the Board of Management!
We had a wonderful Congress with over 240 delegates and the Partnership Event greeted over 300 delegates. Both events contributed to more than 2605 business meetings. The global position of IELA is getting stronger day by day, and we are all proud to be part of this passionate fraternity.
I would like to give a big thank you to Eurotran Expo Service Co., Ltd., Panda Logistics Co., Ltd. and Trans-Link Exhibition Services Co., Ltd. for being amazing hosts and for having worked tirelessly to the core of their professionalism. I would also like to thank our dedicated Secretariat team, led by Elizabeth Niehaus, for their tremendous efforts in making this event a milestone.
Once again the trust of our membership in our 6 esteemed Board Members was confirmed at the BOM elections. Thank you for your support! I am deeply honoured to be the new Chairperson as I believe that this position represents the highest level of appreciation one can receive from our global industry association.
I would like to express my gratitude to our past Chairs, Guido Fornelli and Sandi Trotter, for their outstanding leadership. Under their guidance, IELA has witnessed significant growth. I must also mention here my gratitude for the past BOM Daniel Mithran whom I always found very enthusiastic and a strong solutions-provider.
The Board had its first meeting on 2024 at Taipei where my Vice-Chairperson Alexandra Erdman from Swiss Expo Logistics AG, Switzerland was elected alongside Lucien Lawson from Clamageran Foirexpo, France as treasurer. The Working Groups have also a Go-to-person for each group which is the lifeline of IELA and are as follows:

Our contribution to the Net Zero Carbon Events journey via the logistics stream of IELA, under the authority of the Sustainability Working Group (led by Marta Kupis and Louise Vigliandi), is well appreciated. We are also proud to announce the launch of a new IELA SMART Award.
Our upcoming Winter Seminar 2024, a biannual education event, will take place in Amsterdam from January 9th to 12th under the flagship of the Education and Training Working Group. Big thanks to Ute Wiezorrek, Paulo Gameiro and Alessandra Dellavedova for their great efforts. I would like to personally thank Valverde B.V. and CEVA Showfreight for their extraordinary hosting efforts.
Looking ahead, we are excited to celebrate our 40 th anniversary in Geneva, Switzerland next year. We are committed to making this a memorable event. Prior to reaching this beautiful destination we will have some lovely footprints each month by having fond memories.

DSV APPOINTED AS THE OFFICIAL HANDLING AGENT FOR ADIPEC 2024
DSV UAE has been reappointed as the sole official handling agent for ADIPEC (Abu Dhabi International Petroleum Exhibition & Conference), scheduled from November 4th - 7th 2024 at the Abu Dhabi National Exhibition Centre. The event will convene over 1,800 speakers, 16,500 delegates, 2,200 exhibitors and 184,000 attendees, making it one of the most significant gatherings in the global energy sector.

BIG LOGISTICS ENTERS INTO THE PERISHABLES, COLD CHAIN AND LIQUOR LOGISTICS
BIG Logistics India handled the Koelnmesse show Anuga Select India 2024 as sole forwarders. This year’s edition which took place on August 28th - 30th 2024 at Bombay Exhibition Centre, Mumbai, welcomed international participation for the first time. Apart from having Pavilions from Saudi Arabia, Korea, South Africa, Vietnam & Japan, the show also had an alcoholic beverage segment for the first time.
The show was a celebration of India’s food and beverage industry, as it highlighted not only India’s food industry, but also gave overseas manufacturers the opportunity to showcase their certified products to Indian consumers. All due permission from Local Food authorities & Government bodies were arranged in due time. t

The world’s aerospace community once again gathered in Farnborough during July. This marked 30 years since CEVA Showfreight first managed the logistics for the event. 1427 exhibiting companies, representing 41 countries and 21 pavilions saw the CEVA team handle freight from all corners of the globe.

About 900 CBM were transported by ROGERS BANGKOK CO. LTD into Bangkok for RHVAC 2024 (14th Bangkok Refrigeration, Heating, Ventilation and Air Conditioning show) which was held on September 4th - 7th 2024 at Bitec, Bangkok, Thailand.
Recognised to be the biggest show in Southeast Asia and the World’s top-five trade show in Refrigeration, Heating, Ventilation, and Air Conditioning, they served approximately 200 CBM shipments from overseas such as from China and European countries. Approximately 500 CBM came from local industrial estates in Thailand.
Many large machines for refrigeration and ventilation for cold room storage in factories were delivered and handed over on the booths. These machines were carried in disassembled parts and assembled on the booths. t PAST APPOINTMENTS

APT Showfreight Shanghai Co. Ltd was proud to provide logistics services for the 100th anniversary of Cartier’s trinity collection in Shanghai. The exhibition showed the special design and stories behind the trinity collection. Artworks from the artist inspired by the collection were sent from different countries to the show, including sculptures, installations, photographs and paintings.

