Dining Options Abound at Casino Resorts
The Prime Rib at Live! Casino Hotel, Philadelphia, PA
Casino resorts throughout the region present a wide range of enticements that are attractive to meeting and event planners as well as the groups they represent, but perhaps none are more appealing than the dining establishments available at each of these properties. With many states relaxing restrictions regarding COVID-19 protocols in recent weeks, at this time restaurants once again are able to seat indoors at increased or even full capacity. Each of these casino resorts continues to have guest and employee safety measures in place, so it’s best to contact each resort for the most up-to-date policies and information.

The Latest in Team Building Team building has long been a valuable method of bringing people together, fostering relationships, strengthening bonds and learning about previously undiscovered skills and untapped abilities. Though recent circumstances have forced changes in the way team building activities are sometimes facilitated, they continue to be an important tool for businesses both large and small. Virtual and remote programs have been developed that have proven to be highly successful, and there are hybrid options, too, along with the return of in-person activities among groups who are ready to reconnect in a more tactile way. Team Bonding has served as a leader in this market long before the pandemic, showed great innovation and resilience throughout all of its challenges, and has emerged with an even more diverse portfolio of options for team building activities and programs across a range of platforms.
Mid-AtlanticEvEntsMagazine 27
According to David Goldstein, C.O.O. (creator of opportunities) for Team Bonding, “…we will continue to offer and deliver virtual events and focus in the near future on summer and outdoor-themed activities.” Among Team Bonding’s newer programs is The Game of Drones – an inperson team building event where teams must carefully maneuver their drones through eight “man-made” obstacles between launch and landing pad. Another new option for groups is Team Bonding’s Virtual Music Festival, which puts team dynamics to the test in this global team building activity. Prove which team is the ultimate festival fan through this program that includes seven music stages, various genres, riddles to be solved, researching of
acts and facts, photos and videos by participants, and completion of tasks in an effort to gain the most points for their team. Beat the Box has long been a popular offering by Team Bonding, the “ultimate competitive team building game,” asserts Goldstein. “Teams work to open the box only to discover four cases inside. Each case contains ‘Escape Room’ style challenges that must be solved in order to open the next case and ultimately discover a mystery slogan that will stop the clock.” Outrageous Summer Games is great option for this year, capitalizing on the excitement generated by the Summer Olympics. From the opening ceremony to the closing awards presentation, Outrageous Games is perfect non-athletic entertainment for a company pic-
nic, employee meeting, or annual corporate summer outing. Team Bonding’s Build a Boat is a highimpact team building water activity that helps identify the leadership characteristics of attendees in an exciting, hands-on, fun environment. “We have become very adaptable with technology, and with hundreds of team building programs available as virtual, hybrid and in-person, we are able to tailor our offerings to the needs of clients - wherever they are,” explains Goldstein. “We keep the safety of our staff and clients in mind when suggesting and delivering any of our team building activities.” So many employees have spent the last year apart, working remotely or facing a wide range of restrictions on

gathering whether in the workplace or socially. After all that time, team building is perhaps more important now than ever before. “We often call it team 'rebuilding,' as companies and their teams need one another to rebuild their business,” notes Goldstein. “Colleagues want to rebuild their trust, invest in their relationships, and work together to support each other. Team building has many forms, from competition to collaboration and training, and that allows employees to connect with each other for the common good and for the good of the company.” The excitement and enthusiasm of such in-person activities has been missed, he adds, explaining that, as we reunite once again, it serves as a great reminder that all of us are better together. “One of my favorite quotes comes from an African proverb – ‘If you want to go fast, go alone. If you want to go far, go together’.” Team building provides a forum in which to take risks, receive rewards, give and get feedback, share success and overcome failure, Goldstein continues. “Virtual team building events have and will continue to be great placeholders for inperson events, but nothing can replace the excitement and enthusiasm of inperson team building.” Peddler’s Village in Lahaska, Bucks County, PA offers a wide variety of team building activities of its own, ranging from Murder Mystery Shows to Cupcake Wars to Beer and Wine Tastings to Terrarium Making to Scavenger Hunts. These fun activities bring teams together to work toward a common goal. “Scavenger Hunts are always fun,” observes Ann Lipcsey, assistant director of sales for Peddler’s Village. “They usually are outside, using our shops and restaurants for clues. The team building events will come with the meetings, especially with people getting back into their office spaces. Teams and departments