AS I WRITE THIS, we are on the cusp of the 2023 wedding season here in Maine. It was a long, restful winter, and businesses are geared up and ready to help their clients realize their plans for their wedding days. In many recent conversations with Maine’s wedding professionals, it is hard not to be swept up in their excitement for the upcoming season. It is a funny business that we are all in. More than just a 9 to 5 job, we exist to make dreams come true for all of you reading this. I can’t think of a more talented group of professionals to make this happen than those I know of here in Maine.
We are also putting the final touches on the 2023 Maine Wedding EDU conference. In its 4th year, this is a conference for wedding professionals looking to grow their businesses and knowledge. We are so excited about our lineup this year of phenomenal speakers and educators. We love being able to support the Maine wedding industry in this way!

It is customary to feed the professionals you have hired for your wedding celebration. This team varies but often includes your event planner , photographer, band or DJ, and officiant . Talk to your caterer about the best way to feed the team efficiently — timing is everything! Your caterer can also walk you through the best options for vendor meals. Sometimes the team eats the same meal that the guests are having. Sometimes a separate buffet area is set up for the team members to eat on their schedule. A new national program has just launched that offers meals directly from your wedding to hungry people in your area! Ask your caterer if they have heard about the You Can Have Mine Initiative. This program lets individual members of the vendor team choose to waive their meals at your wedding and donate the dollar amount to a local shelter or food bank, where it will go straight to feeding hungry kids and adults in your area. Every bite counts when you are food insecure.

We all have different pricing structures, shooting styles, and ways of interacting with our clients. Some photographers charge a low base price and let you add options to customize your finished package. Others have an all-inclusive price, which may or may not include prints, files, albums, or other products. Some won’t share pricing until they meet with you, and some photographers write custom quotes for each wedding. Your wedding will be different from any other we’ll see this year, so please forgive us if we spend a little more time trying to understand how we can help you before just quoting you a price. You’re not a leaky faucet to us, and you probably want more than just a washer replaced!

OF THE MANY RESOURCES that lead couples to Maine when choosing their wedding destination, the diverse and talented vendor community is among the most attractive. From boutique florists, planners featuring bespoke elements tailored to your tastes, and caterers working with the freshest ingredients available, you don’t need to look far to find a wealth of incredible vendors willing to go above and beyond to make your wedding dreams a reality, at times reaching beyond what you had imagined. With a wedding community that continues to grow and nurtures some of the best, you will be stunned not only on the day of but throughout the entire process.
So how do you thank the people who ensure every box on your list gets checked, every guest leaves with a smile, and you have the day you always dreamed of? Finding the right way to say thank you can be difficult, and it can be hard to know when, if, or how much to tip for these vendors who see you through the months of planning. While not every vendor expects to get a tip, there are a few tried and true guidelines to help you navigate why and how to tip your vendor’s best.
WHY SHOULD YOU PLAN TO TIP YOUR VENDORS?
You’ll be fortunate to work with some of the best small businesses in Maine. Maine isn’t a state known for large chains or “man-behindthe-curtain” companies. Most of the time, you’re planning with the proprietor. Wedding professionals in Maine are artisans and specialists whose faces you will come to know and whose words will come to assure you during your planning process. They are small business owners employing locals and using Maine ingredients to give you the curated experience you came for. In most larger cities, your wedding may be one of hundreds or more in a

year, but for many Maine vendors, yours will be an event they know inside and out.
HOW DO YOU KNOW WHICH VENDORS TO TIP?
First, it’s always best to start by reviewing your contract. Some vendors, like caterers or venues with bar staff, will have gratuity as a line item in the contract. Read everything over, and don’t be afraid to ask if you have questions. Make sure to clarify, especially if you’re unsure what the cost or line item may mean. For example, a “service charge” often does not mean “gratuity” and may go back to the company directly or to another service you are receiving. When gratuity is not included, prepare the gratuity ahead of time. In situations where there is staff that should be tipped — referenced in our guide below — confer with your coordinator or event lead on how to dispense the gratuity best.
WHEN SHOULD YOU TIP?
Rather than you or your partner trying to track down all your vendors on your wedding day, entrust your planner or a loved one — think parent, friend, or member of the bridal party — to distribute tips on your behalf. Write cards in advance and have them sorted and in envelopes so they are easy to hand out on your big day. Anyone you miss, drop a card in the mail after the fact! For truly stellar service, follow up after the event by leaving a great review and sharing photos of your wedding with the professionals that helped make your day run smoothly.
WHOM SHOULD YOU TIP? AND HOW MUCH?
When tipping your vendors, remember that there are vendors for whom gratuity is expected and others for whom it is optional but always appreciated. See the examples below for guidelines.

