WELCOME It is my pleasure to welcome all readers to the Major Events Handbook and to thank the contributors for some great content. The feedback from last year was very positive about the concept. It is an attempt to create an informative document which people “flick through and stop” when something catches their eye; something to refer back to with a variety of content. There is a diverse range of Major Event organisations on our database and companies which cover many, but clearly not all, disciplines involved in Bids, Games mobilisation, Games delivery and the often misused term, Legacy. Many chose to further broadcast the e-copy of the Handbook to key contacts, so we can safely say a large amount of people are aware of the content well beyond our own distribution.
The hard copies posted to the key people who could not make the Summit has proven to be popular and we have seen them on desks and coffee tables subsequently – if that is a measure of success! After 10 years of operations, we continue to look at how best to promote best practice through knowledge transfer which delivers value-add and enduring relationships for those who take part in the key activities you will see in the Handbook. Your ideas are always welcome and please get in touch if we can do more. With a new Membership structure which seeks to invite those to more formally join a professional community of experts, welcoming only those who can truly deliver, we invite you to let us know who else should be in the “Club”. VIP INTRODUCTION Dear friends, It is my great pleasure to welcome you to this latest edition of the Major Events Handbook. If you are reading this, you probably share something in common with those of us preparing for Peru’s largest ever international event, the Lima 2019 Pan American and Parapan American Games. Like us, you work tirelessly to deliver sports events that give athletes the perfect stage, get fans closer to the action, bring lasting improvements to communities, and inspire the next generation in sport and in life. Lima 2019 is a game-changer for the city, for the country, and for the Pan American Games. Peru has never delivered an event on this scale before; never before have we had the opportunity to achieve so much as a country through a single project. To realise our Games’ full potential, we have sought industry leading expertise from around the globe to eliminate risk, maximise efficiencies, and optimise the experience for every stakeholder group. As major event organisers, our goal must be to deliver the right Games for our country and our citizens. In Peru,
that means high-quality, efficient, transparent and affordable Games. It means a tangible, valuable investment in our country’s future. It is a big challenge, but one we are working steadily towards – supported by our international partners, not least the UK government via our unprecedented government-to-government agreement. There is a wealth of major event delivery talent in the marketplace today. By facilitating connections between passionate, professional experts, our community can continue to build sports events’ capacity to catalyse meaningful change in host communities, from environmental protection, to accelerating vital public infrastructure projects, to growing community sports participation. Major Events International has cultivated a truly global network of leaders in this dynamic field, and I am enormously grateful for their invitation to address you all. I hope you have the opportunity to visit us at Lima 2019: to see for yourselves the rewards global collaboration can reap, but most importantly to enjoy the best of Pan American sport at a captivating Games with a uniquely Peruvian future.

OPINION: WHAT IT MEANS TO HOST A GLOBAL TOURNAMENT With one year to go until the ICC Cricket World Cup 2019 in England and Wales, managing director of the tournament, Steve Elworthy, reflects on a huge decade for hosting major events in the UK, and what it means to personally help deliver a global tournament… I have been immensely privileged to be involved in the world of major sporting events for the past 30 years, as a cricket player, fan and sports administrator. Having represented South Africa in Tests, One Day Internationals, the 1998 Commonwealth Games and the 1999 ICC Cricket World Cup, I was then fortunate enough to lead the planning and delivery of major cricketing events including the inaugural ICC World Twenty20 tournament in 2007, and the ICC Women’s World Cup in 2017. As a fan, I have passionately enjoyed the last decade of British sport, and admired athletes’ achievements at the London 2012 Olympic and Paralympic Games, the 2015 Rugby World Cup, and the 2017 IAAF Athletics World Championships in London. It truly has been a fantastic decade for major sporting events in this country.

