Dear Friends,

Unfortunately, the pandemic is not reducing its impact on the exhibition industry and on our companies despite some minor signs of recovery.

The growing difficulties in travelling even within Europe have forced the Board to digitalize both the 2021 General Assembly and the Congress. Together with Elizabeth, we will share more information in another section of the Report and in future communications.

We will not lose the focus and hope that a more complete reopening of the industry is only postponed to Q3 of 2021. We continue our work on understanding what the Association can do to help members in the short and medium term.

For this reason, the Membership Survey was launched at the end of last year. I personally consider the Survey results very interesting for the Board, considering the high number of participants and the suggestions that followed. Main results are shown on page 26 of this Report.

The Board will use your feedback to the maximum in the coming months. During this period, the Board is planning review the targets and the general strategy of IELA for the short and mid-term future.

For this reason I want to underline the importance of participating in the IELA Data ROOM questionnaire (arriving at the launch phase) to define

the actions to be implemented and the possible future targets of the Association. I hope all of you will respond to allow the creation of aggregate data. This is now more important than ever for our association in order to be a voice in the industry towards national governments. We are working to raise their awareness of the difficulties we confront in our industry niche.

One more important topic: the Winter Seminar has just ended and it was a great success! I want to thank all the participants (students and speakers) for the commitment, energy and enthusiasm put into this first digital edition of the event. Many thanks obviously go to the new Education and Training Programme WG leaders Sudhir, Fiona and Ute.

Our youngest colleagues are so thirsty for knowledge and have shown that they want to learn every secret of our profession. This is confirming the importance for IELA to remain a competence centre within the industry for the future.

Last but not least, I would like to point out the launch of “Faces of IELA” , an award dedicated to all those who work in our companies and represent a great asset not only for the associates but for the event industry. Today, the Board draws greatest attention to our colleagues because, only by safeguarding our resources, can we effectively contribute to the hope of a successful re-opening of events in the coming months.

CIETC RESUMED ACTIVITY ON CHINA NATIONAL MARKET

Having already resumed activity in 2020 with more than 25 large and small exhibitions, China International Exhibition Transportation Co., Ltd. The team of teams, Rogers Bangkok Co. Ltd, was happy to retur n to the show site last November 2020 when METALEX 2020 took place at BITEC, Bangkok International Trade & Exhibitions Centre. Several IELA Members were involved in the logistics for the show AERO INDIA which took place from February 3rd – 5th 2021 at the Air Force Station, Yelahanka, Bengaluru.

This was the first global exhibition to take place in India since the pandemic.

HISTORY IN THE MAKING!

IELA was represented by several members who looked after the logistics at AERO INDIA.

Ravinder Sethi, Chairman & Managing Director R.E. Rogers India Pvt. Ltd., was proud to be among the official service providers “Aero India was the first global exhibition to reopen and R.E. Rogers played a critical role for this. A powerful message went out: not just India, but the whole world reopened“.

He added “ being part of this was

the star moment in our thirty-five year history. We were full of emotion to be back in the midst of dust, boxes, forklifts and cranes - I had tears in my eyes”.

Vittorio Polli from E.S.I. Expo Services International, France, was pleased about the safety guidelines put into place: “the organisation was excellent at Aero India. Rogers did a good job looking after tests, social distancing and safety measures were applied and respected the whole time. Logistically speaking everything worked well and the show was not disrupted at all“.

Tyler Hunt, on site for TWI Group Inc., USA, showed his enthusiasm by saying “Being the first International Exhibition where there was a substantial amount of international freight, the entire

logistics for freight was seamless and the organisation of the show site was smooth and top notch. Attendees at the show reached high numbers and the halls, the aisles and the exhibitor booths were filled with visitors and attendees as if it was back in pre-Covid 2019. It was really great to be part of the exhibition team and be on site to assist our exhibitors who travelled to the event. I cannot wait to the point where not only our entire team, but all our colleagues in the exhibition industry can return to shows as in the past”.

Laurent Martin with WEL World Exhibition Logistics commented “As the first major international show of the year, Aero India 2021 was a big success. It showed the world that exhibitions could start over, with the right measures put in place. Apart from having multiple tests, opening to professionals was a bold and creative move. Several IELA Members were involved in IDEX, the International Defence Exhibition & Conference, and NAVDEX, the Naval Defence & Maritime Security Exhibition, taking place on February 21st - 25th 2021 at ADNEC, the Abu Dhabi National Exhibition Centre.

It was the first global exhibition to take place in UAE since the pandemic.

