Dear Members,
We have had a very busy quarter!
The Winter Seminar in Cape Town was a resounding success. Engaged, motivated students, great speakers in a fabulous location! Well done to all the students and to the great Education and Training Working Group who made this all happen. For the second time, we have two Best Students, and they both have been invited to join us in Malta – Liva Zund with Swiss Expo Logistics from Switzerland and Pruthvish Thaker with Siddartha Logistics India Congratulations to both and we look forward to seeing you again in Malta! A BIG thank you to our Secretariat for the organization and seamless flow of the event.
IELA is extremely fortunate to have been chosen to lead the UFI Net Zero Carbon Events Logistics Workstream. It is a true reflection of our importance in the industry. The Phase 3 Outcomes were presented by webinar on February 15th by our very own Sudhir Dhavan. Participant members in the workstream were Orphee Beinoglou (Orphee Beinoglou International Forwarders S.A., Greece) Sudhir Dhavan (R.E. Rogers India Pvt. Ltd.), Garcia Newel (DSV Solutions Ltd, UK), Mariane Ewbank (Fulstandig Shows e Eventos MC
Ltda, Brazil) and Dirk Urra (Kuehne & Nagel,
Germany), Guido Fornelli (Expotrans S.p.A Italy) and Ziad Harb (BCC Logistics Lebanon). Thank you to all for your efforts on this very important project. The project continues and we will keep you informed.
With our push to take the lead on sustainability in our industry, we are continuing to seek ways to encourage our members to take action on this critical issue. Our goal is to provide guidance and tools that will provide assistance as we all move forward. If we are not directing the process, we will be left behind to follow and potentially be forced into mandatory regulatory requirements that we must comply with. More on this in the coming weeks.
We are getting close to the Congress and Partnering Event in Malta. A very exciting location for our next meeting. We have taken your suggestions from our Future of IELA session in Bruges and have changed the programme to include more networking time and some reduced content. As well, we are very fortunate to have secured an excellent Keynote Speaker which we hope will add value to the experience. Register now to take advantage of the amazing experience we have planned for you!
We have had a strong start to 2023. Let’s work together to keep it strong and push it along!
See you in Malta! t

Sad news! IELA’s last original founding member, Mr. Jean-Paul MOSER, passed away on March 16th.
JP organised the 1st IELA Congress (1986) as well as the 10th (1996) in Montreux CH.
10 Years later (2006) he organised the 1st Seniors Club gathering, also in Montreux.
He remained treasurer of the Seniors Club until 2020. His last participation was in Praha 2019.
Due to mobility problems JP couldn’t participate at the last Dresden gathering (postponed from 2020 to 2022 due to Covid).
Jean-Paul was a warmhearted, friendly, always positive, good living person. A wine expert & lover, taking care of his own vineyards.
We will cherish happy memories of the enjoyable moments we shared with JP and his wife Jacqueline.
We transmit our deepest sympathies to Jacqueline and the family.

SENIORS CLUB
IELA Seniors Club meets in Dresden
DRESDEN, GERMANY, APRIL 28th TO MAY 3rd 2022
After the IELA SENIORS CLUB meeting had to be cancelled for two years due to Corona, the 15th gathering could finally take place in Dresden from April 28th to May 3rd 2022.
Dresden was a HighlightThe programme was intensive!
Surrounded by the river landscape of the Elbe, Dresden is not only picturesquely beautiful, but also offers unique sights to see as the former residence of the Saxon king. A guided tour through the historic Old Town, the Zwinger, and the Residence Palace with the Green Vault (from which valuable jewels worth several hundred million euros were stolen three years ago from the collection of the Saxon King August the Strong). Then there is finally the Frauenkirche, which was completely destroyed in the Second World War and rebuilt true to the original with donations from all over the world. As a memorial, the Frauenkirche stands symbolically for the madness of war - today more topical than ever.
We could then recover from the many impressions of the day in the ancient vaulted cellars of the Dresden Ratskeller with traditional Saxon specialities. Great fun - especially for the international guests.
The next day was a visit to the Saxon Switzerland National Park. Germany’s only rocky national park is only an hour away. The picturesque, rugged, Cretaceous erosion landscape of the Elbe Sandstone Mountains with its fascinating microclimate holds a real treasure of rare animal and plant species. On the way back, some of the famous Elbe castles could be visited before the last stage of the tour to the spectacular old town scenery of Dresden with a historic paddle steamer. The crowning finale was then that evening with a dinner in the excellent restaurant of the Bülow Palais in the historic baroque quarter of Dresden.
A special occasion was offered to members to end the official part of the programme: An opera in the usually sold-out Semper Opera House - undoubtedly one of the world’s most beautiful opera houses. Most did not miss this unique opportunity and enjoyed the opera “Tosca” by Giacomo Puccini. t
The next meeting is coming up late April 2023. The group will explore Porto and the wine region along the Douro river.
The 2024 destination has already been set: it will be Athens!
The IELA Seniors Club would like to express its gratitude to the Sponsors. Without their loyal and generous support, these gatherings would not be possible. From the very beginning, sponsored without interruption by the respective IELA BOARD since 2008, the meeting of the IELA seniors has been able to firmly establish itself. Hans Brauchli’s idea of maintaining friendships following the active IELA period lives on and has become a permanent fixture in the annual calendar. It was particularly pleasing that Alice Brauchli and her daughter Bea were also able to be present in Dresden. Perhaps these few lines will encourage new “seniors” to join the IELA Seniors Club.
THANK YOU!