have been well-rehearsed; whatever your views about event legacy, there is no doubt that major sporting events can offer the potential to inspire a nation, deliver significant tourism, regeneration and economic benefits, and really place a host city or nation on the map.
Next year will mark my tenth anniversary of events delivery, as I am leading a hugely talented team to stage the ICC Cricket World Cup in 2019. People often ask me what it means to host a global tournament; why do I keep coming back for more?! For me, there are so many amazing opportunities and possibilities offered by major sporting events. The benefits for a host nation
Despite all of this, it is the positive outcomes for a sport itself that truly motivate me. Major sporting events offer three significant benefits to a sport. Firstly, there is the opportunity to achieve a step change in operational event delivery, and to welcome individuals and volunteers with skills and experience from a range of other events, sectors and nationalities. Such a broadening of horizons and thinking can only ultimately enhance the experience for the fan, spectator and athlete alike, and

create positive outcomes for the sport itself. Within my own sport of cricket, the world of major events has moved on tremendously since the last ICC Cricket World Cup was staged in England and Wales, back in 1999. It is now extremely exciting to see how these changes are being reflected in the planning and delivery of the next year’s ICC Cricket World Cup in England & Wales. Secondly, a major sporting event can inspire participating competitors to achievement and excellence, as players reach their peak of skills and performance, and look to exceed past achievements. This in turn excites and enthuses fans and new spectators alike; the opportunity to connect with new audiences while refreshing the interest of existing fans is without doubt the third significant opportunity presented by major sporting events. Nothing stimulates a national conversation more than a successful home nation performance at a home

event, which in turn can reinvigorate, or in some cases launch a sport into the national consciousness, inspiring new young fans and creating the next generation of athletes and competitors.
32% of attendees were children; the highest percentage ever achieved for a cricket tournament in this country. 80,000 people attended the event, of which 45% were female, with a further 30,000 visiting the tournament’s vibrant fan parks. Former England cricket captain and respected commentator Nasser Hussain wrote “I took my 11-year-old daughter to the final, and she suddenly thinks it’s cool to be a cricketer. Why not, when you’ve got 26,000 fans screaming on both teams and a finish that you’ll remember for the rest of your life? Women’s cricket is now a brand in its own right. And that, for our sport, is a huge cause for celebration.”
For me, nothing better sums up the potential seismic impact of a major event upon a sport than the ICC Women’s World Cup, held in England in 2017. The final of this event memorably culminated in victory for England, in front of a passionate sell-out crowd of 26,000 at Lord’s. Viewing figures showed that a record 1.1 million people tuned in to watch England’s victory, more than the number that watch an average Premier League football game. The Balance on Legacy & Overlay By Reinaldo Pargas
AVM understands how critical is the balance between legacy (permanent) and overlay (temporary, rental) to a success event, which also affects budget numbers, planned to match high-level requirements and expectations. We recommend the legacy plan, based on the host city and its neighborhood development, must lead all projects for the major events. The use of temporary venues and infrastructure is seen very often. On this concept, the Olympics have set an interesting example in London 2012. The Commonwealth’s ability to captivate us By David Grevemberg CBE, CGF Chief Executive Officer 2018 sees the successful completion of both the PyeongChang Olympic Winter Games and the Commonwealth Games on Australia’s Gold Coast. Both very different events but what is it that unites these two major international sporting events? The answer is simple. Whilst the lead up to any Games can sometimes feel dominated by logistics, politics, and a lot of background noise, it is the athletes and teams, and the inspiring stories of how and why they choose to wear their national flag on the global sporting stage which truly captures the public imagination. It is the athletes and teams who create defining moments that fill us with adrenaline, pride and ambition. In this age of multi-million-dollar commercial sport, it is the human stories – the likes of which dominate the Commonwealth Games on a regular basis