will look for ice breakers to bring their teams together.” After many months of Zoom meetings, people are looking forward to the opportunity to get out and interact, and to see their counterparts again. “Companies can bring employees together through team building,” says Lipcsey. “It’s a great way for new employees to interact with long time employees and learn things about their counterparts. If it’s outdoors, in the fresh air, even better.” Numerous unique team building activities of all types for groups of a wide range of sizes can be found throughout Montgomery County, PA, observes Scott Higgins, associate director of sales and business development for the Valley Forge Tourism and Convention Board. “Groups are able to re-live history by visiting the Valley Forge National Historical Park or go floating on the river at Port Providence Paddle,” he explains. “The ropes course at the Elmwood Park Zoo is available for those looking for a little thrill as they learn to navigate together. Puzzle Break Puzzle Break, the first U.S.-based escape room company, recently announced its virtual professional development series, Excellence Unlocked. Created after nearly a decade of astute observation, research and data pulled from Puzzle Break’s own game operations, these half-day workshops are designed to capture the fun and excitement of escape rooms while also fostering honest conversations about areas of opportunity as well as hone collaborative skills in real-time at the individual and team levels. “One of the most intriguing things about Excellence Unlocked, and Puzzle Break overall, is the level of deep research and meticulous planning that has gone into every detail of the experiences – from the game play to the training of our facilitators,” explains Nate Martin, CEO and co-founder of Puzzle Break. Using an exclusive formula conceived by Puzzle Break, Excellence Unlocked takes teams through a variety of collaboration-based virtual escape experiences designed to challenge and refine the group’s communication tactics and problem-solving skills. Each workshop includes four game segments, two discussion periods and a final debrief that recaps the experience and provides an opportunity to discuss lessons learned.
each other in-person,” Higgins notes. “With Valley Forge and Montgomery County now re-opened without any capacity restrictions, we’ve already heard from organizations that they want to get back together. We anticipate this will be the trend through at least 2021 as leaders look to re-connect their teams.” He adds that remote working also has left many feeling isolated, and that bringing teams back together and strengthening their skills is more important than ever. “Team building is about connecting with your coworkers and learning more about their strengths and opportunity areas,” observes Higgins. “The past year has been the most challenging year that most of us will face, both professionally and personally. By bringing your team back together through activities, they’ll be reminded how great it is to work together toward a unified goal.”
Specially-trained senior Puzzle Break facilitators are present throughout the experience and monitor the teams’ performances closely to unearth specific trends and recommend further collaboration strategies that go beyond game play. At the end of the workshop, participants are provided take-home reports that further analyze both individual and team performances, strengths and weaknesses, along with individually-tailored roadmaps for ways each person can apply what was discussed in the workplace setting. Headquartered in Seattle, Puzzle Break has physical escape room locations in New York, Massachusetts and on Royal Caribbean cruise ships around the world. In addition to its virtual escape room offerings, Puzzle Break has operated workplace team building challenges for off-site meetings, retreats and corporate events. – Associations –
The Importance of Networking The hospitality industry always has been a tight-knit community. Providing service is at its core, and the relationships that it has developed among industry partners, peers and clients have long been its lifeblood. Now, more than ever, staying connected and informed is of critical importance. Industry associations provide engagement with others through educational sessions, participation in showcase events, resources for keeping up with the latest happenings, changes and trends, and – just as importantly – opportunities to network and make professional connections, as well as forge longstanding business relationships and even friendships. According to Ethan Gray, CAE, director of association management services for Talley Management Group and immediate past-president for the Mid-Atlantic Society of Association Executives (MASAE), associations enhance quality, both among individual professionals and also within industries as a whole. “Associations provide members the opportunity to learn, to network and to influence the future of their own profession. Value is derived in many forms – through the consumption 34 Julyz August2021