It is time for IELA’s STANDARDS OF PERFORMANCE SURVEY 2022!
The IELA Best Performance Awards: Delivering Excellence which improves Standards of Performance
WHY:
IELA is an association with worldwide coverage devoted solely to the movement of goods to and from exhibitions. All IELA Members are required to operate strictly within the parameters established in the IELA Standards of Performance for Export, Domestic and On-Site Agents, as well as conforming to the ideals of the IELA Code of Ethics
By choosing an IELA member as your partner you have the assurance that you will be dealing with a company that can call on a global network of partners covering all the major fair sites throughout the world - all of whom are professionals in the exhibition logistics industry.
HOW DOES THE IELA SURVEY WORK:
The IELA Standard of Performance Survey is carried out annually via the IELA Website to evaluate the services provided by IELA Members.
Every year, IELA invites all its members to evaluate the services that other IELA Members have supplied to them during the previous year. This is achieved by carrying out the IELA Standards Survey.
The data gathered is analysed to produce benchmarking averages which inform members on whether their services are above or below the IELA average, according to the opinions of their industry colleagues.
The IELA Standards Survey is divided into three categories:
Domestic Agent:
The Domestic Agent is responsible for transporting cargo from the port of arrival in the destination country to the venue including all necessary customs formalities. He is also responsible to return the cargo to the country of origin after the event.
Export Agent:
The Export Agents represent the exhibitor as cargo moves from the country of origin to the international destination. He also consults the exhibitor on customs documents and gives instructions to domestic agents on disposal of cargo after the exhibition.
On-Site Agent:
The Onsite Agent receives an official appointment from the exhibition organizer and/or venue and is responsible for the transportation onto the booth such as all on-site handling and lifting including storage of empties/full cargo during the Event. “
Why it is important to participate in the evaluation of your counterparts:
It is important as this data can help business development. IELA Members can not only address problems or a lack of quality in services of their counterparts, but also identify areas for improving their own business. The Standards Survey is a good opportunity for IELA Members to check if their own perception of how they are performing as a member company matches that of their peers who evaluate their performance. The survey includes 7 to 8 questions per company, depending on the category, so isolated low scores can help identify deficiencies to work on.
At the Standards and Customs Working Group we help the IELA community understand how they can improve through the performance survey and reward the best performing agents.
Plus we assemble guidelines and white papers which again help agents throughout the world in being better prepared for any show on the globe. Come join us as we need your help to make this continuous, tiresome, and ever-learning process easier.
12 IELA}}REPORT99 • IELA News SKILL, RESKILL & UPSKILL
Please take note that there are three distinct categories of services for three different awards (Export, Import, and On-Site Agent) available, and a company may offer one, two, or all three. Therefore, you may want to vote for the same company but in different categories.
The 2022 IELA STANDARDS OF PERFORMANCE SURVEY was launched on Wednesday March 8 th 2023 and will end April 30 th .
This year, the Standards & Customs Working Group and the Board of Management have slightly modified the questions in order to make your review easier.
All IELA Members who have an On-Site Agent profile have been requested to send as proof of onsite appointment:
• Their official Onsite Appointment Letters for 2022
• The exhibitor´s manual with their company listed as the designated On-Site Agent,
Without these documents, the performance will not be able to be reviewed and the company will not be able to win the Onsite Agent Award even if they were voted best Onsite Agent by their IELA peers.
To qualify for the IELA Award , the IELA Member companies must participate in the annual IELA Standards Survey to evaluate their counterparts, and they must have received at least 7 surveys outside their own company group to qualify them for the IELA Award . t