The Commonwealth excels, and one could argue is somewhat unique, in telling these kinds of stories and moments. As the national anthems are played, the flags are carried and raised,

it is impossible not to be swept up in the emotion of Commonwealth athletes representing their country, from the smallest Commonwealth member, Nauru, which has a population of just 10,000, to the largest country, India, with over 1.2 billion people. To these and all Commonwealth Athletes, sport is far more than just competition. Sport connects them – and all of us – with dreams, goals and aspirations for ourselves, our families and our communities. The teams of athletes are a microcosm of the Commonwealth itself. The team colours and flags Commonwealth Athletes wear with pride in competition mark them out as the world’s most diverse fraternity of nations, territories and people. They are the vanguard of a great movement whose
purpose has been carried and shared across decades, across generations and across borders. Through their drive to achieve greatness for themselves, their teams and their loved ones, Commonwealth Athletes stir ambitions and dreams in all of us. On behalf of the entire Commonwealth Sports Movement, the CGF would like to congratulate all Commonwealth athletes for their contribution to the 2018 Olympic Winter Games and Commonwealth Games which we watched with pride in what truly is a Commonwealth year. Security Technology, Protocols and People in Sync through Training By Melissa Odegaard; Director, Marketing; S2 Global; www.screeningsolution.com Most of us admire the skill and ability of today’s racecar teams. Some of us may have even entertained becoming part of one. However, without first understanding how an open wheel car works and how every person, part and track affects the ride, it would be impossible to get anywhere. The same holds true for inspection technology, security protocols and the personnel responsible for implementing the plan. Today’s security plans include a wide variety of technology and techniques and require multiple levels of skill and knowledge for peak performance. Like a championship racecar team, each individual needs to know more than their part; and when they are all working in sync, the result is a winner.
Security has become paramount in today’s infrastructure. Whether airports, stadiums, ports or border transit points, security plans include areas

managed by security staff, technology or a combination of both. In addition, non-security staff need to aware of what look for and how to handle issues if they arise. All of this happens amidst the public while not showing them what’s under the hood. It’s a tall order for any security plan to contain. As threats evolve, protocols change and technology becomes more powerful and sophisticated the most important component of a plan -- the people -- must remain well informed and consistently up to date. Syncing up personnel and technology
at the entrance, directing fans to the nearest concession stand and operating the VIP section during the multi-day event. What does this person need to know about security? Ideally, training volunteers in general security techniques as well as their specific duties would be a requirement, but today also training volunteers on advanced security protocols and helping them understand how the technology works gives them the tools to interact with the public and provide important information in the event of an emergency. At the parking lot or subway exit, the volunteer is the first interaction with the event. Fans at this point could be informed about security protocols, and since volunteers are trained they are able to pass on appropriate information. In addition, volunteers could explain what technology is used and why. This gives fans a high-level understanding of the security they are experiencing and an awareness of protocols to follow.
When considering the different types of individuals employed in the security industry and how they are to use their assigned technology within the security plan, it becomes apparent that the more knowledge and experience they have the better they will perform. The Coca-Cola Company announced its World Without Waste vision in January 2018 with ambitious goals to address what it recognises is a major and growing problem in our world. One of those goals is to help collect and recycle a bottle or can for every one it sells by 2030 – regardless of where it comes from. It has also committed to making bottles with an average of 50 per cent recycled content by 2030. All of its PET plastic, aluminium and glass packaging is recyclable, and the company is continuing to pursue the goal of making all of it consumer packaging 100 per cent recyclable.

MEI IN JAPAN 2017 - 2018 MEI have made frequent visits to Japan in the last 12 months with delegations to observe how multiple Major Events are planned and gain new relationships with local companies.
Over the next couple of years, Japan will be hosting the Rugby World Cup 2019, the 2020 Olympic Games in Tokyo and the 2026 Asian Games in Nagoya. It is also planning to place a bid for the Winter Olympics in the next coming years. Japan is therefore, a vital market for all those who want to sustain their credentials as a provider of choice for major sports events as well as help to ensure these Games are an outstanding success. MEI has now run a succession of market visits there and due to the Rugby World Cup being held across Japan, delegation visits have included a visit to Sapporo, where there was an opportunity to see the almost space-age stadium in operation. We are very grateful for Japan Sports Tourism Alliance for their invitation to brief at their annual convention and brief over 200 delegates also attending the Sapporo Sports Commission event. Conference and Expos have always formed an important part of delegation visits and we were delighted to partner with both Stadia and Arena Asia Pacific and Reed Exhibitions in Japan. Getting delegates to speak, share their experiences and meet local companies by having a shared MEI stand are all ways to ensure new

Currently, there are many large-scale constructions in the venues and for other social infrastructures in Tokyo, and the New National Stadium, one of the symbol of the Tokyo 2020 Games, is gradually revealing its appearance. As you may have already seen on organising committee’s website, their procurement has been more active, such as overlay construction.