of content, the interactivity of networking, collaboration during volunteer leadership," asserts Gray. "Associations are the great conveners, bringing professionals together for common missions – to better their professional lives and the sectors of society served by their industries.” Throughout the pandemic, MASAE has worked hard to maintain touchpoints, professional connections and to deliver education in a fragmented environment, Gray explains. “We have provided content to directly address pandemic-related challenges and also to help organizations and individuals think about the changes that will endure post-pandemic.” Getting back to networking as it was before COVID-19 may take some time. Challenges still exist and new methods of connecting may need to be employed. While some organizations may move quickly to revisit “traditional” events because it will feel great to return to how things used to be, Gray cautions that some “new norms” will persist – at least for the short-term future. “There will be some re-entry turbulence, as both associations and constituencies reimagine networking – how to facilitate in-per-
Northeast Convention Visitors Bureau (CVB) Representatives
son events that still consider residual pandemic-related [health and economic] concerns, how to maintain virtual components to maximize accessibility, etc.” The networking construct must be innovated to ensure that members can continue to make or re-establish connections and facilitate idea-sharing, says Gray. “We are group-oriented creatures who need regular interactions for intellectual and social reasons. Associations need to clearly articulate why networking matters and why we are the best vehicles for building and maintaining relationships – demonstrating how to do it right, and sharing ‘re-entry’ case studies.” According to Kimberly Pierich, CMP, professional development manager for the Pennsylvania Association of School Business Officials and director of communication for the Middle Pennsylvania Chapter of Meeting Professionals International (MPI MP), “We have worked to bring our members together as much as possible for emotional support during a time of uncertainty for our industry. With many members being laid off during the pandemic, we
created an online Job Hub for members to post openings or search for opportunities to regain employment. MPI Middle PA also jumped on offering virtual happy hours to our members. This provided an opportunity for members to network, laugh, ask questions, seek advice, and find support for the challenges we all were facing.” Associations provide members with assistance and support in their role, so they have somewhere to turn when a question arises, she explains. With a member focus, associations can offer tools, resources, mentorship, networking, and peace of mind when facing challenges at work. When it comes to networking, Pierich says, “Many of our members want to meet face-to-face, while some are still not comfortable. We’ll need to find ways to accommodate both. We’ll be offering a virtual networking experience through the use of virtual planner/supplier breakout rooms in conjunction with our July education event. For those seeking to get out and bump elbows, we’ll be providing an inperson networking opportunity in August for our members. Networking is
vital to the growth of our association, as well as the satisfaction of our members.” “At MPI Middle PA, it is our goal to promote the successful events being organized by our members to encourage others to continue moving forward,” she adds. “We also want to provide our members with ample opportunities to engage, network, and build relationships with other members.” According to Lisa McGlashen, CEM, CMP, HMCC, the director of exhibits, meetings and exhibits for the American Association for Cancer Research and also president of the Greater Philadelphia Chapter of the Professional Convention Management Association (PCMA PHL), along with Erica A. Keagy, administrator for PCMA PHL, their association offers members and industry contacts opportunities for education, camaraderie and networking. PCMA PHL has hosted educational sessions on job searches and resume building for those looking for work, as well as tactics for staying relevant within their organization for those who have remained in their pre-pandemic Mid-AtlanticEvEntsMagazine 35

roles. Throughout the pandemic, PCMA PHL did not charge mandatory registration fees; instead, asking registrants to pay what they could afford toward registration. Today, networking has taken on even greater importance because people have not been able to see one another in over a year, and so much of the industry PCMA serves is built on relationships. “Networking using Zoom is just not the same as being in-person,” they explain. “Networking is coming back with more in-person events with creative twists, such as the Tailgate Trade Show. We offered our first inperson event outdoors to alleviate some of the COVID-19 concerns.” Moving forward, PCMA PHL plans to offer more opportunities for building and renewing relationships. As more guidelines and education become available with regard to planning and hosting meetings and events, the association will continue to reach out to members and meeting attendees. 36 Julyz August2021
Don Welsh, president/CEO and foundation executive director for Destinations International, notes that associations play a key role in making sure their members are equipped with the knowledge needed to help move their particular industry forward. “Destinations International’s mission is to give our members the tools they need to be successful. We work with our partners around the world to make sure our members have the latest research, advocacy tools and education that they can use to move their communities forward.” During the pandemic, Destinations International worked with their partners to compile critical real-time data and hosted 64 webinars specifically focused on helping members to navigate the challenges faced as a result of the impact of COVID-19. The value and importance of networking cannot be overstated, and the prospect of a return to in-person gatherings is energizing and invigorating.
