Sustainable Frankfurt: Making a lasting impact

It is no secret that when it comes to sustainability, special events – especially congresses with several thousand delegates – may well have a positive impact. Host cities and their residents are certain to benefit from sustainable event planning in the long term. At the same time, PCOs and their events are also able to profit from the sustainability efforts of the respective congress location.

For the City of Frankfurt, these efforts include the commitment to become climate-neutral by 2035 and to be powered almost entirely by renewable sources by 2050. In order to reach these goals, many businesses are already making the switch, including Messe Frankfurt, the official IAPCO Convention Center partner. In 2020, Messe Frankfurt switched to 100% renewable energy sources on their exhibition grounds. Then, in 2023, it was awarded an official EMAS certification, thereby demonstrating the venue’s commitment to continually improving its environmental performance.

Keeping in line with the 17 Sustainable Development Goals (SDGs) defined by the UN, Frankfurt is not only dedicated to ecological sustainability, it is also taking on social responsibility by working towards complete accessibility – both in terms of structural accessibility and barrier-free communication. Various event locations and conference hotels in the city also focus on DEI and make possible barrier-free conferences in a non-judgmental environment. The Scandic Frankfurt Hafenpark, for example, is a pioneer in the realisation of barrier-free events and is easily able to adapt to the various needs of its guests. Some 52 of the hotel’s 505 guest-rooms, the entire conference area and all other publically accessible areas of the hotel are barrierfree.

When it comes to event catering, many providers in Frankfurt and the surrounding region pay particular

attention to avoiding food waste, offering seasonal and regional products and healthy eating options. Mainfood Catering strives to minimise catering waste by crafting innovative menus from unused items. They also collaborate with charitable organisations to redistribute leftover food, ensuring it reaches those in need. Their efforts extend beyond organising events, significantly impacting the community and promoting sustainable practices.

Since mobility is a key factor for greater sustainability and an important component of in-person events, Frankfurt has undertaken to align its transport culture accordingly by 2050. This includes promoting the consistent use of public transport in general, while at the same time taking into account different mobility needs. Transport should naturally also be organised in an efficient, climate-friendly and urban-friendly manner from an ecological point of view. The excellent accessibility of Frankfurt and a compatible organisation of all modes of transport serve the economic performance and competitiveness of the city.

The Frankfurt Convention Bureau (FCB) is already supporting environment-friendly transport for congress delegates with discounted tickets for local public transport. In addition, the FCB works closely with PCOs during the bidding process, identifying the legacy goals of each association and developing a strategy for how congresses may achieve a sustainable and long-term impact in Frankfurt.

Contributing To The Greater Good

I hope that those of you in the Northern Hemisphere have enjoyed your summer and managed to spend time with your loved ones. During our winter, I have been fortunate to spend some time in Europe over the last few months however, wherever I went the rain seemed to follow me, so it was not a lot different from home!

During my travels, I was observing the 65th International Mathematics Olympiad that was held in Bath, UK as Australia is hosting the 66th Olympiad next year. It was a privilege to be a part of this global event that highlights mathematical brilliance of young people. There were some fantastic moments during the Olympiad that cemented my belief in the goodness of people and how events can bring people together regardless of geopolitical circumstances. For example, after the completion of each 4.5 hour examination, the leaders of the teams applaud each competitor when they leave the exam room. It was quite moving to experience as it didn’t matter where the competitor came from, they were celebrated for completing the exam.

There have been many moments similar to this that I have experienced over my career, and I am sure that you have too witnessed the incredible power business events have to enable change, create communities and be the catalyst for things that are much bigger than ourselves.

PCOs are the centre of the Venn diagram of Congress organising, and without us, there are individual circles working in isolation.

Welcome to this special edition of the PCO, where we explore the transformative power of the events industry in creating value for the greater good of our global events community and society in general.

As we navigate through these pivotal times, the responsibility to drive sensible and sustainable practices whilst considering long-term benefits to the communities we serve has never been more critical. Our industry stands at the forefront of this movement, with a unique opportunity to make a significant impact.

In this edition, you will read how our IAPCO community is shifting the needle through successfully developed and delivered event and congress solutions for their clients. Together our IAPCO community is demonstrating sustainable event solutions by prioritising eco-friendly materials, renewable energy and waste reduction to ensure every event leaves a positive environmental footprint.

