Re-energising Southern Sun Resorts

Interview with Deon Viljoen (DV), Director of Operations, Southern Sun Resorts, November 2012 Ed: Deon, please confirm that Southern Sun Resorts has recently ‘broken the mould’ (internationally, nogal!) with its approach to resort refurbishment? DV: (laughs). Yes well, put like that, I suppose we have! Ed: So modest! You were recently interviewed by the USA based magazine “Developments” after your presentation at the 2012 American Resort Development Association (ARDA) Conference held in April in Las Vegas. Tell us more. DV: In order to maintain owners’ ROI and meet their holiday experience expectations, each property has to undergo regular refurbishments. The trend is to use pre allocated “maintenance weeks” and refurb a specific area at a time. This often takes place over several consecutive years and impacts negatively on the guest experience especially if it is a major revamp. We don’t want that!

Ed: So how has Southern Sun Resorts overcome this? DV: We have implemented “repositioning” refurbishments.

Beacon Island. After operating for nearly 40 years, the resort was closed for 11 weeks. Only the concrete shell remained - everything else was replaced or refurbished.

Ed: And this means? DV: Closing the resort for a complete overhaul of structural systems such as the supply of electricity, the provision of hot water, the removal of sewage as well as softs, look and feel upgrade. A re-energising process, it gives us the opportunity to introduce environmentally friendly systems. Many of our concessionaires (restaurants, shops, retail outlets etc.) choose to upgrade their facilities at the same time.

uMhlanga Sands Resort followed. An amount of around R60 million was invested in the building (237 rooms). We have already seen a 40% saving on electricity kilowatt hours.

Ed: What are the benefits of a repositioning refurbishment? DV: There are many! It just makes sense; contractors can work longer hours; they don’t need to worry about disturbing guests or neighbours, especially in a high rise area; the parking area can be used for the storage of materials; guest lifts are available. The list goes on…

Next on the calendar is Cabana Beach resort. This 217 room resort will close from 6 April 29 June 2013 for a R100 million upgrade after which it will compete with uMhlanga Sands Resort and Beacon Island Resort for the title of “The most energy and water efficient resort in South Africa!” We expect our owners to be delighted with the LED lighting systems, flat screen TVs, over 400 complete new bathrooms, carpets and curtains and new air conditioning.

Ed: It sounds a logistical nightmare! DV: It could well be but we make use of an experienced Project Management Team – or in the case of Cabana Beach, 3 colour coded teams – that works according to a strict schedule and budget. Of course, this is scheduled for low occupancy times.

Ed: What can Southern Sun Timeshare owners expect during 2013? DV: (smile). We want to engage with our owners. We want them to communicate with us – visit us, phone us, send a sms, email or a letter. Use Facebook, Twitter, our websites or visit us personally at the resorts. Only through communication with our guests are we able to understand their needs and respond accordingly.

Ed: How is a massive operation like this funded? DV: Funds in the replacement reserve are used or a special levy is raised.

Ed: Deon, thank you for your insights into the timeshare market and congratulations on the innovative job you and your team are doing.

Ed: And the impact on owners? DV: Owners’ weeks are deposited for use during the following three years. An interesting trend at Beacon Island Resort is that its repositioning refurb has generated a stronger secondary market – younger families with children.

Are you getting the full benefit of your timeshare? power with one exchange company. These were a couple of the initiatives which we introduced during the year. Ed: Split weeks? As in weekends and mid weeks? PP: Yes. Traditionally an owner could only deposit a full week (unless they’d purchased in a resort offering split week sales). If they wanted to use only the weekend or midweek portion, they would have to deposit the entire week first and then exchange the days they required. Or they would use the days they wanted and forfeit the rest. Owners can now deposit their unused portions resulting in additional holiday experiences.

Ed: What are the benefits of using one exchange company? PP: Owners’ points are pooled in one place. Owners are reassured that they have sufficient points with one company to book their exchange of choice.

