG 10 – Reduced Inequalities.
The event showcased strong leadership from the Conference Chair, Professor Liam Glynn, and the organising committee at the University of Limerick and the Shannon Region Convention and Sports Bureau. Organised by the General Practice discipline at the University of Limerick’s School of Medicine, in collaboration with WONCA, the Irish College of General Practitioners and the Rural, Island and Dispensing Doctors of Ireland, the conference promoted many important rural health initiatives.
Below are some of the key social impacts that occurred as a result of the World Rural Health Conference:
• The establishment of Ireland’s first National Standing Committee for Rural General Practice.
• The appointment of the first Professor of Rural General Practice at the University of Limerick.
• Creation of Rural Training Fellowships, supported by a €760,000 investment from the Health Service Executive (HSE).
• Development of a new Rural Teaching Hub at University of Limerick’s School of Medicine, allowing students to spend 25% of their clinical training in rural communities.
• The publishing of the Limerick Declaration on Rural Healthcare, a guide for improving high-quality healthcare in rural and remote areas.
According to Conference Chair, Professor Liam Glynn, “As a result of this conference and the associated “Limerick Declaration”, we now have a novel Rural GP Fellowship programme to support the next generation of rural general practitioners and the first ever Irish Professor of Rural General Practice appointed at the University of Limerick, advocating for the development of healthcare within rural communities into the future.”
The World Rural Health Conference also won two prestigious awards at Fáilte Ireland’s Conference Ambassador Recognition Awards in 2023. Professor Liam Glynn won the award for Social Impact and Legacy, and he was also awarded Shannon Regional Conference Ambassador Champion.
Irish Government, tourism agencies and industry stakeholders are looking forward to bringing Ireland’s new business events strategy to life, and implementing the actions required to achieve success for tourism, and beyond, making Ireland a better place to live, work and visit.
Excellence in CME
BEYOND COMPLIANCE
In the realm of professional excellence, particularly in the meetings and education industries, one question consistently arises: is excellence a goal to be achieved, or is it a way of being? At AIM Group International, we firmly believe that excellence is not a destination but a continuous journey—a mindset that permeates every aspect of our work and informs our daily practices.
As a CME (Continuing Medical Education) provider, AIM
Education operates in a field where the stakes are high. Our work directly impacts the education of healthcare professionals, influencing their knowledge, skills, and ultimately, patient outcomes. Achieving excellence in this field requires more than meeting regulatory requirements or delivering high-quality events; it demands a holistic approach that combines precision, creativity, and integrity.
Here some key areas where to focus our commitment for excellence:
• Mastering Administrative and Crediting Functions.
One of the cornerstones of our work is ensuring compliance with the stringent regulations governing medical education. This requires a deep understanding of the complex accreditation processes and the ability to offer expert consultancy. Our clients, including scientific societies and healthcare organizations, rely on our professionalism to navigate these challenges seamlessly.
• Crafting Tailored and Engaging Learning Experiences
Excellence in CME goes beyond the transmission of knowledge; it’s about creating transformative educational experiences. We pride ourselves on designing customized learning activities that resonate with participants, promoting knowledge retention and behavioral change. From gamification and microlearning to multi-channel approaches, our educational formats are carefully chosen to meet the specific needs of our audiences.
• Encouraging Collaboration and Multidisciplinary Dialogue
We believe that collaboration is a powerful driver of excellence. By fostering interactivity and multidisciplinary discussions, we create environments where participants can share insights, challenge assumptions, and co-create solutions. These interactions often lead to more impactful learning outcomes and a deeper sense of community among participants.
• Upholding Content Integrity and Quality
In an era where information is abundant, ensuring the quality and integrity of educational content is more crucial than ever. Our programs are grounded in evidence-based medicine and are free from commercial bias, maintaining the trust and credibility that our participants expect. We also ensure that our speakers and facilitators are leaders in their respective fields, further enhancing the quality of our offerings.
• Assessing Needs and Measuring Impact
Excellence requires adaptability. To stay relevant, we conduct ongoing assessments to identify the evolving needs of healthcare professionals. This allows us to tailor our programs to address current practice gaps effectively. Moreover, we focus on both outcomes—improvements in clinical practice—and outputs, such as the development of scientific articles or consensus statements, which provide lasting value beyond the educational event.