Re-Thinking Exhibition Logistics
Collaboration is THE success factor to enable & make change thrive
IELA leading the Net Zero Carbon Events Logistics Workstream
The Net Zero Carbon Events Initiative hosted by the Joint Meetings Industry Council (JMIC) aims at connecting the event industry globally to achieve net zero events by 2050. The exhibitions sector is just one of the industries contributing to vast amounts of CO2 and waste creation. The industry as a whole must find a way to transform in order to function more sustainably.
The Net Zero Roadmap for events provides a framework for consistent & collaborative action toward achieving this goal, working on 5 Industry priority action areas:
• Energy
• Production & waste
• Food waste
• Freight & logistics
• Travel
In the words of the IELA Chairman Sandy Trotter “We don’t want to be carried along, we want to be leading it..... Sustainability is here, it is not going away. We need to be part of this, and we need to be part of this now.”
IELA is thrilled to be leading the Logistics Workstream, rethinking Exhibition Logistics, together with 18 active members: Easyfairs, Informa Markets, Tarsus Group, ExCeL London, JMIC Joint Meetings Industry Council, Greenview, Freeman Company, and the following IELA Members: BCC Logistics Lebanon, DSV Solutions Ltd UK, Expotrans S.p.A Italy, Fulstandig Shows e Eventos MC Ltda Brazil, Kuehne+Nagel, Germany, Orphee Beinoglou International Forwarders S.A. Greece and R.E. Rogers India Pvt. Ltd.
The Logistics Workstream of the Net Zero Carbon Events roadmap focuses on identifying areas for developing and creating bestpractice working environments by reducing the carbon emissions associated with logistics at exhibitions. This includes everything from the transportation of exhibits, exhibition materials and stands to the sourcing of materials and equipment for exhibitions.
In this workstream, IELA is identifying opportunities to optimize logistics and transportation routes, reduce single-use plastics and other disposable materials and source more sustainable practices, equipment, products and services.
By collaborating with exhibitors, event organizers, venue owners, logistics providers and other stakeholders, IELA can make meaningful progress towards a more sustainable future for exhibitions.

Collaboration through the ecosystem as the success factor! t
Interview: Sudhir Dhavan
IELA BOARD MEMBER
How would you qualify the involvement of IELA in this collaborative project?
IELA’s involvement in this project is right on top in the exhibition world’s ecosystem. This is instilled by many, if not most, of our members via their logistics workstream and approach.
For me, the involvement started some years back but was strengthened at our previous Congress in Bruges, where the great session on the “The Net Zero Carbon Transition” was held. We addressed the membership on the immense importance of the transportation industry in reducing carbon emissions to the absolute minimum over time.
This was also aptly explained by UFI’s Christian Druart and Greenview’s Olivia Ruggles-Brise who stressed that we should reduce our greenhouse gas emissions to the absolute minimum over time. Those who cannot eliminate can neutralise - meaning you capture and store emissions so that they are essentially no longer in the atmosphere.
For implementation within IELA, we’ve had several meetings where key members have contributed towards several rethink areas to be followed up in detail to find short, medium and long term solutions in delivering the most sustainable results for best practices, patterns and technologies.
How will the IELA Membership benefit from this initiative?
The overall NZCE is to focus on identifying areas for developing and creating the healthiest working environment for reducing the carbon emissions associated with all aspects of logistics in the exhibition industry. What better benefit can our membership have than achieve such an environment!
Furthermore, by identifying the right practices and opportunities to upgrade the global environmental ecosystem, we shine out in the eyes of our customers and other major stakeholders - and this will benefit all IELA members in the long run.
Why is it important that all IELA Members get involved in this journey to NZCE?
Looking at current climatic changes and related effects worldwide, it is the moral responsibility of all IELA members to get involved. We do this not just for our benefit, but for the well-being and survival of our future generations.
Furthermore, it’s important to know that the current initiative of NZCE is a worldwide drive by all the exhibition industry stakeholders. IELA must therefore not only be a part of this drive but be a leading force in it. t