A unique opportunity to change Peru for the better By Carlos Neuhaus, President Lima 2019 Pan American and Parapan American Games Organising Committee I took on the role of Lima 2019 President in October 2016 – a little under three years before Peru hosts one of the largest sporting events on the planet. An event of the size and global significance of the Panamerican and Parapan American Games will never be without its challenges. But I was, and remain, profoundly honoured to lead this exciting project and help realise the wealth of opportunity it presents to the people of Peru. We must recognise that Lima 2019 has faced its hurdles. Early in the project there were delays in construction; there has been political uncertainty and devastating floods that affected the whole country. But thanks to the hard work of a dedicated and passionate team, we have achieved a remarkable turnaround. Now we are firmly on track to stage a captivating sporting celebration that will leave a defining legacy for the city of Lima and Peru for generations to come. In April 2017, we signed a Government to Government agreement (G2G) with the United Kingdom, a nation with a proven track record in successfully

planning, hosting and capitalising on major sporting events, especially the London 2012 Olympic Games. Together, we have continuously refined our Games plan to place legacy at the heart of everything we do. Lima 2019 will provide new elite and grassroots sports facilities, improve the quality of life for those living with a disability, boost tourism and the economy, and accelerate critical urban development projects. We have developed a much-needed procurement strategy that streamlines the process currently in place for public infrastructure projects in Peru. The transparency and efficiency of the procurement process has enabled us to accelerate key projects like the Pan American Village and Videna Sports Complex, and attract record interest from companies in Peru and around the world. For each of the five infrastructure projects procured under the G2G, we have received more than 30 proposals from a mix local and international companies. That record interest has allowed Lima 2019 to secure competitive proposals and ensure the government’s investment generates maximum benefit for communities in Lima and beyond.
Our key infrastructure projects are now all underway and scheduled to be delivered on time, with some expected to be completed early. Lima 2019’s procurement process has been the key to our project’s growing momentum and I have every confidence it will become the best-practice blueprint for future government infrastructure projects in Peru. We look forward to welcoming international visitors from all around the continent, and showing off all that Lima and Peru has to offer, from famous gastronomy to breathtaking archaeological sites. Visiting spectators are in line for an unforgettable sporting and cultural experience in 2019. We will stage more sports and more disciplines than any Pan American and Parapan American Games in history. A record number of those sports will be Tokyo 2020 qualifiers, guaranteeing world-class competition from the continent’s top athletes. Lima 2019 will be a record-breaking spectacle, the very best of sport in the Americas, and proof to the world that Peru is worthy and capable of delivering major events on the international stage.

MEI IN CHINA 2017 - 2018 MEI have made frequent visits to China over the past 12 months due to the growing focus on major sports.
With five Olympic and regional major sports events taking place in Asia over the next six years, it is quickly emerging as the world’s most important major sports events market. More specifically, China is becoming a sports powerhouse. So, over the past year, MEI has taken the opportunity to increase activity in China with visits and delegation meetings with key stakeholders and forming new partnerships with the major conference and expos organisers. In September 2017, MEI took a delegation to China. The mission comprised of B2B meetings with local companies and key sports officials, a city tour of Beijing and attendance at the Winter Sports Conference and Expo (WWSE). This included attending their Gala dinner where delegates were introduced to key officials. The purpose of this visit was to share experience and capability of companies who have previously supported the delivery of major sports events. This included areas such as, technology to enhance the visitor experience, the use of temporary structures when hosting events, event support services and the safety and security of crowded places. The expo was attended by individuals from Beijing 2022, BODA and