Merging Innovation with Collaboration
One of our recent initiatives exemplifies how excellence, innovation, and collaboration can converge to create a powerful learning experience. We organized an educational course supported by artificial intelligence (AI), where participants engaged in small-group brainstorming sessions. The AI tool synthesized their discussions in real time, generating PowerPoint presentations that captured key insights. This process not only enhanced the learning experience but also produced a tangible output: a comprehensive document summarizing the participants’ contributions.
This approach demonstrated how technology can amplify human collaboration, offering immediate value and a lasting resource. It’s a perfect illustration of our commitment to excellence—leveraging cutting-edge tools to drive impactful learning and meaningful outcomes.
At AIM Group, excellence is not just a professional standard; it’s a legacy we aim to leave. By continuously raising the bar, we strive to inspire those around us—our clients, partners, and participants—to pursue their own journeys of excellence.

Excellence in forensic science23rd Triennial Meeting of the International Association of Forensic Sciences (IAFS) 2023
Background
The 23rd Triennial Meeting of the International Association of Forensic Sciences (IAFS), held in Sydney in November 2023, was a landmark event in the global forensic science community, exemplifying excellence along the planning journey and in its resulting outcomes. In its one year since, IAFS 2023 has had a noticeable impact on the global industry and serves as a powerful demonstration of how conferences can unite industries and drive meaningful change.
Challenges
Ahead of the 22nd Triennial Meeting of the International Association of Forensic Sciences (IAFS) Sydney-based Professor Claude Roux (then-President at ANZFSS) outlined a glaring problem facing the global forensic science profession: “There is little consensus on how best forensic science can be characterised as a discipline. Because of this shortcoming, it has been challenging to define the core principles of forensic science. This is a significant roadblock for the ongoing development and improvement of forensic science. How can we teach, research, and apply forensic science effectively if we’re unclear about its fundamental principles?”
Prof. Roux challenged the “incorrect” belief that forensic science was primarily about lab-based testing and analysis, and sought to create a universal understanding of the boundaries of the forensic science discipline.
Solutions
With strong support from the Australasian forensics and business events community, planning began in 2017 for IAFS 2020 with the objective of fostering collaboration with emerging countries, empowering early career delegates through tangible outcomes and leaving a lasting legacy. The aim of the Meeting was to develop principles which could be used as anchors for the discipline, in response to the problem outlined by Prof. Roux.
The anticipated 2020 conference was cancelled two months prior due to COVID-19 and a virtual event was held in 2021 where a draft charter, the Sydney Declaration, was introduced. Finally in November 2023, the 23rd Triennial Meeting of the IAFS and 26th ANZFSS Symposium (IAFS 2023) occurred at ICC Sydney, drawing 1,700+ delegates from 70 countries. The in-person meeting served as a platform to refine the Sydney Declaration so it could be adopted by the wider industry.
The scientific program for IAFS 2023 was large and varied; it featured four compelling plenary sessions, ten parallel breakout sessions spanning 22 disciplines, 570 oral presentations, 510 electronic posters (a first for IAFS), and 25 pre-conference workshops at the University of Technology Sydney (UTS). Additionally, there were eight industry-led workshops, “Where to from here” mini-summits, and numerous special events, including a forum dedicated
to the Sydney Declaration, co-hosted by UTS and the Australian Academy of Forensic Sciences.
Collaboration with industry media promoted the declaration and Meeting itself, leading to a special issue of Forensic Science International and opportunities for delegates to publish their work.
The Meeting established key objectives: enhance scientific advancement, improve social policy, attract global talent, drive industry innovation and support vulnerable communities with a focus on domestic violence/violence against women in developing countries. Post-event surveys revealed delegates’ perceived performance ratings for these objectives ranged between 82% to 104% against their importance – indicating that the Meeting exceeded expectations.
Outcomes
The Meeting fostered significant exchanges in forensic science innovation. The theme "where to from here" was conveyed via presentations focussed on future developments, new advancements and collaboration across disciplines.
In its first year of deployment, the Sydney Declaration is already having a measurable impact, seen through its translation to multiple languages, its reference in legal
proceedings and recent adoption by the African Forensic Sciences Academy.
Despite the cost of the 2020 postponement, delegate targets were surpassed, resulting in an investment in future educational opportunities for ANZFSS and UTS students. More than 45 abstracts were published in Forensic Science International and Arinex assisted in the delivery of 20 scholarships for delegates from low-income countries.
