Hello and a warm welcome to our September edition of Dorset Business Focus, Dorset’s leading business magazine. Let’s talk about the menopause. A couple of months ago, during one of our GU6 mental health training sessions, one of my colleagues told me about the huge impact the menopause had had on her wellbeing and how it had affected all aspects of her life, including at work. She talked about the sleepless nights, the sweats, anxiety and brain fog. As I listened, it really struck me how important an issue this is and as both a male and a leader of a largely female team, I knew virtually nothing about the menopause at all – and this is something that is being hugely overlooked in the workplace; we just don’t talk about it and it’s certainly not an issue we are talking about as business leaders and managers. This is despite the fact that women between the age of 45 to 55 make up the largest demographic in the workplace. As I spoke to my female colleagues both in Dorset Chamber and other businesses, it became evident that many women suffering from debilitating effects of the menopause and this absolutely has an impact on them at work. I was also amazed at how open the women I spoke to were about this – yet it’s still generally unspoken about in the workplace. I felt we needed to step up to the plate on this critical issue. I launched our business event “Let’s talk about the menopause” on LinkedIn and we were immediately met with huge support from women on social media. Our speakers included leading expert

Dr Sarah Hattam, British Chambers of Commerce Director General Shevaun Haviland, my colleague Theresa Higgins and our President Caron Khan. Labour Shadow Business Minister Seema Malhotra and BCP Council Leader Drew Mellor also attended. This groundbreaking event was a huge success (but with only a very small number of males attending) and was covered by the local press, radio and was also a main story that evening on BBC South Today. We were obviously over the moon with this coverage and received a huge number of positive comments on social media. It’s clear this is a massive issue yet is still one of the last taboos in the workplace. It is such an incredibly important area for businesses to understand and properly support our colleagues through policies at work and is something we should all, not just women, be talking about. As part of our business resilience plans and health and wellbeing support for our colleagues, we must start openly talking about this and provide education for men and women. I feel we have really lit a fire on this issue within the business community. We are the only Chamber of Commerce in the country to be leading on this issue and I’ve been asked by the British Chambers of Commerce to lead a national discussion on this with Chambers across the UK. As a result of our work, I have also been asked to sit on a

national Ministerial Task and Finish Committee, looking at how we can really push this issue to the forefront. We will continue to campaign on this issue as part of our wider health and wellbeing work (including our GU6 project looking after the mental health of business leaders) and you can see many useful tools and resources on our website dorsetchamber.co.uk/menopause-resources. y a w s d a e l r e b m Dorset Cha N G I A P M A C G N I Z A L B L I A R T in Employers were urged to tackle the ‘last taboo in the workplace’ when a Dorset Chamber campaign about the menopause sparked nationwide interest. Nearly 60 delegates attended the ‘Let’s Talk about the Menopause’ launch event held online about how the issue can affect women’s health and their working lives. They included British Chambers of Commerce (BCC) director general Shevaun Haviland, Labour shadow business minister Seema Malhotra and BCP Council leader Cllr Drew Mellor. Ms Malhotra described the Dorset Chamber’s campaign as ‘trailblazing’ and urged businesses to contribute to an All-Party Parliamentary Group at Westminster conducting an enquiry into issues around the menopause. Ms Haviland said: “The menopause is one of the last taboos. “No-one has ever really talked about it in the workplace and it’s something that affects probably 50 per cent of our staff

for 10 to 15 years of their careers. “I’m really delighted that you are dealing with some something quite so progressive.” In polls held during the event 71 per cent of women said that the menopause had a negative impact on their ability to work and 78 per cent said it was not discussed with line managers. The keynote speaker at the event was Dr Sarah Hattam, a practising GP and expert on health and wellbeing in the workplace. She warned that a significant proportion of women step back from their careers or leave their jobs because of the negative impact of menopause and lack of support. Dorset Chamber head of finance and administration Theresa Higgins gave a personal account of her experiences dealing with the effects of the menopause. Chief executive Ian Girling said: “We believe we are the first chamber

to tackle this issue in this way. “Our poll at the event showed that nearly three quarters of women had been adversely affected by the menopause, which demonstrates just how important an issue it is. “It was a fantastic and powerful event but it was just the start and we will be looking to build on this.” Other speakers included Kevin Barnett of sponsors Lester Aldridge and Amelia Hooley of Dorset Mind. Dorset Chamber president Caron Khan said: “It was an amazing event, thought provoking and very inspiring. “We at are determined to create a culture in which we are talking about the menopause and I do hope that we can continue to talk about this subject and inspire other organisations to do the same. It’s definitely not a taboo subject at Dorset Chamber.”

Dorset Chamber sees the importance of Health and Wellbeing for businesses There is no doubt that as we come out of the pandemic, there is a renewed focus on wellbeing. To underline the importance we place on this, we’ve appointed a dedicated Health and Wellbeing Co-Ordinator, Xanthe Grace, who will be overseeing our initiatives in this area. As we return to normal, every employer should be focusing on the wellbeing of their teams. Fostering employee wellbeing is good for people and good for business. It can prevent stress and create a positive work environment where individuals and businesses thrive. We would like to thank our health and wellbeing sponsor, Lester Aldridge, for their support in enabling this activity. Within this, we recently launched Got Your 6 (GU6), a mental health initiative which aims to provide support amongst business leaders. Many business leaders will have faced stressful times, particularly during the pandemic, and GU6 is about looking after the boss as well as the teams within businesses. It has created a new opportunity for twoway dialogue about how we, as people, are feeling, whatever our role or responsibility in our organisations. If our leaders are in good shape, it bodes better for our wider economy. In GU6, we are building a network of business leader ‘champions.’ These champions, who have undergone Mental Health First Aid training with our partner organisations Dorset Mind and Ouch, are available to provide confidential support for business leaders, both members

