WELCOME We are delighted to welcome you into the Golden Oldies Fraternity! We have a huge and incredibly exciting job ahead of us in Christchurch next April and your help will make all the difference. Apart from the hard work I can promise you a whole lot of fun and an experience you will look back on fondly. You will have the chance to experience and help successfully run the biggest participation sporting event ever held in the South Island. Christchurch will be alive with people from all around the world, here to play their chosen sport and have fun - lots and lots of fun. You will be right in the middle of that and you will make friends with people whose language you don’t even speak! Thank you in advance for your assistance at the Celebration. We know you will enjoy your time with us and in the process help put Christchurch up in lights around the world. If you have any questions, please do not hesitate to contact us. Hilary Coulson Volunteer GO Rugby Cardiff 2016 Having learned just a week before about the event I found the GO RUGBY FESTIVAL a great volunteer experience. We were a small group and as a “TEAM LIASONVOL” I THOROUGHLY ENJOYED THE MEET/GREET/HELP REQUIREMENTS OF THE ROLE. All the teams from many countries bonded and as a volunteer new to the Festival I was immediately welcomed and at ease. I would say an absolute YES to doing this again the input/planning of the organising body was amazing. Busy and involved week, just what I enjoy. . . Christchurch here I come!!!!

ORGANISATIONAL INFORMATION Established in 2000 Vintage Sport and Leisure Ltd (VSL) designs, manages and promotes a range of international sports events, tournaments and tours specifically planned for schools, clubs and sporting associations. Our three main brands are Golden Oldies, Vintage and World Schools Sports Challenges. Golden Oldies Sports Festivals have

been successfully run since 1979. Although Golden Oldies did not join the VSL profile until 2013, VSL’s principles have been involved in the implementation of Golden Oldies Festivals since its inception. Golden Oldies World Sports Festivals are open to anyone aged 35 years and above who wish to extend their involvement in their chosen sport.

VOLUNTEER INFORMATION Why volunteer for this experience? VSL enjoy giving back to the communities in which we operate. In the past we have encouraged teams to leave their playing gear behind for less fortunate children and have raised an excess of NZ$600,000 for various local charities. • In Barbados we arranged for 10 sets of cricket gear to go to schools • In Wales we raised over £30,000 for the Wooden Spoon Charity • In Cape Town through Bobs For Good we donated over 700 pairs of quality shoes to underprivileged children We are excited at the prospect of assisting in Christchurch’s regeneration however in order to do this we need volunteers. We will assist in volunteer’s personal and professional development by providing training to national standards within indicated area of interest where available.

Volunteer for 1, 2, 3 or 4 weeks What volunteers should expect from VSL All volunteers will be provided with: • Orientation of the organisation and the Celebration • Training in the appointed volunteer role • A suitable assignment based upon interest, skills and availability where applicable • A role description and agreed hours • Support from VSL personnel • A healthy and safe environment • A copy of VSL’s volunteer policy Volunteers have the responsibility to: • Be reliable • Respect confidentiality • Carry out their role according the agreed role description

• Undertake training as required by the organisation • Ask for support when needed • Be courteous to Golden Oldies stakeholders • Value and support other team members • Give a minimum of 24 hours’ notice of absence Important Dates: • February 15th, 2018: First briefing • March 15th 2018: Final briefing – issuing of final plans, times, transport, clothing, passes, vouchers, ID Cards and outstanding matters


VOLUNTEER ROLES Team Liaisons: Liaison volunteers will act as the main point of contact for visiting teams. Liaisons will be required to provide information regarding the team’s respective Festival and about Christchurch (ie attractions, restaurants and bars). A small number of liaison volunteers will be required to travel to the playing venue to act as support. Referees/ Umpires: Specific Golden Oldies rules will be supplied to all referees/umpires and linesmen prior to the respective Festival. Referees and umpires will only be required on game days. Basketball (including scorers), Cricket (including scorers), Football (including linesmen), Golf (including scorers), Hockey, Lawn Bowls (including scorers), Netball, Rugby (including linesmen, Softball (including scorer). Ground Marshals: Ground marshals are required to be present at the playing venues and assist VSL staff with general activities. Ground marshals will only be required on game days (as listed in appendix) for approximately 8 hours. Photographers: Photographers will be required at all playing venues on game days and at all functions. Photos will be the property of Vintage Sport and Leisure and will feature on-line, in print and within each respective Festival Newspapers. Photography brief will be provided prior to the respective Festival.