SMART Award
The IELA Board and the IELA Sustainability Working Group were proud to launch last July 30th the new IELA Award: the IELA SMART Award. This recognises the efforts and achievements of IELA Members in the field of sustainability.
This award inspires all IELA Members to elevate their commitment to a greener management and social responsibility by highlighting initiatives and innovation.
Companies are rewarded for successfully integrating sustainable practices into their operations and actively promoting sustainability within the exhibition logistics industry.
Winners of this award will be acknowledged as industry leaders, setting a benchmark for best practices and contributing to a culture of sustainability which will bring benefits to the entire exhibition industry.

Download the IELA MEMBERS SUSTAINABLE PROJECT form and briefly describe your application entry by including the requested data in the form.
Prepare a PowerPoint presentation covering the following points:
• Quick background and general objectives, please provide details about the geographical location of your sustainability initiatives and how location-specific factors influenced your sustainability strategy and outcomes (if applicable)
• Description of actions taken, stakeholders involved and results achieved.
• Conclusion: lessons learnt, next steps (if any). Send your completed form and your PowerPoint to the IELA Secretariat at adminiela@iela.org before March 31st 2025.

IELA participated at EIC’s Board & Council Meetings in Puerto Rico
September 4th - 6th 2024
In early September, IELA actively participated in the Events Industry Council (EIC) Board and Council Meetings held in Puerto Rico. This prestigious gathering brought together global leaders in the business event industry to discuss key initiatives and long-term strategies for shaping the future of the sector. IELA’s involvement reflects its ongoing commitment to staying at the forefront of industry trends and contributing to collaborative efforts for growth and innovation
Future Landscape Study: A Global Call to Action
One of the highlights of the meeting was the Future Landscape Study, an industry-wide collaboration led by EIC. Find more information about it in the IELA Industry Relations Working Group report on page 40
The outcomes of the Future Landscape Study will be published in November.
EIC and JMIC: Collaborating for Global Advocacy
A major point of discussion at the meetings was the collaboration between EIC and the Joint Meetings Industry Council (JMIC). Both organisations are committed to advancing global advocacy initiatives that will benefit the business event sector and its workforce. By sharing resources, research and guidance, EIC and JMIC aim to leverage their collective expertise to make a greater impact on a global scale.
IELA at the Global Awards and 75th Anniversary Celebration
EIC’s 75th Anniversary was marked by a special celebration on October 7th, 2024 in Las Vegas, preceding IMEX America. The 2024 Hall of Leaders and Global Awards honoured industry pioneers and innovators, and EIC Members were encouraged to support this milestone event. The evening event gave a memorable tribute to the shared history and success of the business event industry.
Certified Meeting Professional (CMP) Programme
Another key focus of EIC’s ongoing initiatives is the CMP Programme. With over 13,000 certified professionals worldwide, CMP continues to be a hallmark of excellence in the industry. Certifications and re-certifications remain a priority as EIC supports the professional development of individuals across the globe. t

The 39th IELA General Assembly 2024 took place on Tuesday June 25th and saw the election of the new 20242025 Board of Management, including the reelection of 3 Board Members and welcoming four new Board Members. t
The date of the next annual General Assembly was then announced: June 26th 2025 during the 40th IELA Congress in Geneva.
The new IELA Board of Management is led by Sudhir Dhavan from R.E. Rogers India Pvt. Ltd., India.

One of the main highlights of the IELA Congress is its unparalleled networking opportunities, and this year was no exception.
Networking at the IELA Congress was once again more than just exchanging business cards—it’s about creating meaningful connections that make it easier to collaborate and grow. The Membership Working Group (MWG) met in Taipei and welcomed Ziad Harb as the new go-to-person of the Board, taking over from Sandi Trotter
The discussion focused on new challenging projects worth developing. The MEDIATION PROGRAMME has been successfully completed and has become a concrete benefit for IELA Members.
During the Malta 2023 event, Partnering Event (PE) participants were approached to present the benefits of becoming a IELA Member. Good results were achieved with two “White Spot” countries applying (Australia and Sri Lanka). The MWG continued this practice at the Partnering Event in Taipei. Participants were identified and a representative of the Group met them in person during the event.
So far there are no new applicants from White Spot countries . Three have applied from other regions and a couple more are likely to follow very shortly.
The MWG continues screening new applications by applying a very detailed assessment procedure before sharing the results with the Board for final approval or rejection.
Following the Taipei event, the MWG group addressed the subject of coverage in White Spot countries. During the last meeting on September 12th, the draft for a promotional “Join Us Today!“ letter with a video was approved. This will be sent by the Secretariat to a large range of White Spot Countries identified as potential new members.