IAFS 2023 was an example of excellence across every element, serving as a catalyst for advancing forensic science, supporting developing communities, and enhancing professional practices worldwide in its time since.
By all accounts, IAFS 2023 was a resounding success, and we met our objectives. As expressed by one of our plenary speakers, it served as a pivotal moment where forensic science began articulating its own language and championing its distinctive culture and vision. We take pride in our leading role in this transformative journey.
Distinguished Professor Claude Roux, IAFS 2023 Chair

The Green City of Nara Hosts the International Parasitic Plant Conference
Nestled in the heart of Japan, Nara is a city renowned for its rich cultural heritage, ancient temples and serene natural beauty, including the iconic Nara Park, home to freely roaming deer. The lush gardens of Nara provided an ideal setting for hosting international researchers who specialise in parasitic plants. The World Congress on Parasitic Plants (WCPP), held in June 2024 at the Nara Kasugano International Forum, welcomed approximately 140 plant researchers from around the world and was a resounding success. The venue, featuring a beautiful tiled roof, included the use of its Noh Theatre, which added a distinctly Japanese ambiance, offering participants an unforgettable experience.
The natural surroundings of Nara Park were also highly praised, with some participants discovering parasitic plants during their strolls. Many participants mentioned it was their first visit to Nara and expressed surprise at the abundance of temples and shrines in the area. Cultural experiences such as the Shikayose (deer gathering), performances of traditional Gagaku music and dressing in ceremonial attire allowed participants to immerse themselves in unique aspects of Japanese culture. The requirement to take off shoes before stepping onto the Noh stage was explained to attendees, and this distinctive custom was appreciated as a charming and memorable aspect of the experience. The use of the Noh Theatre for the conference also generated significant attention on social media, resonating widely both domestically and internationally.
The conference’s greatest achievement was its robust academic content. The research of parasitic plants, which impact crops and contribute to food security challenges, is a topic that is highly relevant to everyday life. Discussing largescale global issues pertaining to the field was one of the conference’s most significant purposes. Furthermore, the event fostered new collaborations, contributing to advancements
in the field of parasitic plant research. For young Japanese researchers, who often face challenges attending international conferences abroad, this event offered a valuable opportunity to build international networks, which will undoubtedly have a lasting impact on their future research endeavours.
The conference organisation placed a strong emphasis on diversity and cultural sensitivity. A prayer room was provided, along with meals catering to halal, vegan and allergy-specific requirements, ensuring that all participants could enjoy the event comfortably. Gender balance among keynote speakers was carefully considered, and speakers were selected from diverse regions, including Asia, Europe, the Americas, Africa, and the Middle East. Such initiatives were recognised as key to enhancing the quality of discussions at the event and promoting academic progress.
Professor Harro Bouwmeester, President of the International Parasitic Plant Society, expressed his high regard for the experience in Nara, praising the beautiful environment, cultural activities and the warm hospitality of the participants.
Through thoughtful arrangements, unique cultural experiences and the pursuit of excellence, this conference not only provided an enriching experience for all attendees but also fostered new insights and connections, greatly contributing to the advancement of the field.

Excellence – Yes, But?
THE NEXT GEN PERSPECTIVE
In the fast-paced meetings industry, as well as in any other industries, excellence is often seen as the ultimate goal, yet a standard to achieve and surpass. At IAPCO, we embrace excellence as more than a target; it’s a mindset that drives continuous improvement, innovation, and impact. However, could it be that this relentless pursuit of perfection can sometimes have a negative impact on mental health? Particularly for younger professionals who are still navigating the demands of the industry.
Today, as the Next Gen Committee, we would love to explore the concept of excellence from multiple perspectives: What does it mean for your boss, for the industry, for society, and for you as an individual?
Excellence: What does it mean for your boss?
For many leaders, excellence is defined by results— successful events, exceeding client expectations, and driving profits. In this view, excellence is about performance and outcomes. The focus is on doing more, faster, and better, often at the expense of long-term well-being and sustainable work practices.
But does the pressure to deliver ‘excellence’ from your boss risk sacrificing your mental health and personal growth in favor of short-term results?
Excellence: What does it mean for the industry?
At the industry level, excellence means raising standards, integrating new technologies, and fostering global collaboration.
