Q: WHEN STAR TRAX PROVIDES ADVISORY TEAM SERVICES – HOW DO YOU SELECT YOUR VENDORS? GEOFF KRETCHMER:
Q: WHEN SHOULD I SEND OUT MY INVITATIONS AND WHAT IS THE BEST WAY TO GET RSVPS? HARRIS VAN CLEEF:
The first step in planning your event is to get to know you. We tailor all vendor referrals to fit the specific client based on their style, personality and budget. After meeting with you and getting to know more about you and your event, we will put together the team that will be best suited for you.
We recommend sending invitations 8-10 weeks in advance to ensure that they arrive in plenty of time. While some people are using email for RSVP, we have found that mailed responses are more accurate. RSVP should be requested no later than 3 weeks before the event. Junk mail, firewalls and incorrectly spelled email addresses can create issues with digital responses.
Q: I’M HAVING 200 GUESTS, WHAT SIZE DANCE FLOOR DO I NEED? BECCA SCHLUSSEL: 24 x 24 is a great size for 200 guests. Not any larger. Better to have a dance floor that is on the smaller side if need be – not way too big!

Q: SHOULD I PUT AN END TIME ON MY INVITATION? DANIELLE HANNAH: Unless you are planning an open house with a start and a finish, we recommend letting your event end organically.
Q: WHAT DO I NEED AT MY EVENT? JEN AJLOUNY: Every event is different and should be tailored to your specific needs and expectations. There is no rule book– work with your event team to bring your vision to life.
Q: HOW MANY HORS D’OEUVRES DO I NEED? SHANNON MCCONNELL: 3-5 different passed hors d’oeuvres are customary. If your budget allows, it is great to have an additional station or two. Some guests will love the ability to help themselves without having to search for a server. Don’t skimp on your hors d’oeuvres - it’s a guest favorite!