Contributing to societal improvements remains at the forefront of all association congresses and our PCO members are helping clients to identify and then action key initiatives in communities during and following congresses to meet the challenges of today and tomorrow.

Through continued education and advocacy we are all committed to raising awareness and educating our clients, partners and attendees about the importance of sustainable practices, impact and legacy of an event and driving a cultural shift towards greater responsibility.

Being a signatory of the JMIC Net Zero Carbon Events Initiative and continuing to develop our own strategy in supporting the 17 UNSDGs, our journey towards a sustainable future and helping societies develop through events and congresses is ongoing and requires collective effort. I am immensely proud of the progress we have made as a global community so far, but there remains so much more to do. Let’s learn and develop together.

Dubai drives positive change through ambitious reef project

From the ongoing development of the world’s largest singlesite solar park, to the hosting of COP28, Dubai has clearly demonstrated its commitment to sustainability in recent years, taking the lead through collaborative efforts across the public and private sectors.

This was elevated earlier this year with the launch of the Dubai Reef project, a groundbreaking marine conservation initiative, which aims to enhance biodiversity and protect Dubai's coastal and marine habitats.

As the world's largest marine reef development project, it involves deploying 20,000 reef modules more than four years, covering 600 square kilometres. The project supports fish populations, increases ecosystem resilience, and contributes to sustainable fishing and food security.

The Dubai Reef project is part of the broader Dubai Can initiative and aligns with the city's sustainability goals, including the Dubai Economic Agenda (D33) and the UAE's Green Agenda - 2030. It also supports environmental stewardship, socio-economic prosperity, and ecotourism while preserving Dubai's marine heritage.

This citywide collaboration involves key partners and significantly contributes to coral reef habitat restoration, coastal protection, and the revival of marine biodiversity along Dubai's foreshore.

Dubai Reef builds on extensive sustainability initiatives already implemented within the tourism and hospitality sectors, as well as the wider city and country. Indeed, Dubai Can was originally launched in February 2022 with the aim to reduce single-use plastic water bottle waste in the city. It's

achieving this through public campaigns and the installation of water stations across the city, already cutting the usage of more than 18 million bottles.

Meanwhile, the Dubai Sustainable Tourism Stamp, launched by the Dubai Department of Economy and Tourism, recognises hotels for their compliance with 19 sustainability requirements. It features a three-tier system (gold, silver, bronze) and aims to support Dubai's sustainability goals, including the UAE's Net Zero 2050 strategy, promoting ecofriendly practises and guest education.

The wider Dubai Sustainable Tourism (DST) initiative has also established and encouraged adherence to 19 sustainability requirements for hotels, while the implementation of a Carbon Calculator tool allows them to measure and track their carbon footprints.

How International Conferences are Creating a Positive Impact on the Disaster-stricken Tohoku Region of Japan

Sendai City located centrally in the Tohoku (northeast) region of Japan is often referred to as the “City of Trees”, due to its abundance of parks and tree lined streets. Despite its current blend of beautiful nature and urban city scape the city bares invisible scars left over from the Great East Japan Earthquake and tsunami in 2011. More than 10 years later, Sendai is attracting attention and an attractive destination for international conferences.

Last year, Sendai City hosted the 6th Environmental Response Symposium. The field of Environmental Response sheds light on how our bodies react and adapt to stressors from the surrounding environment. The Symposium was first hosted back in 2005 and has enjoyed high participation from international delegates which have brought many important experiences and insightful discussions, new connections, and new ideas. The Symposium has also focused on creating a lasting legacy and social impact by hosting free public sessions and including excursions for international delegates.

For one of the public sessions, JAXA – the Japan Aerospace Exploration Agency, gave a presentation on the relationship between Space & Health. In addition to a live public viewing at the Sendai Astronomical Observatory, the presentation was live streamed online. JAXA showed a video from their Mouse Habitat Unit Research on the International Space Station of a mouse floating in space and how the lowgravity environment had influenced its development. This demonstration really helped the audience to understand what the field of Environmental Response is all about.