But this constant drive for innovation can create a culture of perfectionism, where the pressure to constantly perform can be overwhelming. In this environment can even small setbacks feel like failures, leading to stress and burnout?
Excellence: What does it mean for society?
For society, excellence often involves creating impactful events that foster knowledge exchange, give back to communities and drive positive change.
However, societal expectations of perfection – especially in the age of social media – can add additional pressure, leading young professionals to feel as though they must always deliver flawless results in a highly visible public space.
Excellence: What does it mean for your YOU?
For younger professionals, striving for excellence can quickly become a source of stress and self-doubt. The desire to
meet high standards and prove oneself can lead to feelings of inadequacy, anxiety, and burnout.
So, it’s important to redefine excellence not as perfection but as a personal journey of growth, learning, and resilience. True excellence is about progress, not perfection, and finding balance between professional aspirations and personal wellbeing.
Striving for excellence: A double-edged sword
While excellence is a powerful motivator, it can also be harmful if it leads to unrealistic expectations and constant pressure. It’s essential to create a culture where it’s okay to make mistakes, learn from them, and prioritize mental health alongside performance. Excellence should empower, not overwhelm.
IAPCO advocates for a more balanced definition of excellence—one that supports continuous improvement while also fostering mental well-being, resilience, and collaboration. This shift in mindset can help young professionals thrive in an environment where learning, growth, and well-being are as important as the work itself.
Excellence is not just a personal goal but a collective responsibility. It’s about creating an environment where individuals can thrive without the burden of perfectionism. By redefining excellence to include progress, learning, and well-being, we can create a more sustainable and supportive industry for everyone. Only then can we truly unlock the potential of excellence—both for our clients and for ourselves.

Empowering Excellence Through Strategic Pre-Event Communication
Effective communication is the cornerstone of successful events, particularly in the medical and scientific conference sectors. This article explores strategies and insights from Congrex Switzerland on pre-event communication, highlighting how to maximise engagement, streamline logistics, and drive attendee satisfaction.
Defining Success in Pre-Event Communication
Success in pre-event communication is measured by tangible metrics such as high registration rates, attendee satisfaction, and constructive feedback from stakeholders.
Qualitative insights, such as testimonials and detailed evaluations, provide depth to quantitative data, painting a comprehensive picture of a conference's impact. Pre-event communication goes beyond logistical planning. It serves as a marketing tool, a coordination mechanism, and a gateway to ensuring stakeholders align with the event’s objectives.
The Importance of Communication in Events
Clear, timely communication is important for event organisers to synchronize the work of the various teams. Venue staff, suppliers and sponsors rely on clear instructions to ensure that everything runs smoothly. In the case of medical congresses, there is also compliance with industry regulations that require precise guidelines for sponsorship and promotional activities.
Furthermore, engaging and targeted messaging enhances attendee experience. Regular updates build excitement, while tools like dedicated event apps, detailed emails, and user-friendly websites provide attendees with essential information. This raises expectations, eliminates confusion and builds anticipation.
Strategies for Invitations and Announcements
Timing is essential when distributing invitations. Early contact gives potential participants enough time to plan, while strategically placed follow-ups ensure ongoing engagement. Early bird discounts, combined with notices of rising registration fees, motivate early registrations.
Channels such as email remain dominant for sharing detailed information, while platforms such as LinkedIn increase audience reach. Personalised communication, addressing recipients by name and referencing their professional
interests, further increases engagement.
Announcements should be clearly structured and contain clear details of event dates, locations and highlights. Visual aids such as bullet points improve readability and ensure that recipients can quickly grasp the most important information
Reviewing Pre-Event Communication Performance
Evaluating the success of communication strategies is essential for continuous improvement. Setting clear objectives, such as target registration numbers or engagement rates, provides measurable benchmarks. Tools like email marketing analytics and post-event surveys capture quantitative and qualitative data, offering insights into the effectiveness of pre-event communication.
Analysing trends, such as spikes in registrations following specific announcements, can guide future strategies. Feedback from attendees helps pinpoint areas for refinement, from timing adjustments to the inclusion of additional communication channels.
Best Practices from Congrex Switzerland Congrex Switzerland shows how a structured approach to communication ensures event success. Key strategies include:
1. Alignment with Deadlines: Campaigns are structured around important milestones like registration openings and deadlines, maintaining consistent attendee engagement.
