Major Events International (MEI) exists solely to support the world’s major and mega sporting events improve their safety, security, fan experience and commercial potential. We do this by making critical connections and encouraging knowledge sharing. Key to this is the support of the best suppliers in the business: they help events mitigate risk, minimise cost and maximise revenues. Our MO is to provide a consultancy service; to organise Summits for delegates to learn from world class speakers; to arrange trade missions and market visits (connecting our ‘best of breed’ members with event organisers and specifiers), and also by publishing best practice in our annual Major Events Handbook. To complement the Handbook we produce this online Digest of features showcasing insights we have gained over the past few months, and showcasing some of the best practice that our members have implemented at events across the world. We hope you pick up some useful tips and ideas; I would value any feedback you are able to provide. Our aim, like that of our members, is to constantly improve the service we provide to our clients and contacts. Please feel free to email me with any thoughts or if you would like more information on joining our network of suppliers that are constantly raising the bar to provide fans with safer, richer and more engaging live sports events.

Max WiFi provide Wi-Fi to Netball World Cup 2019 Max Wi-Fi
July saw Liverpool host the spectacular Netball World Cup 2019 (NWC2019) and Max WiFi, suppliers of world class Internet solutions to the events industry, were selected to provide spectator WiFi to the capacity crowd of 7000 within the M&S Bank Arena. The collaboration between Max WiFi and the NWC2019 Team was formed at the MEI Summit held in Liverpool the previous year. Jane Brown Head of Tournament Operations commented “the relationship between Max WiFi and NWC2019 has been superb and the brief has been matched exactly”. Max WiFi worked very closely with both the technical team at the M&S Bank Arena and Bob Caple, the Technical & Broadcast Manager for NWC2019. The installation involved designing and manufacturing bespoke mounting brackets that were then installed in the roof space allowing WiFi Access Points to hang beneath the lights and speakers to increase coverage and to reduce interference. “We developed such a close relationship with the venue and everybody knew how important it was to make the WiFi network a success that we were given permission to install the equipment 3 months ahead of the tournament” commented Barny Bidwell, Max WiFi Senior Network Architect. This allowed for testing and tweaking to ensure the best coverage possible.
It’s critical when designing a network to facilitate density and coverage. So many devices and people in such a small space creates many technical issues for WiFi so each of our Access Points carried a directional antenna allowing us to focus each antenna on to a group of 50 seats and thereby ensuring that everyone had a good experience. This meant that during the event we dealt with 21,115 unique clients who downloaded 16Tb and uploaded 17TB of data in just 9 days. Director, Richard Hughes, said “The NWC2019 presented significant challenges as WiFi for 7000 people and their multiple devices is very difficult to achieve. However, working alongside the IT team at the M&S Bank Arena, we were able to form a virtual IT Team that created the essential time to plan, test, develop and finally deploy a world class WiFi network to support a world class sporting event”. Max WiFi provide world class Internet solutions globally and have worked across Europe, America and Asia providing WiFi, CCTV, People Counting Cameras and Voice Services. Drone Seeker is Max WiFi’s latest development offering an early warning of Drone intrusion to any event. Our solution identifies the pilot location and tracks the flight path of the Drone. Our Airspace security team also work in tandem with event security to identify and analyse risk and to develop solutions to mitigate that risk.

