How to plan an island wedding

Get Engaged

Congratulations, let the wedding planning begin!

12-18 months + out

• Guest list – create a guest list to help determine the size of venue required.

• Budget – set a realistic budget and stick to it as best you can. This will save you stress later.

10-12 months out

• Decide on a month and preferred date. Think about the seasonality and weather.

Choose your dream island destination and start shortlisting potential resorts. Consider affordability and access for guests.

Send out Save The Date cards prepare.

• Consider a scouting trip

• Book flights, accommodation and travel insurance.

• Set up a WhatsApp group for wedding updates and info.

• Dress shopping – choose something that suits you and is breathable – it’ll be hot!

• Create your gift registry.

• Choose a photographer or videographer that suits your style.

• Book a hair and makeup stylist.

6 months out

• Set locations for hens night and stag do parties.

• Decide on your wedding menu.

• Start booking vendors such as a celebrant, florist, DJ/band, cake maker.

• Plan any additional wedding related events such as a post-wedding day brunch.

• Check passports are valid or order new ones.

• Start planning the ceremony details including any island traditions you may like to include.

• Finalise outfits for the wedding party.

• Order thank you cards.

• Create initial wedding day timeline.

3 months out

• Schedule recreational activities and any group events such as a welcome cocktail party.

• Decide on guest favours or gifts for the wedding party.

• Complete documentation to apply for your marriage licence.

• Finalise guest RSVPs and meal requirements including any dietary needs.

• Choose wedding music and flowers.

• Final wedding dress fitting.

• Put together a packing list.

• Final dinner seating arrangements.

• Book in final massage, facial, nails for before you go or at your island destination.

Communication with vendors in Fiji may take longer than expected, so be patient.

To minimise delays, put all your questions into one email rather than sending multiple messages. Then meet with your wedding coordinator a few days before the wedding.

Choose the Season

Fiji enjoys warm, tropical weather year-round, but the best time for a wedding is between April and November, avoiding the wet season. If you’re set on summer, have a wet-weather backup plan.

Sort Legal Requirements Early

To ensure your marriage is legally recognised, complete the paperwork well in advance. This includes birth certificates, divorce or death certificates (if applicable), and proof of identity. Apply at least three weeks before the wedding.

Set a Realistic Budget

Where Dreams Come True

HE KNOT

The legal age to wed in Fiji is 18 years. An application for a marriage licence must be made in person to the nearest Registrar Office or District Court in Fiji at least three working days prior to the marriage. Please note, weddings may not be performed on Sundays or public holidays.

With 15 years of experience as part of Sofitel’s Wedding Team, Selai has played a key role in creating magical celebrations. In 2023, the resort won the ANZ Excellence in Tourism Award for Wedding Operator of the Year and was a finalist for the same award in 2024, recognising the exceptional work they do.

How many weddings do you organise each month?

During the low season, from November to April, we organise 9 to 10 weddings per month. In the peak season, from May to October, we host between 15 and 20 weddings each month.

Tell us about the wedding experience you offer at Sofitel. We are proud to offer a one-stop shop experience, allowing brides to avoid the stress of booking multiple external vendors. All essential services are included in our packages.

We have an in-house salon with experienced hair and makeup artists, a dedicated florist who takes care of all floral arrangements from bouquets to reception centrepieces, and an in-house pastry team that can create any style of wedding cake.

We also have a one wedding per day policy, ensuring that each couple receives exclusive attention. Our pricing remains the same from Monday to Saturday. Additionally, we offer flexibility—unlike some resorts that require a percentage of guests to stay on-site, we impose no such restrictions.

What do you enjoy most about your job?

I love meeting different brides, listening to their stories about how they met, and learning about their wedding dreams. Being part of their special day and going the extra mile to make it a reality is incredibly rewarding. It’s a personalised service where we form a genuine connection with each couple.

What are the top three things a planner needs to find out from a couple?

The first thing we need to know is their preferred wedding date so we can check availability. The second is their estimated guest count, which helps us determine the best venue options and prepare backup indoor spaces in case of bad weather. The third is whether it is a first marriage or a remarriage, as this affects the application process for their special marriage licence.

What are some ways you can personalise a wedding?

We make sure to note the couple’s favourite drinks and any food allergies. If a guest is celebrating a birthday during their stay, we arrange something special to mark the occasion. Using their names in all interactions adds a personal touch, and if they have children, we make a point to remember their names and ages as well.

What’s the best advice you would give a couple?

I always advise couples to book their accommodation well in advance and not leave it too late. Choosing one of our all-inclusive wedding packages makes the planning process much easier and ensures a stress-free wedding.

What’s your key tip for avoiding wedding day stress?

Communication is absolutely essential from the very beginning. Our policy is to respond to couples within 24 hours, ensuring that they are always informed. We set up Zoom, WhatsApp, and Viber calls to keep communication flowing.

Once communication drops, stress levels rise, and that’s when brides can start feeling overwhelmed. We want to prevent a Bridezilla situation. It’s important to be clear and transparent about what is possible and what isn’t.