HAIR/MAKEUP ARTISTS: 15–25% of the total
RECEPTION CATERING STAFF: 18–20% of the final bill, usually included in the final total, but read the contract to make sure
BAR STAFF: 18–20% of the final bill
OFFICIANT: $50–$100. If hosting a religious ceremony, donate to the religious organization instead.
PLANNER: 10–20% of the package
CEREMONY MUSICIANS: $5–$20 per musician

If you are planning a wedding in Maine from thousands of miles away, it helps to have a local person steer you in the right direction. If you don’t have friends or family in the area, consider hiring a MAINE WEDDING PLANNER .
5If you’re flying in from out of state, KEEP YOUR WEDDING ATTIRE ON HAND. Pack it in your carry-on bag and have it pressed when you arrive.
PUT SIGNS UP along the road in rural areas so your guests won’t get lost.
SCOPE OUT TRANSPORTATION options early. When you plan your Maine wedding, remember there aren’t multiple airports, bus stations, or public transportation venues for your guests to choose from.
2 LEAVE TIME for people “from away” to get lost.
If people are driving, provide SUGGESTED REST STOPS. I-95 can go on for miles without one, so be prepared.
BE AWARE OF TRAFFIC.
Coastal Maine is a popular place in the summer, and Route 1 can come to a standstill, making travel time between the church and the reception longer than planned.
CONSIDER PROVIDING TRANSPORTATION. If people are coming in from out of town for your wedding, consider hiring a party bus, van, or even a trolley to take guests from their hotels to the wedding ceremony, to the reception (if it’s in a different location), and back to their hotels. It will save on parking spaces and offer your guests a safe alternative to driving.

If you are renting tenting, tables, chairs, etc., doublecheck the details of your RENTAL DELIVERY, especially if you are having a rural wedding. It may be easier for your rental company to deliver your order earlier in the week, giving you more time to set things up.
There are many beautiful, natural places in Maine to get married without access to a restroom. Plan accordingly to have RESTROOM TRAILERS available for your guests.
MAINE-MADE FAVORS
It’s an easy way to be unique and send your guests home with a reminder of the time they spent with you.
Want to send your guests home with a bit of piece of Maine? How about a sapling?
The Maine state tree is the EASTERN WHITE PINE. Have your guests plant the tree and help the environment.

SERVE LOCAL FAVORITES like Maine microbrews, blueberries, whoopie pies, and fiddleheads. Many people can’t get these things where they live.
Lobster is a Maine tradition, but it’s messy! If you plan to serve lobster, consider serving it “LAZY LOBSTER” style — pre-cracked and ready to eat. It will keep your tables and guests tidy.

Maine summers are short! Be sure to BOOK YOUR VENDORS WELL IN ADVANCE. 12-18 months in advance is not too early.

If you plan a Maine wedding from afar, try to MAKE AT LEAST ONE TRIP to your destination site and meet with all of the companies you have booked.
VISIT THE CEREMONY SITE during the same time of day and year that you have scheduled your ceremony and make notes of external or environmental noise. There’s nothing like a foghorn to ruin the moment.

Does your Maine wedding photo-grapher have an ASSISTANT? A second shooter is a valuable asset on the wedding day.
Have a PHOTO BOOTH at your wedding. It’s still fun, and people love it. There are many great photo booth rental companies that offer a variety of options.
Planning a backyard wedding? Call the local town hall to see if there is any CONSTRUCTION PLANNED for the area around the time of your wedding. Summer in Maine is also road construction season.
It’s also a good idea when planning a backyard wedding to LET THE NEIGHBORS KNOW what time it’ll take place, so they’ll be sure to cease mowing their lawns during the ceremony.
BRING A PAIR OF SHOES to wear during the scenic photoshoot on the rocky coast of Maine. The last thing you need on your wedding day is a sprained ankle.
Since going barefoot on the beach is a norm, offer your guests PRE-MOISTENED TOWELETTES so that they can wash their feet before putting their shoes back on.
Planning a beach wedding?
If you are going to take beach photos, make sure your BUSTLE keeps your dress from dragging in the sand.

FILE MARRIAGE INTENTIONS: The first step in obtaining a marriage license is to record the marriage intentions in writing. Both of you must sign the intentions stating you are free to marry.