Transport Marshals: Transport marshals are required to assist with the Parade of Nations as well as coach transfers to and from playing venues and to and from functions. Marshals will be stationed within Festival hotels, playing venues and function venues. Function Ushers: Function ushers are required to assist with seating arrangements at each of the functions. Festival Newsletter Reporters: Festival newsletter reporters are required to create a double sided, A3 folded (x4 A4 pages) Festival newspaper three times a week. Reporters will be required to interview participants and uncover funny, heartfelt and exciting short stories to feature in the newsletter. Photos to be provided by the Celebration photographers. Help Desk: Help desk attendees are required to provide information to all Golden Oldies participants. This may include their respective Festival programme, function information and general Christchurch information. Help desks will be stationed at the Airport (each Sunday of the month), at the Christchurch Casino and at the Celebration hub. Meet and Greet: Meet and greet staff are required to be present at the airport and Festival hotels for approximately 8 hours each Sunday of the month.


PERSONNEL POLICIES Eligibility: Applicants who are able to attend the four weeks of the Festival will be given first choice to volunteer roles (excluding referees and umpires). The minimum age for volunteers is 18 years of age. Applicants must be physically able to carry out the prescribed role. Background checks: All applicants will receive a comprehensive background check (including police) before being awarded a volunteer role. Codes of Conduct: This Code of Conduct describes standards of behaviour that are expected of members and volunteers of the Christchurch Casino Golden Oldies Sports Celebration 2018. Volunteers have the right to be offered meaningful assignments as are available. All volunteers have the right to be treated fairly, receive proper orientation and effective

supervisions. Volunteers have the right to work in a safe environment and to communicate any concerns should they arise. In return, we ask that volunteers perform appointed duties to the best of their abilities and represent VSL in a positive light. We ask that volunteers treat participants fairly and work within the assigned volunteer role to make the Christchurch Casino Golden Oldies Sports Celebration 2018 a positive and memorable experience for all. Appearance and Grooming: Volunteers will be expected to maintain their appearance including clothing, grooming and personal hygiene in a manner consistent with accepted business standards. Dress Code: All volunteers will be provided with a top that must be worn during working hours. Additional clothing is subject to the volunteer’s role.


Boundaries: Clear boundaries are important for staff, volunteers and participants. They enable VSL to carry out a service according to agreed expectations and ensure that everyone receives the same quality of service. VSL realises that volunteers may sometimes have contact with participants in a personal capacity – as friends, family or colleagues. In this situation please take care to avoid any apparent conflict of interest. No volunteer shall: a. Authorise the use of or use for the benefit or advantage or any person, the name, emblem, endorsement, services, or property of the Christchurch Casino Golden Oldies Sports Celebration 2018 or Vintage Sport and Leisure Ltd, except if authorised by VSL. b. Accept or seek on behalf of any person, any financial advantage or gain of other than the nominal value offered as a result of the volunteers affiliation with VSL. c. Disclose or use any confidential VSL information that is available solely as a result of the volunteer’s affiliation with Vintage Sport and Leisure Ltd to any person not authorised to receive such information or use to the disadvantage of VSL any such confidential information, without express authorisation of VSL. d. Operate in a manner that is contrary to the best interests of VSL. e. VSL requests that volunteers refrain from speaking to the media unless given permission by a VSL staff member.

Identification Policy: Volunteers must wear provided I.D at all times. Volunteer recognition and benefits: s Sports officials to receive food and drink vouchers as well as appropriate branded clothing. s Liaison volunteers to receive identifying 1x polo shirt, and where appropriate lunch and drink vouchers and transfers between venues that they are servicing. s Ground Marshals to receive identifying 1x polo shirt, lunch and drink vouchers. s All others to receive 1x polo shirt and where appropriate lunch and drink vouchers. s All to receive a certificate of appreciation and recognition of their contribution and invitation to a post Event Thank You Function. Resignation: Volunteers must provide written weeks’ notice of resignation.