“We have always said ‘nothing replaces face-to-face meetings,’ and I think this has never been a truer statement than today,” asserts Welsh. “We just hosted our first hybrid event with our CEO Summit in Tampa, FL, and you could feel the energy from our members seeing each other for the first time since the start of the pandemic. I think virtual events offer many benefits – and we think hybrid is here to stay for a while – but you can’t replace the value of networking in-person.” Moving forward, he says, associations should work closely with their local CVB contact to make sure all safety guidelines in the destination are being met when setting up any networking events. Destinations International will continue to work with their partners to provide members with the information they need to be successful as the industry continues to move toward recovery. “Collaboration has never been more important,” says Welsh.
A demonstration of collaboration between PCMA and Destinations International is Destination Showcase, which promotes the valuable role that CVBs play in the planning of meetings and is scheduled for October 6, 2021 at Gaylord National Resort and Convention Center in National Harbor, MD. “Event organizers and CVBs are partners in success when planning meetings and events, and Destination Showcase will be an invaluable opportunity for our members and PCMA’s members to come together in person after over a year of Zoom calls to celebrate our industry and the importance of meetings and events to communities.” "The DMO community plays a vital role in community building, innovation, and growing business opportunities for better jobs for their communities,” adds Sherrif Karamat, CAE, president and CEO for PCMA. “They are also the hub in their community that connects government, industry, universities and business incubators to associations and corporations. [Destination Showcase] brings the entire ecosystem together, including association and corporate event organizers, to build relationships and facilitate commerce that leads to the successful staging of business events. This will not only expedite recovery, but enhance future growth.” Throughout the pandemic, Karamat explains, PCMA’s primary concern has been to help its members, and to do so meant helping to ensure their safety – focusing on their health and allowing frontline employees, especially healthcare workers, to do their jobs effectively. Also of concern has been fostering community support, which resulted in PCMA hosting more than 200 community conversations around the world on various topics to find solutions for situations that were challenging both its members and customers. “Finally,” explains Karamat, “we focused on preparing our members – instead of Mid-AtlanticEvEntsMagazine 37
protecting them – for a new tomorrow with information and knowledge with research such as the Compass Report and up-to- the-minute updates on rules and policy that may impact the ‘business’ of business events.” Last, but not least, PCMA sought to ensure that its members had the necessary skills to weather the storm and
thrive in a business events industry that may look different from what all had grown accustom. PCMA has earned the reputation of being a thought leader in the business events space – something Karamat says the association does not take lightly. “PCMA has long promoted the
need for hybrid and omni channel events, and our DES certification was critical in helping event organizers engage their audience at a time they could not meet face-to-face. Going forward, this knowledge will be even more important as event organizers meet their audience in their preferred channels.” PCMA launched the Seven Change Actions (7CA) program, too, which focused on mindset shift, leadership, and new approaches for success in a period of uncertain change. So, what might networking look like amid all of these changes? “Starting with the lighter side – I think there will be some awkward moments as we come together face-to-face for the first time… should we hug? Should we shake hands? Should we elbow bump? And the list goes on,” muses Karamat. “Networking is more than commerce and learning; it feeds our soul as humans for deeper connections. So, in the short term, there will be hesitation based on safety and the fact that we have been physically apart for almost 18 months, but what we do better than any other industry is connecting people with purpose to ideas and opportunities that create economic and personal growth.” Ultimately, Karamat says, networking will remain alive and well and will be enhanced as everyone adapts digitization to help make it even more meaningful. The pandemic while profoundly difficult on everyone, also provided the opportunity to experiment by trying new approaches. Now is the time to put those learnings into multi-channel experiences that will drive greater busi-
38 Julyz August2021
ness opportunities and relationship building, urges Karamat. “During the pandemic we also had many other social movements that, as associations implement, will foster better business opportunities and relationships, and by this I am speaking about inclusion and equity for all. There is nothing better for business and relationship building than creating environments where everyone feels like they belong, and are respected and included,” Karamat continues. “At PCMA, through our Ascent leadership initiative, we promote equity, inclusion and diversity across the business events industry and beyond. PCMA seeks to empower those challenged by gender, sexual orientation, race, ethnicity or disabilities to find success. As associations move from ‘talk’ to ‘action,’ this will pay major dividends in business and relationship outcomes.”relationship outcomes.”

