Dear Members,

What a busy start to 2024! It is great to hear many of our members reporting pre-pandemic volumes once again.

IELA has been busy too! Since we met in Malta, we have launched the IELA Academy, the Mediation Programme, Sustainability SMART Awards, organised the 2nd Associations Day and of course, it’s Survey time.

All of these accomplishments are due to our industrious Board of Management and Working Groups. They are the strength of our association. We could not achieve these great results without them. Thank you to all, your dedication and efforts are the spirit of IELA.

The IELA Academy’s first session is scheduled to take place in Gothenburg, Sweden, May 13th to 17th. A major endeavour of IELA, it is the next level in education for our members. Adding depth and insight beyond our Winter Seminar and Operations Summit, it is the higher education of our association and industry. A necessity for those wishing to further their career in the exhibition logistics industry.

The 2023 Survey is available for completion, and I encourage all to fully participate. The survey is one tool we use to measure our standards and to ensure that we are practicing what we preach - that we are the best and the experts. Deadline for all surveys is March 31st

We will continue our efforts with JMIC and UFI on the Net Carbon Zero Events project through 2024 and are again privileged to be a part of this initiative.

It is always our objective to add new QUALITY members, and our membership has grown since Malta, with 10 new members who have joined our fold and will add to our future successes.

And so we look forward to our Congress and Partnering Event in Taipei. A very modern and yet historic city, we are pleased to return to Asia for the first time since Singapore in 2015. We have a great program lined up and some time to experience the true flavour of Taipei. At the time of writing, we have a large number of registrants and are hoping to exceed some prior attendance records.

TIMAR 5TH ACCREDITATION AT THE 1-54 CONTEMPORARY ART FAIR

In close collaboration with E.S.I. Expo Services International, TIMAR S.A. carried out their 5 th accreditation for the 1-54 Contemporary Art Fair in Marrakech by handling and clearing 20 artwork galleries and 70 artists.

Door to door services were offered from advice, crate manufacturing, export formalities, international transport to import formalities, final delivery and handling, including empties processing during the fair.

This event took place in La Mamounia Palace and Dada venue 08th – 11th February 2024 and welcomed 10 000 visitors.

The IELA Standards Survey is divided into three categories:

Domestic Agent:

The Domestic Agent is responsible for transporting cargo from the port of arrival in the destination country to the venue including all necessary customs formalities. He is also responsible to return the cargo to the country of origin after the event.

Export Agent:

The Export Agents represent the exhibitor as cargo moves from the country of origin to the international destination. He also consults the exhibitor on customs documents and gives instructions to domestic agents on disposal of cargo after the exhibition.

On-Site Agent:

The Onsite Agent receives an official appointment from the exhibition organiser and/or venue and is responsible for the transportation onto the booth such as all on-site handling and lifting including storage of empties/full cargo during the Event.

At the Standards and Customs Working Group we help the IELA community understand how they can improve through the performance survey and reward the best performing agents.

Plus we assemble guidelines and white papers which again help agents throughout the world in being better prepared for any show on the globe. Come join us as we need your help to make this continuous, tiresome, and ever-learning process easier.

The new IELA EORI Guidelines

A lot of changes have been made to EU customs, making it more difficult for non-EU companies to deliver exhibition shipments to EU exhibitions because customs handling varies from country to country.

IELA Chairperson 2022-2024, Sandi Trotter, explained that “To assist our members and add some clarity to this evolving situation, the 2023-2024 IELA Board of Management has formed a task force to provide members with guidance and insight into the EORI process. The team, managed by the IELA Education & Training Working Group and with the help of EU IELA Members, worked very hard to find consistencies and coherent solutions for us“.

As a result of an intense work from the IELA Education & Training Working Group led by Ute Wiezorrek, Alessandra Dellavedova, and Paulo Gameiro, IELA proudly released in February 2024 the IELA EORI Guidelines with inputs by country as each country has different regulations.

The availability of an EORI number for exhibitors based in countries outside of the EU and wishing to ship and import goods in the EU Countries is crucial.

During the 2024 OS session on “Understanding the EORI number in the EU” Alessandra Dellavedova shared some knowledge based partly on her experience in dealing with customs formalities for shows in Fiera Milano as well as on the updated 2023 guidance document and EORI National Implementation by the European Commission.

The purpose:

` She explained the EORI number from the customs point of view. Its purpose is primarily aimed at tracking (“I” from EORI stands for Identification) and monitoring the movement of goods across borders and to ensure the appropriate customs duties and taxes are applied.