Georges Jacob with Agility Fairs & Events (UAE), Official Freight Forwarder and On-Site Handling Agent for IDEX & NEVDEX, reported “Amidst the current pandemic, Agility Fairs & Events expected a lower volume of freight this year. However, we still managed to handle more than 500 tons of air freight, 70 containers, 60 RoRo/ Vehicles from international exhibitors, 160 vehicles from local exhibitors and

numerous stand fitting materials.

We are also delighted to have welcomed back a few of our overseas partners who were as equally joyful working again onsite after a long hiatus brought on by the pandemic”.

IELA Members witnessed a show where a strict safety protocol was put into place with rigorous testing being carried out. Vittorio Polli from E.S.I. Expo Services International, France, was among the IELA Members involved in

the logistics of the IDEX show “IDEX was a top show regarding PCR tests organised directly on-site, massive organisational deployment as well as financial investment. I hope that these efforts can be duplicated in Europe soon to meet these standards”

Steve Barry of TWI Group Inc., USA, went further by explaining “IDEX 2021 has been a great experience and was a top notch show for protecting everyone during the age of Covid-19: masks always worn, social distancing, one-

way system, signage and constant PA reminders. On arrival a negative test of less than 6 days old was required. As positive tests were identified, a negative test every 48 hours was necessary. There were 2 testing facilities onsite and most hotels near the venue had testing. I ended up testing daily to ensure entry at the show”.

Steve Barry recognised the power of collaboration “This is a wonderful insight into how shows can continue with safety procedures. It showed how logistics providers, standbuilders, exhibitors,

organisers and other suppliers can all work together effectively to build back our great industry”. He emphasised however that a Plan B is necessary “there were people that tested positive and couldn’t attend. You will need to have a contingency plan should any of your team test positive”.

Patrick Rejaud , CEO of WEL World Exhibition Logistics, France, appointed by Agility UAE as Official Partner in France for the exhibition, commented “We can only repeat what our colleagues say.

It was great to be back on site, here at ADNEC. It took 7 months working on this project to successfully move 52 tons of freight via air and sea. Five team members were on site for 3 weeks. One of our proudest moments was having the opportunity to transport the brand new Scarabée by Arquus, from France all the way to IDEX 2021 for its first time abroad!”.

Post event, Wel is sharing his 16 lessons learned from IDEX/NAVDEX & AERO INDIA:

Require 72 hour PCR tests to grant access to the country. Make quarantine waivers mandatory for international visitors 3. Write a Travel & Health Protocol and share it 2 months in advance. IDEX organizers updated it 4 times (latest here https://bit.ly/2OcBa2y). 4. Require PCR tests every 48 hours to access the show site Make free PCR tests available onsite and in hotels. This point is key and demands high level of organization and consistency 6. Do NOT require a local phone number to receive PCR results 7. Implement night & day shifts for stand building to reduce hall traffic Limit the overall number of visitors or cancel public days what Aero India did 9. Restrict the number of visitors allowed at once relative to the size of the booth outside chalet or static display Set up social distancing signs allocate staff to remind visitors of good practices. 11. Make masks mandatory everywhere, as well as gel on all booths 12. Display arrows on booth floor and in the hallways, to give guests clear directions and avoid people bumping into one another Reduce hotel capacity (60% maximum is what IDEX did 14. Christoph Rauch , Managing Director at BTG confirmed “it is great to be back onsite and to see a BTG colleague busy at IDEX. The break was far too long and we couldn’t wait to be back again. Aero India and Gulfood, to name but a few, and now IDEX prove that it’s possible for exhibitions to take place, even in these difficult times!”.

Clamageran Foirexpo , France, was represented by Martin Leloup who explained “Clamageran Expositions was extremely excited to be here on-site at IDEX 2021. This is our first overseas trade show in almost a year and hope that this is a good start to a prompt global industry reopening“.

20.957 billion United Arab Emirates Dirhams (USD 5.7 billion) worth of deals were signed by the UAE Armed Forces during IDEX and NAVDEX 2021. Five deals with international companies and 15 with local companies were inked on the final day of the exhibitions, at a value of AED 904.2 million (USD 246.2 million).

Uttam Gupta, of BIG Logistics India Pvt Ltd, had the pleasure of being onsite and helping one of their repeat Customers in exhibiting their high-volume models. All the boxes were booked under a returnable basis by air-freight. The rigorous efforts, alongside the endto-end coordination by the Team Agility, resulted in the successful execution of this project. This is the second experience of a physical exhibition involving visitors during COVID. The first was the ARMY Show 2020, Moscow, which was handled during the peak of the COVID pandemic. As the situation was much more difficult back then due to heavy restrictions on travel and logistics, the goods were shipped via special charter. The team travelled under the direct supervision of the Indian and Russian ministries.

