Having done the on-site registration for the Congress on Wednesday June 28th, it is imperative that all participants for the General Assembly & Elections register themselves additionally, on Thursday June 29th from 13:30 - 14:00 in the Portomaso Foyer (Level 3) at the registration desk. Registration only for the Congress does not deliver the “voting power” for the GA.

Please remember to bring along the signed proxy form for those who have been named by another member. Registration is not possible without this document.

The General Assembly programme will start at 14:00 with the Welcome Address, followed by the Chairperson’s report, the Treasurer’s report and the External Auditor’s report

The elections for the New Members of the Board of Management will take place after the presentation of the candidates.

All IELA Members will vote the following:

a) New Members of the Board of Management (by secret ballot)

b) External Auditor (show of hands)

ELECTION of EXTERNAL AUDITOR:

Why do we, as an association, require an External Auditor?

Auditors are used to ensure that organisations maintain accurate financial records and statements. An External Auditor is someone who examines the financial records and business transactions of an Association with which he or she is not affiliated.

An External Auditor is typically used to avoid conflicts of interest and to ensure the integrity of the auditing process. When an audit is performed, it is the financial auditor’s responsibility to make sure that records are examined in an honest, professional and forthright manner. t

On Thursday June 29th, the elections for the 4 seats available on the IELA Board of Management will take place during the General Assembly.

We are glad to present the 3 candidates, in alphabetical order, standing for election for a two-year term

Candidates to BOM Elections

Sudhir Dhavan

Sudhir Dhavan is a Science graduate from the University of Pune with a Diploma in Business Management.

Furthermore, he has an UFI EMD and the IAEE CEM. He joined RE Rogers India in April 2010 as their Country Head Sales & Operation and was promoted to Chief Executive Officer within a few years.

With over 27 years’ experience in the Exhibition & Logistics Industry, Sudhir has made a name for himself in marketing and business development planning. As CEO, he has built a team of dedicated professionals, each capable of enhancing the customer base of the company on an all India basis.

He has contributed to IELA by being lecturer, mentor at the Winter Seminar and Operations Summit. He has been Chair of the Education and Training Working Group since 2020. During his tenure he has successfully been part of the Winter Seminar 2021, Operation Summit 2022 & physical Winter Seminar 2023 in Cape Town.

He has been on the IELA BOM since 2021 & is a winner of the Face of IELA award in 2021. t

Dirk Urra

Dirk Urra has been an active member of IELA for several years. Throughout his career in the exhibition and event industry, he has gained valuable experience and a deep understanding of the challenges and opportunities that our industry faces. He feels that he can contribute to the growth and success of our association.

As a member of the BOM, his primary focus will be to support collaboration and innovation by creating a supportive environment to encourage the exchange of ideas, best practices and industry advancements. He believes that by maintaining strong partnerships and embracing new technologies, we can enhance the efficiency and effectiveness of our operations, ultimately benefiting all stakeholders involved.

Additionally, he will advocate for continual professional development for members by promoting educational initiatives and training programmes to ensure their long-term success in this dynamic business.

He asks for your support in this election so that together we can shape the future for IELA. t

Bas Wiendels

Bas Wiendels is an energetic Dutchman and a well-educated international event - and exhibition specialist. He founded Valverde 17 years ago and is appreciated for his experience of over 25 years & his professionalism.

IELA has played a prominent role for Bas in his work. His first IELA Congress in 2000 was held in Edinburgh. He showed his determination and commitment in promoting the IELA Congress 2014 in Amsterdam. Bas hosted the stage for a dynamic forum discussion and he put a lot of creativity into the event to make a memorable event.

Bas has been a Board Member of the Dutch Exhibition Association (CLC/VECTA) for more than 5 years. He knows the drill of being on a Board of Management and taking responsibility, especially shown during the Pandemic.

Bas is a believer in young talent and their contribution in our industry. He is a host speaker at the Amsterdam and Tilburg University of Applied Science teaching young talent the “do’s and don’ts” in our business. He enjoys sharing his passion and passes on his knowledge to next generations in our industry. t

Friday JUNE 30th programme:

Full day programme: Visit the Majestic Capital City, Valletta! Enjoy a tour around the pictoresque streets of Valletta while visiting two of the ‘must do’ places Upper Barracca Gardens, where you will enjoy a spectacular view of the Grand Harbour, and The St John Co Cathedral, where you will also get the chance to see one of Caravaggio’s most famous paintings!

After that, the group will head towards Suq tal Belt (translated to Valletta’s Market) for some refreshments with Malta’s top gastronomical delicacies, and why not, perhaps a pint of local beer or a glass of Maltese wine.

After experiencing the beauty of the Capital City and enjoying some local nibbles, the companions will make their way to the traditional Maltese dghajsa (small boat) for a short Harbour boat tour, and then transport them to the Glorious 3 Cities!

The participants will visit the 3 Cities, especially Vittoriosa its church dedicated to St Lawrence and the historical Inquisitor’s Palace, before having lunch at ‘Wild West’, enjoying views which will awaken their appetite.

Get ready to join a fun day of informal networking in Malta!

Saturday JULY 1st 09:00 -17:00

We will do a tour around Comino in a speedboat, passing by the crystal-clear waters of the famous Blue Lagoon, before we head off to the stunning island of Gozo, known for its historical landmarks, stunning scenery and vibrant culture.