and non-members. We are very keen on building our bank of champions to strengthen the support we can offer. We will also be organising events over the forthcoming months so please keep an eye on the Dorset Chamber website events page for further details. Driven by our Chief Executive Ian Girling, we’ve also been leading a ground-breaking campaign calling for better education for both men and women on the impact of the menopause on women in the workplace. Eight in ten women of menopausal age are in work and 90% of them experience symptoms range from mild to severe. As the first Chamber in the UK to begin to address this issue, still widely seen as a taboo in society, our first event gained great media attention (including coverage by the BBC) and was attended by

guests such as Labour Shadow Business Minister Seema Malhotra, Director General of the British Chambers of Commerce Shevaun Haviland and BCP Council Leader Drew Mellor. Watch this space for further activity.

Should workplaces have a menopause policy? Future-proof your business by supporting people through the menopause. We caught up with Tracy Michael and Kelly Marsden from The HR Team to find out more…. Some women go through the menopause with little impact on their daily life. But others experience symptoms that can last for several years and have a negative impact on their performance and attendance at work. A bad night’s sleep can affect concentration, while heavy periods or hot flushes can be physically distressing and embarrassing. The psychological effects can also impact relationships at work. For some, the symptoms are so severe that women are forced to leave their job altogether. Recent surveys have found that most women feel there is a stigma attached to discussing periods in the workplace, with over half saying they feel embarrassed to mention it at work. Many women feel they can’t be honest with their employer about needing to take time off work because of their period. Almost half of all women feel unable to say they couldn’t come to work as a result of period-related problems. There is widespread agreement some HR policies should be in place to make it easier for women to work while on their periods. Two-thirds of women also said they would be more inclined to apply and accept a job if the company had a policy in place. Interestingly, “period leave” policies adopted by some companies in Asia have been recently criticised for reinforcing negative gender stereotypes of female workers and periods. So perhaps offering free pain killers, hot water bottles, desk fans and the option of working from home if symptoms are severe is all that required in terms of a HR policy. Presidents Column by Caron Khan For the first 30 years of my career, I never heard the word ‘menopause’. How ridiculous is that? But now there are more menopausal women at work than ever before. With 2 in 5 women saying their menopausal symptoms were worse than they expected, and the majority of women unwilling to disclose menopausal health related problems to their line manager, it’s important that all employers put the right awareness, education and support in place. We at Dorset Chamber are determined to create a culture where it is easy to talk about the menopause, and I do hope that by continuing to talk about this subject we can inspire other organisations to do the same. It’s definitively not a taboo subject at Dorset Chamber, and I hope that we as a leading organisation in Dorset, and others like us, can turn this challenging time for women into a more positive transitional experience. Menopause in the workplace getting the business case right

The menopause has traditionally been one of the last ‘taboo’ subject in the workplace, but this is changing. Research suggests that menopausal women are the fastest growing workforce demographic. They may represent a large proportion of your experienced and valuable workforce. Some women will sail through menopause with very few symptoms, whereas others may be severely impacted in every part of their life, including their work life. These symptoms can last many years. Although it is a natural process, sadly, many women feel they are not able to manage this stage of their life at work, and may take a step back from their careers or even leave the business entirely if they do not get the support they need. By taking steps to address this subject, and improve the experience menopausal women have at work, you not only help those employees directly, but also their colleagues and their families, as well as showing good practice, improving retention rates and the reputation of your business. The menopause usually occurs between 45 and 55 years of age, but can be much earlier for a variety of reasons. We have addressed the legal ‘duty of care’ that employers have for their employees, and the need to manage risk to people’s health and safety at work in previous articles, but this responsibility will cover menopausal women in the same way as the whole of your workforce. Management of Health and Safety at Work Regulations impose a duty on employers to carry out a suitable and sufficient assessment of the risks to the health and safety of employees in their workplace, and risk assessments may be a helpful way of identifying and minimising risk to menopausal women in your organisation. In addition, the Health and Safety at Work Act imposes a duty on every employer to ensure, so far as is reasonably practicable, the health, safety and welfare of all employees at work. Not dealing with menopause properly, and failing to protect those people going through it, can lead to expensive claims (remember that discrimination claims have uncapped compensation pay outs) and in some cases the potential for personal liability. Other legal issues and claims may also arise, including claims for unfair constructive dismissal. Employees will have contractual rights and there will be an implied term of mutual trust and confidence between you and your employees, so ignoring the impact of menopause can be risky. Protection from discrimination is set out in the Equality Act 2010, which lists a series of ‘protected characteristics’. These characteristics include Sex, Disability and Age, all of which may apply in the context of menopause. Whilst we would not say that the menopause itself indicates a ‘disability’, it is important to note that certain symptoms experienced by some over a long period of time may amount to disabilities. 14