2. Focus on Unique Highlights: The promotion of current topics and research draws attention to the clear value proposition of the event.
3. Harnessing FOMO: Fear of missing out motivates early registrations, particularly when paired with exclusive insights and networking opportunities.
4. Facilitating Networking: Emphasising social and professional connections adds an extra layer of appeal.
Effective pre-event communication is more than a preparatory step—it’s an integral part of an event’s success. By adopting strategic practices, setting measurable objectives, and leveraging innovative tools, organisers can ensure their communication efforts resonate with attendees and stakeholders alike.

Excellence: a strategic choice for Made in Italy
Excellence is not just a goal but a conscious choice. It represents the most significant contribution we make to the success of the events we create. Is excellence a guiding principle or a standard? For us, it is both, but it always starts with a choice. A concrete example is our collaboration with the Salone del Mobile in Shanghai, returning in 2024 after a hiatus of several years. This event embodies the values of design and Made in Italy quality on a global stage.
This year, the Salone del Mobile in Shanghai was much more than an event: it was a cultural and commercial bridge between Italy and China, two increasingly interconnected realities. Italian design, a symbol of national excellence, took center stage within the futuristic building The Orbit, designed by British architect Thomas Heatherwick, featuring the performative installation The Orbit’s Orbit by artist Matilde Cassani.
Being a strategic partner in a project of this magnitude is not just about managing an event of global relevance. It means actively contributing to the dissemination of the values that make Made in Italy unique: quality, innovation, professionalism, and an aesthetic capable of speaking to the world. Every organizational detail was meticulously curated to deliver an experience that exceeded expectations and strengthened meaningful relationships for the event's key players.
Excellence, however, is not a destination to be reached and achieved but a journey of improvement, learning, and collaboration. In the case of the Salone del Mobile in Shanghai, this translated into an event that not only celebrates Italian design but also builds lasting and strategic connections in a key market like China.
Indeed, China is a crucial market for Italian exports in the wood-furniture sector, with a value of €286.9 million in the first seven months of 2024. This event provided a unique platform to engage with one of the world’s most dynamic and sophisticated communities. Our contribution was part of this flow of connections, aiming to expand the dialogue between art, business, and culture.
Our work in Shanghai was an act of advocacy for Made in Italy, demonstrating that excellence is a strategic choice and a mindset. Each project represents an opportunity for us to exceed expectations, generate lasting positive impact, and create value for all stakeholders involved.
We believe that excellence is not merely a destination but a standard that inspires the way we operate and our long-term vision. Events like the Salone del Mobile in Shanghai remind us that pursuing excellence means investing in relationships, the professionalism of people, and the promotion of a cultural heritage we aim to share.
Triumph Group International: excellence as a choice, excellence as a standard.
German Nursing Day 2024: #PflegeZeigtHaltung - Care shows attitude!
Under the motto #PflegeZeigtHaltung (Care shows attitude), the German Nursing Day 2024 broke all records. Patron Prof. Karl Lauterbach, Federal Minister of Health, opened the event, which took place on November 7th and 8th, 2024, at the Berlin hub27 and attracted over 5,000 participants. In times of societal challenges and profound transformations, the nursing profession sent a strong message of solidarity, respect, and social cohesion.
As the only national event of its kind, the German Nursing Day has been organized by nursing professionals for their peers since 2014. The congress has developed into a central platform for the exchange and advancement of nursing in Germany and will continue to be an important forum for the social and political recognition of this essential vocation in the future.
A Congress in the Spirit of Solidarity and Togetherness
"Care shows attitute" – this year’s motto of the German Nursing Day – is much more than just a slogan; it is an active call for responsibility and commitment. Alongside the German Nursing Council and numerous partner organizations, the congress took a strong stand against discrimination and championed the values of democracy, diversity, and dignity. In a society increasingly divided and marked by misunderstanding, the nursing profession embraces its responsibility as a cornerstone of social unity. "Care, Courage, and
Cosmopolitanism" – care, courage, and openness to the world — form the foundation of the nursing vocation’s strong and proud stance. These values are deeply rooted in the German Basic Law and the International Council of Nurses (ICN) Code of Ethics.
“Human dignity is inviolable”, Article 1 of the German Federal Constitution, was also a focus and objective of the congress: Germany needs a fundamental right to good nursing care and good framework conditions for carers. Including care in the constitution is essential for our democracy and emphasises the social importance of the profession.