By groups of 4-6 people we will hop aboard tuk tuks and jeeps to start the iPad challenge to enjoy the local rich history (interactive map [with geolocation] to get to hotspot locations, answer all the questions and perform all the required tasks).

The teams will take creative photos and videos with the same iPad to overcome the challenge before we have lunch together at the Country Terrace Restaurant. Return to the Hilton hotel will be organised after lunch. t

IELA has been placed at the forefront of the NZCE initiative and we are very grateful to our contributing members and our newly formed IELA Sustainability Working Group.

In tandem with our UFI/JMIC efforts on sustainability, we have been working over the past 3 months with ISLA, a non-profit organisation devoted to accelerating the event industry transition to a sustainable future.

The cooperation with this year had one main objective: to provide our members with a very high level of support in this process. We started an awareness campaign to create a programme for our members to either start or continue the Sustainability Journey. In some areas of the world, this is currently a very hot topic. In others, it is barely in its infancy.

We believe that we as an association are a catalyst for change. In Malta, we will have the chance to have with us during the General Assembly to discuss the topic together with you and all IELA Working Groups, the pulsing heart of IELA.

Here are 4 of the lessons learned that will help you to understand and identify where to start:

• A science based target.

• Reducing total Greenhouse Gas emissions by 90% before offsetting any unavoided emissions.

1 What is Net Zero?

• This 90% reduction is by 2050 at the latest.

• This 90% reduction needs to take into account the entire supply chain, this means measuring and reducing emissions from all 3 scopes.

• Reductions are in comparison to your baseline year, e.g. 2022/2023.

What commitment to Net Zero Carbon means:

• Before the end of 2023, publish the organization’s pathway to achieve Net Zero.

• Collaborate with partners, suppliers and customers to drive change across the value chain.

• Measure and track our Scope 1,2 and 3 GHG emissions.

• Report on progress at least every two years.

The Future of Part 2

UPDATE ON THE PROGRESS OF THE SUBJECTS IDENTIFIED IN BRUGES JUNE 2022

In Bruges last year we held a session about the Future of IELA . This was based on the question of what is the future of our industry and/or where are we going to be! We all suffered the pandemic and were all forced to rethink our Company, our work but also our life! A lot of changes followed where people thought differently about their work and life balance. It is now also about what people expect from an association like IELA. Speaking short term, there is the focus on what is in it for me, often driven by the necessity of earning money or maintaining the cash flow. In the long term this changes but we as a board are also not sure when identifying expectations. Wanting to know just this, we asked you last year about what you expect from our association in the Future and what do you want back!

This might be seen as being a weak step by the Board to ask members for their input, maybe even naïve and not necessary to discuss within IELA. Maybe there are complaints at the bar…

Putting this all aside, in Bruges we registered a variety of short term benefits raised as topics or wishes. We look forward to our session in Malta where we hope to discuss more deeply the subject with long-term horizons. Regardless of the outcome of the Bruges sessions, the Board will consider each and every subject in depth.

We have completed our Dispute and Mediation Programme and put a procedure in place to accommodate this.

Sustainability / Net Carbon Support

We have teamed up with ISLA to give our members the opportunity to identify a Net zero route as expected by our clients (organisers and venues)

Payment System

As a long term wish, discussion is programmed on the agenda of Malta 2023.

IELA Academy

Existing talent amongst our members has the right to be trained and develop further. In addition to the Operations Summit and Winter Seminar, this year we have put into place the beginnings of the IELA Academy.

New Member Recruitment and Standards

Since the beginning of the Pandemic we have lost a few members. In our efforts to regain members, we hope to find new members and have developed a more standardised and faster procedure.

White Spot Countries as target

We have focused on White Spot countries and the positive results will be presented in Malta.

Examination process of new applicants is being strengthened

The Examination is already strict. There will be more focus on this and the challenges faced with the membership in general.

Consistency in the enforcement of member criteria

The Board has begun discussing an annual review of members which could become part of our future. This will be one of the topics of our session in Malta.

We have set up a Task Force to create a tool to ensure that existing IELA standards are being maintained by members. The feedback was that the Member survey is not a sufficient tool for this process. t

Welcome to the 10th IELA Partnering Event!

We are excited to welcome you on the Beautiful Island of Malta. For some it’s well-known as a holiday resort but you need to know more about its history over more than 5.000 years to understand how the Maltese language originates from 3 different languages. This makes it the perfect place to meet and to build on our network and open doors to a new Future!

Following the IELA General Assembly in Barcelona in 2012 we added 2 extra days to the event for meeting non-IELA members also active in the Exhibition Logistics Industry. This year is the 10th anniversary of this Partnering Event.

It is not a secret that we have lost members during the Pandemic but we still exist!

Following the encouraging participation at our General Assembly last year, we are now back to where we want to be. Partnering plays a crucial role in this as the perfect place to meet new contacts and develop them into new members.

IELA is on the move with more commitment than ever towards our future by involving other Global Associations. The industry has set a Net Zero Carbon Future but to reach that Future the focus is very much on us. We have to come up with ideas, we have to develop a more sustainable footprint. We have to set steps. It must be explained that this will not happen overnight and that change will not be taking place at the same speed everywhere, but these changes create the perfect opportunity to become a sustainable partner in this Future.

So feel welcome, meet old friends who you might not have seen for a few years and be open for the opportunity to make new friends and brighten your network. IELA is giving you the opportunity to open doors to a new future…