Victimisation Treated less favourably as a result of making a complaint about discrimination. Failure to make reasonable adjustments Failing to take steps to reduce the effects impact of disability. Best practice – What should businesses be doing? Business leaders are starting to see the benefits of supporting their employees through this stage in their life, by providing training and introducing helpful policies and processes. This does not need to be a complex or costly exercise. We would suggest considering the following: Awareness Raising awareness and understanding of menopause with your line managers, HR teams and employees is an important starting point, and shows that the subject has toplevel support from your senior management team, and helps remove the historic view that this subject is off limits in the workplace. Perhaps consider circulating helpful articles or create an internal support group so that those impacted have a place to raise any concerns (involving your HR team in any support group would be helpful in identifying any trends that may pose a risk of employee complaints or claims). There are also some excellent on-line support pages and networks that you could highlight to your employees for further guidance. Knowledge Accessible and well publicised policy or guidance documents relating to the menopause should be introduced. It is important to consider the interaction with your existing policies such as equality diversity and inclusion, sickness absence and performance management. Consider whether to include related questions in staff surveys – this helps you identify where improvements can be made. Support Encourage supportive, open conversations about the impact the menopause may be having, showing awareness and understanding. Ensure confidentiality is maintained during any discussions, and remember that every women will experience their menopause differently. Do not assume that all women will need or want additional support, but if they do, do not ignore their needs. Do not provide medical advice or attempt to ‘diagnose’ symptoms – if you have access to /company/dorset-chamber/

occupational health or employee support lines, make these available to your staff, and ensure that your line managers are aware of the services they can provide and when to encourage GP support. If appropriate in your organisation, provide training and guidance specifically to your mental health first aiders and ensure that your staff know how to contact them for help. Practical Steps Consider the physical working environment and the facilities available. Do you need to consider making any ‘reasonable adjustments’ to ensure that individuals can remain working comfortably and effectively? Symptoms experienced during menopause can include physical aches and pains, fatigue, hot flushes, night sweats, insomnia, low mood, anxiety, changes in strength and balance, reduced bone density, weight gain and ‘brain fog’. Although few women will experience all these symptoms all at the same time, it is clear that some have the potential to impact work. Some of these steps may be simple, for example providing desk fans, opening windows to allow increased air flow or allowing individuals to adjust their workstation to suit their needs. Dress codes and uniform policies may need to be adjusted to allow individuals to dress appropriately to manage their body temperature, whilst also ensuring that business and safety needs are met. These revisions are likely to help all your staff, but particularly those that are experiencing fluctuating body temperatures. Likewise, providing washing and showering facilities where possible could help your employees manage their symptoms during the day. Fatigue, anxiety and ‘brain fog’ can impact some women during the menopause. It may be beneficial to allow more flexibility in the timing of rest breaks to allow individuals to manage their day according to the severity of their symptoms. Women can experience panic attacks and a reduction in their confidence during menopause. If you offer counselling facilities or external help-lines these can be helpful. If not, a more flexible approach to one-to-one meetings can assist in encouraging individuals to talk to their line managers and make suggestions as to what may help them. As with a variety of work/life stages, situations can be significantly improved by enabling open discussion, treating people fairly and providing suitable levels of training and guidance via a range of appropriate policies and workplace practices.

4 ways to increase productivity whilst hybrid working A recent study found that 27% of employees would prefer to work remotely full time, and 62% would prefer to work in a hybrid arrangement. Many businesses have listened to employee feedback and have spent the last few months planning how a hybrid work model can be introduced. The move to hybrid aims to offer all the benefits of working in the office and working from home, such as collaboration, ease of communication and a stronger organisational culture. It is also possible to significantly increase productivity whilst hybrid working, this can also lead to a better work-life balance and increased employee satisfaction. We have compiled a list of 4 ways to increase productivity whilst hybrid working below….. Learn how to run an effective hybrid meeting After 18 months of online meetings, most employees have found an effective and productive way to run meetings. Starting to work from the office will require a change in the way meetings are run, especially when some members are in the office and others are working from home. Two methods of running an effective hybrid meeting are having all members using Teams, or office workers all using a single computer, talking to remote workers on Teams. The former enables the experience to be the same for all attendees and may be a better solution for some businesses. The latter can aid in collaboration; however it is important to ensure that remote workers are included and the audio and video equipment used are sufficient. It will take some time to adjust to the new method of meetings, but from trial-and-error businesses will find the most effective way to run hybrid meetings to increase productivity.

Spending more time working may seem like it would increase the amount of work completed, however, in the long run this leads to a poor worklife balance and puts employees at the risk of burnout which will greatly decrease productivity. It is important that regardless of where employees are working, they stick to their start and finish times. When working at home a way to ensure this is to set and alarm for when it is time to finish work and turn off all work related notifications on mobile phones. In the office if there are multiple employees that finish at the same time colleagues should encourage each other to leave at the same time to ensure no one is forming an unhealthy habit of prioritising work over home life. Avoid Distractions For many that have become acclimatised to working from home with few distractions, going back to the office may be difficult to manage the distractions. This can decrease productivity and make work more stressful and leave employees feeling less motivated. In the office a great way to decrease distractions is by setting aside time that will be focus time and let colleagues know that during these times you should not be disturbed. It is also beneficial to set aside time dedicated to checking and replying to emails, rather than replying to all emails as soon as they arrive. When working from home it is typically easier to avoid distractions, however having meetings too often can cause distractions