The IELA Working Groups outcomes
The screening of interested replies will be followed up. Once a careful examination by the Secretariat and discussion in the MWG has taken place, the first step of participating at the PE for certain companies will be encouraged.
Another topic which created heated discussion was weighing up the advantages and disadvantages of the PE. It is a very good revenue stream for the Association but is opened to not necessarily specialised companies who “grab” exhibition business on site. The advantage is that this is a good format to recruit new members well worth being part of the family and strengthening the Association. The more members IELA has who deserve to become members, the better the industry is represented.
Certain measures to be applied were considered by the MWG including the increase of the PE fee for those not becoming members after one
In addition it was also agreed that the MEDIATION PROGRAMME was worth being enhanced with a FINANCIAL PROTECTION PROGRAMME , considered a valuable additional benefit for IELA Members.
This new project is in progress and will be presented to the Board by the end of this year.
The mediation offers support but not necessarily resolves disputes among members which results in payments being held. Real arbitration decides if payment is due in total or only part. The due amount is covered by FINANCIAL PROTECTION if not paid by the debtor. This is the idea of the MWG to be converted into a structured project in December. t

A. EIC Board Meeting & Council Meeting, Puerto Rico, September 4th - 6th:
Future Landscape Study: Global Business Event Stakeholders Invited to Contribute to Future Landscape Survey - Events Industry Council News (eventscouncil.org)
EIC Members and volunteer leaders have embarked on a year-long examination of the critical issues most likely to shape the global business industry in the future.
Specific focus is on how the business meetings industry can impact and influence the most pressing issues for our sector. This is an industry-wide collaboration with all EIC Members and Partners participating as well as key stakeholders. The Future Landscape Study Survey is currently being deployed across the business events landscape.
The Survey asks respondents to rate issues (e.g. accessibility, technology, etc.) in terms of importance and provide commentary each issue cause and effect. IELA has been invited to join the survey, the IRWG endorses the idea of promoting IELA members’ involvement (e.g. via social media). The suggestion will be shared with the BOM for final decision.
The Survey results will be fed into the final report which will be published before the end of 2024. Preliminary results were reviewed during the 75th Anniversary Council Meeting in Puerto Rico.

We are currently working on 3 tasks:
1. Winter Seminar 2025:
Held from January 9 th to 12 th 2025 in Amsterdam. We have discussed the programme and started to plan the lecturers. We are very happy to include new members of our WG who are volunteering to act as speakers. A big thank you to the Sustainability WG who will be part of WS25. The final programme will be launched soon on the IELA website. Further info regarding WS25 can be found on page 21 onwards in this IELA Report. Don’t miss registering your team members to benefit from the experience at this IELA event.
2. IELA Academy is mainly organised by team Sudhir Dhavan, Karla Juegel and Lena Ericson. The E&T WG is involved as our Vice Chair Alessandra will be one of the lecturers. Further info on IELA Academy can be found on page 23 of this IELA Report.
3. An ongoing project is the update on the ITM which is a task our WG members Rajath and Jolanda are taking care of with a team of volunteers. It is an immense task as new chapters have to be added, previous chapters revised and the structure will be a subject of discussion. It is our goal to be able to present you with the updated version in Geneva next summer.