Final thoughts?

Every wedding should be treated as if it’s your own, ensuring a seamless experience from start to finish. Communication is key, and attention to detail is crucial. There is no such thing as “can’t do.”

Love is in the Air

When Irish native Paul McCormack planned a holiday to Fiji with his partner Rebecca, a proposal wasn’t originally on the cards. But the more he thought about it, the more it made sense.

“After two years in Sydney, we were both ready for a break. It’s a great city, but it never stops. We just wanted to go somewhere and switch off. Fiji jumped out at me straight away - I’d seen all the photos of the pictureperfect beaches, and it looked incredible. And coming from Ireland, it was a landscape that’s completely different from what we’re used to!” At first, the trip was just about getting away. But soon, Paul realised it could be something (a lot) more.

“We’d been together for eight years, and while we always knew we’d get married one day, we never really set a timeline or made a big plan. But the more I thought about it, the more I thought that beautiful Fiji would be the ideal place to pop the question. I did some digging and came across the Malamala Beach Club ‘Heli’ Proposal, and hey - if I’m going to do it, I might as well do it properly!”

Paul secretly booked the experience and even arranged for local photographer Anaïs Chaine to be on the island, ready to capture the moment. But first, he had to get Rebecca there.

“On the day, I told her I’d planned a special adventure. Then a Sky Dive Fiji van pulled up, and she just stared at me. ‘You’ve booked us a sky dive?’ she asked, looking thoroughly unimpressed. I had to laugh. ‘Not quite,’ I told her.”

Instead, they boarded a helicopter, soaring high over the sparkling blue ocean and out towards Malamala.

“Once we were in the air, any nerves disappeared. The views were just unreal - tiny islands dotted below us, crystal-clear water stretching out as far as you could see. We had huge smiles on our faces the whole time.”

As they approached Malamala Beach Club, they spotted the setup on the sand - the words ‘Will you marry me Rebecca?’ spelled out in coconuts.

“She saw it at the same time I did and then she just turned to me, completely stunned. I honestly don’t even remember exactly what I said, but I got down on one knee, and -thankfully - she said yes!”

With the proposal done, the celebrations continued into the day.

“The Malamala staff were just brilliant, making us feel like VIPs. Anaïs took us around the island for some photos, and then we just relaxed – enjoying cocktails, swimming, snorkelling, kicking back in our own private cabana and making the most of the private butler service – who were just a phone call away.”

Looking back, Paul wouldn’t change a thing.

“It was the perfect day. One we’ll never forget.”

What inspired you to have a Pacific Island wedding?

We couldn’t decide on a location in Australia that we both loved and we wanted something different from the typical wedding venues we’d seen so many times before!

How did you choose your island location, and what drew you to it?

Fiji was the perfect location only 4 hours’ flight from Sydney, warm weather and by the beach. This meant the trip wasn’t too far for guests to join us.

Why did you select your wedding resort, and how did it add to the experience?

We originally booked during COVID times, so we couldn’t come and visit the resort. I did lots of online research, joined Facebook Fiji bride groups and got different quotes. We landed on the Sofitel Fiji Resort and Spa at Denarau. It was close to the airport, which made it easy for guests to fly in for a few days. There were also lots of different accommodation options at different price points, which meant everyone could stay in one place. The Sofitel was amazing, we are so glad we chose it!

What were the unique benefits of a wedding in the islands versus back home?

We had 6 days in Fiji with 80 of our closest friends and family. It was like a huge family holiday that went on for days. Everyone was super relaxed and it wasn’t just a one-day wedding, it was six days of celebration!

How did you handle logistics like travel and accommodation for your guests?

We created a Facebook Event with everyone and shared information such as a contact to book an airport transfer, information about accommodation, other costs, suggested items to bring and how to travel around the island!

Do you have any advice around planning a Pacific Island wedding?

Try not to stress if vendors are responding to you on “Fiji Time,” they have done this multiple times before and will ensure your day runs smoothly.

How did you and your guests enjoy the islands before or after the wedding?

A few days before the wedding, 25 of us did a sail tour around the islands – it was amazing! My husband organised around 20 of the men to have a game of golf the day prior to the wedding, whilst I got my nails done at a local salon and had lots of guests drop in to get their nails done at the same time!

Where did you celebrate as newlyweds, and what made it special?

We spent the days after with friends and family in Fiji, and then we flew to Europe for a three-week Europe adventure.

What are your top tips for a memorable island wedding?

• Plan in advance - book restaurants, golf, nails, tans, make-up etc. as if you are in a large group, getting bookings last minute can be tough.

• Don’t try to pack too much into your wedding day – leave time to relax and soak it all in with friends and family.

• Share timings with your parents and bridal party for the day of the wedding to make sure everyone else moves on time and you don’t have to keep checking on everyone.