Get involved
Future actions & action plan
The impactful power of education & training
The first fundamental step to change is for all IELA members to obtain basic knowledge around sustainability in general, as well as the trends around green logistics.
As continuous education on the subject is essential and to keep track with new developments in technology, best practices and local/international legislation and regulations, it was decided to create a series of educational webinars and encourage our members in each continent to join in and receive the necessary information.
The impactful power of communication
Exhibitors, event organizers, venue owners and goods & service providers are integrated parts of the supply chain. If we want to make a real and impactful change, getting them on board and giving them the relevant tools to develop their own initiatives is mandatory.
We must create effective communication channels by way of scheduled meetings within the IELA organization as well as with the outside stakeholders (UFI and others).
CHALLENGES
Some of these actions cannot be implemented for free. For example, replacement of diesel engine vehicles with electric/hydrogen ones will come with a cost, which will affect not only the IELA community, but also their subcontractors. How many of the transportation companies will be willing to go forward with this?
Technology and infrastructure development needs to advance further. For example; the availability of electric chargers and hydrogen fuels are still very scarce, the grid
The impactful Action Plan
> Implementing what we learned as the start to building the foundations of the path to net-zero.

> Measuring the results of the implemented actions as the reward for all parties involved which will act as a turning point to continue the efforts towards carbon neutrality.
> Defining and addressing the social concerns in our long term strategy, taking care of people’s health and wellbeing, creating an educational structure within our sector and reducing financial and gender inequality.
> Identifying a benchmark status and make short-term, medium-term and long-term plans and a road map which will lead us to the desired results.

Tangible numbers of where we are on carbon emissions of events/events logistics are required (i.e. measuring the baseline) prior to implementation of actions aimed at reduction. This will highlight the most significant sources of emissions, therefore allocating efforts, time and resources to reduce them accordingly. t

IELA partners with to deliver training and inspiration to fuel members’ journey to Net Zero
Sustainability is a complex global issue - not a single company problem. This is why it is so important that everyone across our industry works together to achieve more at the scale and pace needed by our planet.
IELA and isla have partnered together to accelerate the knowledge and understanding of their members around the importance of working towards a Net Zero future. Through a series of webinars and roundtables, we aim to empower IELA members with the confidence and knowledge to begin building sustainability into their daily practices.
Sandi Trotter, IELA Chairperson, said “Sustainability is here and it is not going away. It is imperative that IELA is not just part of the change but it is leading the change. To help drive this mindshift within our membership, we have chosen to partner with isla who are very much aligned with our own commitments. isla’s expertise will support our members and enable us to collaborate and lead the way in making positive change in our industry. ”
Who is isla?
isla is the UK’s most trusted, independent industry body offering the event sector thought leadership, data driven insights and empowerment tools that define a successful pathway to net zero emissions for all industry stakeholders.
isla is founded by event professionals to serve the events industry, making sense of the science in real-terms.
Having grown from the 12 founding members in 2020 to over 175 event businesses, isla has upskilled more than 1600+ individuals through their training programmes.
isla will work with IELA to share best practice and provide guidance and training to support the organisation’s journey towards Carbon Net Zero 2050. Anna Abdelnoor, isla CEO and Founder, said : “The unseen backbone of the events industry, the logistics network has a vital role to play in supporting sector sustainability. Through our partnership with IELA we’re excited to drive multi-sector collaboration on transformation for net zero.”