With encouraging numbers regarding infection totals throughout the region, state and local COVID-19 guidelines are being largely relaxed in the Mid-Atlantic and Northeastern U.S. this summer, allowing for an increased return to meetings, events, travel and tourism. This is certainly an exciting time and everyone is looking forward to getting back to business, but it’s also an opportunity for businesses to engage in selfexamination. Perhaps an organization could use an influx of new ideas and an infusion of different perspectives. Maybe it could do more to be an ally or to make employees feel better appreciated, recognized and valued. Is the business’ workforce diverse and representative of the community, industry and its targeted customer base? Mid-Atlantic Events Magazine reached out to experts, advocates and industry thought leaders to discuss diversity and inclusion, particularly in the realm of hospitality and tourism. Each discussed the benefits of being more inclusive, the value in sharing and being receptive to diverse perspectives, and the strength and unity that results from establishing a culture of support, empathy and understanding. Regina A. Hairston, president and CEO for the African-American Chamber of Commerce of Pennsylvania, New Jersey and Delaware, says that as companies continue to reorganize and readjust while emerging from the pandemic, this may be the perfect time to focus on how their organization is addressing inclusion. “Fostering an environment where employees feel free to share their perspective is crucial to ensuring that people not only feel included at work, but where the best and most innovative ideas make it to the forefront,” Hairston explains. Diverse voices and experiences provide perspectives that are invaluable to organizations, she adds. Hairston further notes that, when employees feel valued and know that they are being treated fairly in the workplace, they are more willing to communicate issues

and problems when they arise, and there is a greater sense of loyalty to the organization because they feel as though their concerns and ideas will be heard. For companies who are evaluating their culture and policies of inclusivity, obtaining an unbiased outside perspective might be the best way to achieve a more complete overall assessment. And while outsourcing evaluations may work for larger institutions, Hairston observes that smaller companies may not have the same luxury, but cautions that they must work to objectively identify and examine the true effectiveness of their current diversity and inclusion strategies. “There is no ‘one size fits all’ solution to achieving greater diversity within an organization,” Hairston continues, “because every organization has a different starting point. Identifying where the organization or company stands on diversity – in the eyes of its employees and also in the public – is crucial to
determining where it needs to go. From there, it is necessary to create measurable and deliverable benchmarks so that progress can be made.” Inclusivity opens up participation to all points of view instead of only a select few, asserts Jennifer I. Rodríguez, MCP, president and CEO of the Greater Philadelphia Hispanic Chamber of Commerce. Specifically relating to the travel and tourism industries, she explains, it is imperative to be welcoming to all people. “Especially in a city like ours, the cradle of American democracy. Our diversity makes us strong and the history of Philadelphia demands that we take affirmative and intentional steps to welcome everyone.” Time and again studies have shown that organizations with diverse workforces and perspectives are high performing and grow exponentially over time, cites Rodríguez.
Furthermore, she says that diversity helps people to exercise greater empathy, too. “We might not have the ability to imagine someone else’s experience, but we can listen and offer support in so many ways. This helps us to understand those around us and build greater fraternity among colleagues.”

According to Zach Wilcha, executive director for the Independence Business Alliance, the LGBTQ+ Chamber of Commerce for Greater Philadelphia, when discussing inclusion for any industry, “we should look at it as the ideal intersection of what is simply the right thing to do and what is best for the bottom line.” It is important that individual businesses in the hospitality and tourism industries are inclusive, he explains, not only because it will make them more effective and productive, but also because these entities will be on the frontline of welcoming people to the area. “Inclusivity is the only way to truly know the people you’re trying to serve,” says Wilcha. “For example, my organization focuses on the LGBTQ+ community, so we encourage folks in the meetings and conventions industry to take note of how inclusive our area is for our community. If you can communicate the success and inclusiveness of the LGBTQ+ community, you’re increasing the appeal of your destination to LGBTQ+ travelers and tourists.”