During the excursion for international delegates, they visited Entsū-in Temple, where they found serenity as they enjoyed a meal amongst the calming aesthetics of an elaborately arranged traditional Japanese garden, complete with Zen rock features and overhung with a starburst of autumn foliage. This experience brought them a deeper understanding of the history of the temple and local culture; and more importantly, connected them directly to that history. They also visited the ruins of Okawa Elementary

school which was devastated by the disaster in 2011. There, participants heard the harrowing tale of loss and terror of that day from a man who lost his daughter in the disaster. Following this, participants climbed to the top of a hill where locals had taken refuge when the tsunami had swept in, impressing upon them the awful power of mother nature and the importance of preparation and training to mitigate disasters in the future.

The excursion also included a visit to the Tohoku Medical Megabank Organization facility to see their cutting-edge research to support the region using a vast array of genomic and census data collected from people throughout the area at large. Tohoku University was the first university to be recognized as an “University for International Research Excellence,” a designation newly initiated by Japan's Ministry of Education, Culture, Sports, Science and Technology (MEXT) in April 2024. In addition, the University is implementing a program of “Research with Social Impact” to address environmental and other social issues.

In this way, the hosting of international conferences in Sendai is creating meaningful international exchange opportunities, both for residents and locals alike, and is contributing to the increased excellence of academic

Shaping a Sustainable Future with Congress by design

Sustainable growth starts with a clear vision and transparent objectives to enable targeted action. It involves sharing knowledge, taking responsibility and, above all, partnership. That is why Congress by design collaborates with clients, suppliers, sustainability specialists and team members to ensure each congress is socially responsible, inclusive and environmentally friendly. We achieve this by supporting charities, focusing on personal development, and implementing measures for CO2 reduction.

Green Calculations with the CO2 Calculator

The CO2 calculator, developed in collaboration with Klimaatplein.com, provides an overview of the CO2 emissions of conferences. This tool helps clients become aware of more sustainable choices for their events. Scoring for Sustainability

The sustainability checklist of Congress by design is another essential tool that serves as a guiding element for each conference. This checklist encourages discussions on sustainability, assessing all the sustainable aspects of a conference – from location choice and catering to legacy.

It helps Congress by design to identify the sustainable possibilities of each conference and make sustainable choices that go beyond industry norms. All these choices are presented in a report.

Congress by design emphasises there are no absolute ‘right’ or ‘wrong’ choices in the discussion about sustainability. Every step towards sustainability, no matter how small, is a step in the right direction. This approach opens doors to meaningful conversations. In every proposal, we pay attention to sustainability. This includes incorporating carbon offset options, offering sustainability measurement and reporting (which especially for recurring conferences provides the opportunity to become progressively more sustainable), and each proposal contains sustainable choices and alternatives.

Future by Design

Through these initiatives, Congress by design distinguishes itself as a pioneer in the international conference industry. In the future, Congress by design intends to use the sustainability checklist and the CO2 calculator at every conference to advice clients and help them make well-considered choices. Our commitment to sustainability is more than words; it is an integral part of our business operations; Future by design.

Evolving Leadership for

Thinking about our objectives for the workshop that we will deliver at IMEX America, based on the learnings from the ongoing work and the results of the IAPCO Next Gen Committee, I realised that out of all the challenges that we are addressing to build intergenerational collaboration in the meetings sector, there is one that knocks strongly on the door of my mind: LEADERSHIP. “A leader’s attitude”, is a skill I hear we often seek in a candidate for an exciting, volatile, fast-paced, global, and managerial role. In a world where people in their best health condition can choose to make money online and spend their days in Caribbean islands diving with sharks (which, by the way, I did earlier this year), why choose to climb up the ladder of an “industry”? See, this is why I avoid calling our community, an “industry”. Industry sounds to me like we are manufacturing tyres or clothes. We are doing something so much more purposeful than that!

My name is Estefanía Zárate Angarita, that’s my father’s and mother’s surnames, respectively. In short, Nía is perfectly fine. That is what my family used to call me as a child. And that is the exact reason why my mentor, soul sister, and ex-boss Magdalina Atanassova agreed we should call me at Kenes, because “in Kenes, we are family”. It felt like that from day one, and it feels like that now, three years later. I’m a driven woman, who seeks experiences to live life at its fullest! I am a proud Colombian, from the capital Bogotá and a global citizen from a very early age… a millennial, after all (from the 6th of January of 1991). I LOVE people, in ways that have no words in any language to be described. I LOVE humanity and the beautiful place that we inhabit, this EARTH. I am super enthusiastic (sometimes too much for some cultures) about a wide range of subjects.