Ed: Peter, thank you for the opportunity to discuss SunSwop with you. The company has been operational for just on four years and is continually growing. As the General Manager, what are your responsibilities? PP: Hmm, that’s a leading question! I am responsible for ensuring the successful operation of our exchange company. The role has many facets; my main responsibility is to ensure that we provide our members with a service that allows them to successfully exchange the weeks they own into a selection of quality resorts in an effective, cost efficient manner.

Ed: Given that the average time share owner is fifty plus, married and has older children, what trends are you seeing? PP: It’s really interesting to see that as family dynamics change, owners frequently exchange back into their “home resort” but at a different time of year. Since starting our call centre in 2009 we have processed 60 000 transactions for SunSwop members. 87% of the exchanges done were back into Southern Sun Resorts and the rest were external domestic and international properties.

Ed: Tell us about the highlights for 2012. PP: Well, in response to requests from members, our “split week offer” has been well received. Also, members who own weeks at selected “external” resorts can deposit those weeks with SunSwop thereby consolidating their trading

Ed: Working with members must provide some interesting moments. How do you monitor customer satisfaction? PP: Working with members is definitely interesting! We are focused on delivering exchanges and ensuring we deliver quality

service when doing so. We undertake on-going member satisfaction surveys to ensure that we are meeting our members’ expectations. During 2012 we surveyed 2500-plus members who transacted with us and received a customer satisfaction rating of 83.5% Ed: And the target for 2013 is? PP: (Laughs). We are constantly striving to improve our service levels and 2013 will not be any different. Ed: In closing, and in your opinion, what is the most substantial benefit of making use of SunSwop? PP: That’s easy! The ability to exchange back into Southern Sun Resorts. Also, we have not increased our exchange fees since we started in 2009. Frequently asked questions How do I deposit my week with SunSwop? Simply contact the SunSwop call centre and ask them to deposit your week. Remember that your levy will become payable when you deposit the week if its commencement date is more than 90 days away.

2013 occupation would be valid for exchange redemption until the end of 2015 (the accommodation being exchanged into needs to fall within this period). SunSwop Choices members receive an additional year on the lifespan of deposited weeks.

If I own a week at a resort that is not a Southern Sun Resort, can I deposit it with SunSwop? Yes, you may deposit weeks at selected other resorts with Sunswop. Contact our Head Office to see which resort deposits can be accepted.

Can I cancel the deposit of my week? No, you can’t. By depositing your week with SunSwop you have relinquished the right to occupy it, and that week may be assigned to another member prior to the submission or fulfilment of an exchange request made by you.

Am I able to deposit only a portion of my week at my home resort (e.g. a weekend or midweek) with SunSwop if I wish to occupy the other portion? Since 2012 you have had the option to deposit only the portion of the week that you will not be occupying. For example, if you wish to occupy the weekend portion of your week at, say, Drakensberg Sun, you would be able to deposit the remaining midweek portion with SunSwop and receive the relevant trading points for this midweek. This needs to be deposited in advance to receive applicable points according to the SunSwop Trading Points table in this directory. Note that weeks are split into weekends and midweeks according to what resorts allow. Thus, Friday check-in resorts have a three-night weekend (Fri, Sat and Sun) and a four-night midweek (Mon, Tues, Wed and Thurs). Saturday checkin resorts have a two-night weekend (Sat and Sun) and a five-night midweek (Mon, Tues, Wed, Thurs and Fri). Peak weeks cannot be split, and need to be deposited in their entirety.

Up until how long before the check-in day can I deposit my week? You can deposit your week with SunSwop up until two months (60 days) prior to occupation without incurring any penalty. Should you deposit your week within 60 days of occupancy, you will lose a percentage of your SunSwop trading points.