tive and profitable company; more varied perspectives which can drive innovation; the opportunity to offer a broader range of products and services; a workforce that can operate comfortably as who they are; better communication; and the ability to attract and then retain top talent.” Inclusivity and equity are vitally important to an organization in all areas of management, including at the very highest decision-making levels, he adds. When aiming to create greater diversity within an organization, Wilcha advises that there are many questions leadership should be asking about both its hiring practices and its workforce engagement. For example, questions to ask when thinking about hiring include: Are the business’ practices culturally competent? Where are candidates being sought? Do descriptions of job openings reflect the communities from which they are trying to recruit? What qualifications are actually necessary for the position? What is the external face of the company or organization? Do benefits and employee handbooks contain inclusive language? 44 Julyz August2021
Wilcha says, concerning workplace engagement, consider asking questions such as: Are there employee sponsors elevating employees from all communities? Are there employee resource groups set up to support employees and to champion their voices? Are there ways to help allies to be more visible? Are all of the organizational policies inclusive? Does inclusivity in company policy go beyond the mere formal mechanics of what is required by law? He goes on to advise that some of the best things that an organization can do to invest in and commit to institutional inclusivity are: learn about and reduce unconscious bias through training; foster a culture that listens to the many diverse viewpoints of employees; set up and champion employee resource groups for different communities within the workforce; educate and empower allies; and engage with communities more than once a year (rather than celebrating communities only during their “assigned special months,” such as Pride Month or Black History Month). “Recognizing and appreciating each other’s diverse backgrounds and experiences not only creates an environment that is more inclusive to
everyone, but it is one of the best ways for groups to think creatively, to foster innovation and problem solving, and to create community,” Wilcha explains. Today’s diversity, equity and inclusion (DEI) initiatives must be proactive and viewed as a business imperative by company leadership – a core function that fuels a company’s competitive edge, asserts Greg DeShields, executive director, PHL Diversity. “Diversity and inclusion cannot be a one-time campaign or a one-off initiative.” Promoting these initiatives in the workplace is a constant work in progress and should be maintained and nurtured to guarantee their effectiveness. “Professionals in the meetings and events industry are key players in the DEI dialogue, because their resources, experiences, and recommendations – coupled with their private network of suppliers, vendors, and venues – make them central to the business ecosystem,” DeShields observes. Leaders of the meetings and events industry know how to bring diverse stakeholders together and can provide
REIMAGINE | REINVENT RECONNECT a blueprint for achieving diversity, equity and inclusion for all of society, he adds. Because diverse teams have different life experiences, individuals will approach problems differently and empathize with end-users in new ways. “The wider the diversity of experiences, the wider the pool of knowledge that the team will bring to each decision, idea or project,” asserts DeShields. He says that, as part of a company’s self-evaluation with regard to diversity and inclusion, the assessment process needs to obtain valid data and information about an organization's performance in each of the following primary areas: - Leadership: Commitment and buy-in are reflected in the decision-making processes that influence outcomes.
cally have been marginalized or overlooked for procurement.

DeShields recommends utilizing a credentialed, objective Diversity, Equity and Inclusion expert to conduct the assessment, if possible, in order to ensure that critical aspects of the organization are being evaluated. He also advises setting measurable goals – in order to “measure what matters” – foundational ways through which a company can demonstrate its investment in order to drive change toward incorporating DEI initiatives. “Diversity, Equity and Inclusion is everyone’s responsibility,” he concludes. “When you create a culture of inclusion, it makes for a happier, more relaxed work environment. As a result, employees feel valued and respected, which leads to greater collaboration and creativity.”

STAYING CONNECTED How healthcare businesses can continue to create engaging audience experiences during the pandemic and beyond
The COVID-19 pandemic has had significant consequences for industry; forcing a change which demands a new way of thinking - not just in terms of our day-to-day operations, but in the way we interact with customers and facilitate essential customer communication and education.
46 Julyz August2021
Here, Ashfield Event Experiences’ Liz Harvey (head of live events, U.S.) and Dan Walker (head of live events, UK), reflect on their own journey at the beginning of the pandemic, considering how best to continue creating engaging audience experiences and drive meaningful human connections in a virtual space.
RECOGNIZING THE SITUATION, DEVELOPING OFFERINGS As the COVID-19 pandemic unfolded, the longevity of the situation quickly became clear. Events that traditionally had sustained the industry were no longer able to operate due to safety concerns, but there was still a pressing need for pharma, life science and health and wellbeing companies to continue to collaborate, communicate and drive change. During this time, a definite sense of community and support could be felt throughout the industry and we pulled together in support of our clients and also our sector. Agencies needed to adapt to the situation, evolve their offerings and embrace what was happening in order to provide practical, virtual solutions that would enable them to continue working effectively. To achieve this, here at Ashfield Event Experiences (part of UDG Healthcare plc), we quickly deployed our three-step formula for success – a strategy devised around providing high Mid-AtlanticEvEntsMagazine 47
quality content focusing on the attendee experience, project management, and technology to enable audience engagement. Although these elements always have been fundamental to the Ashfield Event Experiences team, and virtual engagement has formed part of our offering for some time, the pandemic provided an opportunity to advance our approach. Delivering an engaging virtual experience was absolutely critical in a world where in-person contact no longer was possible.