I’m writing this piece, triggered by the opportunity to contribute to The PCO on behalf of my fellows at the Next Gen Committee. And, encouraged by the ideas and the motivation from my Committee Chair Giulia Sarri: “This could be the occasion for you to introduce the topic of how to get that seat at the table”, what a great direction! You start to see how it connects back to leadership, and what I’m going to call a Stage 1 Crisis of it. Let’s not freak out about

it, we are quite aware of that, and already steering the boat towards sustainable waters.

“Seeing that you are personally so passionate about growing your own confidence as a human being, I think this could be a wonderful opportunity for you to share your thoughts and knowledge around this”, Giulia followed. That hit me, yeah, as she said, more personally. Giulia and I met in person at IMEX Frankfurt, past May. We have co-worked on a couple of documents, and articles and joined a few calls with the rest of the Committee for a year or so now. And, we have been following each other on Instagram for a while, which added to the work-related interactions, has brought us closer to knowing each other’s preferred places to be, things to do, people to share time with. Therefore, I’m quite honored that she perceives confidence as a skill that I practice. Moreover, a skill that I use every opportunity I get to strengthen in women around me! Thank you, Sarri.

So, this piece is about leadership as much as it is about talent retention, skilling, technology, needs, and values, of different generations working together. And, it is also about what makes the meetings sector so unique, to the point that it is pioneering the integration and transfer of knowledge interculturally, internationally, and intergenerationally with its business practices. Do you know why I am happy with my job? Because out of all the other “industries” out there, moving the economy and shaping the world, this one is the richest! Richest in the diversity of talents, people come from all walks of life with all sorts of zones of genius. Richest in humanity… obsessed with Artificial Intelligence while we hold the human wisdom to enable the most important social need: to meet, to gather!

LEADERSHIP and CONFIDENCE go hand in hand. They are inseparable lovers. They feed each other, complement each other, admire each other, and work out their issues together. Rather than “getting a seat at the table”, with my message I invite to “lead from your seat” (thank you, Maggie A. for that too). Build such an authentic, comfortable, inspiring, confident freaking seat for yourself that you can naturally lead from it. The “evolution of leadership” has little to do with the transfer of roles from the “older” to the “younger” generations. Rather, it has a lot to do with leadership as a skill and the way that it evolves to adapt to new, unprecedented situations. I have accomplished every upgrade in my life, or gotten that “seat at the table”, by making myself seen from any seat. By building up my knowledge, my skillset, my observations, my questions, my nervous system, and my physical presence, to speak confidently about my ideas and add value to my environment. To be a person of “value” first, enrich myself

for the Greater Good

first, know the value that I bring, and then, I am leading. The know-how comes with practice, practice with experience, and experience, with the CHANCE.

What we are doing at IAPCO, in close collaboration with our partners is to create more space to bridge the transfer of knowledge between the current leaders of the meetings sector and the early career and future leaders. We had our very first experience with a successful workshop led by Next Geners during IMEX Frankfurt 2024 and we are tailoring it for IMEX America 2024, where we will focus on elevating the conversation around what moves us to make meetings and events blossom and meaningfully contribute to the greater good… TOGETHER

I know I opened several lines of ideas and left them hanging in the air, so I promise that I will tie up the loose ends during our time together in Las Vegas! I am beyond excited to share that my journey with IAPCO continues to expand as I will be representing our Next Generation Committee during our workshop, on October 7th as part of the educational content of IMEX America. This is open for anyone attending IMEX and we will soon be sharing more logistical details for you to schedule yourself to meet me, and the rest of the team behind our ambitious thinking. Contributing to the Greater Good: A Case Study by ERA Congresses and Events

Green Events, Brighter Future

At ERA Congresses and Events, we believe in the power of events to not only foster collaboration but also contribute to a healthier planet. Sustainability is more than just a tagline for us; it's a driving force behind everything we do. We go beyond simply suggesting eco-friendly solutions – we actively work to make them feasible and beneficial for all parties involved.

