Through the Eyes of a Lawyer
What Makes a Great Property Manager? By Jo Pulcini, Data One International There is a trope in film and television that the way to communicate a unique perspective is to see the situation through a new set of eyes in the story: the wise janitor, the consoling doctor and the sharp lawyer are all archetypes we see time and time again in fiction. In the multifamily industry, it makes sense that a supplier is going to see more versions of multifamily professionals in action than the professional does. If you’re a property manager, how many other property managers do you see working on a daily basis? The answer is always going to be fewer than the suppliers with whom you coordinate. My favorite version of this trope is from the film “Top Gun.” The talented pilot Maverick reached his true flying potential only because of Charlie, the civilian instructor hired by the military. In the film, she both complimented and constructively criticized him in turn (Charlie, by the way, was based on a real person named Christine Fox). In that spirit, the News and Events Committee team decided we wanted to help all Management Mavericks reach full potential by offering a new perspective. We asked our attorney members of GNAA to tell us the three attributes that make a great property manager or wingman in the multifamily workplace. Nathan Lybarger with the Law Office of Hall and Associates put it this way: “Almost any legal trouble a landlord can find themselves in can be rooted in a lapse of one of these attributes.” Those attributes are as follows: ORGANIZATION – Every single respondent had a variation on this theme. Angelita Fisher of the Law Office of Angelita E. Fisher said, “Every great property manager is detail oriented,” while Nathan Lybarger noted, “Your paperwork needs to be immaculate.” All noted that even minor errors in notices and communications can turn a legal case against a property manager. COMMUNICATION – This attribute is so important that Jennifer McCoy of the Law Office of Jennifer McCoy said, “The best managers have taken the time to master the art of communication.” All respondents seemed to think News & Events
that communication is a skill to be honed more than an innate talent. A great manager will consistently take a moment to reflect on the choice of words they choose and if they are communicating often enough. How often should they communicate? Gary Rubenstein of Schulman Leroy & Bennett, P.C., advised that property managers should be in “constant communication with residents, staff and vendors.” In other words, a good property manager does not keep secrets or assume everyone is on the same page. PROFESSIONALISM/RESPECT – By far, the most emphasized attribute was all about professionalism and respect. Being generous and equal with simple respect was a cited as a key to long-term success. Each respondent had their own thoughts on professionalism/respect: Gary Rubenstein: “You need to have a personable and friendly attitude towards residents, staff and vendors.” Angelita Fisher: “A great property manager can enforce the rules without being argumentative or overbearing. Integrity is important – not only being truthful, but also being able to own your actions and ask for help when needed.” Nathan Lybarger: “Don’t say, write, text or type anything you wouldn’t want read in court.” Jennifer McCoy: “Perhaps most importantly, good managers understand that they work to serve their residents, and accordingly, will cultivate an atmosphere of respect by acting with the utmost professionalism. This includes transparency…and treating residents with kindness and courtesy.” There you have it. Our legal GNAA members are in broad agreement regarding which attributes are important for good property management. To our great surprise, neither impromptu bar singing nor sunset motorcycle riding were mentioned by our respondents. How to Use Google My Business in Apartment Marketing by Laura Calugar shared with permission from Multi-Housing News (MHN) Here’s what multifamily operators need to know about this coveted tool in order to maximize their digital strategy. Google My Business (GMB) is one of the strongest marketing tools multifamily operators need to master in order to make their properties stand out. If used efficiently, GMB listings will drive those looking for a new apartment to the on-site leasing office, and that’s one of the first steps in converting prospects into residents. As opposed to pay-per-click in Google Ads and search engine optimization, GMB is free. The tool has a unique search algorithm that allows apartment operators to fill in descriptions of their properties, add photos and even post relevant info to draw attention to their business. “Multifamily operators should be taking the time to understand and fully utilize the tools Google has provided in the GMB platform because they’re designed to give the user detailed information and additional opportunity to click through to your website,” Catriona Orosco, director of Yardi’s RENTCafé Reach, told Multi-Housing News.