that decrease productivity and can lead to an unhealthy work-life balance. In Microsoft MyAnalytics it is possible to view how much of a week is dedicated to meetings and automatically set times in your calendar that is dedicated to focusing without distractions. Use the office for collaboration and keep up communication at home One of the more prominent struggles with working from home has been how to effectively collaborate on projects. Having effective collaboration can drive innovation, efficiency and productivity and is significantly easier to do in person. For this reason, it is important to, where possible, take advantage of working in an office for collaboration on tasks and using other employees’ knowledge and skills to drive productivity and business growth. Similarly, it is important to maintain communication when working from home and include those who may be remote only. One way to ensure this is to hold short meetings with all members of a department throughout the week to keep all employees in the loop. Is a workplace menopause policy enough? For many businesses, there is a fear factor when talking about the menopause, even though it affects a much larger section of the workforce than pregnancy. This is mostly down to a lack of understanding of how the menopause can affect women at work and the stigma surrounding its discussion and acceptance. What businesses perhaps don’t recognise is how much sick leave and staff turnover can actually be attributed to symptoms of the menopause. The financial and wellbeing impact menopause can have on your business is not to be underestimated. Having a menopause policy in place is great, but what is really needed is a cultural change when it comes to addressing how to support women. In many instances women themselves are not aware that symptoms they are experiencing are menopause related and don’t seek medical advice or intervention. This led on to securing a ‘safe’ bed and he moved into YMCA early 2021. Today he is making positive progress, attending workshops and being continually supported to overcome his past and to make ‘lasting’ choices for his future. Public Trade Office to benefit business in Dorset opens The new Public Trade Office, or the International Trade Customs Office, at the Port of Poole is now officially open for business. The facility will create and safeguard jobs while attracting new businesses to Dorset. Dorset Local Enterprise Partnership (LEP) invested £950,000 of the government’s Getting Building Fund allocation for Dorset to Poole Harbour Commissioners for the creation of this facility which will be operated by UK Border Force. Dorset LEP has invested over £2 million to fund the Public Trade Office and a Port Operations Facility to enable the construction of a Border Control Post at the Port of Poole which will more effectively manage trade in Dorset. Arabella Lewis-Smith, Dorset LEP Board Member, said “It is fantastic to see this new Public Trade Office up and running. The Port of Poole is an important economic asset within the

Dorset economy and to date Dorset LEP has invested over £22 million in the area. The trade office will effectively manage and safeguard trade between the port and the EU for the future, creating jobs and supporting business growth.” Jim Stewart, Chief Executive of Poole Harbour Commissioners, said “The Public Trade Office is an essential piece of infrastructure for a port. This will enable traffic to flow through the port. Without the construction of this building, it would have jeopardised the future for the Port of Poole. For businesses importing or exporting through Poole, this facility will ensure they have access to Europe. It will create economic

The demolition and replacement of these existing facilities is essential to free-up the required footprint of land necessary to construct a Border Control Post, also to be operated by UK Border Force. The Border Control Post project is expected to be operational by 1 January 2022. Organisations such as the Department for Environmental, Food & Rural Affairs (DEFRA) and the Animal and Plant Health Agency (APHA) will use the post to examine freight coming through the port meets UK standards. www.dorsetlep.co.uk

Members can enrol staff on the Safe Supply Accreditation to prove knowledge with an OFQUAL examination – I am one of 15 Tower qualified staff. Bridge Health & Wellbeing celebrate successful first two years in business In July, Bridge Health & Wellbeing in Christchurch, celebrated their second birthday. Despite everything that has happened over the past two years, this husband-and-wife team of Paul and Louise O’Connell could not be prouder of everything they have achieved. Bournemouth FC physiotherapist, Steve Hard, opened the doors to their unique health and wellbeing centre on Bridge Street in Christchurch in July 2019. The first year was quite a rollercoaster, as they were forced to close their doors in March 2020 when COVID hit. By their first birthday, physiotherapist Paul O’Connell was back in the clinic for face-to-face appointments, with wellbeing classes running Zoom. They were hoping for a more settled second year in business, but the pandemic had other ideas. In their second year, they have been forced to close the studio doors again for two more lockdowns. But just like their first year of business, they didn’t let obstacles defeat them. “When we look back, there have been so many highlights from the last 12 months, despite all the restrictions.” Co-founder Paul comments. “Highly experienced chiropractor Aaron Coode joined our team in March 2021. With two decades of clinical experience and a special interest in spinal rehabilitation, sport and gait-related injuries, we are delighted that our clients are in such safe hands. We were also pleased to welcome sports massage therapist Sam, enabling us to offer even more sports massage appointments. Having worked for 15+ years in the sport and leisure industry, Sam has a wide set of skills and can treat pre and post-surgery clients, help with pain management or even stress-related conditions. Purchasing a portable massage chair allows us to offer workplace treatments, alongside our workplace DSE Assessment services. As more people return to the office over the coming months, in-workplace treatments could help employees manages their aches and pains, without having to leave the office.” Bridge Health & Wellbeing has also expanded the range of Wellbeing classes on offer this year. “Local instructor Alex Parker has started running /company/dorset-chamber/