What is the lifespan of my deposited weeks? Your deposited weeks are valid for the year of occupation and two additional calendar years. For example, a deposited week with

Will I receive extra points for banking my week early? Yes. All weeks deposited up to 120 days prior to the start date of that week will receive 10% extra trading points against that deposited week. Points percentages received for depositing are as follows: • Up to 120 days prior to occupation: 110% • 119 - 60 days prior to occupation: 100% • 59 - 40 days prior to occupation: 80% • 39 - 20 days prior to occupation: 60% • 19 days or less: 0% What are SunSwop Trading Points? SunSwop Trading Points are the currency you receive when depositing your week with SunSwop. The number of points you get is based on various factors – for example, the resort at which you own, the size of your unit, the unit’s amenities, the season in which you

own, the facilities offered at your home resort, and so on. How do I go about requesting a domestic exchange? Once you have deposited your week with SunSwop, we recommend that you select a minimum of three resort destinations, as well as three different dates, to increase the likelihood of securing your accommodation request. We also recommend that you request your exchange holiday as far in advance as possible to ensure that we are able to secure the accommodation you want. Can I request multiple exchanges in the same year? Yes. As long as you have enough SunSwop Trading Points deposited on your membership file, you can request multiple exchanges in the same year. Can I request multiple units in the same resort? Yes. If you have enough SunSwop Trading Points deposited on your membership file, you can request multiple units in the same resort. Can I reserve consecutive weeks at the same resort? Yes. As long as you have enough SunSwop Trading Points deposited on your membership file, you can request consecutive weeks in the same resort. Can I do midweek and weekend exchanges? Yes. If the resort into which you wish to exchange allows split week exchanges, you will be able to request either midweek or weekend accommodation. The SunSwop Trading Value Guide in this directory will highlight whether or not resorts allow split week exchanges. Can I give my confirmed reservation to a friend or family member?

Yes, you can. Simply request a Guest Certificate from SunSwop (R50 per Guest Certificate) in the name of the relevant person. It is important that the arriving guest matches the name on the resort’s reservation system. The resort reserves the right to turn guests away if the name on the confirmation letter or guest certificate does not match the name on the reservation system. When do I pay the exchange fee for my domestic exchange? You pay the relevant fee for domestic exchanges upon confirmation of your reservation. Can I exchange into peak time if I do not own a peak week? Yes, you can. As long as you have the required number of points for the desired exchange, you can exchange into a peak week. Can I do split week exchanges in peak times? No. Exchanges into peak times can only be done in seven-day intervals. Can I rent out my confirmed exchange or Bonus Week? No. You may not rent out confirmed exchanges or Bonus Weeks for financial gain. Failing to adhere to this rule could result in the termination of your SunSwop membership. What are SunSwop Bonus Weeks? These are weeks within SunSwop which you can take without using your deposited weeks. Call SunSwop on 0800 983 067 to enquire about SunSwop Bonus Week availability and pricing. What exchange fees will I pay when I use SunSwop? Exchange fees for 2013 are as follows: • into another Southern Sun Resort: R395 • into another resort in South Africa which is not a Southern Sun Resort: R699* • into an International Resort: R1460*

C O N S U M ER A L ERT ‘VOASA’ advises consumers to exercise extreme caution when being approached by companies claiming to be part of a class action against timeshare clubs and exchange companies. These entities are aggressively marketing their services to timeshare owners via emails, newspaper advertisements, etc. Currently no statuary legislation in South Africa exits which would permit ‘class actions.’ A court application is required to engage the formation of a group of persons and the criteria is strict. Any timeshare company within the borders of South Africa cannot be included in a class action subject to a foreign court i.e. USA, United Kingdom. or Europe, without that court including the South African jursidiction.

There are no such pending class actions We again urge timeshare owners to only make use of VOASA registered companies. In order to be registered with VOASA they have to comply with the relevant law and regulations applicable to their business and they would then also have to hold current fidelity fund certificate from the Estate Agency Affairs Board (EAAB). So, if in doubt, ask to see their VOASA membership certificate and their EAAB fidelity fund certificate, or check the ‘members directory’ on the VOASA website www.voasa.co.za. And remember, if it sounds too good to be true, it usually isn’t a good idea

TRADING POINTS GUIDE To use your trading points you need to know the value of the week that you own. To find this, you would need to go to the relevant page in this directory which reflects the calendar and points value for the geographical region in which your resort is located. It is important that you know the week number and the size of the unit which you own.