INVESTING FOR SUCCESS For any company creating impactful virtual events, our first piece of advice is to clearly define and invest in your offering, and that begins with people first and foremost, followed by the creative application of technology and broadcast solutions. At Ashfield Event Experiences, we essentially created broadcast studios in-house, devoting funds to top-of-the-range audio and visual equipment, and upskilling our people to better-understand the role of a producer as well as a project manager. It’s obviously vital to ensure you have the technical capabilities and a trained team to deliver events in an engaging way. Blurry webcams and muffled mics will not cut it; nor will speakers who don’t know how to effectively engage with a virtual audience. Even a speaker who is used to addressing an audience from a stage needs to learn how to captivate a screen of silent faces. It is, therefore, extremely important to invest in training. The smallest details can be paramount when it comes to being engaging in an online forum and elements such as camera angles and eyelines, posture and positioning, and even which colors work best on screen, all are worth considering. In terms of using the correct technology, different platforms can be used to engage audiences in different ways. Find web-conferencing, streaming and platform solutions that meet your needs and learn them. Understand them better than the people who developed them. The ability to lead a client through their own internal solutions and maximize the engagement and value from that solution builds trust and respect. 48 Julyz August2021
ATTENDEE FOCUS Also, it’s important to ensure that that your audiences don’t begin to suffer “video-call fatigue” – especially during sessions where delegates often are required to participate for long periods of time. People need to know that it’s still okay to have fun! This remains one of the biggest challenges of virtual conferencing, but along with carefully considered program design, there are technologies that can be used to create more informal settings for audiences to enjoy. Creating moments to mingle in a bar or watercooler environment, or creating space for walking chats – simply dialing into the session while on the move to create productive time away from the screen.
ENGAGEMENT TECHNIQUES Throughout the course of the pandemic, we’ve noticed a significant increase in the demand for virtual meetings and events aimed at internal audiences. With so many workforces operating from home, it is more important than ever to maintain connections, and there is a definite desire to bring employees together in an enriching and educational way. This sort of event can’t just be a meeting for the sake of meeting – there needs to be tangible benefits for employers and employees alike. Creating experiences that live up to those that were delivered face-to-face pre-pandemic is obviously challenging. In a virtual setting, we found that the best way to approach this was through data-rich content and, in many cases, we introduced some form of video, augmented reality or gamification to our clients, allowing teams or individuals to gain rewards based on their levels of engagement and participation. Importantly, enable the attendee learning to be asynchronous, as it’s not always possible to join live, and taking time to understand, reflect and also contribute on demand is a solution in its own right. It comes back to our formula for success: high quality content and program design, experienced project management, enabling, and effective technology. Our clients have relied on us to ensure their messages are conveyed in ways that are more human, memorable and measurable.
LOOKING AHEAD As vaccine programs continue to gather pace, we believe that we’ll see a more blended learning journey in the future. While a return to face-to-face events in the USA is already being planned for late summer, the likelihood is that, on a global scale, we will continue to see an indefinite hybrid of in-person and virtual events. Virtual meetings have proven their value and businesses will redistribute their budgets to optimize opportunities. Many people working in the pharma, life science and health and wellbeing space have spent more time at home over the last year than ever before and have found that they may no longer want to travel as frequently. Instead, they may wish to minimize their carbon footprint and travel to key events only once or twice a year, but remain connected through virtual events on a monthly, or even weekly basis. Some traditional meeting formats may change for the short, medium- or even long-term. Video and virtual are very powerful communication tools, and it’s not unlikely that agendas will be developed to reflect a focus on the interpersonal connection with more pre- and post-event communication helping to build the message delivery and retention.