Who needs and how it is obtained:

Alessandra provided information on who needs an EORI number and how it is obtained: the registration and application process, its release and use, the Invalidation and Deletion.

Different players are involved in the EORI system:

• The European Commission, providing the infrastructure and services for the storage of the EORI data centrally

• T he Economic operators, initiating the Registration process with customs authorities of a Member State

• The Users who have access to some of the EORI data made available by the Euopa web portal and who can check the validity of an EORI number

Exhibitors are sometimes not aware that they need an EORI number. It makes a big difference to have an Exhibition Freight Forwarder who can assist in explaining the purpose, the procedure and the timing to get an EORI number in due time in order to comply with customs regulations, guarantee smooth customs clearance and, last but not least, save money in the short and long term. This is due to the portability and validity of an EORI number which can be used for customs operations for other events in all EU Countries. t

SUSTAINABILITY CASE STUDY

Marta Kupis, Chairperson of the IELA Sustainability Working Group and Sales & Operations Manager at Resa Expo Logistics Spain, presented the Sustainability Case Study, emphasising the critical importance of sustainability, reviewing the negative impacts of climate change and outlining government actions. She discussed IELA’s initiatives to support members in achieving the 2030 and 2050 Net Zero Carbon goals.

Winnee Lim, General Manager Business Development at MITEC, provided a global overview of venues serving the industry before focusing on MITEC in Kuala Lumpur. She detailed MITEC’s exceptional logistics framework, making freight handling and logistics easier. Winnee also highlighted MITEC’s positive impact on sustainability and its ESG initiatives.

SUSTAINABLE PACKAGING

Orphee Beinoglou , IELA Board Member and Member of the Board of Orphee Beinoglou International Forwarder S.A., presented on Sustainable Packaging, covering various types of packaging, including Mushroom packaging for small items. Together with Sudhir Dhavan, they engaged participants in a conversation, gaining fresh insights into sustainable packaging.

DANGEROUS GOODS REGULATIONS FOR AIRFREIGHT AWARENESS

Andrew Michael Danker, Dangerous Goods Instructor at Malaysian Airlines Academy, delivered an enlightening session on Dangerous Goods Regulations for Airfreight Awareness. He covered government and airline variations, the 65th edition of the Dangerous Goods Regulations Manual, different DG items, and the responsibilities of shippers and freight forwarding agents.

TARIFF & SHIPPING INSTRUCTIONS

Bas Wiendels, IELA Vice Chairperson & Director Valverde B.V., The Netherlands, and Lucien Lawson, IELA Board Member & Director Clamageran Foirexpo, France, led a dynamic session on Tariff & Shipping Instructions, categorising participants as Export Agents and Import Agents. They initiated the discussion by defining a TARIFF, and actively involved participants by asking questions and addressing scenarios about Tariff & Shipping Instructions, such as Airfreight Inbound Charges, strategies to avoid hidden costs, and detailed calculations of Onsite handling tariffs.

The focus of our last working group meeting was on the truthfulness of sponsorship forms following the screening of some new applications.

The aim is to raise awareness of Members that sponsoring new entries is a serious matter to be dealt with in a very responsible and accurate way in order to protect the IELA Membership standards.

In the meantime, the WG worked on the new sponsorship form for the Partnering Event’s non-member applicants which replaces the former, very general, recommendation letter.

The new form is now uploaded to the IELA website and accessible for Non-Members joining the PE for the first time.

The Membership Standards Task Force also made further steps: both Chairs and Vice Chairs of the two groups on Standards & Customs (S&C) and Membership Working (MWG), assisted by IELA Chairperson Sandi Trotter, released a new Member Update Form.

This enhanced version, completed every two years, allows a better understanding of standstills in the development of membership requirements and whether a company deserves to remain a part of the Association.

The MWG was also very active with the screening and surveying of new applications, sent out to the Board for final approval.

The results were very exciting and thanks again to the dedication of the Working Group, IELA has already gained 9 New Members and covered 2 new White Spot Countries in 2024. t

INDUSTRY RELATIONS WG

This year we would like to reinforce our commitment as the voice of IELA with other institutions.

Our goals this year are:

1. To have at least one action to share with our local association per ambassador.

2. To review all our MOUs and see if updates are necessary.

3. To identify projects for bringing alive MOUs: like sharing knowledge via presentations on occupational health & safety, security, sustainable operations etc.

4. To develop our annual event which will be: OPERATIONS DAY on December 5th 2024 from 2:00 to 3:30 PM CET inviting venue partners all over the world to discuss about their passions (talent, safety, sustainability, mobility, AI integration etc.) and the future of operations.