Learn more about this topic and the highlights of the German Nursing Day 2024 under Congress for Nursing in Germany - Deutscher Pflegetag.
Challenges and Solutions
The German Nursing Day reached a new dimension with over 9,000 participants, bringing organizational challenges for CPO HANSER SERVICE. The demand for tickets exceeded the venue's capacity, leading to the suspension of sales for both regular tickets and group registrations, especially designed for the Young Nursing professionals –a clear signal of the event’s immense significance and the strong need for exchange and networking in the nursing sector. Shortly before the congress started, CPO HANSER SERVICE introduced an on-demand ticket option, allowing participants to access the lectures later through the German Nursing Day website.
Additional challenges included logistics, as some rooms were unable to meet the high demand, the organization of the numerous exhibitors, and ensuring a smooth and safe process. At the same time, sustainable measures were implemented: Participants could refill their bottles at water dispensers, waste was carefully sorted, reusable carpets were used, and unused participant bags were donated to social institutions.
Conclusion
Overall, the 11th German Nursing Day 2024 once again proved that nursing is an indispensable pillar of society. The impressive number of participants and the inspiring content showed that nursing is not just a vocation, but a stance. "Pflege zeigt Haltung" – this motto came alive through the engaged discussions, professional insights, and the many forward-thinking approaches shared.

The Creative Metropolis of Frankfurt
Frankfurt is known far and wide for its skyline, imposing banking towers and stock exchange. But the city also has a surprisingly creative side that very few people know about.
The metropolis in the heart of Europe is an important centre for both the cultural and creative industries. Internationally renowned agencies are based here, particularly from the fields of advertising and communication. Frankfurt is also home to a remarkable concentration of gaming developers and publishers, one that is unrivalled in all of Germany.
This creative energy is reflected in the large number of trade fairs and conferences taking place here, which serve to promote dialogue between innovative minds. Venues and social programmes are also characterised by increasing creativity. In addition, numerous co-working spaces and ateliers throughout the city offer opportunities for inspiration and collaboration.
It is therefore hardly surprising that Frankfurt and the surrounding RhineMain region have been appointed World Design Capital 2026. Every two years, the World Design Organisation recognises cities for their effective use of design to drive social, cultural, environmental and economic development. With a year-long programme of events, the designated city showcases best practices in fair, sustainable and innovative design solutions that improve the quality of life
for one and all. Following the motto of ‘Design for Democracy. Atmospheres for a better life,’ Frankfurt Rhine-Main is aiming to become an international centre and a movement for design –sustainably and collaboratively.
Ever since the first German National Assembly was held at Frankfurt’s St. Paul’s Church in 1849, where it drafted a liberal constitution for all of Germany, Frankfurt has been recognised as a city of democracy. Even though this constitution never came into force, it nevertheless contained important fundamental rights that significantly shaped the Basic Constitutional Laws of Germany as we know them today.
Following last year’s celebrations of the 175th anniversary of the National Assembly, we now have a ‘House of Democracy’ being erected in Frankfurt – a new space for exhibitions on democracy and history that will be unique in all of Germany.
In this context, World Design Capital Frankfurt Rhine-Main 2026 not only offers the ideal setting for association events and congresses from designrelated sectors, there are also many synergies to be taken advantage of here in terms of legacy. Not least because ‘democracy’ is a topic that affects
society as a whole and offers points of contact with many different subject areas such as education, health, mobility and more.
The Frankfurt Convention Bureau (FCB) is happy to put PCOs in contact with the project’s organisers and provide assistance and advice. The FCB team also provides help with ideas for legacy and charity projects independently of the World Design Capital.

Medical Conference Partners: Why we joined IAPCO
New IAPCO members Medical Conference Partners have described, in detail, why they have joined IAPCO.
Why did you want to become an IAPCO member?
We started off as a small PCO based in Kuala Lumpur Malaysia. Along the way, we grew and grew. Today, we want to grow to the next level and being a part of IAPCO will give us the opportunity to do so.
What is going to change now that you have?
Getting the IAPCO certification has given my team the confidence to level up our game. We are open to collaborations and also to learning from IAPCO members.