A Case Study in Sustainable Transportation

This dedication is perfectly illustrated by our recent success in implementing a sustainable transportation solution for a large international congress hosting more than 900 participants. To minimise the environmental impact and encourage the use of public transportation, we initially proposed funding public transport cards for all attendees through a sponsorship. This sponsorship would provide the chosen partner with significant highlighting and exposure, throughout the congress.

Client Considerations and Finding Common Ground

However, our client expressed hesitation. They wanted to allocate the entire budget towards the congress itself, initially viewing the public transport cards as an additional expense. We understood their perspective and focused on demonstrating the broader value proposition.

Collaboration and Persistence Pave the Way

Committed to this initiative, we explained the advantages: a greener city, reduced traffic congestion, and a lower carbon footprint. Additionally, these benefits aligned with potential sponsorship opportunities outlined in the congress plan.

Furthermore, to address the client's concerns about cost, we took action. We reached out to the Urban Rail Transport (STASY) management. We presented our vision for a sustainable event and, leveraging the large number of attendees, negotiated a significant discount on public transport cards.

Success Breeds Success

With this cost reduction in hand, we revisited our client. We demonstrated how the discounted cards not only fit within their budget but also aligned with sponsorship opportunities. Impressed by our dedication and the achieved discount through negotiations with STASY, they ultimately agreed, recognising the value of supporting sustainable practices.

This case study embodies our core philosophy. We don't just suggest green solutions; we actively work to make them feasible and beneficial for everyone. Our team's dedication is evident in the countless hours invested in securing this deal. Even in challenging situations, our commitment to sustainability remains unwavering.

The success of the public transport sponsorship exemplifies our proactive approach to sustainability and our willingness to go the extra mile for a greener future. How the British Neuroscience Legacy and Redefining

As Head of Meetings and Events at the British Neuroscience Association (BNA), I have had the pleasure of curating some of the most captivating meeting content you will have been lucky enough to hear! Everyone has a brain, right? And the brain is the most fascinating and fundamental piece of machinery in our whole body … it’s our mothership, our crown jewel, our forerunner … and we’re only just getting started (neuroscience is a fairly new discipline in the grand scheme of things and there’s tons more to discover!)

But neuroscience aside, as event planners, I feel we have the responsibility, and the opportunity to deliver so much more than the content. We have the power to create a long-lasting and positive impact on the community and our stakeholders, and with the BNA, I feel proud to have pioneered some initiatives that ensure we deliver our message and contribute to the greater good.

Our biennial International Festival of Neuroscience sees 1,200–1,500 delegates descend on a host destination for a four-day meeting of all things brain, and from the outset, creating and delivering a legacy and impact strategy are equally as important as selecting speakers and social venues in terms of event planning. Planning a legacy and impact is not just a ‘nice thing to do’, or a buzzword, but it benefits our organisation in communicating neuroscience, achieving our charitable objectives, building partnerships and inspiring the next generation of neuroscientists. This, in turn ensures we create an immersive event that leaves our delegates inspired and our financial sponsors satisfied which means our event continues to benefit those who attended and the wider community long after it ends.

Our 2023 Festival took place in Brighton on the seafront, so what better way to create a positive impact on the local community than facilitating a beach clean? And why not sell it as a package to a sponsor, genius!

Whilst the beach clean was successful by all accounts, there was still plenty of planning to undertake on our behalf (sourcing litter-pickers aside, it became obvious there was a delicate balance in the harmony of delegate participation, whilst considering also not taking them away from the exhibition during lunchtime!) – this has led us to evolve and create a new sponsorship package for our 2025 Festival; The Community Partner. Recognising that legacy creation is an integral part of our events, the community initiative is

now truly embedded into the conference, putting the onus on the sponsor to deliver a project that aligns with their organisation’s goals and within their remit, but under the umbrella of the Festival.

Learning by example

We are extremely proud of our Bring Your Own Brain (BYOB) series, in which a local organising committee is formed and tasked with curating and delivering free, inclusive and accessible events across the host destination to run in parallel with the scientific programme of the Festival. Our 2023 BYOB went on to win 2 public engagement awards and some of the activities that featured include:

Yes folks, we really wrapped a double-decker bus in dementia themed-branding and toured the South Coast roads!