If only one of you resides in Maine, then both of you must file your intentions at the municipal office in the town or city where you hold residency.
If neither of you is a resident of Maine, you can file intentions at any municipal office in Maine.
If either of you happen to be divorced, remember to bring a copy of your divorce decree. If you don’t have one, this can be obtained from the district court where the decree was issued. This needs to be an original document issued by the court with an embossed seal, not a photocopy. Present this to the clerk when you apply for your license and you will be good to go!
Once your intentions are filed and the license is issued, you are free to marry anywhere within the state.
ISSUING LICENSE: There is no waiting period in the state of Maine. Once your intentions to marry are filed, the license may be issued immediately with your signatures. The license must be used within 90 days (not three months) from the date the intentions were filed and can only be used in the state of Maine.
AFTER CEREMONY: The person who performed the ceremony is responsible for completing the appropriate section of your marriage license. This includes obtaining the signatures of two witnesses (traditionally your maid of honor and best man) plus the signature of the officiant.
FILLING OUT & FILING: The marriage license must be completed in black ink only. The officiant is responsible for filing the license with the municipal clerk at the municipality where the license was issued. They have seven days from when the ceremony took place to file. Once it’s filed, you’re officially married.

WEDDING DJS. WE ASKED HIM FOR SOME INSIGHT ON RECENT MUSIC TRENDS IN THE WEDDING WORLD. AND SINCE MAINE IS A DESTINATION WEDDING LOCATION, JASON HAS THE UNIQUE ABILITY TO TRACK WHAT IS TRENDING BOTH LOCALLY AND NATIONALLY AS COUPLES TRAVEL TO CELEBRATE THEIR WEDDINGS HERE IN OUR GREAT STATE.
MUSIC IS SO PERSONAL and wedding music is perhaps the most personal. We know music plays an integral role at weddings. Whether it’s the sophisticated reverence of the ceremony, the laid-back nature of the cocktail hour, or the dance floor “going to 11,” music is an opportunity for every couple to infuse the playlist for each part of the day with their unique personality.
Regarding the genres of music played and the unique selection of songs played, I’m seeing trends changing. During and after COVID, many couples had more time than usual to curate the music for their big day. This is coupled with the fact that Gen Z is just beginning to be in the target age of marriage and they bring their strong sense of individualism to their wedding soundtrack.
Overall, wedding music is trending toward being more focused on the party and less on formalities throughout the celebration. Most couples still choose to have a first dance together and dances with their parents, albeit with shortened songs, but fewer choose songs for cake cutting, bouquet and garter tosses, anniversary dances, and other formalities. This could be due to various reasons, but it’s likely that living with the restrictions of COVID caused many of us to avoid gatherings, parties, and seeing family and friends. Since restrictions have
lifted, couples seem less focused on “look at us and all our pomp and circumstance” and more focused on “why don’t you all come to our wedding and have a really fun time!”
When it comes to trends within music itself, I’m seeing a much larger variety of song choices throughout a wedding and even specific genres that are becoming more prevalent. EDM, Electronic Dance Music, seems to be coming up on more couples’ Must Play Lists than before. The current group of newlyweds were brought up on EDM and may have shared fond memories of large festivals like EDC or Ultra.
With pop music sharing many similarities to EDM, there’s an extensive catalog to choose from for wedding dance floors. The same can be true of Latin influence on music as well. Artists like Pitbull and Shakira are always relevant at weddings due to their Pop/ Latin crossovers. We’re also starting to see more and more songs strictly sung in Spanish on wedding playlists from artists like Bad Bunny and J Balvin.
More current music is being used for love songs that are played during sentimental moments like the first dance or the procession at the ceremony. Couples are shying away from the evergreen love songs like Nat King Cole’s “L-O-V-E” or even Ed Sheeran selections. Instead, they opt for

more contemporary artists and songs like Harry Styles’ “Love of My Life,” Taylor Swift’s “Sweet Nothing,” or Kygo’s “Woke Up in Love.”
I am excited to see more and more genres, artists, and vibes being represented at weddings! What DJ wouldn’t be? It allows us to flex our creative muscles and play tracks showcasing the couple’s unique tastes.

WHEN IT COMES to working in the wedding industry, it would be easier to list the areas where Misty Coolidge hasn’t dipped her toe. She owns and operates her venue, Coolidge Family Farm, in New Gloucester. She has restored a chapel in Gray (now renamed Coolidge Chapel), has worked with caterers waiting tables and leading events, and worked as a day-of coordinator for planning firms. While taking knowledge and experience with her from every turn in her career, it was through her experience in catering that she was pointed in a direction that would lead her to create the business that gives her the most pride and excitement: Maine Mixologist LLC.
“I was ready to leave catering because I just did not enjoy serving food,” said Misty Coolidge. “When I tried bartending, I found that I could use my personality in a different way, and I fell in love.”
Through bartending at events, Misty found that there was a gap in the industry for traveling bar services, and it was a gap that
she believed she had just the skills to fill.
“I went right to the Maine Bureau of Alcoholic Beverages to find out what I would need to do to open a business like this,” Misty says of starting Maine Mixologist. “I don’t think they knew what to do with me, especially then! I was proposing a mobile bar service, which wasn’t exactly popular at the time.”
After a decade of operating Maine Mixologist, Misty and her team of 40 bartenders, barbacks, and servers provide bar service at around 150 weddings a year. Misty has made it her mission to know the ins and outs of serving alcohol in the state of Maine. She knows that for couples, it can be hard to know what the right choices are for their big day, so she shared some of her tips for serving alcohol at your wedding.
There are two types of alcohol services: licensed and unlicensed. A licensed bar service carries its liquor license and must purchase and sell all

