Are you still struggling on the tide of new data regulations? We’ve known about it for months, but the chances are that some businesses may still not have adopted the necessary protocols that came with the advent of the new General Data Protection Regulations (GDPR), which began on 25 May. To help, Bradley Smith, director at Grundon Waste Management, sets out some simple steps to compliance.
In the run-up to the launch of the European Union’s new GDPR, it was reported that only 54% of businesses said they were ready for the change. That means just under half of organisations are still putting themselves at risk of a massive fine for non-compliance. And if you want to know how much that could be, it’s 20 million Euros or 4% of annual turnover, whichever is the greater. It’s clear that
18 JUNE 2018
turning a blind eye is not an option. GDPR applies to anyone who controls or processes personal information. In other words, anyone responsible for personal data records, and also anyone processing it on their behalf. You also need to be able to demonstrate that you have a reason to be in possession of personal data, for example, to be able to comply with a legal obligation, or to fulfil a company’s
obligations. And although the UK will be leaving the EU in 2019, it is no excuse to avoid taking action - we are all legally bound to comply.
Help is at hand To help you tackle GDPR compliance sooner rather than later, we’ve compiled some top tips which we hope you’ll find useful: 1. Make sure everyone in the business knows what the implications are and the role they need to play. Full information is available at www.ico. org.uk. 2. If you don’t have one already, appoint a data protection officer who will be responsible for implementing the necessary changes. 3. Review how your data is currently managed and where it is stored, consider the controls that are currently being applied. Take into account third party suppliers who might also have access to your data in order to enable them to do the job

you are asking them to. This can be even more complicated with today’s cloud computing and file sharing, but that’s no excuse. And if data goes to a non-EU country or international organisations, then you need to know they have adequate safeguards in place. 4. Ask yourself if the data you hold is being used for the purposes it was originally collected. If you are using it for another purpose, then you need to check with the person who owns the data that they are happy for you to do so. 5. Consider the policies and procedures that you have in place to identify, report and investigate a data breach. You need to know you can stop that information falling into the wrong hands. 6. You must limit exposure to confidential data, for example by storing confidential documents securely. Encouraging a clean desk policy can help ensure that a tardy Post-It note with someone’s details, or a memory stick left out for all to see, will not be a potential data breach. 7. If you do make changes to your data processing activities, then it’s important to track them and create an audit trail which you can demonstrate if asked. 8. Confidential waste can be anything from out-of-date personnel files to classified documents, electronic media and magnetic tape. The correct disposal is essential, so make sure you take appropriate action - the
WWW.CLEANINGMAG.COM
simplest answer is that if you are not sure, then shred it. 9. Given the amount of documentation and media that may fall into this category, make sure you work with a professional and reputable provider who can offer both secure shredding and, if necessary, high-temperature incineration. At Grundon, we work with specialist contractor Shred Station, which offers secure, mobile on-site shredding services and will provide a certificate of destruction which confirms the documents are gone forever. 10. Be transparent - all companies must be transparent in how they use personal data. The information you supply about how data is processed must be concise, intelligible and easily accessible.
Time for action In conclusion, these new regulations are not to be taken lightly - in their
C&M
simplest form, they demand explicit consent from anyone whose data you may hold. And, those individuals are also allowed to access, change or delete their own data. If you haven’t done so already, then now is the time to take action. You might think (or even know) that your company’s systems are safe and secure, but a disgruntled employee or a third party supplier who you’ve asked to fulfil an order on your behalf may think differently. It’s up to you to take responsibility and the cost of getting it wrong could be very high indeed. Speak to a member of our team about how Grundon can provide you with confidential waste collection and destruction as part of our total waste management service. Please contact sales.slough@grundon.com or call us on 01753 686 777. WWW.GRUNDON.COM

They are particularly suitable for opportunity and daytime cleaning in shops, restaurants, washrooms, hotels, care homes, offices, and schools. Low noise and the absence of a power cable make these machines ideal for cleaning where building occupants and members of the public may be present. How probiotic cleaning helps in the fight against HAIs There has been much debate over the effectiveness of using chemical cleaning products in targeted cleaning in a healthcare setting, in light of an ever-increasing presence of hospital-acquired infections (HAIs). Emma Saunders, general manager at Genesis Biosciences, explains how use of probiotic cleaning products on non-critical surfaces offers a smart and effective natural alternative to fight the microbial pathogens that cause HAIs. DEFINED as ‘infections occurring in a patient during the process of care in a healthcare facility which was not present or incubating at the time of admission’, HAIs also include infections acquired in the hospital but appearing after discharge, and occupational infections among staff. They can even affect the wider community, since hospital acquisition invariably leads to patients or staff taking them home. The World Health Organisation (WHO) estimates that at any time, 7% of patients in developed and 10% in developing countries will acquire at least one HAI in their life. In Europe, prevalence is 7.1% with more than 4 million patients affected Dr Emma Saunders