To conquer our goals we have already set up a calendar for our 2024 meetings where we will be disclosing important thoughts per Continent. In this way, we will move around the globe and take action together with our Ambassadors.

As Logistics experts we all know that having a route map is easier and more efficient in achieving our goals. We are therefore planning to pre-book our meetings for this year as follows:

After the last two editions of the Operations Summit had to be held online, we were happy to have a physical event this year. In January, 54 students gathered in Kuala Lumpur to learn and network. The main theme was sustainability, which was supported by a case study from the IELA Sustainability Working Group. Three external speakers and 13 speakers from within IELA shared their knowledge with the students. More information about OS24 can be found in the post-OS article starting from page 30 onwards.

With OS officially completed, we are kicking off the planning for the next Winter Seminar, which is a programme for young professionals and newcomers in our industry. WS25 will be held in January 2025 in Amsterdam. During our next working group meeting in March, we will discuss interesting topics which will be of benefit to the students in their daily business to ensure another successful Winter Seminar next year. We will update you with further news on WS25 - at the latest during our Congress in Taiwan.

The creation of IELA Academy has made significant progress since our Congress in Malta. The first IELA Academy sessions will take place in Gothenburg, Sweden in May and August of this year. Under the leadership of Sudhir Dhavan and Karla Jügel, a curriculum covering topics related to exhibitions and logistics has been developed. For more information about the IELA Academy, please refer to page 26

The Education & Training Working Group was tasked with developing EORI guidelines to simplify the process for non-EU members to send shipments to the EU. This process took longer than expected, as the rules even vary within a single country. The EORI guidelines can be found in your private zone on the IELA website. More information on page 24.

The SCWG team has been actively working on the ways to improve IELA’S Standards of Performance Survey, and also encouraging members to participate in the Survey, so that the Survey can reach its objectives of rating the performance of as many members as possible. The Board’s assistance in approving a CHF 50 discount for members who complete the Survey before 31st Jan did surely give a big boost to our efforts. The numbers are already looking very good! Don’t miss out and participate in the survey today!

The WG has also decided to develop a “Code of Ethics” for members who participate in the Survey, mentioning the basic do’s and don’ts. After all, one of the major tasks of our WG is to ensure a transparent and impartial survey, being one to reflect the true performance of a member. Do you have any suggestions? Please write or talk to us.

We have also been working on FAQ’s (Frequently Asked Questions), and the project is now taking shape. The objective is to release a short and simple list of FAQs on trending topics which will help our members to understand the various aspects of both IELA and the International Exhibition Industry. Do you have a topic in mind on which you want us to do an FAQ? Please get in touch with the Secretariat or our team.

Last but not least, a major development is that the Board has given our WG the permission to directly update the Customs and Venues information on IELA’S website. Of course, a due procedure will be followed before we upload any new, or change any old, information. The files will also have a name and time stamp so that the members can know who updated the file and when it was updated.

After the Malta Congress the Sustainability Working Group has been very active. We have continued to collaborate closely with the other 7 members of the logistics workstream. Together, we have formulated guidance aimed at reducing emissions of CO2 and aligning with our common goal of achieving Net Zero Carbon Events by 2050. We have created a Sustainability WG action plan to meet the needs and expectations of IELA Members pointed through our survey. All initiatives are aimed at raising awareness, fostering motivation, and providing education, underlining our belief that real progress towards sustainable development comes through collective conviction rather than coercion.

Our ”Green Challenges” campaign was created in order to reinforce the interest in sustainable development and to share IELA’s commitment to the social aspect of sustainability with membership and stakeholders. We encourage you to participate in the two forthcoming challenges scheduled for March and May.

As part of the education campaign, we introduced the CASE STUDY session to the Operations Summit. All great ideas of of the participants about how to reduce a carbon footprint of the shipments can be found at the Private Area of the IELA website at “Presentations” section.

Furthermore, we are proud that numerous IELA Members have already started their sustainability journey in recent years and the best initiatives and achievements will be awarded during the next IELA Congress. Please share with us your successful actions in the field of sustainability and participate in the SMART AWARD 2024. More details will be published very soon.

In the coming months, our focus will persist on furnishing support and resources to facilitate the formulation of sustainability plans and the measurement and reduction of CO2 emissions by all members. The IELA’s CO2 measurement form and the upcoming second edition of guidelines will be shared with all members in the next weeks. Stay tuned! t