The BYOB activities ranged vastly in terms of cost and scope; the ever-popular Colour Your Brain colouring competition invited children aged 4-17 from Brighton and Hove to enter a colouring competition in which their efforts were displayed in the window of the Brighton Centre during the conference. Hey, if we can inspire 4-year-olds to become tomorrow’s neuroscientists, I’d say that’s a pretty important legacy.

During our Festivals we appoint around ten local undergraduate neuroscience students to work at the event whilst also being able to attend some of the sessions. Not only do they get paid and gain work experience and but for the majority, this will be the first time they’ve been immersed in an event of this size, hopefully inspiring them to be excited about future events

strategy. The ACC in Liverpool have harnessed the impact of Eurovision 2023 and have developed a comprehensive Legacy Toolkit to build knowledge around legacy and drive stronger engagement between organisers, venues, local communities and stakeholders.

We are so excited to be taking our next International Festival of Neuroscience to Liverpool in April 2025 and look forward to achieving our legacy and impact goals with the help of the team there.

Attendees expect more from the events than they ever have before. Our goal is to create impactful events that benefit both society and the environment. Here’s how we ensure every conference we organise makes a positive difference:

Thoughtful Bidding Process

When selecting a venue, we start by analysing the audience demographic to select the best venues and cities. Our choices are driven by the potential positive effect on the local economy and the benefits for delegates in the area. We aim to leave a lasting, positive impact on the communities we engage with. This could be through knowledge sharing from the conference to local communities, involving school children to introduce them to STEM, or through charitable giving during the event. We always look for ways to engage the city we are visiting and make sure the community benefits from our presence.

Commitment to Sustainability

Sustainability is more than just a buzzword for us; it’s a serious commitment. Where possible, we provide water bottles and reusable coffee cups, making it easy for attendees to refill and avoid waste. Our signage is minimal and made from recyclable materials like cardboard. We encourage clients to use signs that are undated for future reuse, reducing waste, and the venues we select prioritise sustainability in their operations, including waste management, catering and food sourcing.

As a company, we have established an Environmental, Social and Governance Committee that drives our environmental strategy across all departments and offices. We’re constantly looking for ways in which we can improve our practices, as it’s important that we lead by example and can guide our clients with lived experience.

Accessibility and Inclusion

We’ve taken steps within our team to make sure every attendee at our events feels welcome, safe and equal. We have received training on how to confidently communicate with people with different disabilities and ensure all our venues are accessible. We provide information on our websites to help attendees with access needs to plan their stay and try to offer support for our neurodivergent attendees through provision of quiet spaces and plenty of pre-event information. We work with our clients and venues to offer feeding rooms or carer facilities onsite, so people

can bring their little ones along and not have to miss out on networking.

Eco-Friendly Transportation

We encourage our delegates to choose environmentally friendly transportation options such as sea travel, bicycle travel, walking and public transport. We select conference locations that are well-serviced, accessible and easy to reach using these green options, making it easier for everyone to make better travel choices.

Choose Local

While we have trusted national and international suppliers, where possible, we choose local to reduce the mileage on our materials and the staff at our events. By building relationships with convention bureaus and tapping into our events industry networks, we are able to source local, recommended suppliers for AV, catering and even photographers.

Impactful Content

In collaboration with our clients, we ensure the selection of keynote speakers who are relevant, impactful, innovative and forward-thinking. This helps provide valuable insights and inspiration to our delegates, aligning with the overall mission of our events.

Sometimes conferences are won by the city with the most expertise already available, but in some of our most memorable events, the host city has benefitted from a conference filling a knowledge gap. In the case of International Association for Suicide Prevention Congress, we supported Derry’s bid to host the meeting, which was much needed in a city with a high rate of suicide. By bringing the event to Derry, international expertise was on the doorstep of those who needed it most. The event led to funding and new projects which continue to improve the lives of people in Northern Ireland years later. Keynote Speakers at the conference delivered free public lectures, making it an event that was accessible for everyone in the city and crucially for the families of people that had been impacted by suicide. It allowed the people of the city and of

Northern Ireland to benefit from the advice and knowledge of world leading experts and the conference has played a key role in Northern Ireland’s suicide prevention strategy. Following this event the main client Siobhan O’Neill (Ulster University) became Northern Ireland’s Mental Health Champion and Rory O’Connor (University of Glasgow) is now President of the IASP, which ensures this impact and legacy will continue.