These small group classes have worked well for people who are coming to the end of physiotherapy and rehabilitation after injury who need to maintain and progress their training.” The year has also seen several awards highlights. “We were thrilled to be announced as runners up in the Family Business of the Year Awards in June.” Louise continues. “There are so many amazing family businesses across the South West. It was such a privilege to be listed amongst them. I was very proud to be a finalist in the Successful Women in Business Awards in December 2020. In 2021, we have already been nominated in the Southern Enterprise Awards and the Business Leader Awards. We’re keeping our fingers crossed.” Overall, Paul and Louise are very proud to have continued to grow their health and wellbeing business, despite the pandemic. This year, they plan to expand the timetable of wellbeing classes further. Dorset industrial market strong, but supply needed Since the start of the pandemic the industrial market has consistently outperformed other commercial property sectors, both in Dorset and throughout the UK, buoyed by the effects of Brexit on UK supply chains and the pandemic on online retail. Certain sectors experienced record sales during the pandemic which has increased their industrial requirements to meet consumer demand – from online retailers to household improvement companies. We have seen this translate into a flurry of industrial property deals in recent months. Since the merger with Cowling & West six months ago, Vail Williams has acted on over 165,000 sq ft of industrial property transactions across the Dorset region, including the recent letting of a 40,000 sq ft industrial unit in Poole to cosmetics retailer Lush. High streets are moving Retailers deserting high streets can increasingly be found in storage units, with hundreds taking space in Store & Secure’s premises over the last five years. Since Covid struck, the number moving into the company’s huge sites in Bournemouth and Basingstoke has risen dramatically. The family-run firm is making it possible for the UK to once again become a ‘nation of shopkeepers’. With the lockdowns making online purchasing second nature, many retailers have moved their businesses online only. Almost a third of all retail sales are now made over the internet and it is a figure that is predicted to grow. Businesses taking space in a storage unit can increase revenues because there are so few overheads compared with having a high street presence. Start-ups that have grown out of ‘dining rooms and spare bedrooms’ are also moving into Store & Secure’s premises. Lucy and Sophie Maidman run the multi award-winning business that opened its first branch in Yeomans Way, Bournemouth, in 2010. Lucy said: “The growth in this part of the business has been dramatic and we will be able to help lots more online retailers and start-ups when we open new facilities. “It makes complete sense for retailers to go online only and base themselves in our units because it is so much cheaper than having a shop. “There are no rates or utility bills to pay, no parking or access issues and of course it is completely secure with seven-day-a-week access. “We’ve got former shopkeepers and market stall holders who have moved into our units. /company/dorset-chamber/

More than 90 per cent success rate for Diverse Abilities Advice Team The Advice Team, operated by Dorset’s disability charity Diverse Abilities, has been successful in 93.5 per cent of its appeal cases in the 2019/20 financial year. Following a 20 per cent increase in demand for its services over the same period, the Advice Team has continued its record of success in helping people with disabilities and their families claim the financial support they are entitled to. Elaine Ewing, Advice Team manager, commented: “Benefit applications and appeals are an incredibly stressful process during what is already an emotionally intense situation and it is easy to become overcome by the process. We always advise our clients to remember the ‘yes, but’ model of answering questions – yes you may be able to take your medication every day, but only because someone prompts you – these important contextual extras are all important when it comes to explaining your individual situation during an assessment or when completing a benefit application.”

More than 450 people have also been helped by the Advice Team in creating Lasting Powers of Attorney, requesting telephone advice, and completing benefit applications. The Advice Team also assists clients with Limited Capability for Work applications, Carers Allowance (CA), Child Disability Living Allowance (DLA), Attendance Allowance (AA), Blue Badges, and Personal Independence Payments (PIP), as well as referring clients to free wills and wills with trusts. How does COVID funding impact R&D tax credits? The majority of businesses have had to make big changes to the way they operate over the past year during the Covid-19 pandemic, with many turning to government grants and subsidies for much-needed financial support. So does receiving Covid-19 grants/subsidies compromise securing R&D tax credits? Well, the answer is – it depends. A company might not qualify for SME R&D reliefs if it has received grants or subsidies, especially if they’re for the project they are claiming. Coronavirus Job Retention Scheme (CJRS): Under CJRS, staff mustn’t be working so any claim for employee costs will fail as HMRC will know these workers were not contributing to R&D projects. However holiday and sickness pay may be claimable. Use of the CJRS does not preclude an SME R&D claim. Coronavirus Business Interruption Loan Scheme (CBILS): CBILS is classified as notified state aid, i.e. aid which has been approved by the European Commission. Use of CBILs does not affect a company’s R&D claims so long as the loan money is not spent on any project related to the R&D claim. If it does, then the project won’t qualify under the schemes designed for SMEs although the business could still claim under the government’s Research & Development Expenditure Credit (RDEC) scheme. Bounce Back Loans (BBL): BBLs are classified as ‘de minimis’ forms of state aid i.e. they are regarded as a subsidy for the first year’s interest and fees and dependent upon the use of the funds they may affect future R&D tax credit claims. What do employers need to know about furlough coming to an end? Furlough has helped secure millions of jobs, businesses and livelihoods across the UK since its introduction at the end of March 2020 due to the coronavirus pandemic. The furlough scheme is in its final phase, due to end on 30 September 2021. There are no signs of any intentions to extend it like before. • Employers using the scheme now, will need to make contributions as follows: • Employer contribution wages for hours not worked = 20% up to £625 Employer National Insurance contributions and pension contributions How can you prepare for the end of furlough? First therapy dog to aid physical and mental wellbeing at The College Woody, a three-year-old black Labrador, has joined Bournemouth & Poole College’s Student Support Team as its first ‘comforting canine’. Starting during the new term in September, Woody will be based across both the Lansdowne and North Road sites, where he will spend his working days providing care and moments of calm for students and staff. Jude Cooper, Woody’s colleague in wellbeing and safeguarding at The College, said: “Woody is well trained, very friendly and a little bit daft.

Although he isn’t officially trained as a therapy dog, he has provided support to my family, especially my son during some difficult times. “Time spent with a pet is proven to have a positive impact on physical and mental wellbeing so I can really see the value that a therapy dog will bring to The College. I can’t wait to see students’ reaction and how they interact with

Woody when they return to college next month.” Starting in late September, Woody will be based at each of The College’s sites for one day a week to aid the Student Support Team.