representatives from embassies of Austria, Canada, Finland, France, Norway, Czech Republic and the UK. Through one main conference with panels & forums, WWSE hoped to create more public attention, support and participation in winter sports. The mission also included a visit to the DLA Piper office where attendees were hosted and given a legal overview of doing business in China and a visit to sporting venues in Tianjin. The visit was hosted by Xiuping Zhang, who works at Sports China in support of the Chinese Olympic Committee. She also arranged a visit to the National Games outside Beijing so we could see the venues, some competitions and meet some senior Games organisers from various Chinese sports. A massive thanks to Xiuping for organising that visit! As part of our partnership with China’s Sport Market Forum (CSMF), MEI’s CEO, Dennis travelled to Hangzhou, the home of the 2022 Asian Games, in April to brief a mixed audience who were interested in major sports events in both China and internationally. Every year CSMF attracts a mix of sport companies, investment agencies, government and sports bureau officials from more than 30 countries and international sports organisations’
representatives. It may have been the 13th edition of CSMF but it was a first for MEI and we were invited to lead a UK Sport Seminar. Dennis, discussed sports marketing within the UK and what major events we have coming up – such as the Cricket World Cup 2019, Rugby League World Cup 2021 and Birmingham Commonwealth Games 2022. The seminar was attended by representatives from past and future Games, sharing lessons learned and current trends. We thank both Mr Yuan Fang and his team from CSMF for running such a successful event. A big thanks to Mr Du who is responsible for the Asian Games and who spent so much time with MEI and giving us the opportunity to see the sites of Hangzhou. It was great to see the progress around the main stadium which is well under construction and to hear of the plans for significant infrastructure enhancements to host the games. The famous Einstein quote says, “insanity is doing the same thing over and over again, but expecting different results”. That’s exactly what has been happening in the case of the sporting events: organisers want to reduce cost, be more efficient, but they continue to build an organization that does not use the best practices on procurement. This industry deals with a lot of passion, it’s where it gets its incomparable energy from. But this passion is not an insane one. This market has always grown throughout its history by the capacity of adapting itself to the new realities of the world, by its professionalism on operating complex resource and operation systems. This enabled it to create the biggest major
events human-kind developed, and an ability to manage the biggest temporary supply-chains that exist in peace times. This gives us all – sport lovers – hope that it will change, in order to survive and continually evolve, entertain, and enable all the positive things it brings with it. Organising Committees are temporary associations. This gives them a great advantage in relation to more regular companies: they are created from zero every time, enabling them to learn from past experiences and build themselves differently the next time. Changing the world through Para sport The International Paralympic Committee (IPC) is the Paralympic Movement’s global governing body with responsibility for organising some of the biggest and most impactful sport events on the planet. In addition to co-ordinating the organisation of the Summer and Winter Paralympic Games - which now regularly attract millions of spectators and billions of TV viewers - the IPC also serves as the International Federation for 10 sports. In its role as an International Federation the IPC, under the World Para Sport brand, supervises and co-ordinates World Championships and many other major competitions. Ahead of the Tokyo 2020 Paralympic Games, the IPC will oversee World Championships in eight Para sports in 2019. It is also on the look-out for hosts and service providers for a number of other events as it aims to develop long-term competition calendars.
Lasting impact
As well as the economic impact that each major Para sport has, the greater legacy is the social transformation that is delivered. The performances of Para athletes have a track record for changing attitudes towards disability, while the investment into accessible facilities made by host cities benefit generations for years to come. Today, the Paralympic Games are the world’s number one sport event for driving social inclusion as the IPC continues its work to make for a more inclusive society through para sport.

