Bid for Alumni Weekend 2019 Call for Project Manager(s) What is the Alumni Weekend? The Alumni Weekend is a national event where new and old members of EYP Sweden are welcome to participate. The event is planned to be held 15th – 17th of February 2019, with first day starting with arrivals until the evening. The Alumni Weekend is a great opportunity for those who participated in our Regional Sessions to meet together, learn more about our organisation, and how they can engage both nationally and internationally regardless of the selection outcome. The program will include a wide variety of fun activities and trainings.

What does it mean to be the Project Manager(s)? EYP Sweden is looking for 1 – 2 people who would be interested in organising the Alumni Weekend. You can choose to organise it alone or together with someone. You would be responsible for securing a venue for the event to take place, ensure that everyone is accommodated for the weekend, provide food and coffee breaks for all participants, provide materials, and fundraise for the event to take place. You can also have a small team of organisers of up to 2 – 3 persons to compliment your work. The Project Managers(s) would work closely together with the Project Coordinator, Heidi, as well as the Treasurer of EYP Sweden, Ebba.

Why should you apply to become the Project Manager(s)? This is a fantastic opportunity to learn more about our organisation and develop your skills in fundraising and organising small-scale events. This could be very helpful for you in the future, as it can teach you how to structure your work, manage both your stress and time, as well as how to lead a team. The Project Coordinator, Heidi, will be there to help and support the Project Managers and help structure the work as well.

What is a bid? If you are interested in becoming the Project Managers for the Alumni Weekend, we would kindly ask you to send a bid. This would include a reasoning behind why you would be interested in organising this event of max. 300 words, as well as the work distribution between yourself, your co-Project Manager (if you so wish to have one), as well as your small organising team that would consist of 2 to 3 peoples. Secondly, we would ask for a preliminary overview of what you will be using and doing in order to organise the event. That is, any potential sponsors you could see yourselves partnering up with, the venues you would like to use, how you would accommodate the participants, what type of activities you would like to plan for the participants and anything else you think is important for the event. Lastly, it would also include a preliminary budget; how much would you expect different aspects to cost, such as meals, coffee breaks, venues, accommodation and materials for all the participants. Although it is not necessary to have experience organising events both within and outside of EYP, it is very welcome.

Deadline If you are interested in applying as a Project Manager, please send the aforementioned documents to heidi.park@eup.se, along with any past experiences that may be relevant to organising or Project Managing. You must be from Sweden and a member of EYP Sweden. The city of the event will be determined by the Project Managers, together with the consultant of the National Board.