Nearly two months on from ‘Freedom Day’ in July and the effects of restrictions being eased are apparent. Workplaces are busier, facemasks have become less prevalent and the self-isolation rules have changed for the fully vaccinated. For employers, there remains a lot to consider in the wake of ‘Freedom Day’. “The relaxation in covid restrictions means that responsibility for keeping people safe has passed very much back to individuals and businesses.” This naturally comes with its own problems as employers must balance the need to protect staff and clients/ customers with employee’s other rights. Employers should still give serious consideration to maintaining a certain level of covid-security in the workplace. This is likely to mean reminding staff of the need to observe a degree of social distancing and, in some situations, mask-wearing. At the time of writing, the position on vaccinations remains unchanged and until such time as a case has been decided on actual policies, our advice remains that vaccines should be actively encouraged in most businesses rather than mandated. “Employers will still be at risk of claims relating to insecure workplaces. With that in mind, we would continue to advise routine and ongoing risk assessment in the workplace. At a minimum, this will help mitigate the outcome of any claim.” A reduction in the number of people in the workplace will help to ensure that businesses remain covid-secure, but flexible and hybrid working both require their own consideration. Government announces package of measures to support road haulage industry

Importing Goods from the European Union (EU) from 1 October 2021

The Government has announced plans to attract more truck drivers and simplify training in a bid to address a chronic shortage in the haulage industry which companies have warned could damage supply chains and lead to some food shortages. Driver shortages have intensified with Brexit ending recruitment from the EU, a backlog of driving tests caused by Covid-19 and self-employment tax reforms that have led to EU drivers leaving the UK. Add to this that nearly a third of the 300,000 UK drivers are over 55 and heading for retirement and the shortages are reaching critical levels. In an open letter to the road haulage sector, ministers have pledged to work with industry leaders to attract new drivers, simplify training and encourage people to stay in the industry. The Driver and Vehicle Standards Agency (DVSA) has already worked to ensure almost 1,500 HGV drivers pass their driving test every week but the government is going further still to make sure new drivers get up and running in the industry as quickly as possible. A new consultation will be launched on allowing drivers to take one test to drive both an articulated and rigid lorry. This would streamline the process for new drivers to gain their HGV licence and would increase lorry test appointment availability. The consultation will ensure road safety is paramount and set out that drivers will still be supervised until fully qualified. The consultation will also look at allowing trainers to actually examine drivers in the off-road manoeuvres part of the HGV driving test, and look at whether specific car and trailer tests should be required. This will allow a significant increase in the number of HGV driving tests to be conducted whilst maintaining road safety standards.

New actions required for businesses importing products of animal origin into Great Britain from the EU. From 1 October 2021, there will be new requirements to continue importing animal products for both human consumption and non-human consumption from the European Union into Great Britain. Some of the requirements include: pre-notifying authorities that consignments will be entering Great Britain and uploading a certified Export Health Certificate using the Import of products, animals, food and feed system (IPAFFS). It is important that businesses take the necessary preparatory steps to ensure they can comply with the new requirements. Should you worry about paying extra tax at retirement? When the Chancellor announced the lifetime allowance limit freeze in his Budget speech earlier this year, for it to remain at £1,073,100 until April 2026, there was a lot of doom and gloom. Some said it will make pensions less attractive. However, this view is open to debate. The freeze shouldn’t put people off pensions: they are still far and away the most tax-efficient way of saving for retirement, especially considering the tax relief available on your contributions tax, as well as the freedom of choice you now have in how you access your pension when the time comes. So, instead of thinking of the lifetime allowance freeze as a barrier or a problem, you should see nearing that limit as a trigger to consider your additional options. At this point, it would be useful to have a discussion with your financial adviser, get properly informed as to the details of your own circumstances, and ask questions such as: “Do I need to worry about this? If so, do I need to adjust my course?” So what if you reach your allowance limit? As with all tax issues, it’s mainly about being aware of the situation, knowing what’s there and realising that you don’t necessarily have to solve the problem by yourself. The most important thing is to start with the end in mind. Think about how you want your retirement to look, then you can consider the mechanics of how you might structure your income in retirement and how to save for it now. Many people these days are going to need a range of assets to draw from, of which their pension will be just one. Beware the cyber threats when returning to offices Business returning to their offices after a long lockdown lay-off should consider the cyber security implications, according to a leader in the field. Matt Horan from C3IA Solutions is urging companies to carry out checks before getting all their staff back because the risks will have increased. And it is not only technical things that need checking, but the environmental conditions and physical security too. Leaving IT kit alone for a long time will create new vulnerabilities and cyber crooks upped their game during the pandemic and are more dangerous than ever. Furthermore, staff changes during the last 17 months could open the back door to criminals. Matt, whose business is headquartered in Poole, Dorset, said: “Any hardware that has remained switched off for a long period should be powered up and left for 24 hours before it is used. “Often hardware will fail in the first few hours of it being started and it is best to check all is well rather than assuming everything will work as it used to. “All passwords on network-critical devices should be changed; not only is this good practice anyway, but there might have been staff changes within the business. “Software should be assessed, tested and then patched, and this could take hours or even days because installations can take time. “New or updated software should be considered to replace out-of-date versions. This might mean a considerable cost, but

it is better than suffering a cyber-attack. “Staff may well need familiarisation, security and awareness training for any new software that has been introduced. “It is also important to consider the environmental conditions – heat and air conditioning for server rooms should be tested to ensure there are no leaks. “New staff will not necessarily be familiar with a business’s working practices and security processes so will need to be briefed. “And it is always important to check the physical security of offices, including alarms and CCTV. “A physical security sweep should also be undertaken, and staff ought to check their working areas and remove anything that looks suspicious or is unfamiliar. “Also, any data that people have at home, whether on paper for stored digitally, should be checked and destroyed or brought back to the secure office environment. “As there were risks with people suddenly working from home, there are risks with workers returning to offices. “Working practices and business models might well have changed during the last 17 months and this too might add to cyber risks. “While carrying out checks might be timeconsuming and possibly costly, it is far better than being the victim of a cyber-attack.” www.c3ia.co.uk