How do you recoup a £1billion investment? Andy Rice, Major Events International (MEI)
On the surface, the investment of a £1billion on a new stadium could have been better timed. Tottenham Hotspur’s main source of income: TV rights - a combined figure of approximately £210m per year (assuming Champions League football) is undoubtedly on the decline. As traditional advertising revenues continue to shrink, Sky and the multiplicity of overseas channels that have cut deals with Mr. Scudamore (the timing of whose retirement now seems impeccable) and his band of rights agents in the past, cannot possibly continue to justify the eye-watering billions that have been spent on TV rights. And so the paradigm shift begins. On the other hand, perhaps Mr. Levy has been exceptionally smart as, as traditional revenue streams shrink, so new ones need to be created to feed the voracious financial appetites of the world’s most gifted footballers - and their ever-greedy agents. Jon Babbs, is the Stadium Director at the New White Hart Lane (how long before a major naming rights deal is signed to provide a chunk of the pay-back? Perhaps The Weetabix Stadium, as this was recently revealed to be the team’s favoured pre match breakfast!). At the recent Sports Ground Safety Association (SGSA) conference he gave some indications where the rest of the money is coming from to improve the bottom line of Spurs Inc. Assuming the squad is retained, as obviously the main assets of the club are those running around after the ball. The state-of-the-art stadium is only the beautifully crafted centre piece of the overall development. On the footballing side, the site will soon also host a new performance centre and a medical centre. These will help Mauricio and his team continue to generate Champions League income (TV rights, sponsorship and additional match day revenue income combining to generate almost £100m per year), but the bottom line will really be boosted with the opening of the new hotel plus the residential and commercial developments that will become part of the complex.
The new White Hart Lane has a capacity of 62,214 and is sold out every other week. The stadium will undoubtedly also be buzzing on European nights - when the 42,000 season ticket holders are expected to re-buy their seats! Saracens are set to make White Hart Lane the base for their annual ‘Big Game’ Gallagher Premiership Rugby showpiece and the impressive South Stand (the largest single terrace in Europe with a capacity of 17,500) will be bouncing to the rhythm of Rock and Hip Hop from the summer of 2020. Along with ticketing revenue, all grist to the mill of food & bev and merchandise revenues. Speaking of which, Spurs have been super-smart to team up with the Beavertown micro brewery, combining the economic benefits of homebrew with the longest bar in Europe (65 metres!), 15 second self-filling pints and a cashless environment- to ensure that at least 50,000 pints of beer are consumed by the faithful at any home game. To credit Spurs, prices have not been inflated and the ‘Burger and Pint’ deal for £5 has forced local pubs to reduce their pricing to compete. Perhaps the most innovative partnership secured by Levy and his board is the 10-year deal with the NFL, which begins with a minimum of 2 NFL games per season and may develop over the decade to the rehoming of a full franchise. Everything in the stadium whiffs of the NFL: the dedicated changing rooms to house the army which makes up each team; the design of the new hotel (which will have NFL size corridors and beds) and, of course, the ‘pitch below the pitch’- the innovative design which allows the soccer pitch to be divided into three (along the length of the pitch) for the outside two edges to disappear under the East and West stands, and for the middle section to disappear under the North Stand, and the fan zone outside of the stadium- to reveal the markings of a 5G NFL grid. There can be little doubt that the cost of this magnificent engineering would not have been on the basis of simply twenty games and the odd concert- we can look forward to much more Grid Iron in North London in the near future. One of the more adventurous money-spinning additions soon to arrive at WHL is an O2-esque roof walk- going one step further on the adrenaline rankings by finishing the tour with an abseil down from the roof. For Tottenham Hotspurs, the sky really is the limit for revenue generating opportunities. The challenges of running a football stadium, and lessons learnt from other UK events in near past will be discussed at the UK Sports and Venues Summit at The London Stadium on November 21st.

Unique Information Drives Quality Coverage and Increased Exposure for Major Sporting Events Guido Bouw, Managing Director, Gracenote Sports
Hosting a major sporting event creates unparalleled opportunities for media coverage. But with a heavily congested sports calendar and audiences facing an overload of options, events need to effectively promote themselves to compete for attention. Event Organizers have a responsibility to sports and athletes, but also to host cities and sponsors. These stakeholders invest in events in return for exposure and brand awareness. While ‘owned’ platforms are proliferating, the gateway to the largest audiences are still ‘traditional’ media publishers. These range from broadcasters, press agencies and online platforms to specific sports platforms and ever-growing social media channels. Given the critical need for media exposure, Event Organizers can help themselves by taking care of the media, providing them easy access to the sports, venues and athletes as well as related information and insights that enhance the fan experience. This serves to boost the profile of the event and positive perception worldwide. The better organizers facilitate and support interested media, the faster the wheel of coverage and exposure will start spinning. As the world’s largest sports data provider, Gracenote Sports focuses significant resources on Event Services which deliver data and information to support high quality media coverage. Within our portfolio of services, we offer a range of solutions to make life easier for press and media management, marketing and communications departments, as well as technology partners. It is our business to deliver accurate and timely information, news, quotes from athletes as well as statistics services and help distribute these via Media and Broadcaster INFO Systems.
At the heart of everything are the experienced professionals who tap Gracenote’s centrally managed database to inform data-driven coverage in support of TV commentators, editorial desks and journalists. Our content support reduces prep time, increases efficiency and enables the media to focus on its primary job: quality coverage of sporting events to engage audiences and generate exposure. With a proven track record working with the highest profile single and multi-sport events in the world, Gracenote Sports helps Event Organizers achieve success in a competitive landscape. The key to media coverage and fan engagement is rich Event information and Gracenote Sports is the industry’s gold-standard.

