Okay, All Right…

You’re not the same manager you used to be. And that’s good. You’ve been through a lot. And so have your residents. The last few years may have had you feeling down and always under pressure. But your community has probably stayed full and rents have gone up. So you’re feeling like everything is going to be all right. Inspired by Lizzo and the Spice Girls, this isn’t legal advice, it’s just a few ideas that make good sense to me now more than ever.

First, really get to know your phone – take it out for coffee, spend some quality time with it. How well do you know it? Have you checked out all the apps that came with it? Can you quickly add an event to your calendar? Or dictate a reminder for later? How do you take a low light picture? Or a still photo in the middle of a video? Devote some work time to learn about all the tools built into that handy social media source that’s just about always in your hand. Questions? YouTube has videos and the Apple Store has free classes for you. Second, document, document, document. Who saw what happened? The judge wasn’t there. Your lawyer wasn’t there. You probably weren’t even there. Surveillance cameras are nice but not always there and not always clear. So make sure you use your phone, your computer, or plain old-fashioned pen and paper to document what you hear, see, and do on the daily. Video, pictures, recorded notes. Names and dates are good to know. Call the cops before you get close to anything dangerous. Request reports. Keep copies, but

your lawyer will probably want to see everything, to sort out and see what’s important.

Third, make sure you tell your lawyer what you want, what you really, really want. What are you expecting to happen? What do you want your lawyer to do? Really listen to their advice, and answer their specific questions. Lawyers dwell on details, kind of obsessively. When they need something, tell them if you have it or not. And if you do, how long will it take to get it to them? Do you want your lawyer to work with the resident so they can stay? Or do they need to go, no deals, buh-bye? Be specific and clear when you describe what you want because you’re giving your lawyer negotiating authority on your behalf.

Fourth, what kind of client are you? Some clients want to know everything, some clients want to only know it’s handled, let them know when it’s done, don’t bother them any more. Remember, things change when you send the case to your lawyer. Some residents settle down, others get riled up. Your lawyer will probably tell you to redirect any communications from the resident to your lawyer’s office. Too much cross-talk is too confusing for everyone. Lawyers are usually good at coordinating all case-related communications to keep everyone on the same page. Of course, it’s an emergency like an overflowing toilet, your maintenance should get that call.

Fifth, once you’ve turned the case over, take a breather. If your lawyer offers online access to your case information, first look there for real-time answers to your questions. If your lawyer doesn’t offer that, you’ll probably want to call. But pace yourself – if your lawyer actually goes to court and tries cases, then his

While my home, most days, doesn’t reflect that of one to be giving cleaning advice, these are some helpful tips we keep in mind to ensure The Sound at Pennington Bend remains looking like a “Beautification” winner.

Put Fresh Eyes On It

That box of “stuff” in the corner of your office, that you always said you would get to, is still there. But now it has been there so long that it becomes part of the background – you don’t even notice it anymore. So you’re cleaning up, and you breeze right past that box. Bring another set of eyes to the area being cleaned. They are likely to shed light on things that didn’t even occur to you.

If You Don’t Use It, Lose It

I’m the first one to admit that I look at something hanging in the closet that I haven’t worn in years and

tell myself to keep it because I might wear it someday. “Realistic Me” knows otherwise, but it stays anyway. Do yourself a favor – if you haven’t used said item in over a year, it needs to go!

Be the Prospect. Be the Resident.

With beautiful weather finally arriving, step away from the computer and take several laps around your property. But as you’re cruising, imagine you are the prospect or resident. What would you like to see? Are the dead bushes by the building less than aesthetically pleasing? Is it time for all the windows to be cleaned? Maybe some areas need to be pressure washed. With their perspective in mind, find those things that need some extra TLC.

We all know time is never on our side when working onsite. Lean on your team to help you give your property and office a deep clean this spring. Your residents, prospects, and owners will thank you!

It’s Spring Cleaning Time – Catch the Fever!

It’s spring cleaning time! Have you caught the fever? Full disclosure…when my wife tells me it’s time for us to begin our spring cleaning, I usually share with her I have an actual fever. Sadly, it never works.

Spring is all about new beginnings and transformations. Spring cleaning helps us identify all the clutter that has accumulated over the past year – for many of us, the past several years! Spring cleaning can actually be a wonderful time of the year. To be sure, it’s not quite Christmas, but it is worth celebrating.

If you are a Community Manager, it’s a great time to review your property. What areas of your building need a lot of attention? Is it the lobby? This is where many prospective renters experience their first impressions. How about the amenities? Areas such as the fitness center, clubroom, movie room, golf room, coffee station and pool – places where your residents can enjoy family and fun activities – ddeserve an immaculate community

to live in. Spring cleaning helps you identify areas in need of decluttering and reorganization.