BUILDING THE FUTURE of the Exhibition & Event Logistics Industry - Post-Covid

CONNECT, LEARN and SUCCEED, the 3 concept pillars of the online event aim to build the future of the exhibition logistics industry

During these challenging times, education is a crucial element in getting ready for the “New Now” and the restart of events in 2021. On January 28th, IELA launched a new agenda of online events to support its membership. It kicked off with the 2021 Online IELA Winter Seminar from January 28th to February 2nd, organised by the IELA Education & Training Programme Working Group (E&T WG).

Sudhir Dhavan , R.E. Rogers India & Chair of the IELA E&T WG, overwhelmed with the announcement of the students’ performance results, highlighted “the value of education and training events is what will make the return to exhibitions and events smoother and faster , with professionals well-trained and ready, as always, to adapt to any situation. With almost 0 activity within the Exhibition department for our members over the past year, exhibition freight forwarders

can assure they are ready to resume activities as soon as events restart”.

Ute Wiezorrek , Cretschmar MesseCargo GmbH & Vice Chair of the IELA E&T WG added “The programme sessions were run again primarily by our senior IELA colleagues who are outstanding experts and offer high quality educational sessions focused on the day-to-day life of exhibition freight forwarders and Onsite operations - all volunteers to whom we extend our immense gratitude. We thank also the external keynote speakers giving special insight into important vertical aspects linked to the global exhibition logistics”.

The emphasis of the programme is on real-life experience . All the topics are linked to the hands-on job of an international exhibition freight forwarder : all steps in the delivery chain are covered from

export, domestic & on-site agents to customs, communicating with the organiser, customer service, packing, and insurance. This is all carried out in appliance to IELA Standards and the latest Safety Measures and Covid Guidelines.

Fiona Ostoja, Agility Fairs & Events Pty (Australia) Ltd & Vice Chair of the IELA E&T WG highlighted “We thank all those who invested their time and effort in this exercise. We hope that this first online edition gave the students the extra knowledge and strength to combat the challenges at the return of events in 2021“.

Therefore, we are pleased to inform you that the General Assembly will be held on Wednesday June 30th at 2pm CET by telephone call attended only by the Chairman of the Board and the Secretariat (pursuant to the Swiss Covid-19 Ordinance) according to the procedure below.

MEMBERSHIP

The primary role of the Membership WG continued as usual during the Covid-19 pandemic in vetting applications and selecting by vote the applicants to be approved by the IELA BOM. Due to a streamlined evaluation and voting process adopted by the MWG, the membership application process has been speeded up.

The Membership WG is continually on the look-out for membership potential in white spot countries where there is currently an absence of exhibition logistics company representatives in

our association. Recommendations from IELA Members are most welcomed.

The MWG had made a proposal to the BOM to consider helping companies to maintain their IELA Membership in the light of the negative impact of the pandemic. This included deferred payments of membership renewal fees, increased networking opportunities, encouragement to attract heightened involvement in IELA Working Groups and online programmes and protection for members by restricting IELA programmes to members only.

Already one year since the Covid-19 and its variants have forced us to stop our normal daily business. The Standards and Customs Working Group benefited from the situation by improving their current ideas as well as starting new ones. This keeps us very busy with WhatsApp’s, video meetings and being in contact regularly.

We have been working very hard to update the Country Customs files and the Venue Database with a little over 400 new files and updates. Great Job SCWG team!!

Having been nominated as new Chair and Vice-Chairs of the WG in in November 2020, we were assigned our first task to organise the Winter Seminar 2021. This online event took place at the end of January 2021, a first in the history of IELA.

Organising this event in only 2 months was a challenging task. Together with the team in the secretariat and members from our Association who volunteered as speakers and coaches, we were able to create an outstanding event!

RELATIONS

Working as the IRWG , we are building bridges between IELA and other Associations related to our Industry, including Show Organisers who add more value to our association. As a result of this approach, IELA has increased the content and scope with regard to the subjects such as education and specialisation. Making our association Stronger together.

We are currently busy getting the Ambassador Programme off the ground. We had a meeting in December with the Members who wanted to be part of the Active IRWG & help to drive the Ambassador’s programme forward.

An email was sent out to all Members requesting them to check the list of Associations with whom IELA is already

involved. They were also asked to let us know if there is an Association that we have overlooked with whom we should be collaborating.

The second project we are looking at is the “Single Voice” in which IELA will help put together a letter for our respective Country Association in order to drive trade & industry and lobby with our Governments to open up our Industry. t