These elements are among the first that catch a prospect’s attention and they also build trust with the audience. According to Louis Schiavone, content marketing director at Love & Co., a marketing company that focuses on senior living communities, adding links to social media accounts is also an easy way to enhance the effectiveness of a GMB profile and simultaneously give prospects an opportunity to learn more about and get in touch with a community. Furthermore, having a well-moderated review platform where prospects can read verified reviews and official responses is also critical. “Reviews can be a great way to identify issues you might not be aware of, and your handling of those issues is important to your future prospects. Always be professional and courteous in your responses,” Orosco advised.
After claiming the listing and ensuring everyone in the marketing team has access to it, the next most important step is to make sure the key details – such as the address of the property, phone number, website etc. – are accurate.
One of the latest features GMB offers is Google Posts, a tool that enables multifamily operators to post content directly into the search engine results pages. Love & Co. has been using it since March to get their messages in front of online searchers.

As a participant of the Greater Nashville Apartment Association Apartment Tour, you will get to do just that! This year the theme is Right Off the Rails where we will be touring communities in The Gulch. On this tour you will get to observe and experience Gulch high-rise and mid-rise communities’ amenities and model apartment homes while taking in the history of downtown Nashville. Due to the number of cranes in the air and construction on every corner, it is not a secret that Nashville and the surrounding communities have been booming for the past several years. With that comes amazing new communities as well as older communities that feel the need to renovate in order to keep up with new trends. The Gulch started its growth just over a decade ago, with most of the dynamic changes being made within the past five years. New construction on nearly every block of The Gulch is an indication that this neighborhood is not slowing down anytime soon. Walkability was almost non-existent in downtown Nashville; however, the placement of grocery stores like Whole Foods and Publix, coffee shops, retail stores and hotels has changed all that. This particularly appeals to out-of-towners who are relocating from metropolitan areas like Chicago

and New York that provide a high level of walkability or convenient public transportation. These new residents are looking for a short commute to work and entertainment venues, via scooters, bikes, or on foot so they can avoid the hassle of owning a car. Whether you are familiar with The Gulch or have never visited, the GNAA Apartment Tour will take you through four distinctive communities that will shed some light on how people live, work, and play downtown. GNAA Members Take the National Stage at Apartmentalize! by Susan Sherfield, Mercy Housing & GNAA Education Committee Co-Chair
Live from Chicago! It’s Apartmentalize!
The National Apartment Association’s (NAA) education conference – Apartmentalize! – takes place in Chicago, August 31-September 2. This annual event, which was presented virtually in 2020, brings together industry professionals for three days of education and networking. Four GNAA members will be taking the national stage as part of the educational programming for the conference. Attorney JENNIFER MCCOY, from The Law Office of Jennifer McCoy, will be a panelist for the session “Before It Happens to You” which will discuss sexual harassment and sexual misconduct in the workplace and at industry events. Along with a human resources professional in our industry, Jennifer will cover topics to include legal considerations, reporting workplace incidents, and overcoming emotional scars. This session is scheduled for Wed., Sept. 1 at 3:30. DEE WILSON, Director of Training and Social Media Marketing with Freeman-Webb, and JOHN SONS, Director of Training and Marketing Strategies with Burlington Capital, will be support facilitators for Open Space Sessions. Open Space Sessions were introduced to the conference a couple of years ago. These sessions are literally held in open spaces at the conference facility. While the general topic is determined in advance, the participants actually take the lead on choosing the various aspects of the topic and engage in active discussions. Dee and John are both graduates of the National Apartment Association Education Institute (NAAEI) Advanced Facilitator Training (AFT). Their completion of this program, along with their active facilitation in association training events, qualifies them to be members of the NAAEI faculty. Their involvement in the open space sessions this year will help prepare them to take the lead in facilitating at future conferences. News & Events

Tracking GMB Performance Multifamily operators can check key metrics of their GMB performance through the platform’s built-in admin dashboard that tracks interactions such as calls and messages, search results, and customer actions such as website clicks. “GMB is a great way for prospects to learn about your property, and it’s important to understand if that traffic is also engaging with your leasing staff. (Property managers) should be aware of how much traffic they’re getting from their GMB profile and whether that traffic is converting into leads. If it’s not, it’s important to take a look at both your business listings and your website to find opportunities to better convert traffic,” Orosco said. To check how GMB listings are performing, Love & Co. runs weekly reports for their clients. This way, they make sure they haven’t missed any new reviews that need to be answered. “For clients who use the GMB profile and service, we usually work on their profiles about an hour a week. Most of the work comes in the initial setup and optimization phase, which can take four to eight hours,” Schiavone noted.