Time to press re-set? After 18 months of turmoil, many businesses and employees are tentatively returning to the workplace. Whilst some never left those who did are currently discussing the merits of ‘normal’ versus hybrid working patterns. Life has changed significantly for many during the pandemic and for some, working expectations may have changed. For example, one coaching client I spoke to had been regularly commuting precovid on a 4-hour round trip for a 2 hour meeting because previously that was what had been expected. However, with the prevalence of Zoom and Teams meetings during lockdown, this has rendered his commute obsolete allowing meetings to happen effectively without the need to be sat in traffic for 4 hours of his working day. But what now? Is he expected to return to the commute or continue with the new way of working? This is only one example of the many ways working life has changed expectations for both employee and employers and can be a difficult and confusing time for the manager. Communicating and agreeing expectations is a vital part of the role of the manager at any time but is particularly important during or after a period of change. It provides an opportunity for expectations to be reviewed and/or aligned to the new situation or environment. To re-set or reinforce expectations for everyone. As teams return to the workplace, where might you need to re-set expectations? Have expectations changed having worked from home for long periods? What might have changed at work that they may need to think about or be aware of? We have noticed that during the pandemic whilst people were working at home the lines between work life and home life became blurred. lockdown and technology at our fingertips, people continued to work into the evening or at weekends, quite simply because they had nothing else to do in some cases. The risk is that there is no off button, no down time and we are always ‘on’ to work but is this sustainable going forward? For most of us the answer I suspect would be no and may need to be redressed. At Contact Consulting we have over 30 years of experience working with managers across the world and, regardless of nationality or sector, we have found that many difficulties with engagement and performance can be traced back to a lack of clarity regarding expectations. Failing to agree and communicate clear expectations upstream can lead to misunderstandings, performance issues and at worst, conflict downstream because assumptions were made or there was a different set of expectations in play. You only have to think about your own relationships with partners or children to appreciate how a disconnect of expectations can lead to misunderstandings or arguments. As George Bernard Shaw wrote, “The single biggest problem in communication is the illusion that it has taken place” and that even if communication has taken place there is no guarantee that the message has been heard and understood. Making expectations explicit rather than making assumptions that people understand what is expected is more important than ever as people return to the workplace.

Is now a good time to think about expanding your workforce? In the continuing climate of uncertainty it is difficult to plan definitively for the next weeks never mind months and expanding your team with a new staff member at the moment may be very far from front of mind. But given the current Government incentives still available – particularly for apprenticeships – it is a growth and development option well worth considering. Cash incentives of £3000 are currently still available for all new* apprentices taken on before 30 September 2021. This non-repayable cash incentive is completely separate from other apprenticeship scheme payments – allowing you to spend it as benefits best your company and workforce in your postpandemic recovery. Remember an apprenticeship opportunity is accessible and available to school leavers, university graduates or those looking to upskill or change career direction completely. Quite simply, apprenticeships do not have an upper age limit for applications, everyone over 16 years old and not in full time education can apply for a relevant apprenticeship position. Support Central An interview with Dorset Gateway Business Advisor Suzannah Kennedy on how the service has provided support to Dorset businesses through the pandemic and how it can help during post-COVID recovery In a nutshell, what is Dorset Gateway and what is its remit? Dorset Gateway offers a fully funded service to provide advice, support and signposting to any Dorset-based business looking for any kind of support. The service is funded from Government via Dorset Local Enterprise Partnership (LEP) and delivered in partnership with Dorset Chamber. Essentially It centralises the ever-changing information on support so businesses have a one stop shop for guidance. During the pandemic, what changed for Dorset Gateway and how were you able to respond? Since the start of the pandemic Dorset Gateway has been in contact with and assisted 1400+ Dorset-based businesses seeking support which shows the scale of demand. During the peak, on one day alone, we received more enquiries than during a “normal” pre-COVID month. We were able to adapt quickly to meet both this demand, and the challenges of the fastchanging support environment. Two additional staff members were secured to help manage work flow and processing and to assist with the delivery of accurate and relevant information across various channels, including web sites, email, newsletters, phone and social media. What was the biggest support requirement during the pandemic? The service proved to be a fundamental resource for many and a life-line to others. It frequently acted as a counselling service for distraught business owners whilst helping to source and secure information, clarify eligibility criteria and signposting to relevant grant funding schemes made available from central government, and aligning the service with both councils who were busy interpreting and implementing them. It also played an integral part in raising key issues faced by Dorset-based businesses such as marine and hospitality so that local government, Dorset Chamber, British Chambers of Commerce, and the Government’s Department for Business, Energy and

Industrial Strategy (BEIS) were aware. We continue to work closely with BCP and Dorset councils to help raise, consider and resolve issues for Dorset-based businesses struggling to secure funding. £750k from the Taxman for Innovative Print Business A financial printing business received over £750k over ten years via HMRC’s Research & Development tax credit scheme.