MEI MEMBERS FORUM One of our key aims at MEI is to drive more value towards Members. At one of our routine networking events, some feedback made clear to us that some attendees were not aware of the core services provided by our professional membership community. Out of this feedback came the idea of a Member and Partner event giving everyone a chance to brief on what they deliver as core businesses, where they are currently operating and what geographic markets they hope to enter. With a strict allocation of 3 minutes each, this was a challenge which was superbly handled by all concerned. As predicted, collaboration opportunities emerged and new business relationships were formed. All of this was achieved in half a day but feedback suggests that more time should be allocated to include general networking, updates and discussions on market visits and Summit planning. This new annual ‘Member and Partner Summit’ will now provide opportunities

for the conference and expo partners MEI works with, to explain their forthcoming content, speaking opportunities and discounted offers. We hope that all of this will help drive market profile, connectivity and more value when visiting key markets. As with most events, the challenge is getting everybody in one place at one time. World Archery and iconic venues: A long-term partnership Hosting the World Archery Championships in Central Park in New York was a dramatic step forward for archery. It put the sport in an accessible and memorable metropolitan venue – and was the start of a long-term partnership. One year later, at the Olympic Games in Athens in 2004, the ancient Panathenaic Stadium hosted archery and the sport’s association with iconic venues was officially in full swing. The launch of an annual international circuit in 2006, the now well-established Hyundai Archery World Cup, leant further opportunities for archery to visit some of the world’s most impressive locations. Finals of the tour have taken place under the Eiffel Tower, next to Edinburgh Castle and in Copenhagen’s Nyhavn. Archery’s showcase finals are surprisingly flexible. As long as there’s a safe area in which an archer can stand 50and 70 metres away from a flat target,

there’s an arena that can be created. Mexico City’s Zocalo – the central open square most recently brought into the spotlight by a dramatic chase scene at the beginning of a Bond movie – hosted the Archery World Cup Final in 2015 and then the World Archery Championships in 2017. The latter came just weeks after a tragic earthquake hit the city. + Not only did the event bring a measured 1.2 million USD in tourism impact to a community rebuilding, but it left a positive legacy among inhabitants. Over 97% of attendees said they had a positive experience at the event, which had a cumulative worldwide audience of 20.39 million across 105 nations. World Archery also donated 57k USD on behalf of the wider archery family to aid relief efforts. “Often the value of sport goes beyond figures,” said World Archery Secretary General Tom Dielen. “These

championships highlighted the positive legacy that sport can provide.” World Archery’s Hyundai Archery World Cup Tour is into its 13th year in 2018, with four stages in Shanghai, Antalya, Salt Lake City and Berlin, and the final in Samsun, Turkey at the end of the season. The next World Archery Championships and World Archery Para Championships take place in ’s-Hertogenbosch, Netherlands in 2019 – where a successful Dutch archery team will look to qualify for the Tokyo 2020 Olympic Games on home soil. Meanwhile, World Archery will continue to put major events in iconic locations, empower its member associations to promote archery as an elite and recreational pastime, and use its Lausanne-based World Archery Excellence Centre as a hub for international development activities. And as a result, it is hoped, archery will continue to grow.

MAJOR EVENTS SUMMIT 2017 REPORT The 2017 Summit was held in the perfect setting. Held in the heart of the former London 2012 Olympic Park at Plexel, which was home to the press centre during the London games. Part of the legacy plan has resulted in supporting tech start-ups and it has been a phenomenal success. MEI was the first user of their newly fitted out conference facilities and full use was also made of the adjoining breakout areas. This 3rd Edition of the Summit mainly focussed on two markets: Pan American Games Lima 2019 and major events in Japan. Once again, companies spent time focusing on the key sectors for all major sports events: Overlay, Fan Engagement, Events Services and Safety & Security with workshops and discussion panels provoking some lively debate. One of the highlights was a detailed look at one of the International Federations, World Archery with Tom Dielen the CEO. It was