Sustainable Delegate Materials

We have adopted a minimalist approach to delegate materials, focusing on items that are recycled and reusable. We work with reputable suppliers who can trace the sources of their goods, ensuring ethical practices. Additionally, we offer options such as charity donations and tree planting to further promote sustainability and social responsibility. Various options are available to our clients, either to calculate and offset the event as a whole, or to provide the facilities for attendees to calculate their emissions and offset as individuals.

Promoting and Incentivizing Green Sponsorship

We encourage our sponsors to make sustainable choices, opting for digital hand-outs, plastic-free swag and recycled or reusable signage. We provide the option to include PDF information through our event apps, so sponsors don’t feel the need to bring a lot of print to our events and have even awarded prizes for ‘most sustainable exhibitor’ at some events.

The story of CardioAlex2024 held from 11–14 June 2024 exemplifies our commitment to sustainability in action. This stellar medical conference utilised digital materials instead of printed brochures, implemented effective waste segregation at the venue and encouraged virtual participation, setting a benchmark for environmentally conscious event planning.

The use of recycled badges and sustainable giveaways further underscored the conference’s dedication to ecofriendly practices.

CardioAlex's Awareness Day: A Tangible Impact on Public Health

Another impactful example lies in CardioAlex's recent Awareness Day held on 14 June. Here, cardiovascular professors organised a session tackling the critical issue of ‘Sudden Cardiac Death for Athletes’. The event brought together medical professionals, athletes, clubs presidents and the general public, with the aim of raising awareness about sudden cardiac death (SCD) and providing CPR training for all attendees.

This informative session empowered attendees with the knowledge and skills to identify and respond to SCD emergencies, making it far more than just an educational event. By equipping the community with life-saving skills, CardioAlex's initiative empowered individuals to become active participants in protecting themselves and others.

This perfectly exemplifies the potential of events to spark social and health change and inspire a sense of collective responsibility for public wellbeing.

This gathering was further distinguished by the presence of H. E. Prof. Ashraf Sobhy, the Egyptian Minister of Youth and Sports, where he echoed this sentiment in his speech: ‘The topic of sudden cardiac death, especially for athletes, is of utmost importance. We are working on generalising awareness across all youth and sports federations, while also cooperating to provide advanced medical devices in Egyptian stadiums for all sports. Additionally, medical teams in clubs and national teams will be trained on how to utilise these devices.’

Understanding the environmental impact of events, we took several measures to minimise waste and reduce our carbon footprint. All badges provided to participants and staff were made from recyclable and recycled materials. This small yet significant step ensured that even the basic essentials of the conference were aligned with our eco-friendly ethos.

To further reduce waste, we opted not to print physical programmes. Instead, all conference information was accessible via a QR code and the official PAGE conference app. This digital approach as well as further digital tools used to facilitate the congress program not only saved paper but also made the programme more accessible and interactive for participants.

Sustainable Transportation

Transportation is a major contributor to the carbon footprint of any event. At PAGE 2024, we encouraged participants to use sustainable transportation options. We provided comprehensive information and suggestions for utilising local public transport, electric taxis and other eco-friendly vehicles. By promoting these options, we aimed to reduce the overall environmental impact of attendee travel.

Local Sourcing

In a departure from traditional event planning, where suppliers are often sourced from various locations, we

made a conscious effort to source everything locally for PAGE 2024. This decision supported local businesses and reduced the carbon emissions associated with transporting goods from distant locations. By relying on local suppliers, we also fostered a stronger connection with the community and ensured that our event had a positive economic impact on the local area.

Looking Ahead

A dedication to ethics lies at the heart of Rwanda's event strategy. The private sector is given priority in events hosted in Rwanda, guaranteeing that the community is supported economically. These events create economic opportunities while contributing to the preservation of Rwanda's rich cultural legacy by involving local vendors and artists. Events such as the 73rd FIFA Congress Meeting and the World Travel and Tourism Council (WTTC) Global Summit, which were hosted on the African continent for the first time, underscore Rwanda’s competitive advantage and brand recognition. The Rwanda Convention Bureau continues to position Rwanda as a premier and preferred destination reaping the economic and social benefits of hosting international events. Additionally, inclusivity is important, with activities planned to be accessible to all societal sectors and reflecting Rwanda's larger objectives of equity and social harmony. Umuganda is one of the local initiatives that delegates can attend during which they participate alongside Rwandans in activities such as tree planting, road maintenance, and neighbourhood clean-ups. This tradition not only improves the physical environment but also strengthens social cohesion by bringing together people from all walks of life to work toward a common goal.