Fuzzy Duck called up for Rugby League World Cup animations Kate Hughes, Fuzzy Duck
With the Rugby League World Cup 2021 on the horizon, the organisers and the RFL are taking every opportunity to encourage people of all ages to have a go at not only watching, but, playing the sport themselves. They called on creative studio Fuzzy Duck to create some animations, demonstrating the different forms of rugby league (including tag, 9’s and wheelchair) to help improve the public’s understanding of the games and for teachers to use as a learning tool. Fuzzy Duck MD (and ex-pro rugby league player), Dave Hartill said “Rugby League is a working class sport with an underdog/over-achiever brand that comes out swinging. This really fits in with our ideals as a company and we loved to be able to help grow a sport that we cherish.”
Contact http://fuzzyduck.eu/ info@fuzzyduck.eu
This is the latest in a growing list of sports related projects that the Ducks have been involved in, including work for Manchester United, the National Paralympics and the Aviva Stadium. The brief was to create a series of animations that would appeal to anyone and promote inclusivity for all within the sport. Simply showing how easy the game is to play, making the sport more accessible. Jodie Cunningham, England Women’s Rugby League Player and Rugby League World Cup 2021 Ambassador spoke about the programme; “It has been fantastic working with Fuzzy Duck and The RFL to develop animations that will highlight all the playing variations Rugby League has to offer and provide support to teachers allowing more children the opportunities to get involved with Rugby League building up to the Rugby League World Cup in 2021.” The first phase of animations went live on 3rd July and will be used across the RLWC2021 and the RFL social channels as part of the RLWC2021 Education Programme launch.

Fews at Parklife Festival Fews Marquees
Now in its 10th year, Parklife Festival is one of the UK’s most popular music events, based at Heaton Park in Manchester. It’s eclectic mix of top artists from different genres makes it a must-attend event in the summer calendar. The organisers approached Fews Marquees to provide temporary structures for the iconic Palm House stage and the VIP Guest area. The Fews Solution We provided an awesome and imposing 14metre high, 30m x 50m Igloo structure with round ends. Above the stage the roof was covered with Silver PVC external and Black PVC internal, with the section above the audience covered in clear PVC. The artificial woodland decor inside the Palm House was the most aesthetically ambitious of any stage at the festival and the audience was able to enjoy the music in a comfortable 900m2 covered area. With sets from Bicep, Helena Hauff and many others, The Igloo made a perfect environment for festival-goers, providing great acoustics and shelter from the typically British summer weather, it was jam packed for the whole weekend. For the VIP area we built a 10m x 20m premium marquee on a 3m leg with glass walls and doors, plus a clear PVC roof and gables. The open terrace gave the guests a great view of the whole festival site. Once again, the Igloo proved its versatility and suitability as a festival structure, and despite the weather the event was a huge success, with the 80,000 strong weekend crowd giving it a big thumbs up.

ICC Cricket World Cup - 2019 Creative Technology
Covering 12 Cricket grounds across the UK for a period of six weeks the ICC Cricket World Cup 2019 played host to the very best Cricket teams in the world and delivered over 50 days of consecutive live game action. The Creative Technology team was responsible for the full management and delivery of the in-ground large screens contract for the ICC Cricket World Cup 2019 which ran from the end of May to mid-July 2019. Creative Technology are proud of our long-term relationship with the ECB and the ICC for Cricket in the UK that has spanned over 10 years. During this time the scope of service and the technology employed from Creative Technology has evolved significantly with both parties continuously striving to deliver best-inclass display and content management solutions. This was evident at the 2019 Cricket World Cup where Creative Technology excelled in the delivery of real time live action video, statistics and up to date scores and a whole range of promotional, advertising and general messaging to the audiences within the grounds.
LED Screen Provision
The core activity at the heart of the project was for the delivery of large LED screens into the cricket grounds as live replay and scoreboard relays. These were provided where the individual grounds do not have a screen installed on site or where an additional screen was needed to be added to match the ICC requirement. The screens deployed were both modular and mobile units with the type being dependent on the location and other variables such as access and space. Creative Technology’s experience garnered through many years working at the venues selected for the ICC Cricket World Cup allied with our close working relationship with the ECB ensured that this was a straight forward process for the ICC.
Support Structures and General Infrastructure
In support of the screen provision we also provided screen support structures which were designed and built as bespoke units specifically to match the requirement of the screens they support. This part of the service was provided to grounds in Headingly, Yorkshire – Glamorgan, Wales and Edgbaston, Birmingham.
Content Management and Generation
In order to manage and deliver content to the LED displays Creative Technology also delivered a medium sized outside broadcast vehicle, located in the main OB compound during matches this was the platform for the video team to deliver a bespoke feed tailored to the need of the spectators. Live feeds were taken from the main Sky TV OB unit, Hawkeye and other stadium-based locations and additional content and footage was generated by our own camera personnel. From these feeds the Creative Technology team created a live programme combining live footage, player and game information, action replays and pre-shot/edited infill programmes and highlights features. The resulting outcome was a streamlined series of live coverage run across the full six-week project duration providing engaging, interesting and exciting LED output that fully engaged the audiences and built interest and understanding in the live ICC Cricket World Cup games throughout the competition.