Market Visit to Gold Coast, April 2018
Earlier this year, Major Events International (MEI) were invited to take a delegation of companies to participate in a highly innovative programme for the Trade 2018, Games time Trade and Investment Program, held alongside the Commonwealth Games 2018 Commonwealth Games. MEI had the opportunity to experience many Trade related activities which included seeing many different venues and Games in action. You can never have enough
68
experience of seeing any Games in action. They all present different opportunities and challenges and for those who supply this niche, iconic and high-profile market, all such exposure is invaluable. Central to the programme was the Trade 2018 Major Event Business Forum which had an exceptional range of speakers and attendees from a wide range of international destinations. Hosted in a temporary venue, Commonwealth House, right on the beach of the Gold Coast, all those who attended say they were very imapressed with the spectacular back-drop. It was the perfect setting for highly informative
panel discussions and key note presentations and the feedback was exceptional. MEI is delighted to have played a role in making this happen and facilitating the event on the day supported by staff from the Queensland Government. Other key parts of the programme involved: briefings by Queensland staff, on the way venues were designed for legacy use; the opportunity to visit Optus Technology Control, who played such a key role in Communications and IT infrastructure for the Games, social events and watching local companies pitch their technology solutions to an investor advisory panel.

The week-long trade mission was a great success and represented a strengthening of ties between the UK and Australia, as well as MEI and our partners. We would like to thank the Office of the Commonwealth Games and Trade and Investment Queensland (TIQ) for their valuable support and coordination. The plan now is to keep the Trade bridge going with the UK working again very closely with the London based TIQ staff and we are delighted that Birmingham City Council are already putting plans in place to drive this project forward. We will be returning to the Gold Coast and growing the numbers of Australian companies who interact with us including those who have flown to Liverpool to attend the Major Events Summit in June.

International Federation Engagement Summit - Lausanne In January 2018, Major Events International (MEI) took a delegation of commercial companies to Lausanne, Switzerland, to meet with a selection of International Federations (IFs) for the inaugural International Federation Engagement Programme. The idea came from Tom Dielen, CEO of World Archery who attended the MEI Summit on 2017 and told us that he felt that there was not a similar format for Federations. The aim therefore was to give IFs the opportunity to access a wide range of skills in commercial companies who routinely support major sports events. It was also a chance for them to brief their plans and identify areas where they are seeking to drive innovation or a better Games experience. The first International Federations Supplier Engagement Programme was run as a one-day pilot event. We were delighted with the reaction by those who attended and we gained good feedback which is shaping 2019 plans. Subjects covered were sustainability, overlay, fanengagement, safety and security but

MEI MEMBER EVENT - HOSTED BY IBM IBM joined the MEI Professional Membership Scheme last year and they very quickly made an impression when they lead and ran a venue technology seminar at their headquarters on the Southbank in London. The programme consisted of partners and suppliers getting involved in a series of panels and question & answer sessions. It was also a great networking opportunity as IBM brought together design, strategy, technology and data across different fan engagement, team performance and venue optimisation companies.

alone. Aligning with key stakeholders can successfully help enhance the experience of fans, athletes and companies within the major sports and entertainment sector. The seminar was a great chance for MEI members to connect IBM with these key stakeholders and five of them were given a chance to brief everyone on lessons learned, best practice and future plans. Chris Dite, Associate Director from ARUP, discussed the effect of master planning and how this can make projects sustainable and economically viable. John Roberts, Director of AFL Architects, covered how venues must accommodate for the continuous technological advancements. He emphasised how the current focus is within the broadcasting and TV coverage of these major events and highlighted the challenges faced when having to accommodate within the boundaries of a

Craig Doyle, Director of Key Account Sales for CommScope, spoke about the process of master planning and how organisations build upon the expansion of stadiums and how supporting its capacity utilisation can evolve its legacy. What followed was an extended period of questions and debate which continued into the networking part of the programme. It was a great event and well organised by John and his panels. The venue was superb for this type of seminar and was well received by all those who attended.