What will be the impact on your day-to-day business
In the preparation for the certification process, we also examined and streamlined our internal processes. This was the additional benefit that I didn’t see coming when we decided to apply to be a member. In the immediate future, I am looking forward to sending some of my team members to IAPCO courses. This will help them to grow and establish themselves in this industry.
What is the PCO Community’s perspective on ‘Pharmaceutical Compliance’ and why is it so important?
Pharmaceutical compliance isn’t just about ticking boxes—it is the foundation of trust, integrity, and true professionalism.
Compliance ensures that we uphold the reputation of our industry, safeguard the interests of our clients, and create a framework that supports fair and transparent operations.
Laws are constantly changing, and the presence or enforcement can vary widely across different regions. Figuring out how they fit with global standards is a challenging and time-consuming process.
We are keen to understand more deeply the needs and the problems that PCOs are facing,
We have prepared a brief survey to gather your insights on the topic. Your feedback will help us better understand how IAPCO can support you through our education and advocacy initiatives.

IAPCO recognises the excellence of our members...
INTERPLAN Congress, Meeting & Event Management AG in collaboration with CCL Congress Center Leipzig have been announced as the winners of the International Association of Professional Congress Organisers (IAPCO)’s Driving Excellence Collaboration Award 2024.
The prestigious award is supported by IBTM and was presented at the Meetings Leadership Network during IBTM World on Monday, 18 November 2024, in Barcelona, Spain.
The winning collaboration related to two major INTERPLAN congresses that were delivered back-to-back, beginning on 25 to 28 September 2024 with the Annual Meeting of the German Society of Urology and continuing from 30 September to 5 October with Viszeralmedicine, a joint conference of two specialist associations (DGVS and DGAV). Organising the two congresses with around 6,000 and 5,000 participants at the same location one after the other required an outstanding schedule. At the same time, considerable cooperation and operational optimisation was made possible with many benefits for the wider meetings industry. The most important basis for this successful collaboration was the long-standing partnership and trusting cooperation of all those involved.
While individual concepts and requirements had to be implemented for each of the two congresses, the overarching aim was to find opportunities for synergy. The goal was also to organise the handover of the building as efficiently as possible between the closely-timed events, to make sensible joint use of infrastructure and to
achieve sustainable outcomes. The most important step was to ensure that clients were closely involved and the requirements of both events were systematically considered from the outset and throughout the entire planning process.
Sarah Markey-Hamm, President, IAPCO, said: “We extend our heartfelt congratulations to all entrants of the Collaboration Award, who have shown remarkable dedication to innovation in our industry. This year’s winner, INTERPLAN Congress, Meeting & Event Management AG, in partnership with CCL-Congress Center Leipzig, has exemplified ‘Unlocking Excellence’ in congress management.
“Their big-picture approach – balancing client needs with efficient resource use – demonstrates a forward-thinking model for our field. Their achievement is an inspirational testament to the power of collaboration in delivering seamless, high-quality experiences.”
The IAPCO Driving Excellence Awards are a trio of awards which recognise excellence within the IAPCO member community and have long been coveted by those who seek acknowledgement for their quality and contribution to the meetings industry.
The IAPCO Collaboration Award recognises outstanding contributions to the meetings industry, celebrating partnerships that go beyond traditional roles, resulting in impactful and innovative conferences.

Arinex
IAFS - UTS – ANZFSS
Planning for IAFS 2020 began in 2017 with strong support from the Australasian forensics and business events community, aiming to promote collaboration with emerging countries and empower early career delegates. The event was set to leave a lasting legacy through mini-summits and workshops, culminating in the Sydney Declaration. However, the 2020 conference was canceled due to COVID-19, and a virtual event introduced the declaration in 2021. In November 2023, the long-awaited in-person meeting took place in Sydney, attracting over 1,700 delegates from 70 countries.
Arinex organized a virtual event in 2021 to maintain momentum and draft the Sydney Declaration. The November meeting refined and launched this charter while collaborating with industry media to promote it through a special issue of Forensic Science International. The Meeting
aimed to enhance scientific advancement, improve social policy, and support vulnerable communities, particularly around domestic violence. Delegate feedback indicated performance ratings exceeded expectations, ranging from 82% to 104%.
