Overview of ActivateUTS: Formerly known as UTS Union, ActivateUTS is a non-profit organisation established over 40 years ago dedicated to enhancing the student experience during their time studying at UTS. ActivateUTS supports over 130 affiliated clubs and societies, we also bring together an array of campus facilities including great bars, cafes, retail outlets, a fitness centre, physiotherapy and also student events, clubs and societies.
Overview of the position: Reporting to the Events & Engagement Manager, this position is responsible for the development and implementation of the recreational program including liaising with suppliers, the creation of bi-annual recreation publications and the organisation of ActivateSocial and ActivateSport events. Working closely with key stakeholders, this position coordinates and supports the planning, scheduling and execution of events and activities for students ensuring safety and security of students at all times.
Duties & Responsibilities: •
Develop, coordinate and implement recreation & leisure programs and intramurals
•
Liaise with suppliers providing recreational activities for the University
•
Develop and administer the recreation programs budgets in conjunction with the ActivateSocial Manager
•
Provide monthly reports and data on student engagement of recreation programs
•
Liaise with the ActivateMarketing team to create two bi-annual publications for the Recreation Program
•
Research and report on new recreation opportunities
•
Coordinate events including but not limited to Harmony Week, UTS Sports Challenge, UTS Sport Champs, Ride to UTS Day, Walk to UTS Day, Golf Day, Bay Run
•
Oversee the management of the ActivateUTS Volunteer Program
•
Assist the Events and Engagement Manager with the organisation of larger events including but not limited to DJ/Band Comp, ActivateUTS Annual Dinner, Blues Sporting Awards, EAP Launch, City2Surf and Amazing Race
•
Assist in the planning and co-ordination of ActivateUTS involvement at all orientation events, including but not limited to O’Day/Clubs Day Summerfest/Winterfest as well as Information Day, Open Day and international student information days
•
Monitor appropriate health and safety procedures in area of responsibility
•
Assist with such other duties, within the nature and scope of the position, as may be required from time to time
Selection criteria: Essential: •
Previous experience working in events/marketing
•
Strong administration skills including Microsoft office
•
Excellent communications/interpersonal skills
•
Strong Customer Service skills
•
Strong organisational and planning skills with ability to use initiative and problem solve
•
Ability to meet deadlines and work effectively with minimum supervision
•
Good understanding of the youth market and cultural diversity
•
Flexibility to work outside of normal working hours (with time in lieu available)
•
Understanding of WH&S procedures
•
Current drivers’ licence
Desirable: •
Events/Marketing qualifications or equivalent
•
Some knowledge of or experience in AV equipment and in the music/entertainment industry would be advantageous
•
Current first aid certificate
•
RSA certificate

Authority: This position is subject to direction of the ActivateSocial Manager and Events and Engagement Manager, but will be required to make decisions in relation to recreation activities and the volunteer program on a day to day basis
Direct Reports: Direct reports will include the occasional casual staff member and volunteers. Workplace health and safety You must work within Workplace Health & Safety practices and procedures; work with due care and consideration to safeguard your own health and safety, and the health and safety of others.
Terms & Conditions of Employment: Appointment will be conditional on an initial 6 month probationary period; thereafter termination by either party will require written notice of 4 weeks’.