The Standards and Customs Working Group is looking at all possible ways to improve the IELA Standards of Performance Survey - in terms of member engagement as well as qualitative results. We released last September 4th a brief questionnaire to understand the members’ viewpoints and identify scope for improvement in the Survey. In this process it remains important that the essence of the Survey is not lost: members should be able to track their performance year after year to find out how their performance is improving and which areas require more attention. The Working Group will ensure that the key metrics do not change. Any suggestions from members are welcome. Please reach out to any of us from the Working Group to share your feedback.
Since our brainstorming session in Taipei, we have divided the team into 5 sub-groups. Each sub-group will take care of the following tasks: the Survey, Maintaining and Updating the Customs & Venue Files, developing Code of Ethics for conducting the survey, designing FAQs on trend topics to keep members updated & improving the Standards of Performance for Export, Onsite & Domestic Agent
As the Venue & Customs files require periodic updates, we have gone ahead and been inspired by the International Relations Working Group in appointing an ambassador per region. The role of the ambassador will be to coordinate with members from that particular region to keep a check on the latest updates in Customs Regulations, as well as Venue changes. This task remains a WIP.
A further responsibility is to look into the White Papers as well as other Customs related documents hosted on IELA’s website in the Members Area to keep them updated and ready to use. This task also remains a WIP. t

THREE KEY POINTS HIGHLIGHTED WHICH ARE WORTH REFLECTING ON:
COLLABORATION

Effective collaboration is about creating opportunities for deeper, more meaningful conversations. To influence somebody you must focus more on you and them, versus it (“it” being the problem you are looking to solve).
This process begins with a rational connection, driven by curiosity and a desire to understand, and evolves into an emotional connection, rooted in empathy—caring about what matters to those you care about. This forms the very foundation of trust – essential for any influence.
This combination of understanding and empathy also reinforces social proof, a key principle of persuasion. We are influenced by what others “like us” do which strengthens our sense of belonging and trust in a decision. Beyond commercial up-selling, we see this in social approval, like preferring posts with more “likes”, by people we know or trust over strangers.
COMMUNICATING VALUE
The value formula considers the effort, time and sacrifice required to achieve a desired outcome and then weighing them against the likelihood of success. People are not limited by budgets or excuses but by their focus on desirable outcomes, which drives all other decisions. Key questions include: How much effort is needed? How easy is it? How quickly can it be achieved?
Influence can, however be a double-edged sword. Influence, with your own needs at the fore, is simply manipulation. This is illustrated by the famous Milgram experiment, which revealed that many people would obey authority figures even when it conflicted with their conscience, to the point of killing somebody else.

EFFECTIVE COMMUNICATION
Effective communication hinges on our intent to listen, our empathy, and our ability to ask better questions, all of which are crucial for creating change. Meaningful change takes time, requiring a slower pace to build trust and establish consensus.

We encourage you, IELA Members, to be more open-minded and willing to accept and respect differences in race, age, culture and gender. This is your responsibility, whether you are a family-owned business or a multinational. Being more diverse and inclusive makes business sense and creates a company culture that is conducive to employee well-being and innovation. Use the following (as mentioned in presentation) as a guide:
Become a diverse and inclusive leader by building a safe and inclusive company culture:
• Be aware that this will take work and effort on your part, but change starts at the top;
• Be aware of the voices that are absent from the discussion and take measures to address this throughout the employee growth process;
• Ensure that people can share their opinions in all safety without fear of reprisal;
• Be aware of the cognitive bias that may be preventing your organisation from being more diverse and inclusive;
• Make efforts to hire a more diverse workforce and retain diverse talent. Enlarge your pool of candidates by looking for candidates from other sources and introduce mechanisms that will help reduce bias during the selection process;
• Ensure that every team member has opportunities for personal development (including the women within your organisation!);
• Foster a psychologically safe environment where all team members can flourish;
• Ensure that you have compliance mechanisms in place to encourage good behaviour, and valid reporting systems in the case of issues (harassment etc.).
• Use data and individual feedback (anonymous) to measure the effectiveness of your efforts and review if necessary.
• Use external resources if needed to help you. t
It was a true honour to host the 2024 IELA Partnering Event, my first as the newly elected IELA Chairperson. As the 11th edition, this special event brought together professionals from all around the globe and served as a powerful reminder of the strength, unity and resilience of our industry.
During the networking sessions, the collegial atmosphere presented the optimal fertile ground for developing new projects and winning new business partners. The evening events, the Welcome Cocktail and Partnering Event Night, celebrated many years of good relationships within the IELA family and its industry partners.
Together, we navigate challenges, embrace opportunities and build lasting partnerships which will propel us forward. The enthusiasm and energy throughout our meetings reflected the shared commitment to fostering collaboration and driving innovation. It was particularly inspiring to witness the formation of new partnerships and the strengthening of existing ones. I would like to thank everyone who contributed to this success.
As we look ahead to IELA’s milestone 40th anniversary in Geneva in 2025, we are filled with excitement for the future. This celebration will be a significant moment for us all, marking both our legacy and the beginning of a new era of growth and collaboration. t