The Meeting facilitated significant discussions on forensic science innovation under the theme "where to from here." The Sydney Declaration is already influencing legal proceedings and has been adopted by the African Forensic Sciences Academy. Despite the setbacks of 2020, delegate goals were exceeded, resulting in investments in educational opportunities and the publication of over 45 abstracts. Arinex also enabled 20 scholarships for delegates from low-income countries, making the Meeting a catalyst for advancing forensic science and supporting global communities.
Ortra
AFEA Congress
Thanks to the professional collaboration and local expertise of its partners at AFEA Congress, Ortra successfully secured a venue in Kos, arranged accommodation and coordinated with new suppliers for a replanned event Called INTERSPEECH 2024, that was originally scheduled to take place in Jerusalem. AFEA’s strong local connections and logistical experience allowed Ortra to replan the event swiftly, ensuring a smooth transition without major disruptions.
Several destinations were considered before Kos, Greece, was selected. Its modern conference facilities, capacity to accommodate over 1,500 participants, and convenient accessibility made it the best option. Thanks to its close collaboration with AFEA Congress within just two months, the entire event was reimagined and relocated to the KICC conference centre on the island of Kos. As they rebranded the conference and updated the website, they worked together to secure new hotel accommodations, renegotiate contracts with suppliers, and promote the local charm of
Kos. AFEA’s involvement was instrumental in helping to secure the right venues and logistics to ensure the event’s success. Despite the tight timeline, the joint efforts delivered a seamless transition, ensuring the event moved forward without disruption. Relocating the conference proved to be a great success. INTERSPEECH 2024 attracted over 1,700 on-site participants from 51 countries, featuring a comprehensive and engaging programme.
Despite the significant challenges faced, INTERSPEECH 2024 upheld its reputation as the world’s premier conference on spoken language processing. Attendees participated enthusiastically in the sessions, contributing to lively discussions and networking opportunities throughout the event. The social events were another highlight, with participants fully embracing the spirit of Greek culture— dancing, celebrating, and enjoying the vibrant local music and atmosphere.
Conference Partners International
OYW - Belfast City Council
CPI partnered with One Young World (OYW) in 2014 in Dublin and played a crucial role in bringing the event back to Ireland in 2023, collaborating closely with Belfast stakeholders. Together with Belfast City Council, they developed a ‘Community Dine Around’ initiative, which allowed local groups to host delegates and provide international visitors with a firsthand experience of ‘lived peace.’
This engagement enhanced the conference experience, featuring 11 Dine Around options that attracted over 2,400
attendees, exceeding expectations by 400. These events significantly contributed to the legacy of the OYW Summit in Belfast, inspiring both Irish and international young leaders to make a positive impact in their communities. Feedback indicated that OYW provided a vital opportunity for young people to celebrate 25 years of progress during the Peace Process, fostering pride in Northern Ireland's achievements.
Kenes
Day One Healthcare
Together, Kenes Group and DayOne Basel Area conceptualised and launched the BOOM Summit, a first-ofits-kind event in Basel in April 2024.
This collaboration was pivotal in transforming the healthtech landscape. By combining Kenes Group’s experience in organizing medical events with DayOne’s local innovation network, the partnership successfully brought together a wide range of stakeholders. The first edition of the BOOM Summit aimed to address the challenges by incorporating innovative content formats, fostering a spirit of disruption and leveraging visual creativity. The summit's unique, creative approach sparked new conversations, broke down barriers, and introduced innovative methods of collaboration.
This partnership promotes Europe’s role in advancing global health solutions and has left a lasting mark on the healthtech community and the broader medical and technological meetings industry. Inspired by the bold and bright comicstyle art of Roy Lichtenstein, the summit’s branding and marketing strategy embraced vibrant visuals that stood out in a crowded event market. The summit was designed to
be a dynamic and stimulating environment, with formats such as "talk show" sessions, interactive "catalyzer corners," and hands-on innovation showcases. These unconventional formats broke the mould of typical healthtech events, sparking meaningful conversations between a diverse audience including industry experts, investors, and young innovators. The collaboration between Kenes Group and DayOne also capitalised on emerging technologies, utilising AI tools for brainstorming and developing creative taglines and promotional materials. This integration of modern tools ensured that the event and its marketing reached younger audiences, with particular success on platforms such as LinkedIn and Twitter.
The BOOM Summit surpassed expectations, becoming a groundbreaking healthtech event that set new standards. The summit attracted over 420 participants, including leading healthtech innovators and decision-makers, fostering invaluable partnerships that continued beyond the event.