Major Events Safety & Security Summit
At the beginning of March, Major Events International (MEI) worked with Reed Exhibitions Middle East to run a second edition of the Major Events Safety and Security Summit (ME3S) which was once again, supported by the Dubai Police. This content was a key part of the International Exhibition of National Security and Resilience (ISNR) major expo run by Reed Exhibitions. The Middle East is seeing an unprecedented growth in hosting major sports events, as well as the World Expo 2020, which has many similar characteristics. They all generate significant numbers of international visitors not just in the core event attendance but the wider cultural and entertainment zones, which creates security challenges. The unstable international security environment adds to the pressure for host cities and countries need to make sure their plans are resilient and tested. Technology is vital but so is the human factor, including military, police, stewards, event staff and volunteers. All of whom need training and support. ME3S is the only event of its type, focusing on this one key area. It also forms a part of the annual MEI Summit, providing continuity of relationships and

More cities, event owners and organisers than ever joined the fourth Host City conference and exhibition in Glasgow to hear VIP speakers from international sports federations, cultural events, large scale congresses and mega event organising committees speak on the theme of “High Impact Events in the Current Climate”. Attendees included more than 50 city representatives, 30 event owners, 20 organising committees, 15 media and two hundred delegates. Around the two-day conference, Host City’s sponsors presented the event’s biggest exhibition yet, with a 500 square metre exhibition area filled with 10 large stands from organising committees, sports federations, architects and suppliers.

FAQs Q: WHAT HAS BEEN THE MAIN FOCUS FOR MEI OVER THE LAST 12 MONTHS? A: Since the last edition, MEI has spread its reach geographically. Internationally, MEI has increased its presence in Asia and recently supported Trade & Investment Queensland on their ‘Trade 2018’ programme running alongside the Gold Coast Commonwealth Games. This involved the recruitment of a delegation and support to their Major Events Business forum held in the spectacular temporary venue effectively on the beach. Having met some of the key personalities involved in both the Rugby World Cup 2019 and 2020 Olympics during Rio 2016, we have been conducting frequent visits to Tokyo and bringing delegations to meet key stakeholders. Japan is set to host four significant major sports events over the next eight years including the World Masters and Asian Games 2026 and undoubtably will bid for a future Winter Olympics. This is a market which we are expected to support, and we are delighted with the mobilisation of a great support team now in place in Tokyo. Conveniently co-located for market visits in Asia, China is also mobilising a huge increase in public interest in sport and is hosting two major sports events in 2022: Asian Games 2022 and Winter Olympics 2022 in Beijing. We have taken the opportunity to form new conference and expo partnerships there to add extra value when visiting these markets and to gain both new contacts and market profile for delegates. There has been early dialogue ahead of Qatar 2022 Football World Cup about what potential support we can provide to the Trade element of hosting events. Additionally, we have started a good conversation with the senior staff from the Pan American Games 2019 in Lima. We were delighted to play a role in hosting them during the Commonwealth Games 2018 and are delighted they will join us at the 2018 MEI Summit. Q: DO YOU HAVE A FLEXIBLE APPROACH TO SUPPORT OPTIONS WHICH CAN MATCH MY BUDGET? A: We will always find a way of providing support to clients at any budget. We take extra care in finding the balance between available funding and the type and levels of manpower effort so that both parties will deem the relationship to be a success. Failure is not an option for us. Our approach of clear Statements of Work (SOW) means the deliverables and deadlines are clear. To enable this to happen, we often recommend an initial workshop and this clarifies the objectives and suitability to meet the strategy objectives. Q: WHY DO PEOPLE TYPICALLY SEEK SUPPORT FROM MEI? A: We always ask one simple question when we meet potential new clients: How can we help? Throughout the year, MEI runs market visits around the world to countries hosting major sporting events. You are welcome to express your interest in attending or hosting a delegation visit. All market visits present an opportunity to meet local companies, key stakeholders, MEI’s in-country support teams and gain a better insight into business culture and ways of working. The format typically centres around one a conference and expo that MEI is a named partner for but we also offer host agencies the chance to meet the visiting international experts in the form of mini-workshop round table discussions. Typically, the programme is over 3 days and includes the opportunity to visit the future hosting venues, some key cultural sites of special interest, and equally importantly, some social time to help build relationships within the delegation.