Critical Event Technology Provided for Volvo Ocean Race Etherlive
The Volvo Ocean Race has provided the ultimate test of a team and a human adventure like no other since 1973. It is one of the greatest sailing challenge events taking teams over 45,000 nautical miles around the world, across four oceans, touching six continents and 12 landmark host cities. In 2018 for the first time, Cardiff hosted the UK leg of the Volvo Ocean Race. With such a high-profile event Cardiff was focused on ensuring visitors to the city enjoyed an amazing experience. Through a comprehensive tender selection process Etherlive was selected as the provider for event networking and on-site IT systems. Working with the Cardiff Council events team and the Volvo Ocean Race stopover team the specifications were reviewed and validated prior to the technical design. The backup internet circuit was routed from an alternative exchange which meant that should the primary circuit fail the secondary would immediately provide service.
Dedicated high speed internet with redundancy. Three high speed gigabit internet circuits were terminated to the site to support the requirements for internet and outside broadcast. The backup internet circuit was routed from an alternative exchange which meant that should the primary circuit fail the secondary would immediately provide service. Etherlive arranged both circuit installations by surveying the locations and in the case of the backup link arranging a temporary dark fibre link to the event site.
Site wide fibre backbone A temporary fibre ring was installed around the site providing primary and secondary routing to each network segment. The fibre ring, which was installed by the specialist Etherlive team early in the event build, using ducting and cable bridges, was terminated to secure outdoor temporary cabins at each point of presence (POP) from each POP router used to control the immediate network segment.
Layer 3 routed network environment Etherlive has developed a specialist segmented network design for its larger event deployments. By dividing the network into segments any issues remain within one segment, and therefore the rest of the network can continue operating. Each segment is monitored and managed by central off site systems to provide post event reporting on usage and service demand.
Wi-Fi coverage A significant Wi-Fi network was deployed throughout the site. Controlled from a central server system several independent wireless networks were broadcast helping segregate users and internet allocations.
“The site network, its performance, reliability and resilience exceeded the expectations of the Volvo Ocean Race Team matching the world class delivery of the whole event in Cardiff. Etherlive did their research, understood the objective and delivered! Matthew Faulkner - Cardiff Council Events Team
High definition CCTV system A number of pan tilt zoom (PTZ) cameras were deployed throughout the site. The low light, digital cameras allowed the event to ensure a high level of security. The CCTV system was viewed from the event control centre using several large screens. Instant recording and export were used to ensure any footage required could be quickly exported. The CCTV cameras include a local backup system which ensures should the network fail in the local area the footage would continue to be recorded.

Incognitus - ‘Summer of Success’ Incognitus
Our ‘Summer of Success’ of 2019 started for Incognitus in March in Australia with the Royal Easter Show being the largest attended event in the Southern hemisphere with over 1,000,000 visiting over the 12 days of the event. Our deployment in Sydney involved the planning, building and staging of the entire animal and arts agricultural exhibits for the annual event. Sydney Showgrounds engaged for the total build and crewing of the 2019 Sydney Royal Easter Show. In partnership we developed a scope, prepared a proposal and ultimately deployed. Our team assembled over 6000 stables pens and yards for livestock. Additional to these builds, the job required the operation of plant equipment movements across site. Once the build was completed, we directed our focus to the larger activations on the site that are at the very fabric of the Royal branded event such as the Rodeo and the Grand Parade. Our summer then travelled across the oceans to the UK for the start of the concert season, beginning in May with our ArmourDeck 3 Flooring being installed into the London stadium for the pitch protection as we assisted in the preparation to host the popular English rock band Muse followed closely by the world commended Major League Baseball event with recognised rivals, Boston Red Sox and New York Yankees as they competed in the 2 game London Series.

What would you do upon turning 60? Roder
When you turn 60 years old, perhaps, you want to give back to the world - that’s what Roder just did (60 years in the business!). Roder UK organised a free workshop covering everything in regards to temporary structures (safety, sustainability, budgeting, scheduling, static calculations – you name it). The workshop “The Ins and Outs of Temporary Structures for High-Class Events” was held at the London Marriot Hotel Marble Arch. The venue was great (some guests set their sights on this venue for their own projects) and the lunch was fantastic! Lee Dalton did not leave a stone unturned and as our new CEO Gisbert Loos joked, all of the attendees should have received a certificate! Sadly that could not happen but one lucky guy Andy Rice scooped the top prize! The positive feedback from attendees made Roder UK start planning another workshop in January 2020. The topic and date are yet to be confirmed but the format is going to be bigger and wider (Roder’s partners will be involved). Mash Media – another great partner of MEI volunteered to be a media partner. For those who could not attend the workshop but would like to get the workshop presentation please contact us below - it is all about giving back, isn’t it?
“Thanks for a great session on Thursday. We found it very useful, informative and a good round up all-in-one presentation on the use of temporary structures as a whole” Luke Ultimate Experiences