Of course, time will tell how events will take shape, but what we do know is that the future events landscape will continue to be challenging. Client needs and objectives will be different, but the need to create engaging content and experiences will remain the same. With over 40 years of experience, Ashfield Event Experiences serves as one of the largest global events agencies with teams dedicated to the healthcare industry, offering experience and expertise for creating and delivering any type of healthcare meeting or commercial event, whether virtual, face-to-face or hybrid. Dan Walker, Head of Live Events in the UK for Ashfield, has 20 years of event experience and is an expert in production and live content. Liz Harvey, Head of Live Events in the U.S. for Ashfield, has a wealth of event experience that includes an innovative and creative background. Conversations to Inspire Forward Motion
Be Bold! Every once in a while, we all get around to cleaning out our work bags or our backpacks. Those of us in the planner world carry around a lot of “stuff.” Tools we need; weird little odds and ends to help us “Macguyver” our way through an event. Sometimes I find something that makes me pause to remember a really fun event. Hmm… Where did this stick-on mustache come from…? Often, I’ll find a receipt I thought I had lost or a ticket stub for my dry cleaning that I forgot was still at the cleaners. The purge is a process, but I restock the bag and get ready to move on to the next program. From April 2020 to just a few weeks ago, however, my bag sat. It just… sat. I walked around it for months, eventually moving it from the floor to the closet in my office. I didn’t give the 56 Julyz August2021
contents of the bag much thought. My dear friend Lou Marrocco, director of meetings and events for Visit Delco and founder of Brandywine Events, and I sat down recently to catch up and our conversation turned to, as always, recovery in the events industry. We talked about the fact that the floodgates seem to be opening for social events such as weddings. Corporate events, it seems, are proceeding at a much more cautious rate. I think, for many, virtual meetings have worked. And until companies have reopened their offices and everyone’s families are protected by the vaccines, I think we might still be seeing one another over Zoom or Teams more often than across the meeting table. If you’re like Lou and I, you have been tuning in to the post-COVID event safety webinars that have been going
on for months. We’ve taken notes and added some tools to our tool kit, but the big question is, how do we instill confidence in our clients and planning partners if we are still carrying some fear around in our backpacks? How can we shake off uncertainty and quiet the doubt? I recently signed a contract for a very large in-person event scheduled for this fall. The event is slated to take place in a state where the restrictions have not yet been lifted for events of this size. I had numerous conversations with the venue about their ability to sign a contract when no one knows whether we will be able to invite a group of this size to gather. But, to go boldly into the unknown was what we needed to do. Contract clauses were written to protect in the event we cannot host that large of a
group. Safety protocols will be put in place. Conversations will go on regarding vaccination proof, waivers, physical distancing and food and beverage. And I can assure you that even when we think we have it all figured out, we still will need to talk further about these topics. The spectrum from doubt to confidence is wide. Having open conversations with clients, vendors and your team about the reality of where we all are is particularly important. I have always disliked the phrase “fake it ‘til you make it” – and even more so now. While we are making strides in the events industry and organizations are successfully and safely gathering, we do need to be honest with ourselves and our stakeholders. Confidence and trust often are used as if they are synonyms. However, confidence refers to self-assurance and trust is confidence in or reliance on others. Open communication helps build trust and can boost confidence. I am following post-event reports from inperson events that have taken place so that I can be prepared for every different outcome. I have talked with other planners and hoteliers about what they have seen and done.

Talking with me about events that have transpired is like sitting down for an interview with Oprah. I ask a lot of questions and no subject is off limits! All joking aside, it is important that information is being shared about successes and failures. I have amassed volumes of information to help me confidently unpack the fear that was hiding in the abyss of my work bag. I had no idea it was tucked in there, among the sticky paper clips and parking receipts. Mid-AtlanticEvEntsMagazine 57

WHAT’S NEW Situated along Lake Placid’s Main Street, the historic Hotel North Woods will reopen this fall after a major renovation, unveiling a fresh look under a new name: Grand Adirondack Hotel, a Tribute Portfolio Hotel. Conceptualized, managed and capitalized by the team at Wright Investments, the Grand Adirondack Hotel will embody the spirit and soul of Lake Placid and the natural environment that surrounds the town. Fully reimagined, the hotel’s elevated design, culinary offerings and programming will immerse guests in the charming destination, combining the great outdoors with the laid-back luxury of the Great Camps of the Adirondacks. New this year, The Wild Center is introducing two outdoor, large-scale art exhibits. The first is a selection of large sculptures made out of found materials by Adirondackbased artist, Barney Bellinger, displayed in collaboration with Tupper Arts. The second will be larger-than-life pieces created on-site in August by stick sculpture artist Patrick Dougherty as he bends, weaves and fastens together twigs found in the Adirondacks. In addition, naturalist-led canoe trips will run daily through September 6th, taking guests through the Raquette River’s Oxbow as they explore different marsh habitats.