• Write lists of photos you want on the day, as the day goes so fast and you don’t want to have to think about what you need on the day.

married in Vanuatu is a straightforward process. However, it’s a process that’s best started a few months ahead. First, an Intended Marriage Form needs to be filled out – the resort’s wedding coordinator will be able to pass this on to you – and then this form needs to be lodged with the Vanuatu Government at least 28 days prior to the wedding day. From there a couple will need to be in Vanuatu at least three working days prior to the wedding. Plus the following will also need to be provided:

• Birth certificates and valid passports

• Divorce papers (if applicable)

• Death certificate (if a previous spouse has passed away)

• One witness for each person to prove your identity

What inspired you to have a South Pacific island wedding?

We were looking for a family-friendly destination wedding. Simone went to Vanuatu when she was 21, and what stood out to her was how welcoming, friendly, and caring the Ni-Vanuatu people are, especially towards children. Their kind nature well and truly lived up to their reputation. The short flight time from Brisbane was a bonus!

Why did you select your particular resort?

We looked at several options, but Tamanu on the Beach was extremely communicative from the get-go, and the resort ticked all of our boxes. We also wanted something private and peaceful, outside of Port Vila. We loved that our wedding party booked out the whole resort-it made the holiday truly memorable. From the moment we arrived at the resort, we were made to feel very special. The resort staff were extremely friendly, and we couldn’t have asked for a better wedding planner!

How did you handle logistics like travel and accommodation? We gave ourselves plenty of time to plan the wedding. All our guests stayed at Tamanu, which made everything really easy.

How did you and your guests enjoy the rest of Vanuatu?

We chose to stay at Tamanu the entire time. Having a base worked out perfectly for our family, as it made us feel more relaxed but also gave us the flexibility to do day trips from the resort, which was easy to arrange through Tamanu.

Looking back, is there anything you’d have done differently?

Our wedding and the resort were absolutely perfect! Our only regret is that we wish we had stayed at the resort for longer after the wedding!

What are your top five tips for a stress-free and memorable island wedding?

1. Communication is key. Make sure the resort is responsive.

2. Give yourself time to plan. It also gives your guests time to save.

3. Make sure guests check visa requirements before travelling.

4. Invest in a great photographer. We chose Groovy Bananas Wedding Photography, and we couldn’t have asked for a better photographer!

5. Go with the flow and enjoy island time!

What inspired you to have a Pacific Island wedding?

We have always loved Polynesian culture and have visited Samoa, Fiji, and Hawaii. We love everything about it and thought - what better place to get married than in paradise!

What made you choose the Cook Islands?

We weren’t all that familiar with the Cook Islands, but after researching destination weddings and considering that our guests could fly directly to Rarotonga from Australia, it made sense. It was easy and accessible for everyone.

What made you pick The Rarotongan Beach Resort & Lagoonarium?

We looked at quite a few resorts, but The Rarotongan Beach Resort & Lagoonarium ticked all the boxes for us, our family, and friends. Plus, Sanctuary Rarotonga-on the beach Adults Only sister resort to The Rarotongan, is right next door - providing another option for guests without kids.

What were the advantages of having an island wedding?

Everyone was relaxed! Our family and friends spent quality time together before the wedding, which wouldn’t have been possible if we had a local wedding. At home, you’re lucky to see your guests for a brief moment on the day.

How did you and your guests enjoy Rarotonga?

We visited numerous cafés, bars, and restaurants around the island. We went to cultural nights, took boat tours, swam with turtles, visited the Muri Night Markets, and explored the Saturday morning market in town - we made the most of it!

Where did you celebrate as newlyweds?

We had the most amazing honeymoon in Aitutaki, staying two nights at The Rarotongan Resort’s adults-only sister resort, Aitutaki Lagoon Private Island Resort, and another two nights elsewhere. Aitutaki sunsets have to be the most stunning in the world! And the waterjust wow! Pictures don’t do it justice.

Both spouses must be at least 18 years old, not currently married, and cannot be French nationals or residents of France. They must also not be related by direct lineage. Each partner must choose a witness aged 18 or older (the mayor’s office can provide one if needed).

REQUIRED DOCUMENTS:

All documents must be submitted at least 45 days before the wedding to the mayor’s office in the chosen commune:

• Marriage of Foreign Citizens in French Polynesia application (completed and signed).

• Letter to the Mayor, signed and dated by both spouses, stating their intention to marry.

• Copies of both spouses’ passports.

• Certified birth certificates, issued within six months of the wedding, translated into French, authenticated with an Apostille, and legalised by the French Consulate.

• Proof of residency (e.g., utility bill showing names and a physical address; photocopies accepted).

• Certificate of Non-Marital Status (Certificat de Célibat), signed by a lawyer, translated into French, and legalised by the French Consulate.

The Legend of Sina and the Eel: A Love Story That Shaped the Pacific

Long before love stories were written in books, they were told through legend. One of the Pacific’s most famous is the tale of Sina and the Eel—a story of love, transformation, and remembrance. Sina, known for her beauty, was pursued by an eel that she desperately tried to escape. In some versions of the story, the eel was a prince under a curse. When he was finally caught and killed, he asked Sina to bury his head, and from that spot, the first coconut tree grew.
