Overview of ActivateUTS: Formerly known as UTS Union, ActivateUTS is a non-profit organisation established over 40 years ago dedicated to enhancing the student experience during their time studying at UTS. ActivateUTS supports over 130 affiliated clubs and societies, we also bring together an array of campus facilities including great bars, cafes, retail outlets, a fitness centre, physiotherapy and also student events, clubs and societies.

Overview of the position: Reporting to the ActivateSocial Manager, this position will develop and build engagement strategies to enhance the social and cultural development of the UTS community and provide services that will complement the strategic objectives of UTS, particularly targeting student orientation. This position is responsible for the successful planning and execution of large scale events ensuring the safety and security of students at all times. The Events & Engagement Manager liaises with internal and external stakeholders, suppliers and staff in the planning and execution of student events and activities.

Duties & Responsibilities: •

Develop an overall “first 4 week” engagement program that supports a smooth transition to university life for new students of UTS

Manage the planning and coordination of ActivateUTS involvement at all orientation events, including but not limited to O’Day/Clubs Day Summerfest/Winterfest as well as Information Day, Open Day and international student information days

Coordinate events including but not limited to DJ/Band Comp, ActivateUTS Annual Dinner, Blues Sporting Awards, EAP Launch, City2Surf and Amazing Race

Develop a networking group to broaden involvement and communication with a view to expanding overall engagement opportunities across UTS

Develop and administer event budgets in conjunction with the ActivateSocial Manager

Provide monthly reports and data on student engagement of events and programs

Liaise with ActivateUTS bar staff regarding bar bookings, AV, equipment logistics etc for weekly events

Assist with AV requirements and problem solving


Liaise with external promoters with a view to increasing event opportunities for the department

Create and manage contracts for events involving internal and external stakeholders

Monitor appropriate health and safety procedures in area of responsibility

Assist with other duties, within the nature and scope of the position, as required from time to time

Selection Criteria: Essential: •

Qualifications in Events/Marketing or related field and/or equivalent experience

2-3 years’ experience managing events (large scale would be advantageous)

Demonstrated experience in the planning & execution of events

Strong Customer Service skills

Previous experience supervising staff

Good understanding of budgeting, evaluation programs/events and reporting processes

Excellent interpersonal and communication skills both verbal and written

Good computer skills (Microsoft Office) strong administrative and organisational skills and good problem solving skills

Demonstrate initiative, ability to meet deadlines and work effectively within a team environment with minimum supervision

Good understanding of the youth market and cultural diversity

Understanding of WH&S procedures

Some knowledge of or experience in AV equipment and in the music/entertainment industry

Current drivers’ licence

Authority: Ability to make decisions in relation to events and activities on a day to day basis including financial budgets.

Direct Reports: Direct reports include Recreation & Events Coordinator and casuals assisting with events.

Workplace health and safety: You must work within Workplace Health & Safety work practices and procedures; work with due care and consideration to safeguard your own health and safety and the health and safety of others.

Terms & Conditions of Employment: Appointment will be conditional on an initial 6 month probationary period; thereafter termination by either party will require written notice of 4 weeks.