All this may seem overwhelming. Choosing an experienced cleaning company to partner with can help reduce your stress by providing ideas to help create that sparkling community your residents will be proud to call home.

Spring cleaning your homes or your communities is important, but let’s not forget about the notion of spring cleaning our lives, a time to rediscover your unique talents, a time to change your routines. Think about what you do every day and maybe try a new way of doing things. How about considering clearing out your technology. Unfriend, unfollow, and unlike pages and people who are negative. Fill your social media with positive people who bring you light and love. Reclaim your inner peace. This may be best to keep as the last thing you do to spring clean your lives. Get back to you.

Clean Up Your (Unconscious) Bias

Bias is defined as an attitude towards or against something or someone. We all have biases, many of which we are very aware. I have a bias against cold weather, so many years ago, the action I chose to address that bias was to move to the South, where my cold weather experiences would be mild and limited. Unfortunately, not every bias is as easily resolved.

The other part of the equation is our unconscious biases, those thoughts and feelings of which we are not aware, that may get expressed in very negative ways. This includes stereotypes and prejudices, racism, gender bias, and a multitude of other “isms” that result in unfair treatment. Unconscious biases may manifest themselves through small, subconscious behaviors that devalue, insult, disrespect, and exclude others. We all have biases, and having biases does not mean we are bad people, it means we are human. The challenge is to identify and “clean up” our unconscious biases.

How are biases formed?

The mind is constantly taking in data – words, pictures, complex ideas, experiences. Our brain then works to sort these millions of imprints, or pieces of information, into categories. Your brain has stored years of past experiences that influence our responses to new stimuli through mental associations. Some of these imprints on our brain that are from focus, study, or highly impactful experiences are in our memory and can be more easily

recalled. These contribute to our thoughts, opinions, attitudes, or are our conscious biases.

Then there are impressions that come from a multitude of other sources such as the people we interact with, media, advertisements, movies, photos, and other life experiences, that our brain still works to sort. These often create biases we are not be aware of.

As I previously stated, having biases means you’re human, but you cannot use negative, unconscious biases as an excuse for unfair or inequitable behaviors.

How do I clean up my biases?

Cleaning up your biases can be challenging, as you have a lifetime of experiences that have contributed to them. You need to take an honest, critical look at yourself and your actions. The good news is that if you are willing to put in the work, there are many resources available to help you. I offer these five strategies for combatting unconscious bias.

1. Uncover Your Personal Biases

One tool that can help with this is Harvard University’s Implicit Association Test. This online assessment can be taken free of charge and can help you to identify some potential unconscious biases.

2. Question Your Thoughts and Actions

Once you are aware of your biases, learn to question your thoughts and actions to better understand what life experiences may have influenced you. Accept that one impactful incident may have created a stereotype that you now apply to an entire population of people. Focus on seeing people as individuals and getting to know them on a more personal level.

3. Empathy

Empathy is the ability to understand the feelings of others or to see a situation from their point of view.

Spring Cleaning

Recently we had the annual inspection of the HVAC unit in our home. The technician recommended a vent cleaning for our system, and I will refrain from telling you how long we have lived here and not had them cleaned.

Sometimes it is hard to focus on rarely-seen things, and our attention is drawn to immediate needs. This issue is our annual reminder to unpack all the things, dust them off, and put them back (unless you need to let some things go). Whenever possible, I try to determine how long it has been since I used something to evaluate if I really need to keep it. My tips for successful spring cleaning include making a schedule (to ensure you focus on the details), decluttering, tackling in sections – top to bottom, taking everything out, cleaning it, and putting it back neater than you found it.

What brought you to the apartment industry?

Actually, at first it was just going to be a summer job for me. I got the bug and here we are 27 years later!

Was this the career path something that was always on your radar?

Nope, a friend got me into the industry.

Did you have any unrelated jobs growing up that unexpectedly prepared you for the apartment industry?

I worked as a server in several restaurants for many years. I think that was a great preparation as it taught me to move fast, complete assignments quickly, and smile even when you want to punch someone out.

Best Professional advice you have ever been given?

Just keep swimming, eat the frog one bite at a time, chill out. All those speak best to my personality. I can easily get overwhelmed with workload and wanting it to all be done now. My mentors and bosses have taught me to just keep on moving along. You will be OK…one foot in front of another. As corny as that sounds, it’s some of the best advice for me. Rome wasn’t built in a day they say…you won’t be able to clear out your email inbox in a day either!

What is your favorite thing to do on the weekends?

Hiking with my husband and dogs and hanging out with my girls.

Do you have any pets?

2 goldendoodle dogs!