alcohol. These licenses are only given to companies that also serve food. They will bring the alcohol to the wedding/event, sell the alcohol during the event (usually either per drink as a cash bar or per person for an open bar), and then take the remaining alcohol with them when they leave. An unlicensed bar service, which is what Maine Mixologist is, does not carry their own liquor license, so they cannot purchase or sell the alcohol for the event. This means the client must provide the alcohol, and it must be an open bar, as neither we nor the client have a license to sell alcohol at the event. When I arrive on site, the alcohol must be unopened, and when I leave, I lock it up to protect myself, the venue, and the couple. Both types of service should carry liability insurance. Still, Maine Mixologists carries a $2 million policy (twice the average) so that I can make sure that our team is covered no matter what.
Think about your guest experience. When talking to my clients, I’ll explain to them that if you don’t have an open bar, you are expecting that your guests will have to open their wallets and shell out $8 to $10 each time they go to the bar. With an unlicensed bar service, you will provide the alcohol, and we will serve it without a markup, which can save couples around $2,000 to $5,000.
An unlicensed bar service can accept donated alcohol.
Have a family member who makes homemade prosecco? Do you and your partner like to brew beer as a hobby? An unlicensed bar service can serve alcoholic beverages provided by the couple, creating a unique bar menu for your guests.
Ask questions!
As you book your venue and vendors, look at what they require and offer for bar services and ask lots of questions. Some venues will have their requirements for alcohol service clearly listed, but if not, ask them what they require. Some catering services provide bar services, but if you’re unclear about what they offer or what service it is, ask! You do not always have to pair your bar service with
your catering service. You can shop around and see what’s right for you.
Educate your guests.
Outside alcohol may be permitted depending on the type of caterer you hire, but I recommend that you save your guests and vendors from potential conflict or embarrassment by letting them know ahead of time that alcohol will be provided at the venue and no outside alcohol is allowed inside. List what type of bar service you’re having (cash or open) on your wedding website or your informational card inside your invitation. Having a card with all the information is priceless, and putting bar information out to your guests ahead of time can save you a lot of headaches in the long run.
Serve something for everyone. When planning a menu, I recommend 3-4 different kinds of beer: a light beer, a wheat beer (Allagash White is a big Maine favorite), a seasonal beer (usually local, like Shipyard Summer or Baxter Blueberry Ale), and then a seltzer or cider. I would also offer 3-4 kinds of wine. In the summer, I offer two whites, one or two reds, and a prosecco. Think of the season. Most people won’t want to have a warm red wine in the summer, but in the fall, everyone wants to be cozy.
Add something unique and different! Weddings aren’t real life! It’s a fun day outside reality, so that people will drink the wine with dinner, the prosecco with the toast, and try a different cocktail. The most common liquors for signature cocktails are whiskey and vodka, and I recommend that they appeal to 85-90% of your guests. Try something new and seasonal. I always recommend adding something to excite your guests to try it, like making a watermelon margarita instead of a regular one. We also see many people adding an additional service, like mini-cocktails or pre-ceremony cocktails. Our new favorite is the pre-ceremony pairing of a mini-split of champagne with the small Miller High Life bottles. Just a fun little touch!

Do not pay a fee to the town or state.
FINAL THOUGHTS
Never allow guests to carry in alcohol or go to their car and drink (need to monitor it).
Always get a copy of your caterer’s license and make sure their name is on it.
You cannot borrow someone else’s license. Always get your caterer’s liability/alcohol insurance coverage (again, in their name). Take notes of any incidents to protect yourself. Never serve to a visibly intoxicated guest.

Garnish: one strawberry
Muddle two strawberries in a cocktail shaker, leaving one for garnish. Add the lime, simple syrup, creme de cassis, and tequila, and shake with ice. Strain into a champagne flute and top with sparkling wine. Garnish with the last strawberry.
2 oz Domaine de Canton
Ginger Liqueur
1 oz vanilla vodka
2.5 oz apple cider
1 tsp lemon juice
Garnish: honey and crumbled gingersnap cookie rim
Add honey to a plate and dip the rim of the martini glass into it to coat the edges of the glass. Add crumbled gingersnap cookies to another plate and dip the rim of the glass into the crumbles until they stick to the honey rim. Add the ginger liqueur, vodka, apple cider, and lemon juice to a cocktail shaker and shake with ice. Strain into the rimmed martini glass.