The March of Advancing Technologies
By Cathy Breden, CMP FELLOW, CAE, CEM, CEO, CENTER FOR EXHIBITION INDUSTRY RESEARCH
Consider this: by 2030, according to futurist Rohit Talwart, AI’s (artificial intelligence) potential contribution to the global economy will be $15.7 trillion. To provide some context, the U.S. deficit in 2023 is estimated to be $1.4 trillion. Microsoft is investing $108 billion in OpenAI, the company behind ChatGPT. Billions of dollars are being invested in the metaverse, and once Web 3.0 is fully developed, we will have a better understanding of the impact of these technologies.
As is the case with any emerging technology, there are opportunities and risks. I do not pretend to understand all of these technologies, but I know enough to see that there are opportunities and risks for the exhibitions industry. The opportunity comes from using these emerging technologies to the benefit of your events. The risk is doing nothing. As an example, one application is using AI for a better understanding of how to leverage AI to
create personalized experiences for your attendees.
Digital transformation and digitizing content is especially important, and companies are hopefully investing in their technology infrastructure to prepare for emerging technologies. Many organizers will courageously be in the forefront of innovation. Does your software have AI capabilities, and if so, how can they be used to your show’s benefit?
In order for trade shows to continue their success, organizers must prioritize data literacy and capabilities. If no one on staff has the skills, experience and knowledge, hire a contractor that does. Remember that one thing that holds true today is the ability to provide metrics that provide proof of value for trade shows to exhibitors and attendees. There will be, and are, other ways for them to connect. Leverage technology for your benefit. t

The next Membership Working Group meeting is scheduled for April 19th
Not only new member applications will be reviewed but also other interesting topics will be discussed and shared with Sandi Trotter, go-toperson from the Board and participating at the meeting. Sandi is likely to shake members for more active contribution and output release.
In the meantime, a number of new member applications have both already been surveyed by the Group and are going to be surveyed shortly. This is a significant restart and is very promising to fill the gap of Pandemic departures.
Before each survey is started, MWG-Chair Alessandro Conte (EXPOTRANS Italy) together with Vice Chairs Marzena Zawadzka (UNIVERSAL EXPRESS Poland) and Eran Tamir (ICL Israel), always carry out a careful check of provided data and report to the Secretariat for added information and clarifications which must be included from the applicants before polling. A more intensive consultation of concerns and remarks within the complete MWG before polling takes place with the aim to complete the surveys conscientiously.
Interesting issues have been discussed, for example does participation at a minimum of one Partnering Event before new member application become a requirement? There are pros and cons to be discussed in the next MWG meeting before raising the proposal to the Board.
A Mediation Programme project to support resolution of disputes between IELA members applying for that service is currently behind schedule but still in progress and targeted to be on track with a proposal ready to be sent over to the Board for evaluation by the end of March. t

The IRWG has planned to have 2 to 3 digital meetings in March – April and May prior to the in-person meeting at the IELA Annual Congress in June 2023 in Malta.
We are proud to continue building bridges between IELA and all key players of the exhibition industry worldwide.
On behalf of our existing ambassadors and new ones in their respective country, we will continue “together strongly” worldwide to share with our local associations the same common goal: Sustainability.
As the IELA Sustainability Working group is now launched with its first group meeting on March 2nd 2023, the links between our two groups is obvious in order to share all our work and accomplishments with our local associations.
‘’The Journey to NET ZERO CARBON‘’ was initiated at the IELA annual Congress in June 2022 in Bruges and will continue for a while to be one of the major topics of the IRWG, and of course for IELA.

CONGRESS The IELA Working Groups outcomes
After the last Winter Seminar in 2021, which had to be held online, we were happy to organize a physical Winter Seminar again, which exceptionally took place in Capetown / South Africa. 31 students from 18 countries benefited from a 3 day programme which was 100% funded by IELA and which ended with a fantastic day out on a safari. Together with the enthusiastic people from our working group, we were able to create a brilliant programme with internal and external speakers from around the globe. More info can be found in the article about the Winter Seminar from page 20 onwards.
Now that the Winter Seminar is officially over, we have the Kick Off for the next Operations Summit. In our WG meeting on February 20th, we already started discussing about OS 2024, which is scheduled to take place in January or February 2024. The possible location, OS theme , topics, timeframe, … are all items we have to decide upon to present an interesting OS format!
This will be the big challenge lying ahead of us. We will update you on the latest with further news on OS2024 at our Congress in Malta.
An additional task ahead is the IELA Academy. We are currently brainstorming about possible topics and seminars so that we can create a programme, which then has to be put to life with an external consultant.
Last but not least, our ongoing process is the update of the IELA Training Manual (ITM), where topics are updated and new topics added.
Our E&T WG team is very passionate in raising educational programmes for IELA members and their staff, but to organize such events and programmes, it is important to have team members who are willing to support. We are therefore inviting all members, who also see the necessity of such events, to join our Working Group, bring in fresh ideas and assist us that we can keep on going in what we think is important for our staff. t