Coolest place you’ve ever traveled?

My favorite is Italy, but Greece is a close second.

Give us a fun fact about you.

My bucket list is to visit every state. I’m at 40 and counting. I’ve already marked off Alaska which I didn’t think I would be able to do until retirement.

What upcoming GNAA event are you excited to attend and why?

The Membership lunches. We have rounded up some great speakers on several up-and-coming spaces in the apartment market this year. I think it will provide for some great discussion.

Do you have a motto you live by?

Don’t aim to break the glass ceiling, aim to shatter it!

If you could get a “do over” for something in your career, what would it be and why?

Probably something in organizing. My favorite thing to do is organize. I love when we take over a property and get to organize everything in the office. It’s my happy place.

Any advice you could give to the rising stars of GNAA?

Volunteer for everything! You never know who will be there and what doors it may open for you. If you are willing to help wherever needed, you will get noticed and that will put you in a great position to line up a fantastic career!

phone has to stay on silent and a backlog of missed messages await. When you interact with your lawyer, listen, watch and learn. Do you understand what your lawyer is doing? And why? An occasional question shows interest and also educates your lawyer. Just remember: You’re the client, so it’s your case. But you don’t want to direct their actions any more than you would direct the actions of your surgeon. Your lawyer is a professional and should be professional. If you don’t like your lawyer, switch to a new lawyer. It’s your choice.

Finally, so much of what we do these days is timebased, time-sensitive, and time-dependent. Lease terms. Notice days. Court dates. Appeal periods. Scheduled set-outs. The good news is, that as far as evictions and collections are concerned, it looks to me like the courts are mostly back to normal. In Davidson County, for example, I can routinely file a detainer case and have it set for the first hearing 7-10 days later. It’s been a few years since that was consistently possible, but it is, once again, and I think we can all agree…it’s about damn time.

Empathy also helps you regulate your own emotions. Ask questions with the goal of better understanding others and intently listening to the stories of their lived experiences.

4. Education

There are many resources available for anyone motivated to learn more about unconscious bias – books, articles, podcasts, videos, classes. If you are more of an experiential learner, simply put yourself in situations that will provide learning experiences, such as attending a cultural festival or interacting with people who are different from you.

5. Advocacy

Be part of the conversation. Get involved in discussions, activities and events about diversity, equity, and inclusion topics. Find ways to show support of marginalized groups by making a commitment to be part of the solution and not contribute to the problem.

When springtime rolls around, we often create lists of the many clean up projects in our life. Let’s add cleaning up our unconscious bias to this list (and not just for spring).

Terron and Dana Mercer

A leader in the Greater Nashville multi-family housing industry will soon be decamping for warmer environs. Dana Mercer and her husband Terron have sold their turn service and restoration company, L.I.C.R.A.Nashville, and are moving to Palm Beach, Florida in a year or so. They will be missed by their customers and the GNAA community.

Terron started L.I.C.R.A.-Nashville 20+ years ago, coming out of a sales background, while Dana had years of experience in apartment management. They continued this pattern with L.I.C.R.A. – Terron worked primarily in the field and Dana oversaw operations from the office. Their success was because they truly loved what they did and were able to supply a service that was valuable to the customer. They always saw themselves not as a vendor for the management companies but a partner.

The decision to sell the business was a difficult one they considered for over two years. They finally decided it was simply time for someone else to step in and accept the responsibility. They did not have to look far to find the new owner. Marie Berry, a project manager

at L.I.C.R.A. for three years, officially became the owner on December 30, 2022. Both Terron and Dana will continue in part-time roles with the company for a few months during the transition time.

Dana has been involved with multiple aspects of GNAA. She has enjoyed sponsoring maintenance events and serving on the Gala Committee. Working on the DEI Committee was especially important to her. “As a woman and a mother of a bi-racial child, diversity, equity, and inclusion is very important to me.”

Dana hedged somewhat about whether this retirement was absolute. “I don’t have the personality to sit around and do nothing, and my golf game is not that good,” she laughed. But the good news is they promise to continue their support of the Titans and will not become Dolphins fans. Being close to Miami, however, will afford them the opportunity to occasionally watch their favorite NBA teams – the Los Angeles Lakers and the Boston Celtics.

When asked to summarize the past 20 years, Dana said, “It is rewarding to pour your heart and soul into something and then to see it become successful. My overwhelming feeling is one of being blessed.”

• Promoting the RPM Careers Week challenges. These challenges give RPM professionals the chance to win prizes by entering photos and captions of their RPM experiences.

• Showing your appreciation for onsite teams as they keep communities running smoothly by providing free food, giveaways and fun events on Apartment Onsite Teams Day, Wednesday, April 19.