Many businesses will have been looking to take advantage of any government grants or loans available during the Coronavirus. However, an annual cashback for innovative businesses has been available for the last 20 years and has the advantage of being a means of funding that doesn’t have to be paid back. Rob Sowden, innovation tax incentives consultant operating from Bournemouth, provides the following example: “The consistency of the government support via the Research & Development (R&D) tax credit scheme is really showcased with this business. The scheme was introduced in 2000/01 to reward companies for innovation, to ensure the UK remains a thriving

and rewarding place for businesses to trade in. This business received a consistent average in excess of £75k cashback annually for a decade. This cashback is not taxed again, it goes straight to the bottom line. Many businesses and their advisors often associate the R&D tax credit scheme with sectors such as manufacturing, engineering, pharmaceutical, etc, yet this business in the sector of commercial printing highlights that a business in any sector can obtain this valuable cashback. However, it does take a specialist claims provider to correctly identify the nature of qualifying activities to ensure that the company obtains maximum entitlement and to avoid the risk of submitting a DIY claim directly (or via an accountancy firm), that is not compliant with legislation. On this latter point, it is important to recognise that HMRC may make an initial award of a tax credit or cashback, but if it later discovers that this claim is not compliant, it may result in a clawback. A trading company that carries out any form of unique innovation may qualify for a year-on-year cashback from HMRC under this very generous scheme. A first time claimant company can claim back

two accounting periods. Many first time claimant companies I work with receive a six figure cashback for those two years, money they didn’t know was there for them. A business does not have to be profitable to get this cashback, in fact a loss-making company can obtain an enhanced cashback, up to 33% of qualifying costs can be rebated. Qualifying costs consist mainly of staff costs and/or costs incurred by 3rd party contractors for any innovation work, as well as certain material costs and utility costs. Some businesses have claimed and received small amounts, much less than they were entitled to. What catches many businesses out is that they believe this claim opportunity is an accountancy work-stream, whereas it is really

about technology and they may not have identified all of the qualifying activities that could be part of a compliant claim. In this case a specialist IT analyst was assigned to assess and compile the claim to identify all of the qualifying activities permitted within the scheme rules. I’ve never had so much fun driving slowly. What do the Beatles, the Beach Boys, Brigitte Bardot and now me all got in common? We have all been captivated by the personality and unique styling of iconic MOKE. The first MOKES were manufactured at BMC’s Longbridge, Birmingham plant, where 14,518 were made between 1964 and 1968. Forward to 2021 and Hendy Group is the UK distributor for the new MOKE made by MOKE International. It’s 56 years since the doorless and roofless stripped-down Mini first went on sale and there were just 56 first editions of the new MOKE available at around £25,000 each. The manufacturer says the chassis still remains true to the original, which is based on the legendary Austin Mini design. However, the 56 cars that have been sold to UK customers feature a raft of component upgrades. It’s the most fun you will have driving slowly, under the bonnet is a 66bhp 1.1-litre fourcylinder petrol engine linked to a four-speed automatic gearbox. You can have a manual gearbox but it’s extra, so most will be autos. You get supercar glances wherever you go and every time I stopped someone would come and chat about the car or their memories of the original. Everything about this car is retro,

from the dashboard dials to the radio, which to be honest you can’t hear when driving with the doors or roof off. The first 56 are all sold and buyers could choose one of 24 colours including vibrant red, the colour of the car I drove. MOKE has released three special editions Army green, Air Force blue and Special Ops black, ideal if you like the Action Man look. The personalisation only extends to colours as you won’t find heated seats or autonomous driving modes in the MOKE, which is a godsend as it’s driving in its purest form. Apparently the average fuel economy is 34mpg, but who cares! You are having such fun driving that refuelling is no hardship. I did manage 55mph on the dual carriageway but the MOKE is best suited to buzzing around town, going to the beach or just cruising about. Superior doubles apprenticeship positions following surge in applications Ferndown-based manufacturer Superior saw a surge in enquiries from prospective apprentices looking to join its award-winning apprenticeship programme, backing the latest research by UCAS where more than three quarters (78%) of students who have received A-Level results do not plan to immediately start a three year full-time undergraduate degree but are interested in starting an apprenticeship. With the number of applications increasing, Superior doubled the amount of apprentice positions starting this month

The Importance of generational partnership in Business My name is Toby Berry, a first, going into second year, Economics and Politics Student at the University of Exeter. I‘m currently on a voluntary work placement at Prosper Protect Limited, based in Blandford, which has spurred me to highlight this fantastic partnership. Being a resident in the local area, I felt it would be a great opportunity to use some spare time over my summer holidays, to pro-actively gain valuable work experience, attempt to then decipher and shape which area I’ll move into with my Degree as it can be a minefield for young people. I have gained valuable insight into the work that goes on ‘behind the scenes’, gaining many transferrable skills such as confident and clear communication with colleagues and clients, as well as being able to provide a customer with a tailored, personal service and an excellent experience. More importantly I have also been able to pick up on industry-specific skills, whether that be in mortgages or protection insurance; all new knowledge for me, which I can take back to my Economics degree. Opportunities like these are so important to students and young people like me as it gives us a chance to experience what work in a particular industry could be like, helping us make more informed decisions about our future. It also provides a chance to widen our contact circle and help make new connections, that will be so important in the future and our potential careers, opening doors that otherwise would have never been there for us. Imaginative Merchandise for Cornwall Aviation Heritage Centre Cornwall Aviation Heritage Centre is an aerospace museum located at the former airbase of RAF St Mawgan, near Newquay.
