A Letter from the President Graditude. We are grateful to the wonderful vendors and industry professionals that have trusted us to produce a magazine that will highlight their businesses, thus giving them an opportunity to expand their customer base. I am also grateful for the people at Star Trax who work so hard every day, producing Plan It!, an invaluable resource of which I am extremely proud. This party planning guide has taken on a life of its own. Our social event clients ask for referrals and contacts on a daily basis. With this guide in hand, we are able to sit down with a pen and circle advertisers and fold page corners. Nothing is better for a prospective client than meeting with planners who have stacks of Plan It!, ready to help their customer! Our online readership has quadrupled since its inception and we can’t keep the magazines on the rack. There was a real need in our local area for this resource, and we are grateful and proud to be the ones to plan, produce and market Plan It! Magazine, year round! The content is just as important as our collection of quality advertisers. We have surveyed many event professionals, and have created a comprehensive list of tips for the novice planner. We are proud that each edition of Plan it! includes modern TRENDS. Every event connoisseur is on the hunt for the next “Hot” Trend! We’ve been watching and here’s what we have seen so far:

DESIGN : FLORAL, DÉCOR AND SO MUCH MORE! Long gone are the days of letting the venue define your event! This year has been all about creating the right space. 2017 has pushed the design limits to places we never thought possible. Live floral walls, custom built furniture & tiered staging are some of the most popular techniques used to create the perfect atmosphere. We have seen a huge shift in event décor this year. The next big thing – 3D Design! Events are moving away from foam core and vinyl décor and towards creating a 3D experience; huge photo backdrops, locker scenes, elevated DJ booths, casual vignettes & custom draping to fit the theme are just the beginning.

FOOD : EXPERIENCE THE DIFFERENCE There has been a major shift in food service. The norm for many years has been plated or buffet for your guests; not anymore! “Build your own” is on trend; build your own salads, potatoes, waffles, omelets, burgers & taco bars. We can’t get enough of popcorn medleys, s’mores and creative ice cream stations. Pass everything! Encourage your guests to get out of their seats and party! Small plates, cones and verrines with mini cutlery are all great ways to tantalize taste buds while offering guests a wider variety of menu options to sample.

ENTERTAINMENT This is an area where you don’t want to take chances. Entertainers should not be hidden behind a table. The best talent is out on the floor and engaging your guests. If your budget allows, party motivators in addition to the headliner are an incredible way to add flare to the focal point of the party – the dance floor. Live musicians mix well with mobile entertainment teams; horns, bongos and strings add energy to the mix. Interactive games and activities are not just for kids. The best parties offer a throwback for adults too. Foosball, Pop-A-Shot, Plunk-It and custom vinyl souvenirs are all great ways to make your event memorable.

Hotel ballrooms to a theatrical sound stage and everything in between ... The most important part of planning an event is choosing where to have it!

There are so many important factors that come into play when finding just the right spot. Truly though, it all comes down to how many people you are hosting, your budget and what you love. Full service venues are available for those looking for a one stop shop. On site catering, tables and chairs and valet parking round out this option. For planners with an eye for design – Mismatched furniture and seating, unique food offerings and an unconventional layout can be seen when utilizing a warehouse, loft, night club or sporting arena.

Make sure you choose the right size venue for the right size crowd. A site that is way too big will feel lifeless and lack warmth and intimacy. If the site you have your heart set on is too small for your crowd – skip it. Guests want to mingle and access all that is offered easily. Save the smaller spot you love for another event down the road! When planning a party, food and beverage is usually your biggest ticket item. Make sure to find out all fees associated with the space you love. Is there a facility rental charge? Is there a price minimum guarantee? What is included (seating, AV, dance floor, bartenders, valet parking) and what is additional? Asking the right questions will help you compare one site to another. Having all the answers will also help you budget accordingly. Suggestions can be easily made by professionals to guide you down this tricky path. Working with an event advisor or planner can take the guesswork out of choosing the right site. They will already have all the logistics, pricing and capacity information at their fingertips.