Rwanda hosts events on various sectors where discussions revolve around critical social concerns such as gender equality, health, and education. Events are powerful platforms for promoting sustainability and mobilising resources to drive social and environmental change. Events like Women Deliver Conference 2023 or the annual Baby Gorilla naming ceremony Kwita Izina provide excellent examples of this dual role. The later, was initiated by the Governement of Rwanda, as an event where new baby gorillas are named as a way of raising funds and creating awareness for Mountain Gorillas conservation.

During Women Deliver Conference 2023, Rwanda has showcased commitment to sustainability. By integrating waste reduction, badges and banners recycling, and responsible sourcing into the planning and execution of these events. These events not only minimise their environmental impact but also inspire participants to implement similar sustainable practices in their work and communities.

Rwanda’s event management techniques reflect the country’s standing as a pioneer in mitigating environmental issues. Sustainable events are made possible by the nation's environmental laws, which forbid the use of plastic bags, among other things. To reduce their negative effects on the environment, the organisers are promoting sustainable transportation, choosing eco-friendly locations, and implementing zero-waste programs. Venues like the Kigali Convention Centre adopt ecofriendly practice and exemplify how large-scale venue can be environmentally responsible, contributing to country’s broader sustainability goals.

By adopting eco-friendly practices and gathering support, events can set a standard for how large gatherings can minimise their environmental impact and generate the necessary resources for lasting impact. Effective activities that advance peace and health, like the Kigali International Peace Marathon, show how events can spur development in keeping with Rwanda’s dedication to promote positive change and contribute to the well-being of society.

First Impressions and Experiences in the Professional Congress Organisation (PCO) world – Including Tips for Newcomers!

PCO is not one task that stretches from the beginning of planning to the end of the congress, nor is it the thousands of emails and calls that must be made during that time. PCO is about not losing track and not overlooking anything – that is the real challenge a PCO faces.

But the true success story goes beyond the numbers. Feedback from attendees and clients has been overwhelmingly positive.

Uniting for Global Energy Solutions at the 26th World Energy Congress

The 26th edition of the World Energy Congress, held in Rotterdam, was a major gathering point, attracting almost 4,000 attendees, more than 300 speakers and over eighty exhibitors. Our team at MCI The Netherlands managed and marketed this grand event; featuring an enticing programme of keynote sessions, group discussions, interactive exhibitions, tours and practical experiences. We took a green approach, using recycled materials and promoting green habits to reduce waste.

When organising a high-level international congress there are many elements, especially when considering its environmental impact. In this case study we will showcase the efforts of the MCI The Netherlands team and their partners, and how the 26th World Energy Congress in Rotterdam was an example of what can be achieved when we come together with a shared vision of sustainability, innovation and global collaboration.

This state-of-the-art facility, located within Takanawa Gateway City offers direct access to Takanawa Gateway Station, making it an ideal location for various MICE activities. It is one of the largest multipurpose halls within Tokyo with direct access to the station.

Behind the Scenes of the G7 Summit 2024: A Journey of Collaboration and Innovation in Apulia that Unites the World

A year ago, Triumph’s office was filled with an atmosphere of enthusiasm and anticipation for a new professional adventure. The announcement of the bid for the G7 Summit marked the beginning of an ambitious project and a shared vision. Triumph Italy, in partnership with Studio EGA Srl, assembled the team tasked with drafting the proposal and analysing the experiences of previous institutional events, thus laying the groundwork for the ultimate institutional event.

With the awarding of the contract for the organisation, design, setup and ‘turnkey’ management of the G7 Summit in Apulia, the work began in earnest from January to June 2024. It was six months of relentless dedication during which teams were formed. Nothing was left to chance: every detail was meticulously studied and every suggestion carefully considered.
